Filling the GapRecruitment and data collectionstrategySteering Committee participantsInterviews were planned for all nine members ofthe Steering Committee, either on an individualbasis or as a group. Appraised of the evaluationprocess and with the data collection underway,the Steering Committee convenor emailed allcommittee members to arrange the interviewsplanned for Sydney.Another member of the Steering Committeeworking at Wuchopperen was interviewed faceto-facein Cairns.Wuchopperen and outreach servicepersonnelStaff members of the Base Clinic and one ofthe outreach services, as well as members ofthe Board of Directors were made aware ofthe evaluation during the Evaluation Team’sscoping visit early in 2007. This was followedup through personal oral invitations andforewarning of potential interview dates by theDental Manager. A service-wide email was sentaround the day before interview data collectionto introduce the Evaluation Team, and to reaffirmthat all members of the service were welcometo participate. The email also invited writtencontributions to the evaluation.Shortly before the Evaluation Team’s site visit,information and invitations were also passedonto the manager of the outreach site wherethe Mobile Dental Clinic was in operation. Thissite was different to the one scoped earlier thatyear, because the original site was undergoingrefurbishment.Wuchopperen and outreach servicepatientsIn the two months following final ethicsapproval, in preparation for the field work,the Dental Manager passed on information toWuchopperen’s Base and Mobile Dental Clinicclients inviting them to participate in a patientfocus group to help with the evaluation of thevolunteer dental program. These invitationswere made both in person and by email.Interested patients were provided with theevaluation’s participant information sheet anddetails such as the date of the focus group.Detailed arrangements were made for interviewswith patients during the weeklong field trip inNovember 2007. Patient participants were alsorecruited opportunistically – at both service sites– at this time.Dental volunteer participantsAll dental volunteers who had participated in‘Filling the Gap’ by November 2007, and forwhom there were current email addresseswere sent an email invitation by the DentalManager (Appendix 4), to participate in a short(approximately 20 to 30 minute) telephoneinterview. Dental volunteers in Sydney were alsooffered the option of a face-to-face interview.Similar invitations to participate were alsoemailed to all dental volunteers who had filled inan expression of interest to participate in ‘Fillingthe Gap’ (EOI), but who had not yet visitedWuchopperen.No attempt was made to follow up missing orbouncing email addresses.Former and prospective volunteers interestedin taking part in the evaluation responded byreturn email and interview times were confirmedby further email exchange. Participantinformation and consent forms and reminderdetails were emailed to the respondent a day orso prior the planned interview.Dissemination strategyThis Full Report will be presented toWuchopperen’s Board of Directors and – withthe Board’s permission – be used by the‘Filling the Gap’ Steering Committee to assistwith the ongoing work of recruiting dentalvolunteers. A plain-English community reportwill also be developed and used as a communitycommunication and promotion tool. Peerreviewed journal articles and posters authoredby the Evaluation Team and Wuchopperen,and a number of PowerPoint presentations foruse at meetings, conferences, and for teachingand volunteer recruitment purposes are alsoplanned.
