While checking into the hotel, please follow theinstructions of the Tour Manager. Sometimes due to high occupancy,hotel rooms might not be ready, in which case we request you to waitpatiently. You have the option of reserving a room from the previous day,though at an extra cost.Hotels rooms around the world have facilities like a mini-bar, paytelevision channels, which have to be paid for as per usage. Some hotelsoffer safe deposit lockers. We would recommend that you make useof them. In fact, in the current scenarioit would be far more prudent to furnish all documents at least four monthsbefore the departure date to avoid disappointments. At the very least, itis your responsibility to promptly furnish to us all documents required forapplication of your visas etc. latest by 60 working days before the departuredate. Given the security concerns and the over-cautious approach adoptedby embassies and consulates, visa processing can take quite long. Theprocessing time for visas varies according to the tour you have selectedwhich depends on the number of countries you wish to visit. Embassies /Consulates are located in various cities and may require longerprocessing time. We assist you in preparing and submitting the visaapplication based on documents provided by you. All UK, USA and FRANCEvisa applicants are required to provide biometric data aspart of the application process. Children under the age of5 (UK), 6 (FRANCE) and 14 (USA)* do not have to visit aVisa Application Centre to have their photographs and fingerscans taken, but their photographs will need to be providedwith the application form. Each time you apply for a UK,FRANCE visa you will need to have your fingers scanned andphotograph taken. If you are a regular traveler to the UK, werecommend that you consider applying for a longer term visa.The procedure is simple and quick and should take less than5 minutes. Visa procedures change from time to time and fromcountry to country.2. Does <strong>Cox</strong> & <strong>Kings</strong> guarantee VISA?<strong>Cox</strong> & <strong>Kings</strong> can give no guarantee. There is no guarantee thatwe can get the Visa for you. Our role is only to assist you tosubmit a visa application which is correctly filled and signed byyou. Embassies and Consulates have the sole jurisdiction andauthority for granting Visas. Visas can take upto 2 to 3 monthsto be granted / returned.3. Why is it necessary to confirm services beforevisas are obtained?One of the mandatory requirements of the Consulates / HighCommissions applying for tourist visas (in accordance to thevisa rules of each country) is that the person / traveler applyingfor a tourist / visitor visa must have a valid confirmed returnairline ticket reservation and confirmed hotel accommodationreservations. This is one of the many safeguards that theconsulates take whilst issuing tourist / visitor visas so as toensure that this is a genuine bonafide travel.4. On what basis is the visa granted or rejected ordeclined?It is the responsibility of the tourist to ensure that all informationfilled in the visa forms is correct and genuine. The visa is issuedby the consulate after it does all its background checks, thefinancial stability of the tourist, and after assessing the risk asto whether the tourist is likely to return to his home country orwould illegally overstay / seek employment in a foreign country.<strong>Cox</strong> & <strong>Kings</strong> have no role whatsoever to play in granting ordenial of visas because each traveler / tourist has his or herown circumstances and situation whereby they have to convincethe visa interview officer of their genuine intentions.5. What are the normal reasons of Visa rejections:Fraud documents – No chance to reapply.Insufficient fund’s in account – Passenger gets a chanceto reapply while submitting good bank statement, can breakinvestment done in FDR and transfer the fund to Saving accountand enclosed a letter from the bank for the same.Sudden deposits – Can reapply by giving explanation onletterhead and proof for fund transfer.Not provided evidence of business – Can reapply with businessregistration.Not provided original documents such as Income Tax Returnsand bank statement – Can reapply with original documents.Damaged passport – In case visas are rejected by theconsulates / embassies, you may consider re-application,provided we have sufficient time / working days prior to thedeparture of your selected tour date.6. Why are cancellations charged if VISAS arerejected?1. If the tourist cancels his / her travel there are certaincancellation fees that apply such as the airlines, hotels andcruises cancellation fees which then have to be passedon to the traveler. As explained earlier Consulates requireconfirmed tickets, hotels and insurance prior to acceptingthe visa.2. <strong>Cox</strong> & <strong>Kings</strong> has to bear certain administrative, processingand other expenses that are required to be made for makingthese reservations for the traveler. Hence, it is importantbefore confirming the tour package to study the cancellationpolicy and the cancellation charges that would apply once youconfirm the tour package. Also please note that Consulate /Embassies have their own visa application processing feesand visa fees which too have to be paid in advance at thetime of submitting your visa application. In most cases thereis no refund of any part of the visa fees or the visa applicationprocessing fees returned, if the tourist’s visa applicationis rejected by the consulate. In fact, many a time due tocancellation, <strong>Cox</strong> & <strong>Kings</strong> suffer losses because sometimesthe cancellation is done at a time of holiday rush and thesupplier such as the hoteliers, airlines and cruises have a100% cancellation charge.3. In group tours the advantage of a group tour is the reducedtour price due to the numbers of a group which facilitatescollective buying. When there are cancellations, the numbersof the group reduce and it is too late to fill the vacant seatsand the cost per tourist member on the group increases asthe number of travelling passengers are reduced.
