What is an <strong>Appraisal</strong>?<br />

The annual <strong>Appraisal</strong> is a confidential two-way discussion between you and<br />

your Line Manager. It is your opportunity to formally review your<br />

performance over the past year and agree objectives and development<br />

for the future.<br />

When do <strong>Appraisal</strong>s take place?<br />

<strong>Appraisal</strong>s take place in February each year with a 6 month review in<br />

September.<br />

N.B. If you joined the organisation after 1 st October your appraisal will<br />

take place 6 months on from date of commencement. If you join after<br />

31 st December your appraisal takes place the following year.<br />

Why do we have <strong>Appraisal</strong>s?<br />

The <strong>Appraisal</strong> is an opportunity to gain feedback and recognition for your<br />

work, enabling you and your Manager to focus on your individual<br />

performance over the year and plan your development for the future.<br />

It helps you to align your role with HDC’s goals for the coming year and<br />

understand the contribution you make to the success of the business.<br />

How does it work?<br />

You will agree Key <strong>Performance</strong> Areas (KPA’s) with your Manager. These<br />

are the priority areas of your job, and your performance will be<br />

measured, on the achievement of these.


What Happens?<br />

Preparation<br />

Your Manager will agree a date and time with you for your<br />

appraisal. You will also receive a form, which has some questions to<br />

help you structure your thoughts and prepare for the meeting.<br />

(see the ‘Self <strong>Appraisal</strong> Form’ attached).<br />

You should also ensure your Personal Development Record is up to<br />

date with details of your development throughout the year.<br />

Discussion<br />

The appraisal is a fair and objective process which enables you to<br />

receive feedback on achievement of your KPA’s and discuss your<br />

overall performance and contribution over the year.<br />

You will have the opportunity to evaluate the success and<br />

application of the development you have received over the year,<br />

and identify any further development needs as you plan for the<br />

future.<br />

Results<br />

HDC believe in rewarding individuals, based on their performance<br />

and contribution to the Council’s goals.<br />

Each of your KPA‘s will be rated, and salary increments will be<br />

awarded based on a successful overall rating. (Current scale 0-4<br />

increments). Any increase will come into effect from 1st April.<br />

Your appraisal is recorded. One copy is kept in your personnel file<br />

and a copy should be kept in your Personal Development Record.<br />

Once completed, your appraisal will be reviewed by your Head of<br />

Service and/or Director.<br />

If you have any further questions regarding your appraisal, you<br />

should discuss these with you line manager or a member of<br />

Personnel.


Self <strong>Appraisal</strong> Form<br />

This form has been produced as a guide and to assist you in preparation<br />

for your <strong>Appraisal</strong>.<br />

You will find it helpful during the appraisal discussion and you should give<br />

a copy to your appraising manager prior to the appraisal and keep a copy<br />

in your PDR for your reference.<br />

Ask yourself the following questions:<br />

1. Is your Personal Development Record up to date? Y/N<br />

2. Do you have a current job description? Y/N<br />

3. Do you have up to date Key <strong>Performance</strong> Areas? Y/N<br />

4. Do you use opportunities to discuss your work and action plans? Y/N<br />

5. Have you carried out the action agreed at your last appraisal ? Y/N<br />

6. What have you done particularly well in the period under review?<br />

7. What have you accomplished over and above the minimum<br />

requirements of your job in the period under review?<br />

8. What parts of your job do you do less well?<br />

9.Note down any difficulties you have in carrying out your work. Were<br />

there any obstacles outside your own control which prevented you from<br />

meeting your KPAs?<br />

10. Have you any skills, aptitudes or knowledge which are not fully utilised<br />

in your current role?<br />

If so, how could they be incorporated into your job or used in other areas<br />

of the Council?<br />

11. Can you suggest any training and development that would help to<br />

improve your performance in your current role? (Can include courses,<br />

secondments, shadowing, reading, workshops, working parties, research,<br />

CPD, qualifications, etc.)<br />

12. What Key <strong>Performance</strong> Areas and <strong>Performance</strong> Standards (measures)<br />

can you suggest for the forthcoming year?<br />
