Visiting employees<br />

Hand your Xchanging pass to The<br />

Walbrook reception to gain access<br />

to the Xchanging fl oor. Return your<br />

visitor’s pass to retrieve it.<br />

External visitors<br />

A building pass will not allow access<br />

to our offi ces. The Customer Business<br />

Lounge is manned weekdays 8.30-<br />

18.00. Please inform the concierge if<br />

you expect visitors.<br />

Lifts<br />

The bank of six lifts, to the right<br />

through the turnstiles, serve all fl oors.<br />

The Garden<br />

This can be accessed via Salters<br />

Hall Court off Cannon Street from<br />

Monday to Friday.<br />

Lloyd’s passholders<br />

A pass will be issued that allows<br />

access to the Insurance Lounge.<br />

Passholders will need to be escorted<br />

to other areas of our offi ce.<br />

Cyclists<br />

Cyclists should enter via the loading<br />

bay and take the lift to the<br />

basement. You can request a locker<br />

and rack from facilities.<br />

London-based employees have access 24/7. Please ensure your pass is always visible<br />

There are seven zones, and everyone has<br />

been allocated to a zone. You should<br />

look to sit within your allocated zone<br />

There are standard desks for use by<br />

London-based employees, and smaller<br />

fl exi desks for those visiting. The fl exi desks<br />

are spread throughout the offi ce.<br />

Desks are standard. Some adjustable<br />

desks are distributed throughout<br />

the offi ce. Turn the handle to adjust<br />

height. Please return the desk to a<br />

neutral position when you leave.<br />

To login to a phone, follow these<br />

steps:<br />

Enter your 5 digit extension number<br />

Enter password 1234<br />

If the extension is in use, it will tell<br />

you. Check if you’ve entered the<br />

extension correctly; if you have,<br />

press continue to login.<br />

You are welcome to sit at any desk<br />

in your zone, however if you are<br />

going to be in meetings please<br />

vacate the desk. When you leave,<br />

please wipe-down your area using<br />

the wipes provided.<br />

We use SafeQ Follow-Me printing.<br />

This uses a code to pick up<br />

documents in any part of the offi ce.<br />

You can obtain a code by<br />

contacting the IT Service Desk.<br />

There are no printing facilities for<br />

guests.<br />

CLEAR DESKS<br />

LOGGING OFF PHONES<br />

To ensure best practice around IT<br />

security, we have a clear desk<br />

policy. When you’re not at a desk,<br />

it should be clear of papers and<br />

personal belongings. The only things<br />

that should be visible on the desk<br />

are the monitor, mouse, keyboard<br />

and phone.<br />

Before you leave for the day, you<br />

should log out of your phone. Follow<br />

these steps:<br />

Locations<br />

There are rooms available for<br />

internal and external meetings. All of<br />

these can be booked through the<br />

Condeco system on Outlook.<br />

Facilities<br />

Meeting rooms have hi-tech<br />

presentation facilities and white<br />

boards. Meeting rooms for larger<br />

groups have conference phones;<br />

smaller rooms have a standard<br />

handset. If you require a fl ipchart,<br />

please contact Facilities.<br />

Etiquette<br />

Please turn up to your meeting on<br />

time and ensure that you leave the<br />

room in the same condition that you<br />

found it. Remember to cancel the<br />

room if you no longer need it.<br />

Hospitality<br />

Corporate Hospitality is available<br />

in the Customer Business Lounge<br />

and the auditorium. If you require<br />

catering, please complete the<br />

necessary section in Condeco.<br />

Some people may prefer to work<br />

in a more active environment. Feel<br />

free to use the café but please<br />

and guests. Check reception for the<br />

code to register for access.<br />

The café serves hot and cold<br />

beverages and a selection of cold<br />

food. A menu will be available on<br />

Leapfrog. Employees may eat their<br />

own food in the café. A self-clear<br />

policy is in operation.<br />

There are three pantry areas. Each<br />

Eating at your desk<br />

Employees are encouraged to<br />

take a break away from their desks,<br />

however it is acceptable to eat at<br />

your desk.<br />

We operate a self-clear policy,<br />

so please return all crockery and<br />

cutlery to the pantry.<br />

Security<br />

The Walbrook’s ground fl oor<br />

reception is staffed 24/7, so please<br />

contact them at any time with<br />

security concerns.<br />

First aid<br />

There is a fi rst aid room located near<br />

the Insurance Lounge. If you are<br />

unwell, please contact a First Aider.<br />

Trained fi rst aiders will have a green<br />

high visibility jacket - found on the<br />

backs of chairs when in the offi ce.<br />

Fire<br />

If you detect a fi re, activate the<br />

nearest fi re alarm and leave the<br />

building. When you hear the fi re<br />

alarm, leave the building by the<br />

nearest fi re exit.<br />

Evacuation Procedure<br />

Make your way to the assembly<br />

point on Queen Street and make<br />

yourself known to an Xchanging Fire<br />

Marshal.<br />
