<strong>Job</strong> <strong>Description</strong><strong>Part</strong>-<strong>Time</strong> <strong>Administrative</strong> <strong>Assistant</strong>Function:Location:Start date:Hours:Status:Reports to:Travel:Reception, accounting assistance, database management, telemarketing andgeneral office administrationLa Jolla, CAImmediate20-30 hours per week; Monday – Friday between 8:00am and 5:00pmNon-exemptSr. Director of OperationsSome travel may be required<strong>About</strong> <strong>CHI</strong><strong>CHI</strong>-California Healthcare Institute was founded in 1993 as a private, non-profit organizationdevoted to researching and advocating policies to advance the interests of California’sbiomedical industry. <strong>CHI</strong>’s dynamic team has built a membership of some 300 leadingbiomedical companies, academic research institutions and professional service firms.<strong>CHI</strong> is headquartered in La Jolla, California, with offices in Sacramento and Washington, D.C.that manage legislative advocacy and educational programs, as well as member relations.Essential FunctionsFront Office Administration Serve as first contact on telephones (low call volume) Greet visitors to <strong>CHI</strong>, screen for nature of visit, validate parking and providedirections to our office Sort and deliver mail to staff daily Order office supplies and maintain inventory Maintain office equipment and refresh paper and toner suppliesAccounting Assist in the online coding and approval process for all accounts payable Process credit card payments for member dues and event registration and coordinatereceipt correspondence Assist in monthly accounting reportingDatabase Management Regularly and accurately enter all information and updates in member database Audit database regularly for inaccuracies and correct information Conduct basic internet and phone research for continued database updatesMarketing Assistance Provide telemarketing services and lead management assistance for event promotionand marketing campaigns Assemble and deliver marketing information to prospective members Provide support with event and meeting preparationOther duties as assigned.


Required Skills & AbilitiesAs this position will be at the core of our business accounting, marketing and administrativeprocesses, the ideal candidate will be polished in appearance and behavior and highly detailorientedwith a passion for organization and efficiency.
