What to expect from<br />

your induction week<br />

Dear Student,<br />

Welcome to the <strong>University</strong> <strong>of</strong> <strong>Gloucestershire</strong> and<br />

congratulations on achieving your place. We are delighted<br />

that you have chosen to join us and become part <strong>of</strong> our<br />

thriving student community.<br />

We want you to make the most <strong>of</strong> your time at the university<br />

and enjoy the best possible student experience.<br />

Starting at the university is a very exciting time, it may also<br />

be different to anything you have experienced before, so<br />

our Student Services team is on hand to <strong>of</strong>fer a wide range<br />

<strong>of</strong> information and advice for every step <strong>of</strong> your university<br />

journey.<br />

Our induction <strong>welcome</strong> week is designed to help ease you in<br />

to your new life as a student, to enable you to be successful<br />

in your studies and to help prepare you to get the best out <strong>of</strong><br />

your time at university.<br />

Helpzones on every campus are there to provide academic<br />

advice, help with personal and welfare matters, information<br />

about university services and guidance on any issues you<br />

may be facing. You’ll also be provided with an Academic<br />

Review Tutor who will support you through your academic<br />

programme.<br />

This handbook contains useful information to help you<br />

settle in to life at the <strong>University</strong> <strong>of</strong> <strong>Gloucestershire</strong>. It<br />

provides guidance and advice on a variety <strong>of</strong> aspects <strong>of</strong><br />

induction, including crucial pieces <strong>of</strong> information such as<br />

where to go for your first <strong>welcome</strong> meeting, the range <strong>of</strong><br />

social activities for you to take part in, our enrolment and<br />

registration procedures and paying any outstanding fees.<br />

If you are unsure about anything and can’t find the answer<br />

in this handbook please ask! We are here to help.<br />

Meeting your tutor and other students, making new<br />

friendships and getting to know your surroundings are all<br />

part <strong>of</strong> the many exciting opportunities for you to take<br />

advantage <strong>of</strong> during your first week with us. You will also<br />

receive an introduction to your course and get involved in<br />

course-related tasks to help familiarise yourself with what<br />

to expect as your studies continue. Access to a variety <strong>of</strong><br />

support services will also be available should you need any<br />

additional information or advice.<br />

Socialising<br />

The week will be packed full <strong>of</strong> opportunities to socialise<br />

with other new students. To kick things <strong>of</strong>f, whether you<br />

are moving into new accommodation or live locally, you<br />

are invited to a <strong>welcome</strong> BBQ on Saturday 14 September.<br />

SU Freshers’ Fayre<br />

Freshers’ Fayre takes place on Thursday 19 September at<br />

Park Campus and is your opportunity to find out about the<br />

clubs and societies that you could join. You can also discover<br />

more about the employment and volunteering opportunities<br />

available to help you develop the skills necessary to enhance<br />

your post-degree prospects and earn extra cash whilst<br />

studying. Additionally, over 60 external companies will be<br />

there with plenty <strong>of</strong> freebies.<br />

Food Fest<br />

On Friday 20 September you are all invited to a Food Fest,<br />

taking place at lunchtime on your campus - your chance<br />

to relax with your new friends and dine out on us. Find out<br />

more about Food Fest, and other events taking place during<br />

Your Students’ Union has organised an exciting programme<br />

<strong>of</strong> social events, for induction week and beyond. The<br />

highlight <strong>of</strong> the events will be the Freshers’ Ball. Previous<br />

acts have included Tinchy Stryder and Greg James. So, make<br />

sure you keep up to date with what’s happening and how to<br />

buy tickets for these events by visiting the Students’ Union<br />

SATURDAY 14 september<br />

APPLYING FOR YOUR ID CARD<br />

Halls <strong>of</strong> Residence Moving-In Day<br />

All students moving into Halls <strong>of</strong> Residence should arrive<br />

between 10am and 4pm on Saturday 14 September. There<br />

will be a host <strong>of</strong> university staff and students (Students’<br />

Union Superstars) on hand to assist and <strong>welcome</strong> you<br />

and make you feel at home. Our Superstars are returning<br />

students who remember how it feels to move in and can<br />

answer your questions or direct you to someone who can.<br />

Along with moving in, there will be the opportunity to<br />

register with the Medical Centre and to extend your inclusive<br />

basic contents insurance.<br />

There will be a <strong>welcome</strong> BBQ the evening you move in<br />

followed by evening activities in the Students’ Union bars on<br />

each campus. You will receive a halls’ induction talk over the<br />

weekend to introduce you to life within halls and there are<br />

other fun activities planned for the Sunday afternoon.<br />

You can find details about the moving-in day and your room<br />

in the Student Portal where you accepted your room <strong>of</strong>fer.<br />

If you have any questions regarding halls <strong>of</strong> residence<br />

Housing Moving-In Day<br />

If you’re moving into an external house you are invited to a<br />

housing <strong>welcome</strong> talk on Saturday 14 September.<br />

On this day you will also have the opportunity to register<br />

with the Medical Centre, enjoy the <strong>welcome</strong> BBQ and<br />

Student Union events, followed by further social activities<br />

on Sunday. You will receive more information about this by<br />

email in August. If you have any questions about housing<br />

Already Living Locally<br />

If you are joining us but already live locally, you are also<br />

invited to the <strong>welcome</strong> talk on Saturday 14 September.<br />

You will have the chance to meet other students, enjoy the<br />

<strong>welcome</strong> BBQ and Students’ Union events with further social<br />

activities on Sunday. This is available to all students who are<br />

living in halls, in town, or living locally.<br />

Recycling at the <strong>University</strong><br />

The university considers sustainability to be at the heart <strong>of</strong><br />

its activities and has been recognised as a sector leader. We<br />

embrace sustainability principles in all aspects <strong>of</strong> university<br />

life, from where we source our energy, to the food we<br />

serve in our refectories and the way we teach our courses.<br />

With this in mind we provide many facilities to encourage<br />

recycling on our campus and in our Halls <strong>of</strong> Residence.<br />

To ensure that your transition to becoming a student is as<br />

easy as possible, you should enrol with the university and<br />

apply for your university identity (ID) card before you arrive<br />

for your induction programme.<br />

You complete both <strong>of</strong> these tasks by logging on to the<br />

university system. The first time that you log on you will be<br />

asked to enter your student number and your password.<br />

Your seven digit student number can be found on the letter<br />

accompanying this booklet and should be preceded by an ‘s’<br />

(for example s1234567). Your initial password is your date <strong>of</strong><br />

birth in the format DDMMYYYY.<br />

If you have previously logged on to the university’s system to<br />

access the Applicant Portal (eg to book an Applicant Day or<br />

upload documents and view your <strong>of</strong>fer), then the password<br />

you created at the time will give you access to online<br />

enrolment and applying for your ID card.<br />

Once you have created your own password and answered<br />

the security questions, you will need to shut all your web<br />

browsers to ensure your password is activated and then log<br />

on to your account again.<br />

Online Enrolment<br />

Online enrolment is required annually. You will be able to<br />

check and update your personal details and arrange to pay<br />

any tuition fees due.<br />

Enrolment for undergraduate students will open on<br />

2 September 2013.<br />

You can enrol on any computer with internet access -<br />

simply go to www.glos.ac.uk/newstudents and follow<br />

the links. Wherever you choose, simply log on to ‘Student<br />

Records Online’ at https://studentrecords.glos.ac.uk and<br />

follow the instructions for enrolment.<br />

<strong>University</strong> ID Card<br />

All students must carry a valid university ID card whilst<br />

on university premises. As well as giving you access to<br />

university facilities, your ID card allows you to borrow and<br />

reserve books from the library, and pay for photocopying<br />

and printing.<br />

You do not need to have enrolled before you apply for your<br />

ID Card so you should do this as soon as possible (and by<br />

2 September 2013 at the latest) so that we have time to<br />

produce your card before you arrive for Induction.<br />

Your attendance at the induction events laid on by your<br />

academic school is very important so please make every<br />

effort to be available.<br />

All courses will run an induction programme over the week<br />

commencing 16 September; this is likely to require your daily<br />

attendance between 16-20 September.<br />

Below is an example induction programme for the week.<br />

While not all courses will plan their week in this way, it is a<br />

guide to what you can expect.<br />

All course activities, trips, library inductions and Academic<br />

Review Tutor meeting times and places will be confirmed in<br />

September.<br />

There are three libraries at the university (Park, FCH and<br />

Oxstalls), together with the <strong>University</strong> Archive. Each <strong>of</strong><br />

the libraries has computers, books, journals and staff who<br />

are experts in your subject area. Additionally, we have a<br />

significant number <strong>of</strong> online journals (over 15,000) and<br />

ebooks (over 11,000) to support your requirement for<br />

information. You will be shown techniques for successful<br />

and effective searching <strong>of</strong> the range and quality <strong>of</strong> electronic<br />

information, which is only available via the LIS webpages, not<br />

through Google, as we buy it for you!<br />

The skills we teach you will be crucial throughout your<br />

degree and beyond graduation so time invested now will not<br />

only unlock access to a host <strong>of</strong> online information but will<br />

also be the foundation <strong>of</strong> your employability skills portfolio.<br />

Our skills sessions will be advertised throughout the year<br />

on our web pages. We are always available to support you<br />

either in person or via ‘Ask the Library’, our very popular<br />

online chat service.<br />

We believe you will learn through discussion and we will help<br />

you do this during your time at the university by <strong>of</strong>fering help<br />

and advice. We also provide space to enable you to work in<br />

groups on projects and assignments.<br />

Laptop Clinic<br />

Helpdesk staff will be available at the service desk located<br />

within the Park Campus Library, between 10.00am - 4.00pm<br />

on Thursday 19 September to set up your laptop with Wi-Fi<br />

Academic Support<br />

Every student has an Academic Review Tutor (ART) and is<br />

part <strong>of</strong> a small academic tutor group. We will aim to ensure<br />

that you have the same Academic Review Tutor for the<br />

duration <strong>of</strong> your studies with us.<br />

Through group and one-to-one meetings your ART will<br />

support you through your induction <strong>welcome</strong> week, and<br />

review your progress throughout the year. They will meet<br />

you at key stages during the year to provide a regular<br />

‘academic health check’.<br />

Your Health<br />

We work closely with two local NHS GP practices who both<br />

<strong>of</strong>fer a student-focused service. If you study in Cheltenham,<br />

you’ll be supported by the Medical Centre at our Park<br />

Campus provided by one <strong>of</strong> our partner surgeries. If you’re<br />

studying in Gloucester, we link with a doctor’s surgery<br />

adjacent to our Oxstalls Campus. Make sure you register with<br />

one <strong>of</strong> these surgeries in your first week <strong>–</strong> as it is easier for<br />

them to help when you need them if you are a registered<br />

patient.<br />

It’s Good to Talk<br />

There may be occasions when you are struggling with<br />

your emotions or mental health, and feel the need to<br />

seek help. Our team <strong>of</strong> well-qualified and experienced<br />

counsellors and mental health advisers <strong>of</strong>fer a wide range<br />

<strong>of</strong> support including individual counselling sessions, a<br />

drop-in service and group sessions. The service we provide<br />

If you need support and advice in relation to a disability<br />

Your students’ union<br />

Your Students’ Union (SU) is membership-led, which means<br />

everything we do is for, and decided by, students. By<br />

studying at the university you are automatically part <strong>of</strong> our<br />

membership. There are a number <strong>of</strong> ways that you can get<br />

involved, from having a role within the Union to just joining<br />

in and having fun as a sports team member or by attending<br />

one <strong>of</strong> our events.<br />

Students’ Unions are independent from the universities they<br />

work within, allowing them to give you advice, guidance<br />

and support to help you get the most from your university<br />

experience and to ensure you enjoy every step <strong>of</strong> the way.<br />

Behind the scenes, your Students’ Union represents you<br />

on committees across the university ensuring your voice is<br />

heard by every level <strong>of</strong> university staff.<br />

Each year the student body elects the Executive Committee<br />

<strong>of</strong> the union, a committee that informs and shapes the<br />

actions and focus <strong>of</strong> the union for the following academic<br />

year. This committee is made <strong>of</strong> four full-time sabbatical<br />

<strong>of</strong>ficers (President, Sports Officer, Community Officer, and<br />

Welfare Officer), who are students taking a year out <strong>of</strong> their<br />

studies or recent graduates <strong>of</strong> the university- and ten parttime<br />

executive <strong>of</strong>ficers <strong>–</strong> current students who volunteer<br />

their time whilst studying.<br />

As well as representing the student voice to the university,<br />

the Students’ Union is also there to represent you as<br />

individuals whenever you need such support. So if you<br />

ever need independent advice with regard to university<br />

procedures we will be willing to both advise and represent<br />

you effectively.<br />

Catering at the <strong>University</strong> <strong>of</strong> <strong>Gloucestershire</strong><br />

Our team <strong>of</strong> dedicated catering managers and chefs across<br />

all four sites work hard towards providing a first class service<br />

for students, visitors and university staff. The cafés, c<strong>of</strong>fee<br />

shops and restaurants all <strong>of</strong>fer a wide range <strong>of</strong> hot food,<br />

premier beverages and bread options.<br />

Welcome Vouchers for all Refectories!<br />

We are <strong>of</strong>fering you the opportunity to save money and<br />

enjoy free food and drink on us, during one <strong>of</strong> your many<br />

visits to our refectories.<br />

Below you will find three vouchers for you to use during the<br />

first few weeks <strong>of</strong> term. Simply cut them out and present<br />

whichever one you wish to use to a member <strong>of</strong> our team<br />

Local Amenities<br />

Park Campus is a 15 minute walk from the centre <strong>of</strong><br />

Cheltenham and just a ten minute walk from the Bath Road,<br />

which has a number <strong>of</strong> c<strong>of</strong>fee shops and restaurants, banks,<br />

supermarkets, chemists and boutique shops.<br />

Francis Close Hall Campus and the Centre for Art and<br />

Photography are within easy reach <strong>of</strong> the centre <strong>of</strong><br />

Cheltenham, as well as being within a five minute walk<br />

<strong>of</strong> Tesco on the Gloucester Road/Tewkesbury Road.<br />

Oxstalls Campus is approximately a 20 minute walk from the<br />

centre <strong>of</strong> Gloucester and ten minutes’ walk from St Oswald’s<br />

Trading Estate, which includes a supermarket and various<br />

other shops and eateries.<br />

Park Campus<br />

The largest catering facility <strong>of</strong>fers a wide range <strong>of</strong> services<br />

and social spaces for students to relax and enjoy a c<strong>of</strong>fee.<br />

We also have our own c<strong>of</strong>fee outlets that serve a wide range<br />

<strong>of</strong> freshly baked and filled baguettes, panini, Starbucks and<br />

Cheeki C<strong>of</strong>fee, sandwiches, cakes and pastries, confectionery<br />

as well as fair-trade products. Our food court is located<br />

within the same restaurant area and <strong>of</strong>fers an extensive<br />

range <strong>of</strong> hot and cold food from breakfast through until<br />

lunch as well as early evening. Choose from our salad bar<br />

or deli counter, a range <strong>of</strong> c<strong>of</strong>fees, jacket potatoes, and<br />

traditional home made meals and fresh soups. This area also<br />

incorporates freshly baked pizzas, grab and go sandwiches<br />

and baguettes, cakes, desserts as well as pastries.<br />

Oxstalls Campus<br />

Oxstalls campus <strong>of</strong>fers two areas where you can enjoy a<br />

wide range <strong>of</strong> food and beverages. The Refectory, located<br />

to the right <strong>of</strong> the main reception, has a Starbucks c<strong>of</strong>fee<br />

outlet that serves freshly baked pastries and baguettes and<br />

is also the place to go if you want a traditional English or<br />

continental breakfast in the morning.<br />

At lunchtime, there is a variety <strong>of</strong> hot food available ranging<br />

from traditional homemade dishes to jacket potatoes and<br />

fresh pasta dishes, along with our freshly stocked salad bar.<br />

This café has a wonderful outdoor seating area (for the sun<br />

seekers!) as well as vending machines for our out-<strong>of</strong>-hours’<br />

service.<br />

Located to the left <strong>of</strong> main reception, you will find a Premier<br />

Cheeki C<strong>of</strong>fee bar. This bar prides itself on <strong>of</strong>fering highquality<br />

pastries. Alongside these <strong>of</strong>fers we also serve a premier<br />

Transport<br />

Francis Close Hall (FCH) Campus<br />

FCH refectory <strong>of</strong>fers a wide range <strong>of</strong> food and beverages,<br />

which includes freshly baked and filled baguettes,<br />

homemade pastries and traditional English breakfast.<br />

Over the busy lunch period, a large range <strong>of</strong> freshly made<br />

hot dishes are also available and include anything from<br />

traditional home battered fish and chips to a jacket potato or<br />

pasta dish. You will also find a Starbucks c<strong>of</strong>fee counter and<br />

a range <strong>of</strong> delicious cakes and pastries.<br />

Located just a short walk away from the FCH refectory you<br />

will find the university’s Centre for Art and Photography<br />

(Hardwick), which houses a Cheeki c<strong>of</strong>fee bar. This full<br />

barista style c<strong>of</strong>fee bar can be easily found within the main<br />

reception area and serves a range <strong>of</strong> hot beverages as well<br />

Cycling<br />

The <strong>University</strong> <strong>of</strong> <strong>Gloucestershire</strong> has links to the<br />

Cheltenham Cycle Campaign which meets regularly to<br />

promote the use <strong>of</strong> bicycles and highlight cyclists’ issues<br />

in Cheltenham and Gloucester. Additionally the university<br />

has a partnership with the <strong>Gloucestershire</strong> Bike Project<br />

www.gloucestershirebikeproject.co.uk <strong>–</strong> which refurbishes<br />

secondhand bikes. The Project is a great place to go for a<br />

cheap bike, available from their Gloucester shop or online<br />

via their Ebay shop. The university also <strong>of</strong>fers ample bicycle<br />

racks and motorcycle spaces on each campus.<br />

The university bus service (94U) operates between all four<br />

Local Stagecoach services are only £1 per journey with your<br />

student identity card (£2.00 on the N10 and N94 services).<br />

We operate a fixed penalty notice policy for cars not<br />

displaying a current parking permit, cars parked illegally<br />

in disabled or restricted no parking areas, and cars<br />

inconsiderately parked or causing an obstruction. No<br />

overnight parking is permitted without prior arrangement.<br />

Car Sharing<br />

Since September 2006 we’ve been <strong>of</strong>fering a new permit<br />

for car sharers. The permit costs £45 and is valid for the year.<br />

Trains<br />

Gloucester train station is on Blackdog Way, a 25 minute<br />

walk or short taxi ride from the Oxstalls Campus.<br />

Cheltenham Spa train station is on Queens Road and is<br />

approximately 20 minutes’ walk from Park Campus or<br />

Francis Close Hall Campus or, again, a short taxi ride.<br />

Cars<br />

Permits are required for students parking on university<br />

grounds between the hours <strong>of</strong> 8.30am and 5.00pm, Monday<br />

to Friday. However, our parking facilities are extremely<br />

limited, so students and visitors are actively discouraged<br />

from using cars for travelling to and from the university.<br />

NB: Halls <strong>of</strong> Residence occupants are not permitted to<br />

bring a car with them to university.<br />

• Student permit £50 per annum (£30 for one semester).<br />

This is reduced by 10% if bought online.<br />

• Person with Disability - Free <strong>of</strong> Charge<br />

• £1 per day (either using pre-bought ‘scratch-cards’ or pay<br />

and display machine).<br />

Coaches<br />

The bus/coach station in Gloucester is situated on Station<br />

Road, which is approximately 20 minutes’ walk from Oxstalls<br />

Campus.<br />

Some National Express coaches stop in Longlevens<br />

(Cheltenham Road), which is only a five- minute walk<br />

from the Oxstalls Campus. It is best to check with National<br />

The coach station in Cheltenham is on Royal Well Road and<br />

is approximately 25 minutes’ walk from Park Campus or 20<br />

minutes’ walk from Francis Close Hall Campus.<br />
