<strong>JOB</strong> <strong>DESCRIPTION</strong><strong>Job</strong> <strong>Title</strong>:<strong>Salary</strong>:Responsible to:Responsible for:<strong>Job</strong> Purpose:<strong>Purchasing</strong> <strong>Officer</strong>Points 12 to 14 on the Common Pay ScaleFinance ManagerNo responsibility for staffTo administrate and deliver the day to day purchasing function for theCollege in accordance with College Financial Regulations to achievebest value in reducing costs, and the administrative costs ofpurchasing.Main Duties and Responsibilities1. Administrate and deliver the day to day purchasing function for the College byobtaining quotes and placing orders with suppliers for goods and services using theCollege Finance computer program.2. To liaise with and provide support for all College departments in respect of financialprocedures for purchasing and assist with accurate record keeping to ensure ordersare properly authorised and within budget.3. To match delivered goods to the relevant order, ensure correct authorisation ofdelivery and enter delivery notes onto the College Finance system in order for thetimely authorisation of invoices.4. To liaise with suppliers with pricing queries and in returning incorrect or faulty goodsreceived.5. Maintain an accurate and assessable database of suppliers to ensure that all recordsare maintained and kept in accordance with the financial regulations.6. Provide monthly reports for stationery charging across divisions and all procurementexpenditure and cost savings.7. To assist in maintaining correct stock levels for the College stationery requirements.8. Any other duties consistent with the running of an efficient procurement department.In addition, it should be noted that this is a description of the job as it is presently constituted.It is our practice to review all job descriptions regularly and update them where necessary toensure that they are a true reflection of the job that is being done, or to incorporate changeswhere they are found to be inaccurate.
