23Organising the celebration eventPlanning – TimelineAt least one month before• Choose a date for the celebration day (plus an additional one in case of bad weather) thatdoesn’t clash with any other school activities.• Decide on the format of the day (i.e. whole/half-day, KS2/individual year groups).• Decide on the area to be used.• Select appropriate activities that take into account:- how many children will be involved- area to be used- age/ stage of children involved- equipment required- time available.• Decide on area layout.• Produce draft event programme (to include timings, activities, number of activityco-ordinator/leaders/helpers required, equipment required, safety considerations).• Share event details with members of staff.• Identify and recruit volunteers.• Invite guests/parents.At least one week before• Give each activity co-ordinator/ leader/helper a copy of the event programme andactivity card.• Check that everyone involved is clear about their role and responsibilities.• Check equipment.• Photocopy/print off certificates.• Contact guests to confirm attendance/event details.On the day• Check equipment is safe to use.• Check activity area is safe.• Set up activities.• Set up refreshments (if applicable).• Put up banners, posters and signs.• Conduct final briefing for all adult co-ordinators and young leaders.After the event• Clear away equipment, litter, banners etc.• Send thank-you letters to guests.• Order/organise refreshments.At least two weeks before• Produce final event programme (to include timings, activities, leaders/helpers , equipmentrequired, safety considerations).• Share roles and responsibilities, to include:- activity leader- activity helper- first aiders- activity set-up- refreshments- compere- warm-up leader- event manager.• Undertake a risk assessment.• Select teams and share with pupils/ teachers.Matalan TOP Games Celebration DayMatalan TOP Games Celebration Day

6Involving parents and the communityInvolving parents and the community can greatly enhance your eventDepending upon experience parent helpers and volunteers from the community can take on avariety of roles including co-ordinating a zone, organising spectators/ refreshments, setting-up/clearing away etc.Young leaders, both from your school and possibly the local secondary school, can also providehelp and the experience will allow them the opportunity to put their leadership into practiceand therefore, it is mutually beneficial!You could ask the pupils and their parents to make a ‘Sporting Promise’ to encourage them totransfer what they have learned through Matalan TOP Games into their home lives – this couldreflect the Thinking, Social, Healthy and Physical Me areas of learning!Involving your local mediaInviting the regional press down to your Celebration Day can highlight the great work yourschool is doing for the community.Please go to the media section on www.sportingpromise.co.uk for template media alerts aswell as past press releases, logos and images.Working with Matalan storesAnd finally, as this programme is supported by Matalan, you could take the opportunityto create a business link with your local Matalan store! This could lead to a variety ofopportunities, for example:• Matalan staff helping out at the event – they could help to give out certificates or set up theareas you need for your day.• Working with Matalan staff to use their expertise for cross-curricular learning,e.g. advertising/ display/ money/ fashion design/ mapping.• Host your very own Matalan catwalk event as a fundraising event or bit of fun.• You could arrange a store visit for your young people – Matalan staff can take you on a floorwalk around the store.• Stores could donate their old Point of Sale stock for your school to use as a design card.• Work with your local Matalan store to deliver creative, fun and engaging competitions.• Why not approach them for some raffle prizes?• Matalan will also offer exclusive discounts for parents of your school – you will receive thesevouchers in the post and are encouraged to distribute these via your students.Contacting your store• To find your local store please see store details on the following pages.• The best person to ask for is the store manager or duty manager.
