Department: Undergraduate Services<br />
Team: Chapter Support<br />
Immediate Supervisor: Director of Undergraduate Services<br />
Direct Reports: None<br />
General Overview<br />
Success in this position requires direct support of undergraduate members in financial matters at both the chapter level<br />
and with their Headquarters accounts and records. The position requires excellent communication skills, organization,<br />
and accounting knowledge.<br />
Responsibilities<br />
Undergraduate member Services and Accounting<br />
Assist undergraduate members in chapter account management, and advise in the chapter budgeting process,<br />
including cash flow management<br />
Work with Chapter Support Team to facilitate long-term success with chapters in all areas of chapter operations<br />
Provide education, support, and communication to critical volunteers (Grand Quaestor, Grand Praetors, Chapter<br />
Advisors, Grand Trustees, and House Corporation Presidents) in areas of financial concern<br />
Develop financial curriculum corresponding to chapter level leadership development<br />
Serve as staff support to Quaestor Team of Balfour Leadership Operating Board<br />
Invoice required dues and fees, credits, and debits as derived from the Chapter System and as necessary<br />
Process all undergraduate account payments e.g. check and credit card payments<br />
Process all Form 50 financial suspensions and expulsions<br />
Process and submit Ritual supply orders to Kalamazoo Regalia, as well as, pay all related invoices in a timely<br />
manner.<br />
Other responsibilities as assigned by supervisor<br />
Online Development<br />
Cleanse, download, and import orders from Chapter System and import to database for chapter billings<br />
Create web curriculum for undergraduate instruction on financial resources.<br />
Executive Level Support<br />
Assist Grand Quaestor by providing timely information in areas of <strong>Fraternity</strong> financial focus including, but not<br />
limited to: Accounts Receivable updates, payment plan progress, individual member delinquency and major<br />
chapter financial crises prior to Executive Committee meetings and upon request<br />
Provide information in areas of membership fees and records<br />
Accounting Support<br />
Assist Headquarters revenue projections<br />
Assist controller and accounting department in daily activities e.g. cash batch closing and ensuring correct<br />
account object coding<br />
<strong>Financial</strong> <strong>Accountability</strong><br />
Provide support for Executive Committee financial discipline decisions<br />
Develop, record, and send formal communications for individual and chapter discipline e.g. Form 50 financial<br />
suspension/expulsion and financial show-cause letters<br />
Provide relevant information to the UG Services team based on open projects
General Headquarters Responsibilities<br />
Attend and assist at summer conferences including Balfour LTW and Grand Chapter/Council<br />
Manage relationship with Ritual Regalia vendor and process orders<br />
Other duties as assigned by supervisor<br />
Requirements<br />

Bachelor’s degree in relevant field<br />
Member in good standing of the <strong>Sigma</strong> <strong>Chi</strong> <strong>Fraternity</strong><br />
In-depth knowledge and experience as a chapter Executive Board member (Quaestor position a plus, but not<br />
required)<br />
