While the informationcontained in an SPA Quotation is <strong>of</strong>ten similar, the format used by individual manufacturers varies. The variationin formats requires interpretation and manual intervention by distributors, making SPA Set-Up a slow,labor-intensive process, prone to human error.The Industry Standards Committee—volunteers from distributors, manufacturers, and s<strong>of</strong>tware companies—developeddata formatting standards for SPA Quotations in the form <strong>of</strong> the EDIPro 845 Price Authorization Acknowledgement/Statustransaction set in 2006. Six years later, many manufacturers have yet to adopt this dataformatting standard. Not only does the method for identifying the itemsauthorized on an SPA Quotation vary by manufacturer, but the same manufacturer may include a combination<strong>of</strong> item/part numbers, catalog numbers, UPC/GTINs, and/or Vendor Product Groups on the same SPA Quotation,requiring interpretation and manual intervention by distributor personnel. Likewise, individual distributors havedifferent preferences in how they prefer to receive pricing on SPA Quotations—Discount Multipliers, DiscountPercentages, and/or net distributor cost.Discrepancies on SPA Claims are created when Discount Multipliers and Discount Percentages reference old orexpired pricing sheets. Furthermore, situations sometimes arise where the price for an item on an SPA Quotationis higher than the distributor’s regular in-to stock cost. Each method has its own advantages and disadvantages.Electronic Data Interchange (EDI) is a proven format for exchanging standard business documents. However,although EDI has been in use since the mid-1980’s, there are still manufacturers and distributors who have notadopted this technology. The transaction set for transmitting SPA Quotations electronically is the EDIPro 845Price Authorization Acknowledgement/Status.Flat File Transmission: Flat Files contain records without the structured relationships like the rows and columnsin Excel®. If EDI is not possible, Flat Files <strong>of</strong>fer the next best method <strong>of</strong> automating the transmission and loading<strong>of</strong> SPA Quotations for both manufacturers and distributors. NOTE: A copy <strong>of</strong> the IDEA EDIPRO 845 Flat File Standardis included in Appendix A.Emailing Files as Attachments: Some manufacturers email SPA Quotations to distributors in .pdf, .txt, .dat,and/or Excel® format.
