Cancelation and Refund Policy 

UFIC Deposit and Service Charge Policies: The $ 250 deposit for UF sponsored programs ($ 

500 for Architecture programs), the $ 250 service charge for non-UF programs and the $ 50 

service charge for independent studies are non-refundable. Law students must check with 

the law school for cancellation policies that will apply to them. 

UFIC Cancellation Policies: In order for UFIC to cancel your application, you must notify your 

study abroad advisor in writing; email notification is acceptable. Please note that we cannot 

process your cancellation if you notify solely your program director, academic advisor or 

professor. It is your responsibility to notify your study abroad advisor in writing of your 

cancellation. 

Students canceling or withdrawing within 60 days prior to the start of the 

program are liable for fees in accordance with the schedule listed below. We 

count the day UFIC receives written notification directly from you as the date 

of cancellation:* 

46-60 days prior to the program's start date: 50% of program fee 



*Students who are accepted by UFIC within 60 days of the program's start 

date will have one week from the date of UFIC's acceptance to withdraw 

without the aforementioned fee liability. After this one-week window, they will 

be held liable for fees in accordance with the schedule listed above. 

Program-specific cancellation policies: Some programs have program-specific cancellation 

policies. Program-specific policies will always take precedence over the general cancellation 

policies outlined above. 

Financial Aid: Students on financial aid must adhere to policies as stated by the UF Financial 

Aid office. 

Medical Withdrawals: Students who must withdraw due to medical reasons are subject to 

the Study Abroad Medical Withdrawal Policy, available on our More Information page. 

UF Tuition Refund Policy: All participants on UF tuition-bearing programs are subject to the 

UF tuition refund policies as published in the UF Undergraduate or Graduate catalog. 

Misconduct: No refund will be given if a student is dismissed for misconduct (violation of UF 

Student Conduct Code, host institution conduct code, host country laws, alcohol/drug 

abuse, etc.). 

UF will not refund airfare or other costs incurred as a result of program changes or 

cancellations. Students should keep this in mind if purchasing non-refundable tickets and 

should consider purchasing cancellation insurance to reduce risk. 

UF PROGRAM CANCELLATION / MODIFICATIONS

The University of Florida International Center reserves the right to cancel a program before 

it has started. Under such circumstances program fees are refunded based on 

aforementioned refund policy. UFIC and associated host institutions reserve the right to 

make changes, modifications or substitutions to the program in cases of changes at host 

site locations or in the interest of the program and its participants. 

EARLY DEPARTURE FROM PROGRAM AND / OR EVACUATION 

Should program participants need to depart the program early or need to be evacuated 

from the program location for reasons such as U.S. State Department travel advisory, 

armed conflict, health problems, etc., the participant will be responsible for any additional 

travel and related costs that may be incurred. Any refund of program fees will be based on 

UF and UFIC refund policies. 

PETITIONS, COMPLAINTS 

UFIC follows all UF guidelines for petitions regarding student records. Students wishing to 

make changes in their records or having other related issues should follow the guidelines as 

published in the UF catalog.

Health Insurance Information 

All study abroad and exchange students are automatically enrolled in and billed for the 

health insurance through the UF insurance plan with CISI.* Students on the business 

programs in London, Paris and Rome are enrolled through the insurance policy of the host 

institution instead of UF's CISI policy. This insurance will cover you through the duration of 

your program for medical procedures and also provides emergency assistance. The cost of 

this insurance is $30/month, subject to change with contract renewal. 

*The only students who are not covered through UF for insurance are those on non-UF 

programs that have been pre-approved as meeting UF's health insurance requirements.

If you are participating in a: 

-UF-Sponsored Program: Insurance is automatically included in your program fee. 

Students on the business programs in London, Paris and Rome are enrolled through the 

insurance policy of the host institution and not through UF's policy with CISI. 

-UF Exchange Program: You will be enrolled for the full duration of your program 

overseas and receive a separate invoice from our office. 

-UF Independent Study/Internship: You will be enrolled for the full duration of your

-Non-UF program: If the insurance plan for your non-UF program has not been preapproved 

by UFIC on the link above, you will be enrolled for the full duration of your 

program overseas and receive a separate invoice from our office. 

I have read the above statement and understand that I will be automatically enrolled in the 

Study Abroad Insurance Plan for the duration of my study abroad program unless my 

program is one of the exceptions listed above. I understand that I will be billed for the 

insurance premium accordingly, and that the cost for this insurance is $ 30.00 per month. 

(Subject to change with contract renewal). 






Release, Indemnification, Waiver, and Hold Harmless Agreement 

In consideration for being allowed to participate in a University of Florida study abroad 

program, I hereby RELEASE and DISCHARGE the University of Florida, the Board of 

Trustees, the State of Florida, their employees, agents, and assigns (RELEASEES) from any 

and all liability, arising out of any loss, damage, or injury, including death, that may be 

sustained by me, or to any property belonging to me, or both, including but not limited to 

any claims, demands, actions, causes of action, judgments, damages, expenses and costs, 

including attorneys' fees, which arise out of, result from, occur during or are connected in 

any manner with my participation in said program or any related travel or activities, 

including such loss, damage, injury or death that may result from RELEASEES' own 

negligence, and I further WAIVE any right I might otherwise have and COVENANT NOT TO 

SUE said RELEASEES in connection with any such liability. 

I am fully aware of risks and hazards connected with participation in such program, and its 

related travel and activities, including but not limited to exposure to infection and infectious 

diseases, rebellion, political unrest, internal turmoil, transportation accident, and crime, 

which could result in serious or mortal illness, injuries and property damage, and am fully 

aware that there may be risks and hazards unknown to me connected with participating in 

said program, and I hereby voluntarily elect to participate in such program, and related 

activities, knowing that conditions may be hazardous or dangerous to me and my property. 

I am also aware that there are additional hazards attendant to traveling in foreign countries, 

including but not limited to problems that may arise because I may not be a citizen of the 

countries and areas being visited, because I may not be fully conversant with the language 

spoken in and cultural practices of those countries and areas being visited, because I will be 

subject to the laws or regulations of the country visited, and because of the worldwide 

potential danger of terrorist attacks. 

I am fully aware that Study Abroad programs can be physically and mentally rigorous, and 

the possibility of illness, accident or death is always a concern. Furthermore, I am aware 

that the University of Florida strongly recommends that I receive assurances from a 

physician regarding the rigors of travel as they relate to any special conditions and/or needs 

I may have. I understand that the program does not routinely employ health professionals, 

and I recognize that it is my responsibility, and not the responsibility of RELEASEES, to 

secure any physical or mental health support I may require while abroad. 

I further hereby AGREE TO INDEMNIFY, DEFEND AND SAVE AND HOLD HARMLESS the 

RELEASEES and each of them, from any loss, liability, damage or costs, including court 

costs and attorneys' fees, they may incur as a result of any claims, demands, actions, 

causes of action, damages, or judgments, which arise out of, occur during, or are in any 

way connected with my participation in the program or any related travel or activities. 

In signing this release I ACKNOWLEDGE and REPRESENT that:

No oral representations, statements or inducements, apart from the foregoing 

written agreement, have been made; 

I am at least eighteen (18) years of age and fully competent;

be bound by the same and intending to bind my heirs, successors, assigns, personal 

representative and estate. 

I have completed the University of Florida Study Abroad program application 

truthfully and accurately. 

I agree that this Release, Indemnification, Waiver and Hold Harmless Agreement is 

to be construed under the laws of the State of Florida, U.S.A. and that venue shall be 

in Alachua County, Florida. If any portion hereof is held invalid, the balance hereof 

shall continue in full force and effect. 






Terms and Conditions 

Please read carefully the information contained on this page. When you have read the terms 

and conditions for participation, please sign and date the document so that we may process 

your application. 

1. Fees and Payments: I agree to abide by the conditions and deadlines for payments 

of Study Abroad fees as stated on the fee schedule for overseas study, University of 

Florida tuition where applicable, and/or host institution program fees. If I am 

receiving financial aid and/or a scholarship award for the study abroad program, I 

agree to abide by all University of Florida financial aid deadlines and policies. I 

understand that failure to comply may result in a financial penalty, delay of aid 

disbursement and could result in my ineligibility to participate on the program. 

Delinquent debts may be reported to a credit bureau and can result in placement 

with a collection agency without further notice, at which time additional collection 

costs will be assessed. 

2. Local Fees: I understand that I will be assessed an additional local fee for all UF 

credits that I will be taking on a UF sponsored program. This fee will be charged 

directly by University Financial Services, rather than the UFIC. 

3. Tuition waivers: I understand that I will not be able to use my tuition waiver / 

assistantship / fellowship on a UF sponsored program. 

4. Credits: In order for me to remain a UF student in good standing, I understand that 

it is my responsibility to follow all requirements for credit hours necessary for my 

full-time status, whether abroad or here in Gainesville. This may include financial aid 

and immigration status requirements, and may also be affected by policies put forth 

by my host institution, exchange agreement or program provider. I understand 

that I also must notify UFIC of any overseas credit changes as soon as they 

occur. I understand that I may receive a $100 late registration fee if I do 

not notify UFIC within 10 days of any registration credit changes. 

5. Service Charge: I understand that I will have to pay a $ 250 service charge for any 

non-UF program. I understand that this charge is non-refundable. In the event, that 

I have not paid this amount prior to my departure, I agree that this amount can be 

placed on my ISIS account. 

6. Program Approval and Cancelation: I understand that I am considered 

committed to my program once my application is approved. I understand that in 

order to cancel or withdraw from my program once I have been approved, I must 

submit to UFIC a signed hard copy of the Change in Program Status form. In 

addition, I understand that the UFIC application system states that most programs 

are rolling admissions when approvals are typically issued only after the deadline 

date. I will contact my study abroad advisor if I have any questions as to when I can 

expect to be approved. 

7. Refund Policies: I understand that if I cancel or withdraw within 60 days of the 

start date of the program, I will be held liable for fees in accordance with the 

following timeline: 




*Students accepted within this 60-day window will have one week from the date of UFIC's 

acceptance to withdraw without the aforementioned fee liability. After this one-week 

window, they will be held liable for fees in accordance with the schedule listed above.

2. Cancellation of Program: I understand that the University of Florida International 

Center (UFIC) reserves the right to cancel a program anytime before it has started. I 

also understand that UFIC and associated host institutions reserve the right to make 

changes, modifications or substitutions to the program in case of changes at the host 

site locations or in the interest of the program and its participants. Refund policies 

will be modified if a decision is made to cancel or modify a program abroad. 

3. Visa Requirements: I understand that I might need a visa in order to study abroad. 

I understand that UFIC will try to assist me in getting a visa but that it is my final 

responsibility to obtain the appropriate visa. If I am a non-US citizen, I understand 

that it is my obligation to communicate my citizenship to my study abroad advisor so 

that he/she can advise me appropriately. 

4. Health Insurance: I understand that all students who are participating in study 

abroad programs through UF will automatically be enrolled in UFIC's insurance plan. 

I understand that the only exception to this policy is if I am participating in a non-UF 

program with insurance that has already been approved by UFIC; I can contact UFIC 

for a list of such programs. The cost of coverage will be included in the program fee 

for UF-sponsored programs. Students who participate in UF exchange programs, 

non-UF programs, or independent studies/internships will receive a separate invoice 

for their insurance. 

5. Emergency Assistance Insurance: I understand that Emergency Assistance 

Insurance is mandatory for participation in a study abroad program and is provided 

by UFIC as a part of their insurance policy. It will insure me for such things as but 

not limited to the following: 24-hour emergency worldwide evacuation for medical or 

political reasons, emergency medical expenses, and repatriation of remains. I 

understand that this is not health and accident insurance. 

6. Code of Student Conduct: I am responsible while overseas for compliance with all 

conduct regulations of the University of Florida which are printed and made available 

to all students in the University of Florida Student Guide, the University Catalog and 

on the Internet at http://www.dso.ufl.edu/studentguide/ . I also understand that I 

am subject to the laws and regulations of the host country and host institution at 

which I will study. 

7. Violation of Local Law: I understand that I do not enjoy the protections of 

American law and the constitution while abroad and that violation of a local law can 

cause the termination of my program. Violations can include expressions of political 

or other opinions which are perfectly legal in the U.S. Since laws vary greatly from 

country to country. I understand that it is my responsibility to learn about what is or 

is not permissible in the country in which I will study. 

8. Conduct Probation: I am in good academic standing and I am free of conduct 

probation. I understand that UFIC reserves the right to cancel me from a program if 

they find out otherwise. I understand that judicial checks will be done before 

students are leaving for their study abroad program. 

9. Accreditation Disclaimer: UF is accredited by the Commission on Colleges of the 

Southern Association of Colleges and Schools. UF's international partner institutions 

are not accredited by the Commission on Colleges and the accreditation of UF does 

not extend to or include UF partner institutions or its students. Although UF accepts 

certain partner institutions' course work in transfer, other colleges and universities 

may not accept this work in transfer, even if it appears on a transcript from UF. Each 

institution decides for itself whether to accept transfer credit from another 

institution.

10. Bright Futures scholarship: I understand that after attending a spring or academic 

year study abroad program, I may experience a delay in the receipt of my Bright 

Futures scholarship for the academic year following my participation. Once my 

transcript has been posted by the UF Registrar and provided that I have obtained the 

required number of credits and GPA, Student Financial Affairs will send an updated 

report to Tallahassee indicating my eligibility for Bright Futures. Upon posting of my 

study abroad transcript to my UF transcript, I should confirm my Bright Futures 

eligibility with Student Financial Affairs. 

11. Graduation: I understand that in order to graduate, I must request a transcript to 

be sent to the University of Florida International Center for posting of my study 

abroad grades. 

12. S/U courses: All colleges have restrictions on students taking S/U courses abroad. 

Please check with your academic advisor or your college. 

13. Scholarships and Stipends: In the event that I receive a stipend, scholarships, or 

other sources of funding from my host institution, I agree to notify the International 

Center of the nature, amount and dates of such funding in order that the 

International Center may comply with State of Florida, U.S. federal and UF 

guidelines. 

14. Emergency Contacts: I understand that UFIC may release general study abroad 

information to the contacts listed as Emergency Contacts on my application. I agree 

that I must notify the Director of Study Abroad Services in writing if I do not 

authorize the release of general information to my Emergency Contacts. 

I have read, understand and agree to the terms and conditions of participation in overseas 

study. 






University of Florida Policy on Alcohol and Other Drugs 

PREFACE 

The University of Florida is committed to providing an environment free of the abuse of 

alcohol and illegal use of alcohol and other drugs. To enhance this commitment, the 

University has adopted and implemented programs that seek to prevent the illicit use of 

drugs and the abuse of alcohol by University community members. Please refer to the 

current U.F. Student Guide, available from Dean of Students Office, the Study Abroad 

Services office, or on the Internet at 

http://www.dso.ufl.edu/studentguide/, for a complete copy of the policy statement. 

STANDARD OF CONDUCT 

The unlawful manufacture, distribution, dispensation, possession, or use of a controlled 

substance or the unlawful possession and use of alcohol is harmful and prohibited in and on 

property owned or controlled by the University of Florida or any other University of Florida 

facility. No employee or student is to report to work, class, or any University activity while 

under the influence of illegal drugs or alcohol. The use of alcoholic beverages by members 

of the University of Florida community is at all times subject to the alcoholic beverage laws 

of the state of Florida, city of Gainesville, county of Alachua, or other applicable local 

regulations and the University Alcohol Policy, Rule 6C1-2.019, Florida Administrative Code. 

The possession and use of controlled drugs by members of the University of Florida 

community must at all times be in accordance with the provisions of Florida law and the 

rules of the University of Florida. Under Florida law, no person may possess substances 

regulated under the provisions of Chapter 893, Florida Statutes (controlled substances and 

"designer drugs"), unless dispensed and used pursuant to prescription or otherwise 

authorized by law. Sale and delivery of such substances is prohibited unless authorized by 

law. 

UNIVERSITY OF FLORIDA SANCTIONS 

Violation of the policies and laws described above by an employee or student are grounds 

for disciplinary action up to and including termination or expulsion in accordance with 

applicable University of Florida rules and/or collective bargaining agreements. Student 

organizations also may be sanctioned for violation of these policies and laws. Additionally, a 

violation may be reason for evaluation/treatment for a drug- and/or alcohol-use disorder or 

referral for prosecution consistent with local, state, and federal criminal law. Disciplinary 

action against a student or employee by the University does not preclude the possibility of 

criminal charges against that individual. The filing of criminal charges similarly does not 

preclude action by the University. 

STUDY ABROAD STANDARDS 

It is recognized that many countries have differing laws and regulations regarding alcohol 

and drug use. Students should be aware that participants in University of Florida Study 

Abroad programs are expected at a minimum to abide by the UF standard of conduct AND 

to adhere to all local laws wherever the program may be held. Participants should also 

recognize that many host countries have stricter and more severe penalties associated with

the enforcement of their laws over which neither UF nor US agencies have any influence. 

Students who are found to be disruptive due to abuse of alcohol and drug use or who are 

adjudicated within the host country as having violated local regulations/laws will be 

dismissed immediately from the U.F. Study Abroad Program and, upon their return to the 

U.S., will be subject to any and all actions as deemed appropriate under the University of 

Florida or their home school Student Conduct Code.
