IntroductionIntroductionWelcome to the Hollybank <strong>information</strong> <strong>pack</strong> which is designed for parents/carers andprofessionals using the services that Hollybank has to offer.3This folder is for you so that all the <strong>information</strong> you and your child need to get the mostout of your short term breaks can be kept together. There is plenty of space to includeany additional <strong>information</strong> that you collect along the way.Hollybank is a jointly funded short term break service that offers a happy, homely, safeand stimulating environment for all children to achieve their maximum potential. Weaim to help children and young people to develop independence skills within theirpotential, whilst having fun.We provide enjoyable breaks with the highest standard of care for children withdisabilities and complex health care needs. Section 1What Hollybankhas to offer5Hollybank is a purpose built centre containing two units (Purple and Yellow), whichprovide the overnight short break service and a crèche facility.Yellow Unit has five beds for children with Autism/challenging behaviour and or learningdisabilities. Purple Unit has seven beds for children with complex health care needs/physical disabilities and / or learning disabilities.Children will stay in whichever Unit most appropriately meets their needs. Carefulconsideration will be given to ensure that, where possible, children accessing the servicewill spend time with a compatible group of children.The Units within Hollybank are completely self-contained but share some of the leisurefacilities such as the garden, outdoor play areas, soft play room, messy play room, internetcafé and sensory room. At the end of this section you will find a page showing a selectionof the facilities we have to offer the children and young people who use our services.The Hollybank Manager has overall day to day responsibility for the whole centre andeach of the Units has a designated lead who is responsible for organising the children'sstays and the care they receive. The Units also have a senior team of staff who haveeither a registered nursing qualification or a registered social work qualification. In turnthey are supported by senior care workers and care workers, who either have a NationalVocational Qualification (NVQ3) in Children and Young People or a CWDC Diploma Level 3in Children and Young People’s Workforce..Staff create an accessible stimulating play and leisure environment which enables yourchildren to play and socialise within a safe, homely environment.


Section 1What Hollybank has to offer (contd)6Staff work in shifts with an overlap so that the staff from one shift can inform those on thenext all that they need to know about the children that have been in their care during thelast session.Early shiftLate shiftNight shift6.50 am to 2.40 pm1.20 pm to 9.10 pm8.50 pm to 7.10 amThe staff ratio for the short break provision varies. The ratio is dependent on the assessedneeds of the children. The minimum staff to child ratio would be 1:3. There are displays ofphotographs of staff on duty and their names, in each Unit, so children and parents can seewho is who.Each Unit uses a variety of different communication methods depending on the needs ofthe individual child, which may include visual scheduling, signing and the use of symbols.Whilst the children are having their short breaks at Hollybank, we attempt to take them ona variety of outings to different leisure activities in the local community, depending on theneeds of each child. The trips may include train rides to London, parks, seaside or visitingthe local shops, cinema or bowling.We work closely with you, your child’s school and with the Disabled Children’s Social Workand Short Break Team. Your child’s short breaks with us are reviewed at their short breakreview..

Section 2Getting ready for ashort term break8Once it has been agreed that your child can come to Hollybank for short-term breaks, aninitial home visit will be arranged with you. A series of forms, including a careplan, needto be completed with you to enable the senior staff to obtain as much <strong>information</strong> aspossible on the care your child needs. In Sections 4 and 5 you will see a number ofpermission forms you will need to complete and sign.We will arrange for you and your child to visit Hollybank to look around. Your child willthen be invited to come for a tea visit. When the time is right for you and your child,your child will then be invited to stay overnight.1. Laundry:We can wash your child’s clothes whilst they are with us should the need arise. Laundryis done every day and we only use non biological powders. If you prefer for us not towash your child’s clothing then please tick the relevant box on their admission form eachtime they come to stay.2. Listing and labelling of clothes:We use the admission sheets to ensure we can keep track of all the children’s clothes –please can you complete a new admission form for each stay. Please label all your child’sclothes; Hollybank cannot take responsibility for any items not appropriately labelled.Staff are happy to support you in labelling the children’s clothes if this should benecessary.Spare admission forms can be found in section 10 for new bookings.There is no need to send in towels or flannels as we have a good supply.3. Pocket money:When possible we like to take the children out, so we ask parents to send in a minimumof £2 to £5 per stay to cover any of your child’s costs.Extra money may be requested in writing if a more expensive outing is planned such asthe theatre or cinema.X

Valuables:Please do not send in valuables e.g. jewellery, Ipods, Ipads, play station games orcomputers/laptops as Hollybank cannot take responsibility for such items should theybecome lost or damaged. If your child wishes to bring in their mobile phone then pleasebe aware that they are responsible for its safe keeping and it can only be used in theprivacy of their own rooms.5. Contact whilst at HollybankShould you want to contact your child or if they want to contact you, we have telephonesbased in each Unit that the children can use.Yellow Unit 01689 894421 Purple Unit 01689 894422/28A member of staff will contact you immediately if your child shows any signs of beingunwell or unhappy.6. Medication, creams and lotions:To ensure your child receives the correct medication whilst staying with us at Hollybank,medication must be labelled correctly with your child’s name, the name of themedication, the correct dose and time of administration on the pharmacy label.Please check that all medicines sent in are of sufficient quantity for your child’s stay andthat they are within the expiry date. Please do not send in any medication that is notprescribed for them as staff cannot administer this.If a change in medication occurs and there is insufficient time to change the doctor’sprescription on the pharmacy label, then a dated consultant/doctors letter is required byus to ensure we are following the most up to date <strong>information</strong> – this can be faxed over oremailed from the prescribing clinician.If a child is found to have medication either out of date or with a label without anappropriate pharmacy prescription on it, then you will be asked to have this amended toreflect the current prescription.All children will require the use of sun screen during the warmer weather, so pleaseensure that you supply a sufficient amount for their stay. Hollybank is unable to providethese; this is to ensure there is no risk of cross-infection or sensitivities/allergies.

Toiletries:Please send in sufficient toiletries for your child’s stay including toothbrush, toothpaste,hairbrush, shampoo, conditioner and shower gel/soap. Hollybank is unable to providethese; this is to ensure there is no risk of cross-infection or sensitivities/allergies.8. Sufficient continence aids/sanitary wearHollybank does not hold any stock or supply continence aids or sanitary wear, so if yourchild requires the use of these during their stay, then these must be supplied by you.9. Communication:Please feel free to give us a call if you want to talk through anything—contact details aregiven in Section 8. Good communication between us is essential so that we can worktogether for the benefit of your child. This is particularly important if your child isbrought in, or goes home via organised transport.Parents and staff use a contact book to share any relevant <strong>information</strong>. Please use thetick list at the front of the book so we know what <strong>information</strong> you would like us to includeabout your child’s stay for you.10. Dietary Needs:We can provide most children with their specific diets, ie., gluten free, vegetarian etc, butoccasionally we will ask parents to supply certain foods such as Halal meat/Ketogenic diets.11. Change over of rooms:Between each child’s stay, each room is thoroughly cleaned, all bedding changed, floorvacuumed/mopped and surfaces cleaned.

Drop off/pick up times:Yellow Unit Drop off—12.00 pm Pick up—10.00 amPurple Unit Drop off—2.30 pm Pick up—12.00 pm14a. How your nights are booked:Once it is agreed that Hollybank is the most suitable short break option for your child,you will be informed of your child’s entitlement by a member of the Disabled Children’sSocial Work and Short Break Team. A key worker is then nominated from the Hollybankteam for you and your child. The key worker will then arrange the following:a visit for you and your child to Hollybanka joint home visit with a member of the social care team and the Hollybank keyworkera visit to your child’s school by the Hollybank key workerfollow-up visits may be necessary when all the paperwork is completed.Tea visits are then arranged to introduce you and your child to Hollybank. Once it isagreed your child is ready, overnight stays are planned.Your child will be booked for their overnight stays according to his/her compatibility withthe other children (for example, a child who is distressed by loud noises will not be bookedin with a child who is known to be noisy).


Section 2Getting ready for a shortterm break contd12The overnight breaks are booked in three monthly cycles and the dates of these will besent to you, your child’s school and the Disabled Children’s Social Work and Short BreakTeam. You will need to confirm that these dates are acceptable. If we don’t receive aresponse we will assume that you are accepting the dates offered and we will notify SENtransport of the arrangements to transport your child to and from school, if this isnecessary, or the Disabled Children’s Social Work and Short Break Team is notified if youneed a different form of support to access the short breaks.14b. If a booking is cancelled or changedIf a visit is cancelled or changed then the transport department will need to be notified ifindeed transport has been arranged. If Hollybank cancels your child’s booking, then it isHollybank’s responsibility to cancel the transport. If the booking is cancelled by thefamily with a minimum of two week’s notice, Hollybank will cancel the transport.However, if the family cancels the booking offering less than two week’s notice, it is thefamily’s responsibility to cancel the transport.If in exceptional circumstances a booked stay is not possible for you, you need to contactus at Hollybank immediately. Where possible an alternative date will be offered, subjectto availability and compatibility with other children already booked in.If you require specific dates to be booked for your child, you need to request these inwriting to Hollybank with as much notice as possible (minimum one month) and we willdo our best to accommodate your request.You will receive a courtesy text reminder from Hollybank one week before your plannedvisit or overnight stay.

Did Not Arrive (DNA) / Cancellation:A DNA is when your child is unable to come to a pre-arranged tea visit, day care orovernight stay without contacting us in advance to let us know.A cancellation is when Hollybank is given prior notice for not being able to attend a teavisit, day care or overnight stay.There may be times when it is necessary for Hollybank to cancel a planned stay; thisdecision is taken only when there is no other option. Such instances may includeinsufficient staffing to provide a safe service, or key services being unavailable eg.,heating failure.For more details about cancellations or DNA, please see the Procedure on Booking ofVisits and Overnight Stays at Hollybank Non-attendance and Cancellation which is insection 9 of your <strong>information</strong> <strong>pack</strong>. It includes a section about when cancellations aremade by the parent/carer or by Hollybank staff.16. Replacement sessionsIf you cancel your child’s stay giving the required minimum notice of two weeks, if yourchild is unwell or if Hollybank cancels, we will endeavour to offer replacement nights whereavailability exists.No replacement stays will be provided for stays that are not attended (DNA), or cancelledwith less than two weeks notice. It may not be possible to offer replacement nights if theservice is fully booked, or nights with a compatible group of children are not available.

Four night break:All children are allocated a <strong>pack</strong>age of care which includes a certain number of nights permonth at Hollybank according to their level of need. This is reviewed at each child’sannual short term break review. In exceptional circumstances, there may occasionally bethe opportunity to provide an additional four-night break in a one year period if bedspace is available during the dates requested and a compatible group of children arebooked in at that time. If you need to request this additional support, please contact theUnit Manager to discuss whether this may possible. These extra nights cannot be addedonto a planned stay, as they would impact on availability of short breaks for otherfamilies.


Section 3What to do if mychild falls ill15What to do if my child falls ill before coming to HollybankIf your child is expected at Hollybank but is unable to attend due to ill health, please let usknow and an alternative date will be offered, where possible. The new date will obviouslybe subject to availability but cannot be guaranteed.Please see <strong>information</strong> below from the Health Protection Unit which gives you guidanceon the length of time your child will be required to be away from Hollybank due to theillnesses stated. Further guidance can be sought from your GP if required or you mayrefer to the Guidance on infection control in schools and other childcare settings at theend of this section.Chicken pox—five days from onset of rash or until the last spot hascrusted overConjunctivitis—child does not need to be absent if they have infectiveconjunctivitis, unless there is an outbreak of several casesDiarrhoea and/or vomiting—48 hours from last episode of diarrhea orvomitingFood poisoning—until free of symptoms (diarrhoea and/or vomiting)for 48 hours.Flu—until recoveredImpetigo—until lesions are crusted or healedMeasles—five days from onset of rashMumps—five days from onset of swollen glandsRingworm—child does not need to be absent but you must ensuretreatment has commenced as prescribed by a GPScabies—child can return after first treatment has commencedWhooping Cough—five days from commencing antibiotic treatment(longer if antibiotics not started early)What happens if my child falls ill whilst at HollybankWe will contact you as soon as your child either states they feel unwell or becomes illduring their stay at Hollybank. A decision will be made between you and the Hollybankstaff on the course of action to be taken. If your child requires emergency treatment thiswill be actioned immediately and you will be notified as soon as possible.We hope this is a helpful guide for you but please feel free to discuss your child’sindividual case with the manager in the relevant service.

Section 9Procedure forbooking of visitsand overnight stays atHollybank31Non-attendance andcancellationThe attached procedure details how stays are booked and the actions that need to takeplace in the event that a visit or overnight stay at Hollybank is not taken up.The procedure applies to all staff working at Hollybank, and families/carers whosechildren and/or young people access the service.


SECTION 9EMERGENCY BED FACILITYAT HOLLYBANK32Many parents/carers of disabled children live with the anxiety of what would happen totheir disabled child if they are suddenly unable to provide care for them. Unlike siblingswho may be able to be cared for by extended family members or friends of the family,disabled children can remain vulnerable at such times, owing to their additional andcomplex care needs or need for adapted accommodation.Hollybank offer an emergency bed for disabled children who have a similar profile tothose children who already access short breaks at Hollybank. It is not solely for childrenalready known to Hollybank.The emergency bed is a separate facility situated within Purple unit. Depending on itsrequired need, the room can be discretely separated from the rest of the bedrooms in theunit which enables the bed to be used by children with challenging behaviour whilstmaintaining the safety of other children with complex medical needs in purple unit.Staff support is provided by the Hollybank staff team along with any extra staff required.Where ever possible any child using the emergency bed will be included in all activitieswith the other children in the units.Use of Emergency bedUse of the emergency bed space is solely for emergency situations following anassessment by a social worker from the Disabled children’s social work team or theEmergency Duty Team. It is not accessible to parents/carers making a request directly toHollybank or through any other referral route.
