Business Need<br />
The not-for-profit <strong>David</strong> <strong>Lawrence</strong> <strong>Center</strong> (DLC) of Naples, Florida,<br />
needed to replace its inefficient, error-prone, paper-based time<br />
and attendance system. DLC, which provides mental health and<br />
substance abuse services to children, adults and families, used<br />
time sheets to track the pay of 350 full-time and part-time workers<br />
in four locations.<br />
“Everyone had to fill out a time sheet each pay period, and we had<br />
to manually key the information into payroll,” said Rita Carlin, the<br />
center’s payroll clerk. “It was a time-consuming and error-prone<br />
process.”<br />

Challenges<br />
DLC wanted to assure that its timekeeping was accurate and<br />
people weren’t punching in for others. “If someone showed up<br />
five minutes late, they would just write down the time they were<br />
supposed to arrive,” said administrative assistant Ivette Arroyo<br />
about the paper system.<br />

The timekeeping system had to integrate seamlessly with their<br />
existing human resources and payroll management system.<br />
Finally, the system needed to apply payroll rules, such as those<br />
for overtime and holiday pay, consistently and fairly to every<br />
employee.<br />
Solution<br />
DLC chose the Schlage time clock. The HandPunch® biometric<br />
solution meshes seamlessly with DLC’s human resources system.<br />
Eight time clocks, including the HandPunch, assure accurate<br />
point-of-access timekeeping.<br />
Each time an employee punches in, the HandPunch hand reader<br />
measures the size and shape to verify that the person using the<br />
device is really who he or she claims to be. The HandPunch compares<br />
the measurements with a previously stored “template”<br />
of the individual’s hand. Once the person has been identified,<br />
the time is recorded. The entire reading and verification process<br />
takes less than a second. There can be no question about the<br />
accuracy of payroll records, because employees must be there<br />
to punch.<br />

Results<br />
The DLC payroll process used to take eight hours to complete.<br />
Now, it takes less than three hours. In addition, manual entry<br />
errors have been totally eliminated. HandPunch terminals cut<br />
payroll costs by flagging employees who clock in late and stopping<br />
people from clocking in for others.<br />
