GENERAL INFORMATION
Accommodation
The conference hotels will be The Radcliffe or
Scarman Hotel, just a few minute’s walk from the
Arts Centre on the University of Warwick campus.
There is a special rate of £73.50 Bed & Breakfast
single occupancy. There is also an option of
booking en-suite study bedrooms in the student
accommodation blocks. The rate is £53.50.
Rooms will only be guaranteed at this rate until 5th April
so early booking is advised. Accommodation onsite
is limited and we strongly recommend booking as
soon as possible. There is a wide variety of alternative
accommodation available in nearby Coventry.
Accreditation
Delegates are recommended to record their
attendance in their CME/CPD diary.
Audience
This meeting is suitable for all doctors, nurses and
allied health professionals working in primary and
secondary care who have an interest in contraception
and sexual health. Delegates will be informed of any
additional programme activities as they are confirmed.
Conference dinner
The FSRH 20th Anniversary
will be celebrated at the
conference dinner which will take place at the Radcliffe
Hotel. Tickets are subsidised by the Faculty and are
priced at just £25.00 and must be booked before
28 February - we would recommend early booking
with your delegate place to guarantee a ticket.

Delegates requiring an invoice MUST provide a

Invoices CANNOT be issued without a purchase
order number; therefore registration without one
will not be processed.

Registration fees
Early bird registration costs for Members/Diplomates
at the 2013 Annual Scientific Meeting are £299 for
two days and £199 for one day before the
28 February 2012. After the 28 February the costs
are £329.00 for two days and £229.00 for one day.
Non Members will need to register at the rate of
£339.00 for two days and £229.00 for one day.
The fee includes registration conference materials,
lunch and refreshments for days for which you are
booked. It does NOT include accommodation or travel.
All registration forms must be accompanied by
payment of fee or invoicing details. No registration
will be confirmed until payment has been received.
Terms and conditions
Completion of this registration form constitutes a
legally binding agreement. Confirmation and joining
instructions will be sent to you within 3 weeks of
receiving your booking. We cannot be held
responsible for the non-arrival of registration
information, so if you have not heard from us
3 weeks after registering, it is your responsibility
to call us on 020 8832 7311.
Cancellations
Any cancellations must be received in writing
and should be sent to Profile Productions or
faculty@profileproductions.co.uk. Cancellations
received prior to March 18 will be refunded subject to
a £45 administration charge. Cancellations received
after March 18 cannot be refunded, however
delegate substitutions can be made at any time.

CALL FOR PAPERS
The Education Committee invites abstracts for
consideration as papers (7 minute oral presentation,
followed by 3 minute discussion), and / or posters.
Authors should indicate whether they would prefer
a paper or poster presentation or either of these.
The Education Committee, however, reserves the
right to allocate each accepted abstract to the
most appropriate form of presentation. Authors
may submit more than one abstract but only
one paper and one poster will be accepted for
presentation by the principal author. In exceptional
circumstances the judges may reserve judgement
to approve multiple papers from one author.
The closing date for receipt of abstracts is
4 February 2013. Principal authors will be notified
by the end of March whether or not their submission
has been accepted for inclusion in the programme
and whether for an oral or poster presentation.
After the Education Committee completes
selection, all presenting authors will be sent full
information regarding their presentation at the
conference, including details of slide preparation,
poster size, layout and style. All accepted abstracts
will be published in the Conference Programme,
a copy of which will be given to every registered
participant on arrival.
During the course of the meeting a small committee
will judge the posters and oral presentation.
Oral prizes are supported by a grant from
Margaret Pyke Trust.
Poster prizes are supported by a grant from FSRH.
Please note the conditions
of Authorship
Authorship – In line with major medical journals,
it is a requirement that abstracts and manuscripts
submitted for review state that “authorship credit
should be based only on substantial contribution
to (a) conception and design, or analysis and
interpretation of data; and to (b) drafting the
article or reviewing it critically for important
intellectual content; and on (c) final approval of
the version to be published. Conditions (a), (b),
and (c) must all be met. Participants solely in the
acquisition of finding or the collection of data
does not justify authorship”. All authors must
assure the Education Committee that they fulfil
the criteria of authorship and that no-one else
who fills the criteria has been excluded.

Format for Abstract Preparation
1. A single contact address should be
given for each presentation
2. The use of artwork (diagrams and
graphs) is not permitted
3. Within the text there must be no
reference to the department or
institution where the original research
/audit was performed to ensure
anonymity for the Education Committee
when the abstracts are reviewed.
Abstracts will be judged for their:
J originality
J methods used
J results and linkage to conclusions (it is
recognised that results may not be
complete for work underway)
Poster and presentations will be
judged for their:
J originality
J methods used
J results and linkage to conclusions
J presentation and style.

Terms and Conditions:
1. The organiser of the Faculty and Sexual
Reproductive Healthcare’s Annual
Scientific Meeting is Profile Productions

2. Registrations can only be accepted on receipt
of a completed registration form. Completion
of this registration form constitutes a legally
binding agreement and you must sign
agreeing to the terms and conditions in order
for your booking to be processed.
3. Your place is not guaranteed until you
have received confirmation and joining
instructions from Profile Productions Ltd
4. Joining instructions and confirmation will
be sent to you within 14 working days of
receiving your booking.
5. Profile Productions Ltd. cannot be held
responsible for the non-arrival of registration
information.
6. If you have not heard from us 14 days after
sending your completed form, or 14 days
before the start date of the event, it is your
responsibility to contact us to ensure your
place is booked.
7. All invoices must be paid within 21 days of
the invoice date and MUST be paid prior to
the conference. Failure to do so may result
in your place being cancelled.
8. Any delegates registering within 21 days of
the event MUST include a valid credit card
for payment on the registration form.
9. The delegate is responsible for ensuring
payment to Profile Productions Ltd. has been
made. Any delegates arriving at conference
with an outstanding payment will be asked to
provide credit card details as a guarantee.
10.Registration fees include VAT @ the
prevailing rate, complimentary refreshments,
lunch and conference materials.
11.Cancellations will only be accepted in
writing. Cancellations received on or prior
to 18 March 2013 will be refunded subject
to a £45 administration fee. Cancellations
received after 18 March 2013 will not be
refunded however substitutions will be
accepted at any time, but please notify the
organisers in writing of any name changes.
12.Any delegate registered to attend, who for
whatever reason may not be able to attend
the conference, is still liable for payment as
per the cancellation policy in point 11.

The 2013 Scientific Meeting will take place at the
Warwick Arts Centre, University of Warwick.
A purpose built events centre situated in the pleasant
greenfield site of the University of Warwick the Arts centre
has tiered auditoria and light airy exhibition spaces.
GETTING THERE
Just five miles from Coventry
city centre and voted Britain’s
most accessible city by the
CBI, the Warwick Arts Centre
is sited at the hub of the
motorway network that includes
the M40, M69, M1, M6 and M5.
On approaches to Coventry, just
follow the signs to Warwick Arts
Centre or the University of Warwick.
