TECHNICAL EXHIBITOR PERSONNEL EXHIBITOR REGISTRATION The exhibitor's badge allows admittance to the exhibit hall. Only exhibitor/delegate’s badge will allow admittance to educational sessions on a space available basis. No exhibitor will be admitted to the exhibit area without an exhibitor badge. Each company is allowed a number of exhibitor’s and delegate’s badges depending of the exhibit space (see page 6). Additional representatives may register at a fee of 60.00 $ each (access to exhibit hall) and 180.00 $ each (access to conference rooms). No refunds will be issued for additional badges purchased and not used. Registration fees must be paidprior to, or at the time of, registration. In order to avoid delays on-site, it is advisable to advance register booth personnel.Technical exhibitor registration instructions will be mailed to each exhibiting firm with the exhibitor’s guide in February 2004. Exhibitor advance registration deadline is Mars 5, 2004. Exhibitors not pre-registered by their company must register on an individual basis on-site.Those representatives registering on-site will be required to complete an on-site registration form and submit it with proof of affiliation with the exhibiting company and identification. Exhibitor registration will be open during the following hours: Friday, March 19 ...................................... 7:00am – 7:00pm Saturday, March 20 .................................. 8:00am – 7:00pm Sunday, March 21.................................... 8:00am – 11:00am BADGE DISTRIBUTION Badges will not be mailed in advance.They may be picked up at the Exhibitor Registration Counter. For on-site registration, both photo identification and proof of company affiliation are required. Once onsite, exhibitor representatives are permitted to pick up only their own badge. TEMPORARY PERSONNEL OR MODELS If you order models or other temporary personnel, be sure to provide them with the correct company name, your booth number, and the name of a contact at your booth.These individuals cannot gain entrance into the exhibit hall without a proper badge, and badges will not be issued unless an individual can identify a connection with a legitimate exhibiting company. Attire of models shall be consistent with the professional atmosphere of the AAWC Annual Meeting. HOUSING AND AIR TRAVEL Housing instructions are indicated in the AAWC preliminary and final programs. Housing arrangements may be made either online through the Euromedicom web site, www.euromedicom.com, or by faxing/mailing the AAWC housing form. Air travel information will also be included in the Program Book mailing. PARKING Parkings are available at the CNIT Convention Center. Display space not claimed and occupied by 2:00pm on Friday, March 19, may be canceled or reassigned without notification or refund. Labor within the booth can be provided either through an exhibitor appointed contractor or the official service contractor ‘International Moduling’. DISMANTLING OF EXHIBITS • Sunday, March 21 • Outside contractors .......................... 2:00pm – 8:00pm • Exhibitors ................................................2:00pm – 8:00pm Exhibit must NOT be disturbed, dismantled, or be in the process of being removed before 2:00pm on Sunday, March 21, 2004. All exhibit materials must be removed from the exhibit areas by 8:00pm on Sunday, March 21, 2004. If the exhibitor fails to remove their materials from the exhibit area in a timely fashion, the exhibitor shall indemnify, hold harmless and defend the AAWC from and against any and all fees or expenses the AAWC must pay to the CNIT Convention Center as a result of such late removal.Any property remaining in the exhibit area after the termination of the Annual Meeting may be disposed of or stored, at the exhibitor's sole cost, as the CNIT Convention Center deems appropriate. Shipments will not and cannot be received at the CNIT Convention Center prior to Thursday, March 18, 2004 Shipments made directly to CNIT Convention Center for arrival on or after Thursday, March 18 should be addressed as follows: LE CNIT CONGRÈS AAWC 2004 (Exhibitor's Company Name), Booth Number Espace Brillat-Savarin (niveau B) OR Espace Darwin (niveau D) 2 place de la Défense - 92053 Paris-la-Défense Cedex Note:All drivers arriving during move-in MUST report to the marshalling yard prior to arriving at the CNIT Convention Center.Any trucks arriving directly to the CNIT Convention Center will be sent to the marshalling yard. Information will be included in the Exhibitor’s guide. BILLS OF LADING A bill of lading, or ‘waybill’, is your instruction to your freight carrier regarding the number of pieces, type, and destination of your shipment. Each shipment will require a separate bill of lading. Return bills of lading will be required for your outbound shipments at the close of the exposition. SHIPPING TIPS AND HELPFUL HINTS • Consolidate your materials into crates as much as possible, which will reduce handling time and the probability of loss or damage. • Make sure all cartons are clearly marked with your company name and correct booth number. • Avoid indicating contents on the outside of cartons or crates. Number and manifest each piece for dispersal on-site. • Do not ship electronic equipment such as VCRs, monitors, computers, and printers in the manufacturer's carton; consolidate these items into larger cartons or crates. 12 EXHIBITOR APPOINTED CONTRACTORS If an exhibitor is planning to utilize an outside contractor, the AAWC must receive written notification from the exhibiting company of the name, address and telephone number of its appointed outside contractor and the name of the outside contractor's supervisor who will be responsible for on-site work in the exhibit area. Exhibitor appointed contractors providing services at the AAWC Meeting are subject to any and all rules imposed by the CNIT Convention Center and the AAWC. EXHIBITOR’S GUIDE The Exhibitor’s guide contains all of the forms and information necessary for ordering labor and services at the AAWC Annual Meeting.The Manual will contain order forms for services such as rental furnishings, booth carpet, labor, signage, plumbing, floral, audiovisual, telephone, photography, electrical services, rental displays and cleaning.The Exhibitor’s guide will be mailed to you in February 2004. Euromedicom will provide one Exhibitor’s guide per company and it will be sent to the contact name on the Space Application. Euromedicom will not send an Exhibitor’s guide to the exhibitor appointed contractor; that is the responsibility of the exhibiting company. EXHIBITOR SERVICE CENTER A service center located in the exhibit hall and staffed by representatives of all official contractors will be open on Thursday, March 18, 2004 through Sunday, March 21, 2004. SECURITY Exhibitors are responsible for safeguarding their goods, materials, equipment and exhibits at all times. General guard service will be provided by the AAWC for the exhibition period but neither the guard service, the CNIT Convention Center nor the AAWC will be responsible for the loss of or damage to any property.The AAWC strongly encourages exhibitors to provide their own booth security. STORAGE Combustible/flammable materials such as brochures, literature, give-aways, etc. within exhibit booths are limited to a one-day supply. Nothing may be stored behind booths including packing containers, carrying cases, etc. A storage room will be available throughout the exhibit.
