INTRODUCTIONThe UK <strong>Foundation</strong> Programme Office (UKFPO) has published guidance forapplicants to the 2014 <strong>Academic</strong> <strong>Foundation</strong> Programme (AFP) containingcomprehensive details on this year’s application process plus a timeline showing keydates.Applications to AFP 2014 will be submitted at the same time as <strong>Foundation</strong>Programme (FP) 2014 applications and will comprise the standard application form,plus supplementary information required by <strong>Academic</strong> Units of Application (AUoAs).Successful AFP applicants will receive offers from AUoAs in advance of theallocation for FP places. Successful AFP applicants who accept an offer cannot beincluded in the FP allocation. Unsuccessful AFP applicants, or those who decline alloffers, will be included automatically in the FP allocation. The national applicationprocess is complete once all applicants have been allocated to a UoA, or when allavailable places have been filled (please see the UKFPO link below for moredetailed information).Recruitment to AFP 2014 is in two stages:Part 1 will commence with a standard national application form, plus supplementaryinformation required by AUoAs, which prospective applicants must submit onlinebetween 7 October 2013 and 18 October 2013 (by 12 noon).Applying to the national AFP 2014 recruitment round:1. Check your eligibility2. Register and enrol online3. Please note: In order to apply for an <strong>Academic</strong> <strong>Foundation</strong> Programme for 2014entry, you must either have qualified or are expecting to qualify from a UK medicalschool between 5 August 2012 and 5 August 2014; or you must submit youreligibility documentation to the UKFPO’s Eligibility Office between 15 July 2013 andmidday 14 August 2013.Online application processWhether applicants are applying for the <strong>Foundation</strong> Programme (FP) or the<strong>Academic</strong> <strong>Foundation</strong> Programme (AFP), they must complete the same applicationprocess during the same two week period. <strong>TFS</strong> Person SpecificationApplicants for <strong>TFS</strong> <strong>Academic</strong> <strong>Foundation</strong> Programmes will be required to meet thecriteria listed in the person specification (see Appendix A).In addition to meeting the criteria laid out in the UKFPO FP/AFP 2014 personspecification applicants applying to <strong>TFS</strong> will also be required to demonstrate thefollowing desirable criteria:The applicant must provide evidence of consistent high academic achievement, forexample:• 1 st class honours for a BScAND/OR• Distinction, merits or equivalent throughout undergraduate medical programmeAND/OR• Peer reviewed publication/s<strong>Thames</strong> <strong>Foundation</strong> <strong>School</strong>s also require applicants to be able to demonstrate theyhave the following academic attributes. • If you have undertaken an exchange programme of study as part of a degreecourse or are a graduate from an overseas university where they provide GradePoint Average (GPA) points – the following procedure must be used:You must take the grade point average (GPA) and calculate the equivalentdegree level and select the most appropriate.For a 4-point scale:• a GPA of 3.6 – 4 should be scored as equivalent to a 1st class degree;• a GPA of 3 – 3.5 as 2.1;• a GPA of 2 – 2.9 as 2.2; and• a GPA of 1 – 1.9 as a 3rd class degree.For a 5-point scale:• a GPA of 4.4 – 5 should be scored as equivalent to a 1st class degree;• a GPA of 3.8 – 4.3 as 2.1;• a GPA of 3 – 3.7 as 2.2; and• a GPA of 2.9 or lower as a 3rd class degree.If the scale is not a 4- or 5-point scale, then you must get your score officiallycalculated. Case studyCharlie had a research paper published in the student BMJ. No points wereawarded as this is not a peer reviewed journal and the paper did not have a PMIDnumber.2 Presentations• The oral or poster presentation must be given at a national or internationalconference organised by a recognised medical, professional or educationalbody. Conferences organised by the BMA, students and/or trainees andtheir organisations will not count.• National means that the level of organisation is Scotland, England, Wales,Northern Ireland or another country.• The poster or oral presentation must describe the applicant’s academic work.• The applicant must be a named author on the presentation.• The presentation must have been accepted or taken place before the closeof the application period (18 October 2013).• Local presentations given as part of the applicants degree course or as extracurricular activities do not count.Case StudyJessica had given a poster presentation to the British Association of PlasticReconstructive & Aesthetic Surgery Scientific meeting. 1 point was awarded.3 Scientific/Medical Prizes/Distinctions/Merits• The prize must be an undergraduate/medical school, national or internationaleducational prize awarded by an organisation that is not student or traineeledand must be a FIRST PRIZE. Short listingApplication forms will be divided into sections to be scored by a panel of two peopleat least one of whom will be a clinician, using standardised scoring criteria (seeabove).Members of the scoring panel will not have access to the personal details orprogramme preference sections of your application form.Once the short listing process has been completed, <strong>TFS</strong> will issue an e-mail on the14 November 2013, notifying <strong>TFS</strong> applicants of the status of their application. These will be allocated on a first come first served basis. Applicants invited tointerview will be required to schedule their interview by 12:00 noon on Monday 18November 2013. It will be assumed that applicants who do not schedule theirinterview by this deadline have declined the offer of an interview and will bewithdrawn from the <strong>TFS</strong> process.The site at which applicants are interviewed will have no bearing on theoutcome of their application.Please note that interviewers will not be issued with applicants’ programmepreferences so your choice of programme/interview session will not affect yourapplication.Telephone/Skype Interviews<strong>TFS</strong> will not be offering telephone or Skype interviews for the 2014 recruitment roundas the interview is an OSCE style which it is very difficult to replicate over thetelephone or on Skype.This means that it will be necessary for applicants to attend for an interview if theywish to be considered for one of the <strong>TFS</strong> academic programmes.Version: 1 Page 13


<strong>TFS</strong> is offering six interview dates across November and December 2013 andJanuary 2014 in order to be as flexible as possible.Attending an interviewApplicants attending an interview will be required to bring:• One form of photo ID (e.g. driving licence, passport, medical student ID badgeetc) in order to confirm their identity.• Applicants should NOT bring their portfolios with them as there will beno facility to review them at the interview.(However please see pages 8 and 16 for further information about supportingevidence which applicants may be required to provide).Interview processThe interview process will last approximately an hour and will take the followingformat:Registration and identity checksReview of abstract and clinical scenarioPanel 1 interview (either clinical or academic – order to benotified on the day)BreakPanel 2 interview (either clinical or academic – order to benotified on the day)Completion of evaluation questionnaire/travel expense form30 minutes10 minutes5 minutes10 minutesApplicants are advised to arrive promptly at their scheduled time. Applicantswho arrive after their scheduled time will not be allowed to take part in the interviewprocess unless there are extenuating circumstances, which will be at the discretionof the local academic lead/director.The interviewThe interview will be divided into two sections with different panels, each lasting 10minutes, one addressing clinical issues and the other academic. Each panel willconsist of two members. At least one clinician will sit on the clinical panel and oneacademic on the academic panel.Applicants will be issued with a clinical scenario and an abstract from a majorgeneral/specialist journal. The clinical scenario will form part of the clinical interviewand the abstract part of the academic interview. Applicants are not allowed to look ator refer to magazines, notes or electronic equipment once documentation has beenissued. Applicants will have a total of 30 minutes to consider the scenario andabstract before they begin their interview.During their two-year foundation programme, appointed candidates will have toachieve all standard <strong>Foundation</strong> competences in less clinical time, as they will alsobe undertaking academic activities. This makes it important that they alreadypossess good clinical skills and hence the inclusion of both academic and clinicalcomponents within the interview process.Applicants who receive an exceptionally low score in their clinical interview will notbe deemed appointable and will not be offered an academic programme.Version: 1 Page 14


Interview travel expensesFull guidance on claiming travel expenses is available in Appendix C. There is ausual maximum reimbursement limit of £150. Applicants should note that priorauthorisation is required for travel by road or air, and for overnight accommodation.Requests should be made in writing, stating provisional expense, via email to:tfsacademicrecruitment@stfs.org.uk.Matching to ProgrammesSuccessful applicants will be matched to specific programmes on the basis of theirscore and preferences i.e. applicants with the highest scores will be matched to theirpreferences first.SJT scores will not be used to calculate your <strong>TFS</strong> application score but all offers ofallocation to academic programmes will be subject to satisfactory SJT scores.Application OutcomesAll applicants will be contacted by e-mail on 22 January 2014 to inform them thattheir application results are available on FPAS. This will be either an offer of aprogramme, notification that they are on the reserve list or notification that they havenot been successful. Applicants who have received an AFP offer must accept ordecline the offer on FPAS within two working days of receiving it i.e. by 12.00 noonon 24 January 2014. Failure to do so on FPAS by the deadline will result in the offerbeing withdrawn.Cascade ProcessFollowing the acceptance period, if places are still available a cascade process willtake place, between 29 January 2014 and 14 February 2014, whereby <strong>TFS</strong> will offerunfilled places to the next highest scoring applicant available who has not yetaccepted an AFP elsewhere. During the cascade process applicants will bepermitted two working days to accept or reject the offer of a programme on FPAS.After the third cascade of offers <strong>TFS</strong> will have three days (17 – 19 February 2014) tooffer any remaining unfilled places to applicants still on the reserve list who have notalready accepted an offer elsewhere. Applicants will be contacted by phone or e-mail. Applicants will then have a limited amount of time to accept or decline theoffer.If an applicant accepts an AFP offer at any stage during the offers process, they willautomatically be excluded from the FP allocation. If an applicant does not receive anAFP offer or declines any offer(s) they receive, they will be automatically included inthe FP allocation.FeedbackUnfortunately, due to the number of applications <strong>TFS</strong> receives, we will be unable toprovide feedback on an individual basis.Version: 1 Page 15


<strong>TFS</strong> will, however, issue all applicants with their <strong>TFS</strong> rankings (including the numberof applications received) once the recruitment process has been completed. Thiswill include:• Quartile for application form• Quartile for academic interview (if applicable)• Quartile for clinical interview (if applicable)Case studyBob scored highly in both his EPM and application form. At the interview he alsoscored highly at the academic station but his score at the clinical station was verylow. As academic foundation doctors will have to achieve all standard <strong>Foundation</strong>competences in less clinical time, as they will also be undertaking academicactivities, Bob was therefore deemed unappointable and not offered a programme.AppealsApplicants cannot appeal against their score. The decisions made about their scoreby the short listing/interview panels are final.Applicants can only appeal if they think that the process discriminated against themin some way. There is an opportunity to do this at the conclusion of the process, afterapplicants are matched to programmes.Appeals are not accepted during the process as applicants cannot appeal against aprocess which is still running.Please refer to the appeals process in Appendix D for further information.Offer of EmploymentThe AFP recruitment process is a matching process only. You cannot make an appeal simply because you disagree with the principlesof the <strong>TFS</strong> recruitment process or the judgements or outcomes that havebeen made by the short listing/interview panels.
