Joint Warfighting 2013 Exposition Rules1. PurposeThe objective of Joint Warfighting 2013 is to further AFCEA/USNI objectives by providinga forum through exhibits and technical panels. Exhibitors are limited to firms,organizations and agencies whose exhibits are in harmony with the purpose of thisExposition. Active selling or order taking is NOT permitted.2. Location of ExhibitsThe Exposition will be held at the Virginia Beach Convention Center, Virginia Beach,Virginia.3. SubleasingExhibitor may not sublet his exhibit space, nor any part thereof, nor exhibit, offer for sale,or advertise articles not manufactured or sold by the exhibiting company, except wheresuch articles are necessary for proper demonstration or operation of the <strong>exhibitor</strong>’sdisplay, in which case identification shall be limited to the manufacturer’s normal regularnameplate. Exhibitor may not permit non-exhibiting company representatives to operatefrom his booth. Rulings of AFCEA/USNI shall, in all instances, be final with regard to useof exhibit space.4. Occupancy DefaultAny <strong>exhibitor</strong> failing to occupy space contracted for shall not be relieved of the obligationof paying the full rental charge of such space. If not occupied by the time set forcompletion of the installation of the displays, such space shall be taken by AFCEA/USNI,and re-allocated or reassigned for such purposes or use AFCEA/USNI may see fit.5. EligibilityAFCEA/USNI has the sole right to determine the eligibility of any company or product forinclusion in the Exposition.6. Cancellation or Change of ExpositionIn the event that the premises in which the Exposition is conducted should become unfitfor occupancy or substantially interfered with by reason of any cause or causes notreasonably within the control of AFCEA/USNI or its agents, the Exposition may becanceled or moved to another appropriate location, at the sole discretion ofAFCEA/USNI. AFCEA/USNI shall not be responsible for delays, damage, loss,increased costs, or other unfavorable conditions arising by virtue of cause or causes notreasonably within the control of AFCEA/USNI. Causes for such action beyond thecontrol of AFCEA/USNI shall include, but are not limited to: fire, casualty, flood,epidemic, earthquake, explosion, accident, blockage, embargo, inclement weather,governmental restraints, act of a public enemy, riot or civil disturbance, impairment or lackof adequate transportation, inability to secure sufficient labor, technical or otherpersonnel, labor union disputes, loss of lease or other termination by the Virginia BeachConvention Center, municipal, state or federal laws, or act of God. Should AFCEA/USNIterminate this agreement pursuant to the provisions of this section, the <strong>exhibitor</strong> waivesclaims for damage arising therefrom. Refunds of “Paid Exhibit Space Fees” in the eventof event termination or cancellation shall be made to <strong>exhibitor</strong>s at the sole discretion ofAFCEA/USNI and in any case, will not exceed the amount of each <strong>exhibitor</strong>’s paid exhibitspace fee less any pro rata adjustments based on non-reimbursable direct and/or indirectevent costs or financial obligations incurred by AFCEA/USNI through the date of<strong>exhibitor</strong>s’ notification of event termination or cancellation or through the completion ofevent termination or cancellation processes, whichever is later.7. Cancellation by ExhibitorIn the event of cancellation by an <strong>exhibitor</strong>, AFCEA/USNI shall determine an assessmentcovering the reassignment of space, prior <strong>service</strong>s performed, and other damagesrelated to cancellation, according to the following schedule:July 17, 2012 through January 14, 2013, 50% of total booth rental fee.After January 14, 2013, 100% of total booth rental space fee.AFCEA/USNI must receive written notification of the cancellation by registered or certifiedmail. Date cancellation notice is received by AFCEA/USNI will determine aboveassessment charges. In the event of either a full or partial cancellation of space by an<strong>exhibitor</strong>, AFCEA/USNI reserves the right to reassign canceled booth space, regardlessof the cancellation assessment. Subsequent reassignment of canceled space does notrelieve the canceling <strong>exhibitor</strong> of the obligation to pay the cancellation assessment.Appropriate payment must be received within 15 days of cancellation.8. Limitation of LiabilityExhibitor agrees to make no claim for any reason whatsoever against AFCEA/USNI, itsemployees, agents, or representatives for loss, theft, damage, or destruction of goods;nor for any injury, including death, to himself, employees, agents or representatives; norfor any damage of any nature, including damage to his business for failure to provideexhibit space; nor for failure to hold the Exposition as scheduled; nor for any action oromission of AFCEA/USNI. The <strong>exhibitor</strong> is solely responsible for his own exhibitionmaterial and products, and should insure exhibit and products from loss or damage fromany cause whatsoever. It is understood all property of an <strong>exhibitor</strong> is in his care, custody,and control in transit to, or from, or within the confines of the exhibit hall. AFCEA/USNIshall bear no responsibility for the safety of the <strong>exhibitor</strong>, its personnel, employees,agents or representatives or personal property.9. InsuranceExhibitors shall, at their sole cost and expense, procure and maintain through the term ofthis contract, the following insurance: Comprehensive General Liability insurance withlimits not less than $1,000,000 including Contractual Liability and Products Liabilitycoverage and Workman’s Compensation in full compliance with all laws covering the<strong>exhibitor</strong>’s employees. Proof of such insurance shall be provided to AFCEA/USNI or itsagent or representative upon request.10. Union LaborExhibitor shall employ only union labor, as made available by official contractors in thesetting up and dismantling of the exhibits and in the operations when required by unionagreements. Exhibitors planning to build special displays should employ union displaycompanies in their fabrication, carpentry and electrical work.11. Installing, Exhibiting, DismantlingHours and dates for installing, exhibiting, and dismantling shall be those specified byAFCEA/USNI. Exhibitor shall be liable for all storage and handling charges resulting fromfailure to remove exhibit material from the Exposition before the specified conclusion ofthe dismantling period set by AFCEA/USNI.12. Damage to PropertyExhibitor is liable for any damage caused by <strong>exhibitor</strong>, <strong>exhibitor</strong>’s agents, employees orrepresentatives to building floors, walls, or columns, or to standard booth equipment, or toother <strong>exhibitor</strong>’s property. Exhibitor may not apply paint, lacquer, adhesive or othercoatings to building columns, floors or walls, or to standard booth equipment.13. Floor LoadingUnder no circumstances may the weight of any equipment or exhibit material exceed thespecified floor load limit of the exhibit hall. Exhibitor accepts full and sole responsibility forinjury or damage to property or persons resulting from failure, knowingly or otherwise, todistribute the exhibit material and products in conformity with the maximum floor loadspecifications.14. Alcoholic BeveragesThe dispensing, distribution or use of alcoholic beverages in the Exposition hall isprohibited without the express prior approval of AFCEA/USNI.15. Flammable MaterialsNo flammable fluids or materials of any nature, including decorative materials, use ofwhich is prohibited by national, state, or city fire regulations may be used in any booth.16. Lotteries or ContestsThe operation of games of chance or lottery devices, or the actual or simulated pursuit ofany recreational past time is permitted only on written approval from AFCEA/USNI.17. Noise and OdorsNoisy or obstructive work will not be permitted during open hours of the Exposition, norwill noisily operating displays, nor exhibits producing objectionable odors. AFCEA/USNIshall have sole discretion in determining what is noisy, obstructive or objectionable.18. MusicAny <strong>exhibitor</strong> using music must ensure that licensing fees have been paid to theappropriate agency, i.e., ASCAP or BMI. AFCEA/USNI is not responsible for anylicensing fees for music played in <strong>exhibitor</strong>’s booth.19. Obstruction of Aisles or BoothsAny demonstration or activity that results in excessive obstruction of aisles or preventsready access to nearby <strong>exhibitor</strong>’s booth shall be suspended for any periods specified byAFCEA/USNI.20. AttendanceAdmission policies shall remain, at all times, the prerogative of AFCEA/USNI, and maybe revised or amended to suit unforeseen conditions.21. Booth PersonnelExhibitor representatives are restricted to personnel engaged in the display,demonstration, application or sale of the company’s product or <strong>service</strong>s. Boothpersonnel shall wear “<strong>exhibitor</strong>” badge identification furnished by AFCEA/USNI at alltimes while they are in the exhibit area. All other employees and representatives of theexhibiting companies must register as Show Attendees. AFCEA/USNI reserves the rightto restrict or limit the number of booth representatives. All exhibits must have personnelpresent during show hours.22. Height and Non-Blocking RegulationsAll exhibit display construction design must conform to the regulations set forth in the“Display Rules and Regulations,” a copy of which is supplied to each <strong>exhibitor</strong> byAFCEA/USNI. “Display Rules and Regulations” provides details as to what is allowed for<strong>exhibitor</strong>’s booth so as to enable use of the space without detriment to neighboring<strong>exhibitor</strong>s or the Exposition.23. Electrical SafetyAll wiring on booths or display fixtures must meet underwriters’ rules and standard firedepartment inspection. This applies to booth construction only and not to pre-wired radioand electronic equipment.24. Use of SpaceDisplays and demonstrations are limited to the confines of an <strong>exhibitor</strong>’s own booth, as isthe distribution of literature or other items.25. DisplayAFCEA/USNI shall have full authority for approval or arrangement and appearance ofitems displayed. AFCEA/USNI may, at its discretion, require replacement,rearrangement, or redecoration of any item or any booth, and no liability shall attach toAFCEA/USNI for the costs that may evolve upon <strong>exhibitor</strong> thereby. Exhibitors withspecial backgrounds or side dividers must make certain that such material is furnished insuch a manner as to not be unsightly to <strong>exhibitor</strong>s in adjoining booths. If such surfacesremain unfinished at twelve noon of the day before the scheduled opening of the show,AFCEA/USNI shall authorize the official decorator to effect the necessary finish and the<strong>exhibitor</strong> must pay all charges involved thereby.26. Exhibitor Representative’s ResponsibilityExhibitor agrees to indemnify AFCEA/USNI, its employees, agents, or representativesagainst—and hold them harmless for—all claims arising out of the acts of negligence of<strong>exhibitor</strong>, <strong>exhibitor</strong>’s agents, employees or representatives, and any claims for injury to<strong>exhibitor</strong>, its employees, agents, representatives, or event attendees.27. Waiver of RightsAny rights of AFCEA/USNI under this contract shall not be deemed waived in anymanner except as specifically waived in writing and signed by an authorized officer ofAFCEA/USNI.28. Relocation and Floor Plan RevisionsAFCEA/USNI retains the exclusive right to revise the exhibition hall floor plan and/ormove assigned <strong>exhibitor</strong>s as necessary.29. Amendment and Addition RulesAny matters not specifically covered by the preceding rules shall be subject solely to thedecision of AFCEA/USNI. AFCEA/USNI may, at any time, amend or add further rules tothese rules, and all amendments made shall be binding on <strong>exhibitor</strong> equally with theforegoing rules and regulations.30. Agreement to RulesExhibitor, for himself or itself, his or its personnel, employees, agents or representatives,agrees to abide by the foregoing rules and those provided and contained in the ExhibitorsManual, and by any amendments and additional rules that may be put into effect byAFCEA/USNI.


LINEAR EXHIBITS (“IN-LINE”)Back wall height limitation is 8’.BOOTH HEIGHT REGULATIONSDisplay materials should be arranged in such a manner so as not to obstruct sight lines ofneighboring <strong>exhibitor</strong>s. The maximum height of eight feet (8’) is allowed only in the rear five feet(5’) of the booth space, with a four-foot (4’) height restriction imposed on all materials in theremaining space forward to the aisle. This rule applies regardless of the number of linear boothsutilized (10’x20’, 10’x30’, or larger).CORNER EXHIBITSA corner booth is a linear booth (“In-Line”) exposed to aisles on two sides. All other guidelines forlinear booths apply.ISLAND EXHIBITSHeight limit INCLUDING signage is 20’ (from the floor to the top of the sign).An Island Booth is any size booth exposed to aisles on all four sides.Dimensions: An Island Booth is typically 20’x20’ or larger, although it may be configured differently.Use of Space: The entire cubic content of the space may be used up the maximum allowable height.PENINSULA EXHIBITSHeight limit for a 20’x20’and larger is a 14’ solid wall. 4’ set back from aisles at the end of thebooth. Height limit for a 10’x10’ and a 10’x20’ is 8’ solid wall. 4’ set back from aisles at end of thebooth.A Peninsula Booth is exposed to aisles on three (3) sides and composed of a minimum of fourbooths. There are two types of Peninsula Booths: one which backs up to Linear Booths, and onewhich backs to another Peninsula Booth and is referred to as a “Split Island Booth.”Dimensions: A Peninsula Booth is usually 20’x20’ or larger. When a Peninsula Booth backs up to twoLinear Booths, the back wall is restricted to four feet (4’) high within five feet (5’) of each aisle,permitting adequate line of sight for the adjoining Linear Booths.END-CAP EXHIBITSEnd cap booths are not permitted at the AFCEA/U.S. Naval Institute Joint Warfighting 2013Conference.Please refer to the diagrams immediately following for a pictorial description of the blocking rules and height restrictions.


APPROVED LAYOUT FOR LINEAR BOOTHS


EXHIBIT HALL AND FACILITY REGULATIONS• Americans with Disabilities Act (ADA) - All exhibiting companies are required to be incompliance with the Americans with Disabilities Act (ADA), and are encouraged to besensitive, and as reasonably accommodating as possible, to attendees with disabilities.Information regarding ADA compliance is available from the U.S. Department of Justice ADAInformation Line, (800) 514-0301, and from the ADA Web site atwww.usdoj.gov/crt/ada/adahom1.htm.• Animals are NOT permitted in the facility unless they are <strong>service</strong> animals or part of a scheduledevent.• Balloons (Helium) are permitted in the exhibit hall; however there is a $150 charge toretrieve lost balloons.• Booth Set Up Guidelines - Only official contractors, <strong>exhibitor</strong> appointed contractors andexhibiting company personnel are permitted on the show floor during move-in, move-outand NO ONE under the age of 18 is permitted on the show floor during that time. It is theresponsibility of Exposition Management to ensure the overall appeal of the exhibit area.We need your cooperation in assuring an attractive Exposition. Guidelines addressingheight, depth, structural integrity, storage and important detail for each type of boothconstruction follow in this section. Exposition Management complies with any policy the FireMarshal mandates, and adheres to the official 2011 Update to the IAEE Guidelines forDisplay Rules and Regulations. Should your exhibit not conform you will be asked to modifyit on-site at your expense. Show Management will advise you if you are in violation and giveyou the opportunity to make adjustments prior to the Fire Marshal walkthrough.• Canopies and Ceilings - Canopies, including ceilings, umbrellas and canopy frames, can beeither decorative or functional (such as to shade computer monitors from ambient light orfor hanging products). Canopies for Linear or Perimeter Booths should comply with line ofsight requirements. The bottom of the canopy should not be lower than seven feet (7’) fromthe floor within five feet (5’) of any aisle. Canopy supports should be no wider than threeinches (3”). This applies to any booth configuration that has a sight line restriction, such as alinear booth. Fire and safety regulations in many facilities strictly govern the use of canopies,ceilings and other similar coverings. Please contact the Official Service Contractor withquestions.• Carpet/Flooring – Booth carpeting is NOT included in your booth price, unless you areregistered as a Military/Government or Small Business <strong>exhibitor</strong>. Carpeting is REQUIRED inall exhibit spaces. You may provide your own carpeting or order carpet through BredeExposition Services. Please refer to their order forms in the SERVICE ORDER FORMS section.The aisles will be covered with navy blue carpet.

It is the responsibility of each <strong>exhibitor</strong> to arrange displays, productpresentation, audio visual presentations and demonstration areas to ensure compliance.Special caution should be taken when demonstrating machinery or equipment that has movingparts, cooking equipment with open flame, or any product that is otherwise potentiallydangerous. Exhibitors should establish a minimum setback of three feet (3’) and/or installhazard barriers as necessary to prevent accidental injury to spectators. Sound demonstrationsshould not exceed 85 decibels. Additionally, demonstrations should only be conducted byqualified personnel.• Direct Cash sales from the show floor are NOT permitted.• Electrical Service – The Virginia Beach Convention Center does not provide 24-hourelectrical <strong>service</strong>. To order 24-hour electrical <strong>service</strong> or to order any other utilities, pleasecomplete the appropriate form in the Service Order Forms section.o Every exhibit facility has different electrical requirements; however, minimumguidelines are suggested:• All 110-volt wiring should be grounded three-wire.• Wiring that touches the floor should be “SO” cord (minimum 14-gauge/threewire)flat cord, which is insulated to qualify for “extra hard usage”.• Cord wiring above floor level can be “SJ” which is rated for “hard usage.”• Using zip cords, two-wire cords, latex cords, plastic cord, lamp cord, open clipsockets, and two-wire clamp-on fixtures are not recommended and are oftenprohibited. • End-Cap-Draping - Any portion of your exhibit with visible unfinished sides or backs exposedMUST BE DRAPED OFF. (Example: metal grid behind pop-up displays) by 3:00PM on Monday,May 16, 2013. Brede Exposition Services shall not be responsible for damage to uncrated materials, materials improperly packed, or concealed damage.2. Brede Exposition Services shall not be responsible for loss, theft, or disappearance of <strong>exhibitor</strong>'s materials after same have been delivered to <strong>exhibitor</strong>'s booth.3. Brede Exposition Services shall not be responsible for loss, theft, or disappearance of materials before they are picked up from <strong>exhibitor</strong>'s booth for re-loading afterthe show. Brede bills of lading covering outgoing shipments which are tendered to Brede Exposition Services by <strong>exhibitor</strong>s, will be checked at time of actualpickup from booth and corrections made where discrepancies occur.4. Brede Exposition Services shall not be liable to any extent whatsoever for any actual, potential, or assumed loss of profits or revenues, or for any collateral costs,which may result from any loss or damage to an <strong>exhibitor</strong>'s material which make it impossible or impractical to exhibit same.5. The consignment or delivery of a shipment to Brede Exposition Services by an <strong>exhibitor</strong>, or by any shipper on behalf of any <strong>exhibitor</strong> shall be construed as anacceptance by such <strong>exhibitor</strong> (and/or other shipper) of the terms and conditions set forth in this bulletin.6. Brede Exposition Services shall exercise ordinary diligence and care in the receiving, handling and storage of all shipments. Brede Exposition Services shall notbe liable for loss or damage by fire, acts of God, or causes beyond its control. Brede Exposition Service's liability shall be limited to the physical loss or damage tothe specific article which is lost or damaged. In any case, the liability of Brede Exposition Services is limited to $ .30 per pound per article, with a maximum of$50.00 per item, and a maximum of $1,000.00 per shipment. This applies while these goods are in Brede's warehouse, in vehicles for delivery, or at show site.7. Claims for loss or damage which are not submitted to Brede Exposition Services within thirty (30) days of the close of the show on which the loss or damageoccurred shall be considered waived. No suit or action shall be brought against Brede Exposition Services or its subcontractors more than one (1) year after theaccrual of the cause of action therefore.8. Shipments received without receipts, freight bills, or specified unit counts on receipts or freight bills (i.e., one lot, 800 cu. ft., etc.), such as UPS or van lines will bedelivered to the <strong>exhibitor</strong>'s booth without guarantee of piece count or condition. No liability will be assumed by Brede Exposition Services for such shipments.9. Empty container labels will be available at the <strong>service</strong> desk. Affixing the labels is the sole responsibility of the <strong>exhibitor</strong> or his/her representative. All previouslabels should be removed or completely covered. Brede Exposition Services assumes no responsibility for errors to the aforementioned procedure, removal ofcontainers with old empty labels and without Brede Exposition Services labels, improper information on empty labels, or valuables stored in containers with emptylabels.10. Exhibitors should arrange for outgoing shipments during the show or immediately after its close. Brede will assist in the preparation of Brede bills of lading.Be sure that your material has been carefully crated or packed, and properly tagged or marked.11. In order to expedite removal of materials, Brede Exposition Services shall have authority, without further clearance with <strong>exhibitor</strong>s, to change designated carriers.12. Labor and <strong>service</strong>s ordered on behalf of <strong>exhibitor</strong>s by display builders or other parties must be so authorized in a letter from <strong>exhibitor</strong>s. Payment for all labor and<strong>service</strong>s will be the responsibility of the <strong>exhibitor</strong>.13. Freight handling charges are the responsibility of the <strong>exhibitor</strong> to whom shipments have been consigned. Also, charges for loading out freight shipments are theresponsibility of the <strong>exhibitor</strong> from whose booth shipments are made. Exhibitors may not assign this responsibility to suppliers or customers.The <strong>exhibitor</strong> agrees, in the event of a dispute with Brede Exposition Services relative to any loss or damage to any of their materials or equipment, that they willnot withhold payment of any amount due to Brede Exposition Services for Drayage or any other <strong>service</strong>s provided by Brede Exposition Services as an offsetagainst the amount of the alleged loss or damage. Instead, they agree to pay Brede Exposition Services at the close of the show for all such charges, and theyfurther agree that any claim they may have against Brede Exposition Services shall be pursued independently by them as a completely separate transaction to beresolved on its own merits.14. Service charge of 1-1/2% per month on any unpaid balance will be made starting 30 days after date of invoice.15. Where an <strong>exhibitor</strong> indicates choice of carrier for pickup it is the <strong>exhibitor</strong>'s responsibility to arrange with such carrier for said pickup <strong>service</strong>. If the carrier does notpick up within the time limited for the removal of <strong>exhibitor</strong>'s materials at the Exhibit Hall, we reserve the right to forward such material by the shipping method of ourchoice or to remove said material to our warehouse for disposition, at an additional charge to the <strong>exhibitor</strong> in accordance with prevailing rates for the <strong>service</strong>performed.16. Material left behind without orders placed at the Drayage Service Desk may be classified as abandoned. The Drayage Contractor shall not be responsible forsame. We are not responsible for any delay of rush shipments. We will expedite such rush shipments to the best of our ability, but will not assume any financialresponsibility for shipments which do not arrive at their destination at a dated time.17. EXHIBITORS ARE URGED TO CARRY ALL-RISK INSURANCE covering your materials against damage, loss and all other hazards from the time shipments aremade prior to the show until shipments are received back after the show. This can generally be done by adding "riders" to existing insurance policies, often at noadditional cost. Coverings for counters or tables used within or as a part of the booth shallbe flame-retardant. All electrical wiring and apparatus shall be of a 3-wire UL type approved.PermitsA permit shall be required for the following:• Display and operation of any heater, barbecue, heat-producing or open flame device, candles,lamps, lanterns, torches, etc.• Display or operation of any electrical, mechanical, or chemical device which may be deemedhazardous by the local fire department.• Use or storage of flammable liquids and dangerous chemicals.• Display of any internal combustion engine (special requirements available upon request).• Use of any compressed gases (permit required for 32CF bottles 1/2 full or less).ObstructionsFlameRetardantTreatmentCombustiblesAisles and exits, as designated on approved show plans, shall be kept clean, clear and free of obstacles. Boothconstruction shall be substantial and fixed in position in specified areas for the duration of the show. Easels,signs, etc., shall not be placed beyond the booth area into aisles. Firefighting equipment shall be provided andmaintained in accessible, easily-seen locations and may be required to be posted with designating signs.All decorations, drapes, signs, banners, acoustical materials, cotton, paper, hay, straw, moss, split bamboo,plastic cloth and similar materials shall be flame-retardant unless smaller than 1,232 square inches (28" x 44") ifseparated from other combustibles by a minimum of 12" horizontally and 24" vertically. Oil cloth, tar paper, nylonand certain other plastic materials cannot be made flame-retardant, therefore their use is prohibited .Literature on display shall be limited to reasonable quantities (one-day supply). Reserve supplies shall be kept inclosed containers and stored in a neat and compact manner in a location approved by the fire department. Allexhibit and display empty cartons must be stored in an approved drayage area. If show is under a 24-hourapproved manned security program, automobiles are allowed to retain 1 gallon or less of fuel, and gas caps mustbe taped. SECURITY TIPSEAST: Joint Warfighting Conference & Exposition Management will provide front entrance, perimetersecurity and roving security personnel. Although security will be provided during move-in, show daysand move-out, it is always the <strong>exhibitor</strong>’s responsibility to ensure the security of his/her exhibit andits contents. If you wish to hire personal in-booth security please contact Swanson Security at theVirginia Beach Convention Center at 757-385-2154.The following security tips are offered:• Always remove your badge once you leave the facility.• Never leave small electronic equipment such as laptop computers, monitors, cell phones,personal hand-held electronic devices unattended in your booth, ESPECIALLY OVERNIGHT. Thisrule should also apply to personal items such as briefcases, purses etc.• Shipping cartons should not identify contents. Use coded labels.• Do not ship DVD Players, laptops, PCs and other electronic equipment in the manufacturer’scartons. Consolidate shipments of several boxes into one large crate or carton if possible.• Empty cartons and crates are not kept in a secure area. Do not store valuables in them.• For those exhibits featuring theft-prone products, some thought should be given to displaying areplica or bringing extras.• Cover your products before and after show hours. Use Velcro or grommets to secure fabric overthe products.• Mark all crates and cartons with your company’s name and address.• When your crates have been returned to your booth for move-out, make certain all items areaccounted for.• At the close of the exposition and after your materials are packed, turn in your bills of lading atthe Brede Exhibitor Service Desk. Do not leave them in your booth or attached to crates. Staywith your equipment, if possible.• Report any loss or damaged cartons to Show Management and to the Security Supervisorimmediately.AFCEA, The U.S. Naval Institute, J. <strong>Spargo</strong> & <strong>Associates</strong>, Inc., Brede Exposition Services, the VirginiaBeach Convention Center, and all organizations and individuals who are employed by, or associatedwith the conference and exposition, will not be responsible for injury that may occur to an <strong>exhibitor</strong>,his/her employees, or any agents, or for the safety of an exhibit or other property against theft, fire,accident or any other destructive cause. EXHIBITING TIPS FOR SAVINGTIME AND MONEY• Read the <strong>exhibitor</strong> <strong>manual</strong> thoroughly, and be certain that forms are completed by someone familiar with your show needsand the on-site person.• Be sure to complete all the Show Management required forms-such as <strong>exhibitor</strong> registration, program listing, lead retrievaletc.• Make sure that your on-site representative has copies of all orders, invoices and paperwork associated with exhibiting andshipping.• Order by the deadlines shown on the forms to take advantage of generous discounts.• Provide diagrams whenever possible…for hanging signs, electrical placement/distribution, booth installations, etc.• Be sure to comply with Fire Marshal and Show Management Rules & Regulations regarding booth design for theconstruction and design of your exhibit. On-site changes can be costly due to unapproved exhibits.• Consider the costs of rental displays, carpet and booth furnishing versus shipping and material handling charges for thesame.• Meet your freight target times, and instruct your drivers to check in at the marshaling yard (if applicable) before thedeadline noted in the <strong>service</strong> <strong>manual</strong> to avoid additional surcharges.• If you provide your own booth carpet, ensure that it is packed at the rear of the truck so that it can be offloaded andinstalled first. Also consider shipping it in advance to allow for straight-time installation when possible.• Please, make sure that all of your display items are packed securely in crates or boxes. Loose, pad-wrapped and nonpalletizeditems are charged at higher rates.• Work closely with your freight carrier representative to ensure that items being shipped are classified and labeledaccurately.• Ship hanging signs in advance to allow for straight-time installation when possible.• Place a rider on your existing company insurance policy to ensure that your exhibit or product is covered from the time theyleave your possession to the time they are returned, or purchase show insurance. Show Management and officialcontractors are not responsible for lost, stolen, damaged exhibits or products.• Submit <strong>exhibitor</strong> personnel badge requests in advance.• Submit Exhibitor Appointed Contractor paperwork and appropriate insurance no later than 30 days prior to move-in.• Take necessary security precautions, such as not leaving laptops in your booth over night, etc.• If you have a dispute regarding ANY payments for <strong>service</strong>s or for damages to property, please be sure to notify a member ofShow Management before the show closes. Show Management will be able to provide you with information on what stepsyou may want to consider taking next.• Be sure to look over all products when delivered to your exhibit and document ANY damage. Be sure to provide ShowManagement with a copy of your report.• If you plan to dispute any charges provided by any “Official Service Provider” please notify Show Management immediatelywe may be able to lend assistance.
