THE ASSOCIATION OF CANADIAN ARCHIVISTSIntroductionThis booklet has four purposes:• to introduce archives management as an integral part ofproper records keeping• to discuss the importance of preserving permanentlyvaluable archival records• to outline some of the requirements for an archivalprogram• to provide information on where to obtain additionalassistanceI Your Records and Their ManagementRecords as AssetsRecords and the information they contain are valuable assets toany organization. They are used to :• document transactions, decisions/and activities. They arealso used as the basis for other transactions, future decisionsand for new activities: “Why did we decide to purchasethat particular brand of product?”• establish legal precedents and establish rights and obligations:“Can we prove we own the land that our clinic is on?”• develop public relations campaigns, advertising campaignsconcerning changes in services, and for the celebrationof historical events such as an important anniversary:“Do we still have a photograph of the laying of thecornerstone?”• document specifications, research and innovative work:“Where are the original engineering drawings for thehospital extension built in 1980?”Types of RecordsEvery organization produces records in many physical forms,including paper, photographs, videos, blueprints, maps, drawings,sound recordings, and electronic information. There aretwo broad categories of records.4
