<strong>Cancelation</strong> <strong>and</strong> <strong>Refund</strong> <strong>Policy</strong><br />

<strong>UFIC</strong> <strong>Deposit</strong> <strong>and</strong> <strong>Service</strong> <strong>Charge</strong> Policies: The $ 250 deposit for UF sponsored programs ($<br />

500 for Architecture programs), the $ 250 service charge for non-UF programs <strong>and</strong> the $ 50<br />

service charge for independent studies are non-refundable. Law students must check with<br />

the law school for cancellation policies that will apply to them.<br />

<strong>UFIC</strong> Cancellation Policies: In order for <strong>UFIC</strong> to cancel your application, you must notify your<br />

study abroad advisor in writing; email notification is acceptable. Please note that we cannot<br />

process your cancellation if you notify solely your program director, academic advisor or<br />

professor. It is your responsibility to notify your study abroad advisor in writing of your<br />

cancellation.<br />

Students canceling or withdrawing within 60 days prior to the start of the<br />

program are liable for fees in accordance with the schedule listed below. We<br />

count the day <strong>UFIC</strong> receives written notification directly from you as the date<br />

of cancellation:*<br />

46-60 days prior to the program's start date: 50% of program fee<br />

31-45 days prior to the program's start date: 75% of program fee<br />

0-30 days prior to the program's start date: 100% of program fee<br />

*Students who are accepted by <strong>UFIC</strong> within 60 days of the program's start<br />

date will have one week from the date of <strong>UFIC</strong>'s acceptance to withdraw<br />

without the aforementioned fee liability. After this one-week window, they will<br />

be held liable for fees in accordance with the schedule listed above.<br />

Program-specific cancellation policies: Some programs have program-specific cancellation<br />

policies. Program-specific policies will always take precedence over the general cancellation<br />

policies outlined above.<br />

Financial Aid: Students on financial aid must adhere to policies as stated by the UF Financial<br />

Aid office.<br />

Medical Withdrawals: Students who must withdraw due to medical reasons are subject to<br />

the Study Abroad Medical Withdrawal <strong>Policy</strong>, available on our More Information page.<br />

UF Tuition <strong>Refund</strong> <strong>Policy</strong>: All participants on UF tuition-bearing programs are subject to the<br />

UF tuition refund policies as published in the UF Undergraduate or Graduate catalog.<br />

Misconduct: No refund will be given if a student is dismissed for misconduct (violation of UF<br />

Student Conduct Code, host institution conduct code, host country laws, alcohol/drug<br />

abuse, etc.).<br />

UF will not refund airfare or other costs incurred as a result of program changes or<br />

cancellations. Students should keep this in mind if purchasing non-refundable tickets <strong>and</strong><br />

should consider purchasing cancellation insurance to reduce risk.<br />

UF PROGRAM CANCELLATION / MODIFICATIONS


The University of Florida International Center reserves the right to cancel a program before<br />

it has started. Under such circumstances program fees are refunded based on<br />

aforementioned refund policy. <strong>UFIC</strong> <strong>and</strong> associated host institutions reserve the right to<br />

make changes, modifications or substitutions to the program in cases of changes at host<br />

site locations or in the interest of the program <strong>and</strong> its participants.<br />

EARLY DEPARTURE FROM PROGRAM AND / OR EVACUATION<br />

Should program participants need to depart the program early or need to be evacuated<br />

from the program location for reasons such as U.S. State Department travel advisory,<br />

armed conflict, health problems, etc., the participant will be responsible for any additional<br />

travel <strong>and</strong> related costs that may be incurred. Any refund of program fees will be based on<br />

UF <strong>and</strong> <strong>UFIC</strong> refund policies.<br />

PETITIONS, COMPLAINTS<br />

<strong>UFIC</strong> follows all UF guidelines for petitions regarding student records. Students wishing to<br />

make changes in their records or having other related issues should follow the guidelines as<br />

published in the UF catalog.<br />

Health Insurance Information<br />

All study abroad <strong>and</strong> exchange students are automatically enrolled in <strong>and</strong> billed for the<br />

health insurance through the UF insurance plan with CISI.* Students on the business<br />

programs in London, Paris <strong>and</strong> Rome are enrolled through the insurance policy of the host<br />

institution instead of UF's CISI policy. This insurance will cover you through the duration of<br />

your program for medical procedures <strong>and</strong> also provides emergency assistance. The cost of<br />

this insurance is $30/month, subject to change with contract renewal.<br />

*The only students who are not covered through UF for insurance are those on non-UF<br />

programs that have been pre-approved as meeting UF's health insurance requirements.<br />

-UF-Sponsored Program: Insurance is automatically included in your program fee.<br />

Release, Indemnification, Waiver, <strong>and</strong> Hold Harmless Agreement<br />

In consideration for being allowed to participate in a University of Florida study abroad<br />

program, I hereby RELEASE <strong>and</strong> DISCHARGE the University of Florida, the Board of<br />

Trustees, the State of Florida, their employees, agents, <strong>and</strong> assigns (RELEASEES) from any<br />

<strong>and</strong> all liability, arising out of any loss, damage, or injury, including death, that may be<br />

sustained by me, or to any property belonging to me, or both, including but not limited to<br />

any claims, dem<strong>and</strong>s, actions, causes of action, judgments, damages, expenses <strong>and</strong> costs,<br />

including attorneys' fees, which arise out of, result from, occur during or are connected in<br />

any manner with my participation in said program or any related travel or activities,<br />

including such loss, damage, injury or death that may result from RELEASEES' own<br />

negligence, <strong>and</strong> I further WAIVE any right I might otherwise have <strong>and</strong> COVENANT NOT TO<br />

SUE said RELEASEES in connection with any such liability.<br />

I am fully aware of risks <strong>and</strong> hazards connected with participation in such program, <strong>and</strong> its<br />

related travel <strong>and</strong> activities, including but not limited to exposure to infection <strong>and</strong> infectious<br />

diseases, rebellion, political unrest, internal turmoil, transportation accident, <strong>and</strong> crime,<br />

spoken in <strong>and</strong> cultural practices of those countries <strong>and</strong> areas being visited, because I will be<br />

subject to the laws or regulations of the country visited, <strong>and</strong> because of the worldwide<br />

I am fully aware that Study Abroad programs can be physically <strong>and</strong> mentally rigorous, <strong>and</strong><br />

the possibility of illness, accident or death is always a concern. Furthermore, I am aware<br />

that the University of Florida strongly recommends that I receive assurances from a<br />

physician regarding the rigors of travel as they relate to any special conditions <strong>and</strong>/or needs<br />

I may have. I underst<strong>and</strong> that the program does not routinely employ health professionals,<br />

<strong>and</strong> I recognize that it is my responsibility, <strong>and</strong> not the responsibility of RELEASEES, to<br />

secure any physical or mental health support I may require while abroad.<br />

I further hereby AGREE TO INDEMNIFY, DEFEND AND SAVE AND HOLD HARMLESS the<br />

RELEASEES <strong>and</strong> each of them, from any loss, liability, damage or costs, including court<br />

costs <strong>and</strong> attorneys' fees, they may incur as a result of any claims, dem<strong>and</strong>s, actions,<br />

causes of action, damages, or judgments, which arise out of, occur during, or are in any<br />

way connected with my participation in the program or any related travel or activities.<br />

Terms <strong>and</strong> Conditions<br />

Please read carefully the information contained on this page. When you have read the terms<br />

<strong>and</strong> conditions for participation, please sign <strong>and</strong> date the document so that we may process<br />

your application.<br />

1. Fees <strong>and</strong> Payments: I agree to abide by the conditions <strong>and</strong> deadlines for payments<br />

of Study Abroad fees as stated on the fee schedule for overseas study, University of<br />

Florida tuition where applicable, <strong>and</strong>/or host institution program fees. If I am<br />

receiving financial aid <strong>and</strong>/or a scholarship award for the study abroad program, I<br />

agree to abide by all University of Florida financial aid deadlines <strong>and</strong> policies. I<br />

underst<strong>and</strong> that failure to comply may result in a financial penalty, delay of aid<br />

disbursement <strong>and</strong> could result in my ineligibility to participate on the program.<br />

Delinquent debts may be reported to a credit bureau <strong>and</strong> can result in placement<br />

with a collection agency without further notice, at which time additional collection<br />

costs will be assessed.<br />

2. Local Fees: I underst<strong>and</strong> that I will be assessed an additional local fee for all UF<br />

credits that I will be taking on a UF sponsored program. This fee will be charged<br />

directly by University Financial <strong>Service</strong>s, rather than the <strong>UFIC</strong>.<br />

3. Tuition waivers: I underst<strong>and</strong> that I will not be able to use my tuition waiver /<br />

assistantship / fellowship on a UF sponsored program.<br />

4. Credits: In order for me to remain a UF student in good st<strong>and</strong>ing, I underst<strong>and</strong> that<br />

it is my responsibility to follow all requirements for credit hours necessary for my<br />

full-time status, whether abroad or here in Gainesville. This may include financial aid<br />

<strong>and</strong> immigration status requirements, <strong>and</strong> may also be affected by policies put forth<br />

by my host institution, exchange agreement or program provider. I underst<strong>and</strong><br />

that I also must notify <strong>UFIC</strong> of any overseas credit changes as soon as they<br />

occur. I underst<strong>and</strong> that I may receive a $100 late registration fee if I do<br />

not notify <strong>UFIC</strong> within 10 days of any registration credit changes.<br />

5. <strong>Service</strong> <strong>Charge</strong>: I underst<strong>and</strong> that I will have to pay a $ 250 service charge for any<br />

non-UF program. I underst<strong>and</strong> that this charge is non-refundable. In the event, that<br />

I have not paid this amount prior to my departure, I agree that this amount can be<br />

placed on my ISIS account.<br />

6. Program Approval <strong>and</strong> <strong>Cancelation</strong>: I underst<strong>and</strong> that I am considered<br />

committed to my program once my application is approved. I underst<strong>and</strong> that in<br />

order to cancel or withdraw from my program once I have been approved, I must<br />

submit to <strong>UFIC</strong> a signed hard copy of the Change in Program Status form. In<br />

addition, I underst<strong>and</strong> that the <strong>UFIC</strong> application system states that most programs<br />

are rolling admissions when approvals are typically issued only after the deadline<br />

date. I will contact my study abroad advisor if I have any questions as to when I can<br />

expect to be approved.<br />

7. <strong>Refund</strong> Policies: I underst<strong>and</strong> that if I cancel or withdraw within 60 days of the<br />

start date of the program, I will be held liable for fees in accordance with the<br />

following timeline:<br />

3. Visa Requirements: I underst<strong>and</strong> that I might need a visa in order to study abroad.<br />

I underst<strong>and</strong> that <strong>UFIC</strong> will try to assist me in getting a visa but that it is my final<br />

responsibility to obtain the appropriate visa. If I am a non-US citizen, I underst<strong>and</strong><br />

that it is my obligation to communicate my citizenship to my study abroad advisor so<br />

that he/she can advise me appropriately.<br />

4. Health Insurance: I underst<strong>and</strong> that all students who are participating in study<br />

abroad programs through UF will automatically be enrolled in <strong>UFIC</strong>'s insurance plan.<br />

I underst<strong>and</strong> that the only exception to this policy is if I am participating in a non-UF<br />

program with insurance that has already been approved by <strong>UFIC</strong>; I can contact <strong>UFIC</strong><br />

for a list of such programs. The cost of coverage will be included in the program fee<br />

for UF-sponsored programs. Students who participate in UF exchange programs,<br />

non-UF programs, or independent studies/internships will receive a separate invoice<br />

for their insurance.<br />

5. Emergency Assistance Insurance: I underst<strong>and</strong> that Emergency Assistance<br />

Insurance is m<strong>and</strong>atory for participation in a study abroad program <strong>and</strong> is provided<br />

by <strong>UFIC</strong> as a part of their insurance policy. It will insure me for such things as but<br />

not limited to the following: 24-hour emergency worldwide evacuation for medical or<br />

political reasons, emergency medical expenses, <strong>and</strong> repatriation of remains. I<br />

underst<strong>and</strong> that this is not health <strong>and</strong> accident insurance.<br />

6. Code of Student Conduct: I am responsible while overseas for compliance with all<br />

conduct regulations of the University of Florida which are printed <strong>and</strong> made available<br />

to all students in the University of Florida Student Guide, the University Catalog <strong>and</strong><br />

on the Internet at http://www.dso.ufl.edu/studentguide/ . I also underst<strong>and</strong> that I<br />

am subject to the laws <strong>and</strong> regulations of the host country <strong>and</strong> host institution at<br />

which I will study.<br />

7. Violation of Local Law: I underst<strong>and</strong> that I do not enjoy the protections of<br />

American law <strong>and</strong> the constitution while abroad <strong>and</strong> that violation of a local law can<br />

cause the termination of my program. Violations can include expressions of political<br />

or other opinions which are perfectly legal in the U.S. Since laws vary greatly from<br />

country to country. I underst<strong>and</strong> that it is my responsibility to learn about what is or<br />

is not permissible in the country in which I will study.<br />

8. Conduct Probation: I am in good academic st<strong>and</strong>ing <strong>and</strong> I am free of conduct<br />

probation. I underst<strong>and</strong> that <strong>UFIC</strong> reserves the right to cancel me from a program if<br />

they find out otherwise. I underst<strong>and</strong> that judicial checks will be done before<br />

students are leaving for their study abroad program.<br />

9. Accreditation Disclaimer: UF is accredited by the Commission on Colleges of the<br />

Southern Association of Colleges <strong>and</strong> Schools. UF's international partner institutions<br />

are not accredited by the Commission on Colleges <strong>and</strong> the accreditation of UF does<br />

not extend to or include UF partner institutions or its students. Although UF accepts<br />

certain partner institutions' course work in transfer, other colleges <strong>and</strong> universities<br />

may not accept this work in transfer, even if it appears on a transcript from UF. Each<br />

institution decides for itself whether to accept transfer credit from another<br />

institution.


10. Bright Futures scholarship: I underst<strong>and</strong> that after attending a spring or academic<br />

year study abroad program, I may experience a delay in the receipt of my Bright<br />

Futures scholarship for the academic year following my participation. Once my<br />

transcript has been posted by the UF Registrar <strong>and</strong> provided that I have obtained the<br />

required number of credits <strong>and</strong> GPA, Student Financial Affairs will send an updated<br />

report to Tallahassee indicating my eligibility for Bright Futures. Upon posting of my<br />

study abroad transcript to my UF transcript, I should confirm my Bright Futures<br />

eligibility with Student Financial Affairs.<br />

11. Graduation: I underst<strong>and</strong> that in order to graduate, I must request a transcript to<br />

be sent to the University of Florida International Center for posting of my study<br />

abroad grades.<br />

12. S/U courses: All colleges have restrictions on students taking S/U courses abroad.<br />

Please check with your academic advisor or your college.<br />

13. Scholarships <strong>and</strong> Stipends: In the event that I receive a stipend, scholarships, or<br />

other sources of funding from my host institution, I agree to notify the International<br />

Center of the nature, amount <strong>and</strong> dates of such funding in order that the<br />

International Center may comply with State of Florida, U.S. federal <strong>and</strong> UF<br />

guidelines.<br />

14. Emergency Contacts: I underst<strong>and</strong> that <strong>UFIC</strong> may release general study abroad<br />

information to the contacts listed as Emergency Contacts on my application. I agree<br />

that I must notify the Director of Study Abroad <strong>Service</strong>s in writing if I do not<br />

authorize the release of general information to my Emergency Contacts.<br />

University of Florida <strong>Policy</strong> on Alcohol <strong>and</strong> Other Drugs<br />

PREFACE<br />

The University of Florida is committed to providing an environment free of the abuse of<br />

alcohol <strong>and</strong> illegal use of alcohol <strong>and</strong> other drugs. To enhance this commitment, the<br />

University has adopted <strong>and</strong> implemented programs that seek to prevent the illicit use of<br />

drugs <strong>and</strong> the abuse of alcohol by University community members. Please refer to the<br />

current U.F. Student Guide, available from Dean of Students Office, the Study Abroad<br />

<strong>Service</strong>s office, or on the Internet at<br />

http://www.dso.ufl.edu/studentguide/, for a complete copy of the policy statement.<br />

STANDARD OF CONDUCT<br />

The unlawful manufacture, distribution, dispensation, possession, or use of a controlled<br />

substance or the unlawful possession <strong>and</strong> use of alcohol is harmful <strong>and</strong> prohibited in <strong>and</strong> on<br />

property owned or controlled by the University of Florida or any other University of Florida<br />

facility. No employee or student is to report to work, class, or any University activity while<br />

under the influence of illegal drugs or alcohol. The use of alcoholic beverages by members<br />

of the University of Florida community is at all times subject to the alcoholic beverage laws<br />

of the state of Florida, city of Gainesville, county of Alachua, or other applicable local<br />

regulations <strong>and</strong> the University Alcohol <strong>Policy</strong>, Rule 6C1-2.019, Florida Administrative Code.<br />

The possession <strong>and</strong> use of controlled drugs by members of the University of Florida<br />

community must at all times be in accordance with the provisions of Florida law <strong>and</strong> the<br />

rules of the University of Florida. Under Florida law, no person may possess substances<br />

regulated under the provisions of Chapter 893, Florida Statutes (controlled substances <strong>and</strong><br />

"designer drugs"), unless dispensed <strong>and</strong> used pursuant to prescription or otherwise<br />

authorized by law. Sale <strong>and</strong> delivery of such substances is prohibited unless authorized by<br />

law.<br />

UNIVERSITY OF FLORIDA SANCTIONS<br />

Violation of the policies <strong>and</strong> laws described above by an employee or student are grounds<br />

for disciplinary action up to <strong>and</strong> including termination or expulsion in accordance with<br />

applicable University of Florida rules <strong>and</strong>/or collective bargaining agreements. Student<br />

organizations also may be sanctioned for violation of these policies <strong>and</strong> laws. Additionally, a<br />

violation may be reason for evaluation/treatment for a drug- <strong>and</strong>/or alcohol-use disorder or<br />

referral for prosecution consistent with local, state, <strong>and</strong> federal criminal law. Disciplinary<br />

action against a student or employee by the University does not preclude the possibility of<br />

criminal charges against that individual. The filing of criminal charges similarly does not<br />

preclude action by the University.<br />

STUDY ABROAD STANDARDS<br />

It is recognized that many countries have differing laws <strong>and</strong> regulations regarding alcohol<br />

<strong>and</strong> drug use. Students should be aware that participants in University of Florida Study<br />

Abroad programs are expected at a minimum to abide by the UF st<strong>and</strong>ard of conduct AND<br />

to adhere to all local laws wherever the program may be held. Participants should also<br />

recognize that many host countries have stricter <strong>and</strong> more severe penalties associated with


the enforcement of their laws over which neither UF nor US agencies have any influence.<br />

Students who are found to be disruptive due to abuse of alcohol <strong>and</strong> drug use or who are<br />

adjudicated within the host country as having violated local regulations/laws will be<br />

dismissed immediately from the U.F. Study Abroad Program <strong>and</strong>, upon their return to the<br />

U.S., will be subject to any <strong>and</strong> all actions as deemed appropriate under the University of<br />

Florida or their home school Student Conduct Code.<br />
