MESSAGE FROM THE MANAGING DIRECTOR'S DESK
Dear Friends,
Mahendra K. Shah
Let me begin by first greeting all our readers, well-wishers and members of Group V
family A VERY HAPPY DIWALI AND NEW YEAR.
May the New Year be fruitful
–professionally as well as personally – and bring health, happiness, peace and
prosperity in every family and home.
Speaking of October performance well let me put it this way – it was a turn of tide in
comparison to the plateaus of its previous two months. For the first time in this FY, V-Trans
achieved the freight budgets. The sundry weight was missed by a tiny margin, else it
would have served like an icing on the cake.
Team Mumbai Region deserves to be praised for crossing the seven crore-revenue
barrier, a landmark achievement beating all estimates fulfilling the commitments made
in their MRM last month. Team V-Xpress too achieved a great performance – their all time
best. The Co is once again on the path of growth trajectory.
How can V-Logis lag behind? Adding to the joy, this youngest division leaped into prominence by bagging yet
another prestigious 40,000 sq. ft. warehouse space contract in Bhiwandi.
An astounding feat Team V-Trans Group, congratulations to each and everyone and keep this momentum going
in the coming months! I'm sure these are positive signs of an auspicious and promising beginning of the New
Year!
It is the season of business exhibitions and expos happening in most cities of India. These are ideal grounds for
sourcing business opportunities. It would be prudent for field and sales teams to visit these venues meet
prospective customers who are in the right frame of mind to discuss business prospects.
Customers today want their goods to reach destination at the fastest possible time, in safe and intact condition
and at a reasonable cost that will not eat into his margins. However, incidents like short and damaged receipt of
goods at destination keep occurring due to human errors. Such negligence cost the Co heavily. They not only
act as a loss of opportunity to the customer as well as the Co. but also result in loss of party's' trust and
goodwill in our service. Read our article of the month: Initiatives towards Zero Short / Excess detailing various
steps taken by the Cos operations machinery to curb this menace and establish 100% accuracy.
In our Health Zone, we present ten dangerous habits to avoid immediately after eating meals, for better and
faster digestion of food. Following these tips will help the body absorb the nutrition value of the food and avoid
many ailments.
In this fast-paced world, every passing minute counts and needs to be spent in productive activity. Many times
during our work, we are bombarded with lengthy and unnecessary mails, which can be very distracting and
time consuming. Our article, Minimizing Email Nuisance deals on controlled email usage with some valuable
tips that will go a long way in time management.
Best wishes,
ARTICLE OF THE MONTH: INITIATIVES TOWARDS ZERO SHORT / EXCESS OCCURRENCES
For the customers, an ideal transporter is one who will deliver his goods in the fastest possible time to his
consignee at destination, in safe and intact condition and at a reasonable cost that will not eat into his margins.
Keeping these customer needs in our hearts and matching his aspirations is our guru mantra in V-Trans.
'Service' being our main product, the customers' experience of the same forms the basis of his opinion and
building of future association. If he is satisfied with the quality of service, he will recommend the same to 10
others, if not he will dissuade an equal number against it. While it takes years for an organization to build its
reputation, but a tiny mistake can undo all good initiatives and bring it a bad name in a matter of seconds.
Keeping in mind the above stated customer needs, the
organization was determined to achieve optimum operations
efficiency. This included provision of trainings to staff, as also
to hamals and drivers on skills enhancement and attitude
management. However, due to other diversions, the
organization lost focus on this activity of late, which is now
regained through various measures and steps in the right
direction with use of latest technology and communication
tools for better results.
Co norms for Operations require them to physically count
and check packages whilst the truck is loaded, also check for
any leftover packages before it leaves premises. Many times
these rules are overlooked, maybe due to casual
attitude/laziness, pressure of work, or lapse in concentration. Photo of goods received without marking
These human errors result in occurrence of short / excess dispatches and damage to goods.
Cases of short / excess articles also get reported in trucks that are directly loaded / unloaded at the parties'
premises. Ideally, our staff should have accompanied the truck sent to party's premise. Again this does not
happen. While the party promptly lodges a claim on us, it is only after rechecking, the consignor admits to the
availability of the same at their end.
Internally too, a lot of noise is made over short receipt of articles, but branches rarely give details of excess
receipt in unloading reports. As per Compliance dept., these are noticed only at the time of physical stock
audits.
The important point to make here is that such incidents act as a loss of opportunity to the customer as well as
to us in terms of additional revenue loss, wastage of precious man-hours, exchange of correspondence, above
all, impact cordial business association.
With due diligence and thanks to our focused, special quality orientation drive and dedicated monitoring,
on-the-spot action policy, there has been a drastic drop in shortage/damage and we hope to bring it to near
zero level soon. The Co maintains a hawk-eye on movement of articles, P & L and vehicle procurement policy;
including marking errors, weight loss, transit documents, packing sustainability, etc. These are reported with
photographic evidence and explanations sought during MRMs & monthly Executive Meetings to nip them at
grass roots level.
TCs and BICs are expected to resolve short/excess cases instantly or on the same day, if not, goods would be
held up until correct details are furnished. Drivers too aren't spared and held accountable for poor quality and
quantity of loading found in the trip.
'Prevention is better than cure.' This article is a message to all our booking, delivery and operations staff to
be extra cautious follow the right booking and delivery procedures. In case of slightest doubt, don't hesitate to
seek help of seniors. This small act will save both the customer and the organization a lot of probable heartburn
and loss.
6

USEFUL TIP OF THE MONTH: MINIMIZING EMAIL NUISANCE
A common problem many of us face is the number of mails received in a day. The
excessive traffic of mails can be bothersome, disturb focus, affect priorities, and
much more. Many times important mails are ignored and are buried under trivial
mails.
We all float in the same boat. , so to improve productivity this needs to be
addressed to sensibly. The solution lies in understanding the value of time,
especially that of seniors with larger responsibilities, curtail this unhealthy practice of shooting out long
descriptive mails, marking CC unnecessarily to everyone “just for information” instead of on need-to-know
basis.
Let us minimize email nuisance with the following useful tips, which have
become necessary to serve its purpose, at the same time, create the
needed impact.
•
•
•
•
•
•
•
•
•
•
•
•
•
•
•
Keep the matter as much ''precise'' as possible, avoid lengthy mails.
Keep font size ideally ''10'' as bigger font size increases mail size
Before sending, go through the draft thoroughly, and see what you
can still delete.
Mark ''CC'' only to those who you believe must be informed. Do not
mark CC unnecessarily.
While replying, don't use ''reply to all'' blindly. Here too, mark CC only
to those who you believe should be informed.
Always type the subject in the column – this helps in drawing attention
to the mail faster.
Keep subject-line self-explanatory & don't leave it blank. Subject-line
gives an instant idea to recipient about contents of mail.
While replying, instead of retaining the entire original message, you may either delete the history or retain
only the required portion.
Never type e-mail ID while mailing; a spelling error caused while
typing will result in the mail bouncing back and not reaching the
intended recipient/s. Instead, use it from Address Book.
When mailing attachments always zip the file – this will reduce its
size. To the extent possible, try pasting contents in the mail body
instead of attachment.
Avoid bigger attachments, if unavoidable then upload it on a netbased
mailing service provider and mail the download link to the
recipient.
Responding to queries is a must; don't delay. Do respond even if the matter is pending at your end.
Avoid using fancy stationery
Ask for acknowledgment only in case of important e-mails
Know when to communicate directly over phone instead of using e-mail.
CHILL OUT ZONE!
Many of us cultivate habits, beliefs, or practices that could adversely affect our health. Here we present ten such habits:
1. Drinking Cold Water: It is natural for most of us to enjoy a glass or two of iced / chilled
water, unaware of the fact that it freezes fats in the food, especially those containing oils
and ghee. The fat accumulates in the intestines narrowing the digestive tract leading to
obesity. Drinking water at normal temperature a few minutes after eating is good;
however, lukewarm water is much better and healthier.
2. Eating fruits – Everyone likes to gorge on fruits after a meal.
Under normal circumstances, it usually takes 1–2 hours for
normal food to digest. Eating fruits immediately prolongs this
process. Besides symptoms of diarrhea, constipation and
excessive stomach acid, it causes the stomach to bloat. It is therefore advisable
to eat fruits one or two hours later or an hour before meal.
3. Drinking tea – Most of us love to indulge in a cup of tea after a nice meal. Tea
leaves contain a high amount of tannin. This substance mixes with the
undigested food to form sediments, affecting the absorption of proteins. Tea
also affects the iron in the body, causing anemia.
4. Smoking – experiments have proven that smoking a cigarette
immediately increases blood circulation 10 times faster,
causing damage to liver, brain and blood vessels of the heart
and increases chances of cancer forming cells.
5. Relaxing belt – Making the waist belt loose to reduce
tightness immediately after a heavy meal decreases air
pressure in the abdominal cavity, causing the stomach to sag downwards.
Continued habit causes blocked intestines and severe diseases.
6. Bathing immediately after meal increases blood flow
to hands, legs and body thereby decreasing the amount
of blood in the gastro-intestinal tract weakening the
digestive system leading to indigestion.
7. Walking – Often heard people saying that a brisk walk - say a hundred steps
after a meal makes one live until 99. This is not true. On the contrary, the
digestive system is unable to absorb the nutrition from the food we intake,
constrict the blood vessels affect the abdominal cavity.
8. Singing: After eating, the stomach walls become thinner due to the food contents. The
blood flow increases. In this condition, singing increases the burden on stomach cavity,
cause disruption of digestion and downward movement of food.
9. Driving should be avoided because the blood flow is more
towards the stomach to digest the food and less towards the
brain making it dull leading to judgmental errors and cause
accidents.
10. Sleep: Laying down on bed or sleeping immediately after taking food retards
digestion leading to gastric and infection in the intestines.
Remember, it is never too late to reverse your habits
for a happier, healthier life.
