1. SU 101 serves 5 communities with schools, 1 of these communities is a bit larger than theother 4. (Additionally 4 tiny communities without schools are also part of SU 101.) Previouslythese communities made up 3 service units.a. The larger previous SU had a balance of $1,200. The 2 smaller previous Service Units hadbalances of *$353 and $205. Total combined: $1,758.00.b. In addition to this balance, Service Units are allowed to receive $650 in sponsorships.c. Plus, this year if the SU cookie goal of 100% of their troops participating in the cookie sale ismet and the SU meets their 12% membership goal (they only have 13 more girls to register ineach of their 5 communities) they will receive a SU Bonus of $394.70.d. Adding all of the above together, SU 101 would have a bank account balance of $2,802.70.e. (Although with the above balance it is unlikely that the Service Unit would have the need, theycould also apply to hold a service unit fund raiser.)*The Lion‟s Club of one of the small towns with the $353 balance traditionally donates $100 to beused for Girl Scout activities in their specific town. This amount should be earmarked in the SUledger as donor designated for this town. (see Form 4724 to request these funds as describedbelow.)2. Closing their previous service unit bank accounts to create their new SU 101 bank accountwas done in the following steps:a. The account signer on each of the 3 previous Service Unit bank accounts personally closedthe previous SU bank account and had that bank issue a check for the account balance tonew SU 101.b. A new bank account for SU 101 was opened with the checks from the 3 closed service unitaccount, as directed in the GSMWLP Service Unit Finance and Money Earning Policies andProcedures as authorized by the Lakes and Pines Finance Committee and Board of Directors,Form #4721, (found on the council website under the volunteer tab).c. A minimum of 2 signers are required to be on the account. SU 101 decided to have 3 signerseach from different towns within the service unit that were part of the SU Core Team.d. As allowed, one signer held the service unit‟s debit card; the second signer held the serviceunit checks book and the third received the bank statements.e. Each signer had access to the online banking account information to ensure overspending didnot inadvertently occur.f. After the account was established, Form 4760: Girl Scout Bank Account Record wascompleted and submitted to SU 101‟s regional Product Sales and Finance Specialist.3. SU 101’s Core Team, those members who are taking the leadership roles for the service unit,completed a SU Plan of Action to help them determine what was important to their service unitthat needed to be included in their annual SU budget. These included both full Service Unitevents and individual town events:a. Full Service Unit Events:i. A welcome event for all volunteers in October with a Founders Day celebration andinvestiture ceremony for girls.ii. A Cookie Rally that incorporates Thinking Day prep activitiesiii. A Jump Start Spring Re-registration Eventiv. A Spring Volunteer Appreciation Eveningb. Events by troops or towns (with schools)i. Fall Recruitment Partiesii. Celebrating Thinking Day and GS Weekiii. Bridging and Court of Awards Ceremoniesiv. Girl Scout participation in each of their town festivals and parades.1. The troops from the individual towns decided if they needed monetary supportfrom their SU budget for the events they were hosting in their towns.a. After completing the Service Unit Funds Request Form #4724 (found onthe council website under the volunteer tab) and indicating if any moneybeing requested was pre-designated by a donor, they submitted thisform to the SU Core Team for approval.
. Upon approval, SU 101 Core Team communicated with the townrepresentative listed on the form that expenses would be reimbursedafter submission of approved receipts for their local event.4. By February 15 and September 15, SU 101 submitted their semi annual Service Unit FinancialReport to their regional Product Sales and Finance Specialist as directed in GSMWLP ServiceUnit Finance and Money Earning Policies and Procedures Form #4721.We invite you to use the SU 101 example as a guide to help you ease the concerns of your volunteers andtowns. Service Units who have successfully completed this process have done so with very fewproblems.Service Unit Accounts are to be combined by August 31, 2013, as shared in pervious editions of SUN.Please contact your regional Product Sales and Finance Specialists if you have any questions at all. Theyare happy to serve you!2012 Annual Meeting ReviewThe Annual meeting took place on January 26, 2013 and we had a fantastic turn out. Thank you to all of thedelegates and visitors who were able to attend this important meeting. We had great representation at ourmeeting this year. We had 83 delegates, 13 Board of Directors, 3 Board Committee members, and severalstaff in attendance. We also remained the same as last year in the number of Service Units that wererepresented. There were 21 out of 29 service units present. We again reached our goal and had ALL fiveregions represented. The meeting included year end reports, a small group discussion about Older GirlParticipation in Council Governance, and a celebration of the accomplishments of girls throughout the council.We sent a survey to all that attended to gather data about locations, events, and times of the annual meeting.Thank you for participating in that survey.
