SHASTA COLLEGEHuman Resources OfficePROCEDUREEffective January 1, 2003, the law requires that the Board of Trustees prior to anyone being hired,approve the hiring of <strong>short</strong>-<strong>term</strong> classified <strong>personnel</strong>. Furthermore, it states that you must providespecific beginning and ending dates and a description of the work to be per<strong>form</strong>ed, work which is notcontinuing and would no longer be done at the end of the assignment.1. At the beginning of each month, the Human Resources Office will request from you a list of“positions” that you expect to hire, including the anticipated number of hires, the description ofthe assignment, and the specific beginning and ending dates for each position.2. An authorization number will be assigned by the Human Resources Office.3. Following Board approval, a copy of the <strong>form</strong> with the assigned authorization number will bereturned to the supervisor.4. Using the Requisition <strong>form</strong> with the authorization number, identify the name(s) and social securitynumber(s) of the individual(s) to be hired and return a copy to the Human Resources Office.5. The supervisor will instruct the individual to be hired to go to the Human Resources Office tocomplete employment/payroll paperwork.6. The Personnel Technician de<strong>term</strong>ines if the applicant is required to obtain a Live Scan (fingerprintclearance) for the position. If so the applicant is given a <strong>form</strong> and sent to the <strong>Shasta</strong> CountySheriff’s Office on Court Street. Live Scan is free of charge for the applicant.7. If all paperwork is not complete, the Personnel Technician follows up with a written notificationto employee and/or supervisor to ensure paperwork is completed.8. When the Human Resources Office has received all of the necessary paperwork and Live Scanclearance (if applicable) the paperwork is submitted to the Human Resources Director forapproval. Once approved, the supervisor is notified by copy of the executed authorization to ire<strong>form</strong> (HR-1101 or HR-2201). Payroll documents are submitted to the Payroll Office.9. The new employee must complete a time card for his/her hours worked to be turned in on the lastworking day of each month. The supervisor is responsible for turning in the time card to thePayroll Office. Payroll checks are available on the 10 th day of each month. If the 10 th of themonth falls on a holiday or weekend, then it is the last working day before the 10 th . Properidentification is required by employee to pick up paycheck at the Business Office window.10. Temporary / Short-<strong>term</strong> classified hires are limited to working a MAXIMUM of 150 DAYS in afiscal year, unless granted a special waiver by the Vice President of the area.Form HR-2201 (1-03)
