THETA XI FRATERNITY<strong>Fees</strong> <strong>and</strong> <strong>Payment</strong>s Due to <strong>Fraternity</strong> Headquarters for the <strong>2010</strong>-<strong>2011</strong> School YearAs authorized by the Constitution <strong>and</strong> By-Laws <strong>and</strong> actions of the Gr<strong>and</strong> Lodge, the following fees apply toall chapters/colonies, effective for the <strong>2010</strong>-<strong>2011</strong> school year:FEES DUE FROM THE CHAPTER/COLONY:• CHAPTER SERVICE FEE - This fee is determined by the combination of two amounts - $1,450 (the samefor every chapter/colony) plus $255 multiplied by the average annual number of initiations in thechapter/colony over the last three years. For example – if you chapter initiated an average of 10 menover the last three years, your chapter service fee would be $4,000 for the year. This fee provides for 1)District Leadership Academy partial registration fees, designated meals <strong>and</strong> travel reimbursement; 2)registration fees, hotel room costs, designated meals, <strong>and</strong> travel reimbursement for two delegates to theNational Convention; 3) to supplement the cost of the chapter visitation program; 4) The 145 th Conventionvoted to assess an additional contribution through the 2013-2014 school year to establish a special fundfor the planning, funding, construction, maintenance <strong>and</strong> related activities to remodel or replace thecurrent Memorial Structure on the Campus of Rensselaer Polytechnic Institute to Commemorate the150th Anniversary of the Founding of <strong>Theta</strong> <strong>Xi</strong>. The contribution is equivalent to $5 per man per semester(or $10 per year) based on the number of chapter members at the opening of the school year, <strong>and</strong> willalso be included within your chapter service fee in addition to the amounts above.• RISK MANAGEMENT ASSESSMENT - Billed at the beginning of school, this fee provides eachchapter/colony with liability insurance, fidelity bond coverage, Directors <strong>and</strong> Officer Insurance <strong>and</strong> theMember Accident Protection Program (MAPP) coverage. The assessment is based on totalchapter/colony size (the total of initiated <strong>and</strong> associated members) as of July 1. The cost varies each yearbased on the premium paid by the national organization for all chapter-oriented insurance coverage.The assessment includes an experience factor that rewards groups with good risk management practices<strong>and</strong>/or claim experience, <strong>and</strong> applies a surcharge to groups with Risk Management Policy violations<strong>and</strong>/or claim experience. The <strong>2010</strong>-<strong>2011</strong> Risk Management/Claim Experience Model is on page 2.<strong>Payment</strong> Options (Applies to <strong>Chapter</strong> Service Fee <strong>and</strong> Risk Management Assessment)At the beginning of each school year <strong>Chapter</strong>s <strong>and</strong> Colonies have three payment options from which tochoose:Upfront Option: Pay in full by October 15, <strong>2010</strong>, <strong>and</strong> receive a 2.5% discount on the <strong>2010</strong>-<strong>2011</strong> <strong>Fees</strong>.Installment Option: Pay 30% down by October 15, <strong>2010</strong>, (along with any outst<strong>and</strong>ing balance) <strong>and</strong>establish electronic transfer of funds in six equal monthly installments over seven months(November – May with the option to skip any one month of the chapter’s choice indicatedwhen the form is submitted) with a 2% processing fee added to the monthly payment.Semester Option: Pay in two equal installments (September 1 <strong>and</strong> January 1) at full rate within 30 daysof billing, subject to 1.5% per month finance charge after 30 days. If a chapter does notselect an option by September 15 th it automatically defaults to Semester Option.FEES DUE FROM THE INDIVIDUAL:• INITIATION FEE - This fee is $305.00 per initiate <strong>and</strong> should be paid TO FRATERNITYHEADQUARTERS approximately 10 days prior to the anticipated initiation date. It is refundable ifthe initiation does not take place. The fee is due directly from the individual <strong>and</strong> the chapter serves as the<strong>Fraternity</strong>’s agent to collect <strong>and</strong> forward this fee. Permission to initiate is provided ONLY when theprospective initiate’s name <strong>and</strong> the $305 fee has been received at HQ.NOTE: A chapter/colony shall be assessed a fine of $50 per initiate each time it initiatesundergraduate member(s) prior to receipt of the name of the initiate <strong>and</strong> the initiation fee at<strong>Fraternity</strong> Headquarters.


THETA XI FRATERNITY<strong>2010</strong>-<strong>2011</strong> Risk Management/Claim Experience ModelThe following criteria are utilized to determine the actual assessment billed to each chapter/colony.This model is designed to reward chapters/colonies that have established a record of strong riskmanagement practices <strong>and</strong> strong academics consistent with <strong>Theta</strong> <strong>Xi</strong>’s Risk Management Policy<strong>and</strong> Statements of Position; in addition to rewarding good claim experience.<strong>Chapter</strong>s/Colonies, which have violated the <strong>Fraternity</strong> Risk Management Policy, <strong>and</strong>/or have beeninvolved in incidents which have resulted in claims, are surcharged. The criteria for credits <strong>and</strong>surcharges are listed below:1. For risk management violations over the past two years:• For one violation, a 10% surcharge will be applied.• For two violations over the same period, a 50% surcharge will be applied.• For three violations over the same period, a 200% surcharge will be applied.2. For claims which occurred over the past two years:• For each claim, which occurred in the past two completed policy years where the reserveor paid claim is $10,000 or less, a 10%, surcharge will be applied.• For each claim, which occurred in the past two completed policy years where the reserveor paid claim is more than $10,000, but less than $50,000, a 25% surcharge will beapplied.• For each claim, which incurred in the past two completed policy years where the reserveor paid claim is $50,000 or more, a 50% surcharge will be applied.3. No claim over the past two completed policy years will earn a credit of 5%.4. <strong>Chapter</strong>s without a house will earn a credit of 20%.5. <strong>Chapter</strong>s that employ a live-in non-member resident advisor (housemother, resident advisor)will earn a credit of 20%.6. <strong>Chapter</strong>s that adopt a dry house policy that prohibits the storage or use of alcohol in thehouse <strong>and</strong> at the great majority of events/activities conducted by the chapter, whether on oroff their property, may apply to the Executive Director to earn a credit of 5%. <strong>Chapter</strong>sinterested in applying for this credit should contact Executive Director Jim Vredenburgh at<strong>Fraternity</strong> Headquarters 800-783-6294, ext 104 or jim@thetaxi.org.7. A <strong>Chapter</strong>/colony grade point average above the all-male average for each of the past twoacademic terms earns a 10% credit. A chapter/colony grade point average above the allmaleaverage for one of the past two academic terms earns a 5% credit. A grade pointaverage of .2 or more above the all-male average for one or two of the two of the past twoacademic terms will double the credit earned. When comparison grades are not available, achapter/colony grade point average of 3.0 or better on a 4.0 scale will qualify thechapter/colony for these credits.8. GreekLifeEdu - Based on the percentage of returning members who have successfullycompleted GreekLifeEdu, a maximum credit of 10% ranging up to a maximum surcharge of10% will be included in the chapter assessment.
