Summary
David Lawrence Center replaces time sheets with a fast, accurate
automated time and attendance system.
Business Need
The not-for-profit David Lawrence Center (DLC) of Naples, Florida,
needed to replace its inefficient, error-prone, paper-based time
and attendance system. DLC, which provides mental health and
substance abuse services to children, adults and families, used
time sheets to track the pay of 350 full-time and part-time workers
in four locations.
“Everyone had to fill out a time sheet each pay period, and we had
to manually key the information into payroll,” said Rita Carlin, the
center’s payroll clerk. “It was a time-consuming and error-prone
process.”

Challenges
DLC wanted to assure that its timekeeping was accurate and
people weren’t punching in for others. “If someone showed up
five minutes late, they would just write down the time they were
supposed to arrive,” said administrative assistant Ivette Arroyo
about the paper system.

The timekeeping system had to integrate seamlessly with their
existing human resources and payroll management system.
Finally, the system needed to apply payroll rules, such as those
for overtime and holiday pay, consistently and fairly to every
employee.
Solution
DLC chose the Schlage time clock. The HandPunch® biometric
solution meshes seamlessly with DLC’s human resources system.
Eight time clocks, including the HandPunch, assure accurate
point-of-access timekeeping.
Each time an employee punches in, the HandPunch hand reader
measures the size and shape to verify that the person using the
device is really who he or she claims to be. The HandPunch compares
the measurements with a previously stored “template”
of the individual’s hand. Once the person has been identified,
the time is recorded. The entire reading and verification process
takes less than a second. There can be no question about the
accuracy of payroll records, because employees must be there
to punch.

Results
The DLC payroll process used to take eight hours to complete.
Now, it takes less than three hours. In addition, manual entry
errors have been totally eliminated. HandPunch terminals cut
payroll costs by flagging employees who clock in late and stopping
people from clocking in for others.
