Do’s and Don’ts Always scrutinise if the overtime is necessary and appropriate andstipulate the hours you are authorising. Always seek another way. Ask;• Can this work be carried out when the officer is next on duty?• Can this overtime be minimised through using other resources?• Can I make use of existing resources at my disposal?• Are there any other resources either within this division,department or elsewhere I can use?• What are the risks of not granting overtime? Always ensure that the officer completes the form P236 and it iscompleted and submitted in a timely manner with an explanation forthe use of overtime. Always ensure that the overtime is recorded on your Divisional /Departmental database ensuring that an accurate and up to daterecord of overtime spend is maintained. Be clear and prescriptive on exactly what overtime you haveauthorised. E.g. If you are authorising one hours overtime to processa handover of a prisoner be clear that further authority is required ifmore time is required. Don’t authorise overtime for TOIL without giving the sameconsideration in respect of appropriateness and necessity.
