Please read it thoroughly <strong>and</strong> pass therelevant safety information on to all your team. It is the responsibility <strong>of</strong> the Exhibitor to ensure that work carried out bythem or on their behalf is safe <strong>and</strong> undertaken by trained <strong>and</strong> competent people – obtain a copy <strong>of</strong> your Contractors orDesigners H&S Policy, their show-specific Risk Assessment, Method Statement, Accident Record <strong>and</strong> Insurancedetails when you are contracting them. <strong>St<strong>and</strong></strong>s must be safely designed so as to be erected <strong>and</strong> dismantled in thetimeframe given.• You WILL have to submit your Risk Assessment(s) with your <strong>St<strong>and</strong></strong> plans. However please note it is not theOrganisers, the Venue or their agents responsibility to ensure it is 'suitable <strong>and</strong> sufficient' - that is entirely theresponsibility <strong>of</strong> the Exhibitor <strong>and</strong> their Contractors. It is a legal requirement that you undertake a RiskAssessment. In this instance, please contact us immediately.Permission to <strong>Build</strong> NoticeUpon approval <strong>of</strong> the submissions, the exhibitor or their contractor (whoever submits the plans), will receive a‘Permission to <strong>Build</strong> Notice’ from the Organisers prior to arriving onsite. You or your Contractor must show this Noticeto the Floor Manager when you arrive so that you can start your st<strong>and</strong> build – do not start to build your st<strong>and</strong> until youhave gained this Notice. Water must becontrolled by the methods outlined in the ‘Key Risk Areas ’. A nominal charge for water testing may be levied by theOrganisers.All st<strong>and</strong>s within the Halls must have a suitable floor covering. You must also have a minimum 2.5m high wall betweenyou <strong>and</strong> your neighbouring st<strong>and</strong>s, unless you have gained an agreement in writing from your neighbours <strong>and</strong>/or theOrganisers.Below are some diagrams which should help you interpret the <strong>St<strong>and</strong></strong> Design <strong>and</strong> Construction Rules <strong>and</strong> Regulations.Your st<strong>and</strong> plans need to include all structures on your st<strong>and</strong> e.g walls, boats, engines, store cupboards, fire alarms/smoke detectors, water features, stairs, kitchens etc.Useful Design DrawingsKey Points for <strong>Build</strong>ing Steps <strong>and</strong> Stairs.• All h<strong>and</strong>rails must withst<strong>and</strong> a horizontal load <strong>of</strong> 1.5kN per metre run at 1100mm high.• Sizes <strong>and</strong> spacing <strong>of</strong> h<strong>and</strong>rail <strong>and</strong> stanchion tubes <strong>and</strong> types <strong>of</strong> infill are just a sample selection <strong>of</strong> a multitude<strong>of</strong> designs. All designs must meet the loading criteria.• A toe board should be fixed between stanchions on all h<strong>and</strong>rails, min 150mm high.


• H<strong>and</strong>rails must be 1100mm high on l<strong>and</strong>ings, upper decks <strong>and</strong> between 900mm <strong>and</strong> 1000mm high on stairs, asmeasured vertically from the top <strong>of</strong> the h<strong>and</strong>rail to the front edge <strong>of</strong> the stairs.• If vertical bars are used as infill between stanchions, the gap between the bars must not exceed 100mm. Noh<strong>and</strong>rail gap must exceed 100mm.• All enclosed staircases should be a minimum <strong>of</strong> 1200mm wide <strong>and</strong> feature a h<strong>and</strong>rail on each side.• ‘OPEN’ stairs must have a “NON-CLIMBABLE” h<strong>and</strong>rail on both sides, to avoid a fall from height.• H<strong>and</strong>rails must comply with Part ‘K’ <strong>and</strong> Part ‘M’ <strong>of</strong> the <strong>Build</strong>ing Regulations, so far as is reasonably practicable.We recommend you to fit h<strong>and</strong>rails every 1.8m apart on wide staircases, but please note that the veryminimum safe st<strong>and</strong>ard acceptable is to fit: A non-climbable h<strong>and</strong>rail on each side <strong>of</strong> a wide staircase, aswell as a central h<strong>and</strong>rail.• Ladders must not be used to provide visitors with access to boats during the Show. Steps/stairs to boats mustcomply to the normal staircase regulations.• Should visitors gain access to your boats via steps up to the swim platform, then the sides <strong>of</strong> the swim platformmust be blocked or barriered so as to prevent visitors (especially children) falling from height.Organisers ResponsibilityWe, Southampton International Boat Show Ltd (hereafter SIBS Ltd), take our responsibilities very seriously inaccordance with the <strong>Health</strong> & <strong>Safety</strong> at Work Act, 1974 (hereafter HASAWA74) especially HSG65 (Successful <strong>Health</strong> &<strong>Safety</strong> Management). It is vital that you the Exhibitor <strong>and</strong> your staff, appointed Designers <strong>and</strong> Contractors, do thesame. Your RA must decide the precise safety control measures you need toimplement.All Exhibitors (<strong>and</strong> their Contractors) must undertake a suitable <strong>and</strong> sufficient Risk Assessment, which should be donein conjunction with your main <strong>St<strong>and</strong></strong> Contractor <strong>and</strong>/or your <strong>St<strong>and</strong></strong> Designer. Exhibitors must take all reasonable stepsto ensure suitable <strong>and</strong> sufficient safety control measures onsite. Such a person could be a staffmember, but please contact the Boat Show <strong>Health</strong> <strong>and</strong> <strong>Safety</strong> Manager who can recommend independent safetyadvisors to you.Organisers StatementAs overall Organisers, SIBS Ltd. are totally committed to the safe build-up, open <strong>and</strong> breakdown periods <strong>of</strong> the Show.We accept our responsibilities as laid out under HASAWA74 <strong>and</strong> our aim is to provide our Exhibitors <strong>and</strong> theirContractors with a safe place in which to work ie: Mayflower Park. To do this we will continue to provide the necessaryresources to constantly strive to ensure that the Venue is safe <strong>and</strong> st<strong>and</strong>ards <strong>of</strong> working practices remain high so far asis reasonably practicable.Therefore, special emphasis will be given to working in conjunction with the Authorities, Sponsors, Exhibitors <strong>and</strong>Contractors in taking every reasonable <strong>and</strong> practical measure to ensure the safety <strong>and</strong> well being <strong>of</strong> all staff <strong>and</strong>visitors. A Rough Guide to the Exhibitor & Contractor Relationship:Every Exhibitor is responsible to ensure that they hire <strong>and</strong> use only experienced <strong>and</strong> competent Contractors <strong>and</strong> Staff.Senior staff in the exhibiting company <strong>and</strong> the Contractors company can be held personally liable under UK Law shouldtheir Contractors or Staff have, or cause, an injury, loss or accident onsite.The ‘Red Book’ has now been superceded by the AEO Eguide which is available online. This seeks to clarify this relationship in more detail thanwe can here, <strong>and</strong> is the exhibition industry’s recommended Code <strong>of</strong> Practice. It covers wide-ranging issues,responsibilities, <strong>and</strong> provides recommended safety advice.Some <strong>of</strong> the key risk areas you may encounter onsite are outlined on the following pages, but it is vital that eachExhibitor (along with their contractors) do the following:a) Undertakes a suitable <strong>and</strong> sufficient Risk Assessment (RA) with their main Contractor/Designer for the <strong>Build</strong>up <strong>and</strong>Breakdown (st<strong>and</strong> build <strong>and</strong> dismantlement) <strong>and</strong> to cover the Open Period. This should cover all the major hazardsarising from your working practices onsite including: lifting, rigging, Working at Height Regs, PPE, fire control


measures, the exhibits live on-water demonstrations, deep water, COSHH, RIDDOR, <strong>and</strong> how your work may affectthose on neighbouring st<strong>and</strong>s or the General Public. Please see the sample RA herein, but also refer towww.hse.gov.uk for full advice;b) Please note that Shell Scheme Exhibitors must also undertake a Risk Assessment, but they do not have to includethe work done by the Shell Scheme or Electrical Contractors that the Organiser has <strong>of</strong>ficially appointed. You must stillinclude the safety control measures required for your own work practices <strong>and</strong> the Contractors that you appoint, <strong>of</strong>course;c) EVERY Exhibitor MUST undertake a suitable FIRE Risk Assessment – please complete <strong>and</strong> return the simple oneherein. Complex st<strong>and</strong>s may wish to create one in their own preferred format;d) Undertake a Method Statement with your Principal Contractor where you intend to erect a complex structure or havespecial exhibits. Please see the example on following pages;e) Complete <strong>and</strong> return the <strong>Health</strong> & <strong>Safety</strong> Declaration Form HS1 by the due date.2. The Suggested Hierarchy <strong>of</strong> Responsibility on each <strong>St<strong>and</strong></strong>:- The Exhibitor:Must undertake a Risk Assessment with their Contractors;Must ensure that all Contractors they use are competent;Must obtain copies <strong>of</strong> Risk Assessments <strong>and</strong> Method Statements from all parties who undertake work on theirst<strong>and</strong>;Must train all their st<strong>and</strong> staff <strong>and</strong> notify them <strong>of</strong> the venue’s emergency procedures;Should take advice from a competent <strong>Health</strong> & <strong>Safety</strong> Advisor.- The <strong>St<strong>and</strong></strong> Designer:Must be competent;Must ensure that the erection, maintenance <strong>and</strong> dismantlement <strong>of</strong> the st<strong>and</strong> design has the ability to be carried outsafely by the contractor, <strong>and</strong> in the timeframe given;Must ensure that the st<strong>and</strong> <strong>and</strong> st<strong>and</strong> materials complies with all current UK legislation, especially the fire controlmeasures;Must ensure that the st<strong>and</strong> is safe to both use <strong>and</strong> visit.- The Foreman/<strong>St<strong>and</strong></strong> Manager:Must be the designated Fire Marshall;Must appoint a designated First Aider;Must liaise with all parties, underst<strong>and</strong> <strong>and</strong> provide input into the full Risk Assessment;Must obtain suitable & sufficient Method Statement with the Principal Contractor or <strong>St<strong>and</strong></strong> Designer;Must prepare a <strong>Health</strong> & <strong>Safety</strong> Policy <strong>and</strong> plan on all working practices;Must schedule a late working rota to avoid accidents.- Principal Contractor & Sub-ContractorsMust provide a suitable & sufficient Risk Assessment, H&S Policy, Insurance details & Method Statement to theExhibitor;Must be experienced & competent;Must co-operate with each other <strong>and</strong> Employers/Exhibitors/Organisers; Must train all their staff <strong>and</strong> provide suitableplant <strong>and</strong> equipment;Either the Exhibitor or their Principal Contractor may be directly responsible for all Sub-Contractors, who, in turnmust provide Method Statements <strong>and</strong> Risk Assessments as required to the Exhibitor or their Principal Contractor.Key Risk AreasListed below are some <strong>of</strong> the major hazards that may be encountered onsite together with suggestions on how toeliminate or minimise the risk. You should include these as well as other hazards identified in your own riskassessment. Please notify your staff <strong>and</strong> contractors <strong>of</strong> all relevant hazards prior to coming onsite:1. Boats at Height:Visitors could fall if you do not take adequate safety precautions on your boat. You can personally be held liable for allinjuries <strong>and</strong> losses arising from such an accident. Therefore:A) If you exhibit your boat on l<strong>and</strong>, then visitors are not allowed to go out past the enclosed cockpit area <strong>of</strong> your boat,even if you escort them. Do not let them go around the edge <strong>of</strong> the boat or anywhere where they may suffer a fallfrom height. You must ensure that all your staff are aware <strong>of</strong> this requirement.


B) Physically prevent visitors from going in such areas by affixing a rope barrier <strong>and</strong> a sign stating ‘Warning: NoEntry’.C) Fit higher than normal firmly fixed temporary h<strong>and</strong>rails. Other solutions include netting the sides or use as fallarrestnets but we stress that there should be no way a visitor is able to suffer a fall in the first place. You couldalso build a suitable wall around areas where there would otherwise be a high drop.D) Do not let visitors onboard who are under the influence <strong>of</strong> alcohol, under 16 <strong>and</strong>/or carrying babes-in-arms.Disabled persons will require special assistance. Make visitors aware <strong>of</strong> potential trip hazards such as ropes, boatcleats, etc, that cannot be removed beforeh<strong>and</strong>.E) If you supply overshoes to visitors when on board then these should be <strong>of</strong> a suitably non-slip design <strong>and</strong> availablein different sizes to suit. Deck shoes <strong>and</strong> bare feet may be acceptable, but visitors wearing socks or just stockingclad feet should not be allowed on board due to the potential to slip <strong>and</strong> fall. Ensure the decks are dry, level <strong>and</strong>non-slip at all times.F) Should you have steps inbuilt on the boat, then these steps must be clean, dry <strong>and</strong> non-slip. If they are made <strong>of</strong>highly-polished wood or feature different measurements to that <strong>of</strong> normal steps/stairs then you must implementstrict control measurements, make them non-slip <strong>and</strong> assist visitors when letting them onboard.G) Boat cleaners must be especially supervised <strong>and</strong> competent <strong>and</strong> work in a safe manner. Obtain the ‘Boat CleaningPermit’ <strong>and</strong> the 'Boat Cleaning <strong>Safety</strong> Guidelines' for further details. Working at heights, on decks with lowh<strong>and</strong>rails, working in low-level lighting or poor weather conditions must be done so safety <strong>and</strong> the safety controlmeasures clearly set out <strong>and</strong> communicated via your RA. Do not use untrained staff.H) Your RA should highlight exactly the safety control measures you need to implement to eliminate hazards.I) Please see the <strong>Safety</strong> Team to give you specific guidance onsite. They are here to help you <strong>and</strong> usually haveexcellent solutions to unusual problems2. Ladders <strong>and</strong> Working at Height:A) You <strong>and</strong> your contractors must not use domestic steps/ladders when working at the Show. All steps/ladders mustbe <strong>of</strong> a class 1 (industrial) st<strong>and</strong>ard <strong>and</strong>/or to EN131.B) Use steps/ladders properly <strong>and</strong> do not overreach when using a ladder. Consider the use <strong>of</strong> simple mobile scaffoldtowers instead. Boat cleaning companies must undertake a suitable <strong>and</strong> sufficient risk assessment <strong>and</strong> obtain the‘Boat Cleaning Permit ’ prior to starting work.C) Please consider whether you can avoid working at height or use something better <strong>and</strong> safer than a ladder. If youhave to use a ladder:- ensure it’s <strong>of</strong> an industrial type.- keep 3 points <strong>of</strong> contact on it.- don’t use a ladder which is too short or balance on the top step.- don’t st<strong>and</strong> a ladder on an unsteady base or grass.- don’t allow more than one person on a ladder at a time.- don’t overreach from a ladder.- don’t use a ladder for visitors to access boats.- Fix it <strong>of</strong>f at the top <strong>and</strong> have a person foot it where applicable.D) If building a high level platform around your boat exhibit ensure the st<strong>and</strong> edge is protected <strong>and</strong> highlighted at alltimes. If this is not possible during the construction <strong>and</strong> dismantling stage, you must instruct <strong>and</strong> train staff not togo near the st<strong>and</strong> edge <strong>and</strong> ensure that only specifically trained <strong>and</strong> competent persons assemble the h<strong>and</strong>rails.Fall-arrest harnesses should be worn.E) Exhibitors should refer to the HSE website: www.hse.gov.uk for full guidance. Exhibitors must comply with thecurrent work at height regulations <strong>and</strong> adopt a pro-active approach to the correct use <strong>of</strong> ladders <strong>and</strong> other accessequipment.


F) The Exhibitor must provide adequate information, instruction, training <strong>and</strong> supervision as well as safe plant <strong>and</strong>equipment to their contractors. A safe system <strong>of</strong> work must be adopted <strong>and</strong> a suitable RA undertaken <strong>and</strong>followed.3. Underground Cable Warning if you have a Marquee:A) Anyone wishing to fix a marquee <strong>of</strong> any size into the ground must get a Marquee Permit prior to starting work.B) All known underground power cables at the show have been spraypainted in RED on the actual ground. Theirapproximate positions have also been marked on the special, 'Underground Cables Floorplan' so check your areafirst!C) There are unknown cables <strong>and</strong> services in the ground, as there are no precise plans available from the localcouncil. Therefore, prior to erecting a marquee or otherwise fixing into the ground, you must first make a thoroughcatscan <strong>of</strong> the area concerned.D) Do not under any circumstances dig or knock in spikes or tent poles, etc. until you are positive the ground is safe.Damaging an underground cable could be fatal.E) If you are still unsure, then please contact the Show’s appointed electricians Solent Power on +44 (0) 1722712555 who may be able to advise further on the approximate positions <strong>of</strong> cables. However, Solent Power are notresponsible or able to detect all underground pipes or cables. It is, therefore, the responsibility <strong>of</strong> the Exhibitor toensure that the ground is safe before penetrating the ground with spikes etc.4. Electrical <strong>Safety</strong> Test Certificate:A) Upon completion <strong>of</strong> the wiring to each st<strong>and</strong>, the exhibitor will be required to sign a test sheet to confirm that all <strong>of</strong>their own electrical wiring <strong>and</strong> equipment is safe <strong>and</strong> has been properly installed/connected. This requirement isalso necessary for all boats displayed.B) Lighting: ensure your st<strong>and</strong> is adequately lit at all times, throughout the build-up, open <strong>and</strong> breakdown periods.5. Plant & Power Tools:A) 240v generators <strong>and</strong> power tools are not allowed to be used outdoors at the show due to the high risk <strong>of</strong>electrocution.B) All portable tools <strong>and</strong> equipment must have been recently pat tested.C) Only use 110v generators which must be suitably earthed (with an earth rod normally) or battery powered tools<strong>and</strong> equipment.D) Machinery, especially bench saws, must have the correct guards fitted. Portable power tools <strong>and</strong> equipment musthave the minimum length <strong>of</strong> trailing lead which must be taped down to protect it from damage <strong>and</strong> to avoid causinga trip hazard.6. Fire Precautions:A) You must ensure that all your staff know what to do in an emergency. Please clearly display the ‘emergencyprocedures’ in your staff area <strong>and</strong> make sure all staff are aware <strong>of</strong> them, as well as the location <strong>of</strong> the medicalcentres at ‘e gate’ <strong>and</strong> ‘c gate’, fire exits <strong>and</strong> assembly point.B) You must undertake a suitable Fire Risk Assessment – see the sample version herein, that you can use toassist you in compiling your fire risk assessment.C) A competent person on the st<strong>and</strong> must be the designated Fire Marshall. This can be more than one person (tocover different times) but they must ensure a fire risk assessment is completed <strong>and</strong> all relevant fire controlmeasures are in place on your st<strong>and</strong>.


D) All st<strong>and</strong>s with <strong>of</strong>fices, storerooms, corridors or void areas under the main platform must have suitable fireprecautions, including:i) Smoke detectors in all areas, linked together.ii)A ‘howler’ should be fitted adjacent to all final exit doors, as well as one in the main <strong>of</strong>fice area. The Howlershould be used as a manual warning siren to help evacuate the larger st<strong>and</strong>s. Link all howlers together togive st<strong>and</strong>staff an audible early warning <strong>of</strong> a fire/emergency, <strong>and</strong> make sure they know how/when/why to usea howler.iii)The Boat Show ‘fire door sign’ must be fitted prominently onto all final exit doors, preferably near a ‘howler’.Ensure your staff are aware <strong>of</strong> the sign <strong>and</strong> the instructions on it.iv)Emergency lighting to BS5266 part 8, including a maintained emergency light above all emergency exits <strong>and</strong>clear directional exit signs to BS2560/BS5499 along all exit routes.v)Suitable fire extinguishers to BSen3 1996. Exhibitions should each have at least one on their own st<strong>and</strong>. (Nb:st<strong>and</strong>ard fire extinguishers will be positioned around the show. Other special extinguishers are available viathe organisers but must be ordered at least one month prior to the show).vi) All materials should be to BS476 part 7, class 1.E) As an option complex st<strong>and</strong>s can fit a simple fire detection system to BS5839-1 2002, fire alarm code nondomesticto st<strong>and</strong>ard 15. Smoke detectors in such systems should be fitted to BSEN54-7.F) Ensure that smoking is banned on your st<strong>and</strong>, <strong>and</strong> that staff do not smoke underneath the st<strong>and</strong>, in storage areasout <strong>of</strong> sight.G) For very large st<strong>and</strong>s with many staff, we recommend you have a simple system in place to ensure that all staffmembers are recorded upon arrival on the st<strong>and</strong> (name <strong>and</strong> their mobile number) so that they can be easily tracedin the event <strong>of</strong> a st<strong>and</strong> or hall evacuation.H) Complex st<strong>and</strong>s should have their own first aid box <strong>and</strong> qualified first-aider,I) Please also see the ‘double deck fire strategy’ advice sheet from the organisers onsite.7. Lifting:Lifting operations can only be carried out by the appointed show contractor. All lifting areas on or around your st<strong>and</strong>that you are responsible for must be suitably guarded <strong>and</strong> warning signs hung. Hard hats <strong>and</strong> hi-vis jackets must beworn at all times when in the vicinity <strong>of</strong> lifting. Never work under overhead work being carried out.8. 5mph Speed Limit:Vehicles are to observe a 5mph speed limit <strong>and</strong> switch hazard lights on. Please use a Banksman when reversing.Beware <strong>of</strong> pedestrians <strong>and</strong> remove the vehicle straight after unloading. To avoid fumes, do not let it idle.9. Late Working:All work must stop during the hours <strong>of</strong> twilight <strong>and</strong> darkness although some temporary lighting may be required in theearly evening <strong>and</strong> under multi-level st<strong>and</strong>s. Do not permit lone working at any time.10. Guarding <strong>of</strong> Exhibits & Demos:All moving, sharp or hazardous parts <strong>of</strong> machinery, exhibits <strong>and</strong> engine displays (ie: propellers) must be adequately<strong>and</strong> safely guarded so as to prevent injury to persons - especially visitors - throughout the build-up, open <strong>and</strong>breakdown periods. Should you wish to remove any normal guarding for display purposes you must get the writtenapproval <strong>of</strong> the <strong>Safety</strong> Manager first. A suitably strong see-through material may be used along with a large warningsign <strong>and</strong> distance guards (simple rope <strong>and</strong> post may suffice in some cases). The engine or machine must beelectrically <strong>and</strong> mechanically disconnected <strong>and</strong> a suitable <strong>and</strong> sufficient RA undertaken in writing. The <strong>Safety</strong> Managermust inspect <strong>and</strong> approve all such items prior to the Show opening. All equipment being operated or demonstrated


shall be inherently safe <strong>and</strong> not create a hazard to the demonstrator or visitor. The organisers have the right toterminate any such display or demonstration.11. Children:Children under the age <strong>of</strong> 16, or any animals, are not allowed on site during build up <strong>and</strong> breakdown. This includeswithin the cabs <strong>of</strong> vehicles when you are working. You will be turned away from site if you bring a child with you.12. Hazchems:Any <strong>and</strong> all Hazchems/anti-foul paint etc, you wish to bring onsite must be brought to the attention <strong>of</strong> the <strong>Health</strong><strong>and</strong> <strong>Safety</strong> Manager at least one month prior to the start <strong>of</strong> tenancy for permission. Take note <strong>of</strong> the COSHHprecautions contained within the safety data sheet (SDS) required for certain solvents or substances used in cleaningboats, applying anti-fouling paint or st<strong>and</strong> fitting. Wear appropriate PPE. All flammable liquids <strong>and</strong> substances must beused <strong>and</strong> stored safely <strong>and</strong> removed by the exhibitor to dispose <strong>of</strong> properly - not placed in general rubbish bins or skipsas serious fines will be levied by the local authority. The current CHIP (chemicals hazard information <strong>and</strong> packaging)regulations must be complied with, along with all other approved codes <strong>of</strong> practice <strong>and</strong> the current COSHH Regs. Allspillages onsite must be cleared up immediately. Spillages <strong>of</strong> hazardous substances (boat cleaning fluids/diesel, etc)must be dealt with in accordance with the manufacturers safety data sheet (SDS). Please notify the organisers or floormanagers immediately in all cases.13. Scaffolding:Correct scaffolding must be used <strong>and</strong> constructed as per British <strong>St<strong>and</strong></strong>ards <strong>and</strong> comply with the European directive ontemporary work at height regulations, <strong>and</strong> other such requirements from the HSE. This means, amongst other things,that the team must use full arrest harnesses <strong>and</strong> cordon <strong>of</strong>f the scaffolding area. A competent person from thescaffolding company must issue an inspection certificate for the finished scaffold, or may face being removed from thesite. There must be no risk to pedestrians from falling objects. Mobile tower scaffolds must always be properlystabilised <strong>and</strong> propped (bearing in mind any uneven or s<strong>of</strong>t ground) with suitable h<strong>and</strong>rails, locking wheels, toe boards<strong>and</strong> full width working platforms. Do not move them with persons or tools onboard!14. PPE:Contractors must wear suitable protective clothing (PPE) that includes head, eye, ear, foot <strong>and</strong> h<strong>and</strong> protection asrequired.15. Hot Work:Any cutting, grinding, soldering, welding or ‘shrink-wrapping’ boats involving an open-flame must first be approved via ahot work permit issued by the organisers. You will need a fire screen, fire extinguisher, PPE <strong>and</strong> pro<strong>of</strong> <strong>of</strong>competency/previous experience before work <strong>of</strong> this nature can be permitted.16. Marina <strong>and</strong> Deep Water <strong>Safety</strong>:Please read the Marina Section <strong>and</strong> note that all Marina Exhibitors are responsible for visitor safety on <strong>and</strong> aroundtheir boats at all times.A) <strong>Safety</strong> onboard:Please ensure that Visitors (especially with children) are escorted by a responsible member <strong>of</strong> Staff at all times.Battery-charging must not be done during the Show’s open hours <strong>and</strong> be suitable vented. Suitable life savingequipment must be onboard. Ensure that you have a suitable fire extinguisher onboard <strong>and</strong> you know the location <strong>of</strong>all lifebelts. Please ensure that waste material is not left blocking the walkways.B) Steps/stairs on marina:All purpose-built steps/stairs that visitors or staff use to access your boat must comply fully with the boat show st<strong>and</strong>fitting regulations in the exhibitor manual <strong>and</strong> be safe to use.C) Steps/Stairs onboard boats;Should you have steps inbuilt on the boat itself, then these steps must be clean, dry, level <strong>and</strong> non-slip. If they aremade <strong>of</strong> highly-polished wood or feature different measurements to that <strong>of</strong> normal steps/stairs then you mustimplement strict control measures (make them non-slip; assisting Visitors etc) when letting Visitors onboard.17. Boat Cradles:If you are exhibiting boats on your st<strong>and</strong>, then the method <strong>of</strong> supporting them - be it cradle or road going trailer - mustbe structurally sound <strong>and</strong> strong enough to withst<strong>and</strong> the static load <strong>of</strong> the boat, together with the live load that Visitorswill subject it to. Trailers should be chocked so that the weight <strong>of</strong> the trailer body is fully supported <strong>and</strong> the wheels are<strong>of</strong>f the ground. All cradles must be <strong>of</strong> sufficient capacity to support the weight <strong>of</strong> the boat <strong>and</strong> be designed <strong>and</strong>constructed to enable the boat <strong>and</strong> cradle to be moved together, if necessary. Scaled drawings (including structuralcalculations allowing for the full live load <strong>of</strong> the boat <strong>and</strong> cradle together in its final position) must be submitted to theOrganisers for approval, at the same time as submitting your st<strong>and</strong> design submissions. The Organisers have the rightto refuse to lift or move any boat/cradle combination that they feel is unsafe. The Exhibitor shall be liable for any costsor delays that are so incurred.


18. Assisting the Disabled <strong>and</strong> the DDA:Please note that the step/stair dimensions were changed some years ago – please see the st<strong>and</strong> fitting section for fulldetails, but note:A) H<strong>and</strong>rails:Having insufficient h<strong>and</strong>rails may mean that your st<strong>and</strong> will be subject to an ‘Improvement Notice’ <strong>and</strong> be closed tovisitors. Therefore, to comply with Part ‘K’ <strong>and</strong> Part ‘M’ <strong>of</strong> the <strong>Build</strong>ing Regulations, we recommend you fit h<strong>and</strong>railsevery 1.8m apart on wide staircases. Should an Exhibitors Risk Assessment identify a different requirement, thenplease note that the very minimum safe st<strong>and</strong>ard acceptable is: a non-climbable h<strong>and</strong>rail on each side <strong>of</strong> a widestaircase, as well as a central h<strong>and</strong>rail.B) Staircases:Read the ‘Staircases’ section in the ‘<strong>St<strong>and</strong></strong> Design <strong>and</strong> Construction Rules <strong>and</strong> Regulations’ for full details, <strong>and</strong> submitclear stair drawings with your st<strong>and</strong> design submission, but it is imperative that you ensure:• Treads must be 280mm min (340mm max).• Risers must be 170mm max (150mm min).• Stairs should be a minimum <strong>of</strong> 1.2m wide.• The rise <strong>of</strong> a flight should contain no more than 12 risers for treads 350mm.• You must have a h<strong>and</strong>rail on both sides <strong>of</strong> any step/stair which would otherwise be open. These h<strong>and</strong>rails musthave solid or non-climbable in fills.• The Organisers reserve the right to remove any set <strong>of</strong> stairs or steps that are considered unsafe.C) Ramps:For st<strong>and</strong>s that have overall low platforms up to 150mm high, ramps with a 1:12 gradient should be fitted for thedisabled.D) Access statement for helping the disabled:Exhibitors must actively seek to comply with the DDA <strong>and</strong> not discriminate against any form <strong>of</strong> disability when personswho may have difficulty walking, seeing or hearing wish to access your st<strong>and</strong>. A suitable ramp should be incorporatedinto all st<strong>and</strong>s that have overall platforms where space permits, or a pro-active means <strong>of</strong> entertaining <strong>and</strong> dealing withthe disabled wishing to access your st<strong>and</strong> must be carefully thought out.Where there is no space available to fit a 1:12 ramp, nor budget available for a lift, then the question “how will disabledvisitors be catered for?” must be answered with another <strong>of</strong>ficial ‘Access Statement’ as well as detailed in the individualExhibitors RA.This ‘Access Statement’ should be similar to “we do not have the space or infrastructure for a lift, <strong>and</strong> a suitable rampwould have to extend outside our st<strong>and</strong> limits. However, to assist the disabled we will......” Then set out exactly how youare going to mostly comply with the DDA to ensure that you do not actively discriminate against (all forms) <strong>of</strong> disability.This solution could take the form <strong>of</strong> a written statement like:‘We have a single 1:20 ramp up to level one <strong>of</strong> the st<strong>and</strong> where our sales people can meet <strong>and</strong> greet all disabledpersons; or, we have a special area set aside for wheelchair users in our VIP area; or, we have fitted a Stannah chairliftto our main stairs; or we have a sign <strong>and</strong> doorbell/intercom at the front <strong>of</strong> the st<strong>and</strong> which states that wheelchair usersshould wait there <strong>and</strong> summon assistance, then they will be helped onto the st<strong>and</strong> by specially trained staff dedicatedto looking after the disabled visitor.’Note: your written access solution must be effective <strong>and</strong> actively monitored <strong>and</strong> physically carried out by members <strong>of</strong>your st<strong>and</strong> staff onsite.Information Download- How to Undertake a Simple Risk Assessment- Sample Method Statement- Useful Design Drawings- Southampton Emergency Procedures- Fire Risk Assessment
