Dealer Support ServicesFrequently Asked Questions for <strong>Miscellaneous</strong> <strong>Returns</strong>1. Can I send my part back as soon as I submit the return?No, returns have to be “Approved” with the RMA (Return Material Authorization) Report andpaperwork generated BEFORE parts are shipped to <strong>AGCO</strong>. The RMA Paperwork indicates what PDCthe part return is shipped to.NOTE: If the return is shipped before “Approved” it may be sent back freight collect to theDealer.2. Will my returns be auto-approved?Not all returns are auto-approved. After transmission some returns will show in a “Held” status until<strong>AGCO</strong> approves the return. <strong>Returns</strong> already transmitted cannot be re-transmitted.3. Are any returns auto-approved?<strong>Returns</strong> that are “Dealer Responsibility” and under $1000 can be auto-approved after they aretransmitted. The RMA report will automatically be generated after transmitting the Return.4. Is there a limit to the number of parts I can submit in one return?Any number of parts can be entered on one return.5. Is it required that I use the RMA paperwork?The RMA Paperwork must be used with the Return. This paperwork contains a Bar Code that isscanned and used for processing the Return once it reaches the final destination. Tag each individualpart and make sure the packing list goes in the box.6. I have software that generates shipping labels. Can I use this software when sending apart back to <strong>AGCO</strong>?If the dealer generates a Shipping Label with their own Shipping Software, the address portion on theRMA Shipping label can be discarded. The Barcode, however, must be attached to the boxsomewhere.7. Will I still need to use the APAR form for some returns?The new On-Line <strong>Miscellaneous</strong> <strong>Returns</strong> eliminates the APAR form for most return reasons.8. Can I use On-line to submit returns over 45 days?Yes, a dealer can now use On-Line <strong>Returns</strong> to request approval of a part past 45 days. As with anyreturn, <strong>AGCO</strong> will approve or deny the return.9. What happens if I need to submit a return where I purchased the part over 90 days ago? Ican no longer download the invoice in On-line.<strong>Returns</strong> over 90 days require the invoice number. If a dealer cannot locate the invoice for the part,call <strong>AGCO</strong> Parts Customer Service to obtain the last invoice number the part was ordered on (<strong>AGCO</strong>can look up part invoice information up to 2 years ago).10. Are the returns validated before they are transmitted to <strong>AGCO</strong>?Yes, the returns are first “Validated” for the information entered and then “Transmitted.”11. How long do I need to keep the return in my database?Do not delete a return until it is denied or <strong>AGCO</strong> has approved and issued a credit.

If my return is denied, can I change the return, and then resubmit it?If a transmitted return needs to be sent again for any reason (i.e. a denied return needing additionalinfo, etc.) the return must be cloned. You cannot resend it as the same return that was alreadytransmitted. Clone the return, and then change the cloned return providing the additionalinformation needed. The cloned return will be treated as a new return request.13. If I submit two separate returns where parts are being returned to <strong>AGCO</strong>, and they areboth approved, can I ship the parts from both returns in the same box?A parts return shipment should only have parts from one return.14. Will <strong>AGCO</strong> pay for the freight to return the parts if the return is an <strong>AGCO</strong> Error?Yes, <strong>AGCO</strong> will pay for shipping. When a user boxes an approved return to ship to <strong>AGCO</strong> from an“<strong>AGCO</strong> Error,” you can then claim the freight cost by creating another return. Make sure to note thefreight amount in the comments section of the “<strong>Miscellaneous</strong>” tab.15. Will I receive an RMA for the returns where I do not return parts to <strong>AGCO</strong>?<strong>Returns</strong> involving “No parts to Return to <strong>AGCO</strong>”, such as credits for freight, discount, handlingcharges, etc. will not have reports created. A user can print the status message tab showing thereturn and approval information.16. Will the status message tab list my credit memo number?Unfortunately not, as various credit memos could be issued with one return. The credit memosissued for a return will, however, have the Dealer ID and the <strong>AGCO</strong> Return Authorization number inthe note area.Dealer Support Services 2 800.225.6782
