Jaws is going to take a bite out of Supanovember!Terms and Conditions of Exhibiting at<strong>Supanova</strong> <strong>Pop</strong> <strong>Culture</strong> <strong>Expo</strong>By applying for exhibitor/vendor/artist’s alley space atany of the <strong>Supanova</strong> <strong>Pop</strong> <strong>Culture</strong> <strong>Expo</strong> 2012 events,you agree to be bound by the Terms and Conditionsas specified below, and any other restrictions orGuidelines as deemed necessary by <strong>Supanova</strong> <strong>Pop</strong><strong>Culture</strong> Industries, its agents, underwriters, VenueContract Managers or other relevant stakeholders.General:1. <strong>Supanova</strong> reserves the right to final approval ofevery display, and the ability to take any course ofaction it deems necessary to rectify a situation thatmay impact upon the convention negatively,including expulsion of any <strong>Exhibitor</strong> from the<strong>Supanova</strong> <strong>Expo</strong>, who does not comply with thestated requests. No compensation for loss ofmonies will be accepted for failing to obeyinstructions resulting in expulsion from <strong>Supanova</strong>and its representatives.2. Any <strong>Exhibitor</strong> that fails to occupy their space forwhatever reason will forfeit their money. There areno refunds or transfers available once <strong>Supanova</strong> hasreceived payment and the signed registration form.3. Displays must stay within the confines of the spaceallocated, must not impede aisles and walkways, orblock exits. This includes cabinets, shelving, displaycases, tables, stock containers, stages and equipment.All tables must have table covers, recommended tobe the approximate length to reach the floor infront of your booth. Please bring them and someextra sheets to cover your stock overnight ifrequired.4. The official closing time of each <strong>Supanova</strong> <strong>Pop</strong><strong>Culture</strong> <strong>Expo</strong> is 1800 (6pm) on the Sunday of theevent. No dismantling of displays is permitted untilthe site is cleared of visitors and <strong>Supanova</strong> makesthe appropriate announcement.This is to ensure thesafety of the general public still occupying the space.5. <strong>Supanova</strong> cannot guarantee access for vehicleswithin the venue in order to unload or pack youritems, nor the availability of pallet trolleys or forklifts.Please ensure that your stock can be moved by handor bring an appropriate trolley. You must makearrangements with <strong>Supanova</strong> Operations prior tothe expo for the movement of larger items, cratesand pallets.6. Sale or giveaway of stickers or other adhesiveitems, or balloons of any type, are prohibited in all<strong>Supanova</strong> venues. Any damage caused by an<strong>Exhibitor</strong> or their Staff, or by items affixed to thevenue doors, glass, floors etc will create a removal,cleaning and/or resurfacing cost charged to theexhibitor.7. Sale or sampling of any food or beverage items –whether packaged or fresh – is not allowed withoutwritten permission from the Event Organiser andVenue. This includes but is not limited to candy orsweets, canned drinks, hot or baked goods.<strong>Supanova</strong> reserves the right to confiscate anyconsumable items not removed by exhibitors.8. Children under 16 years of age are not permittedto enter the hall from bump in or break down timeperiods – being Friday in the trade hall, or after 1800in any area on Sunday (in Brisbane, bump in includesThursday). Security Officers have instructions not toallow children under 16 years of age on site duringthese times.Electricity & Power: All portable equipment,appliances, chargers, lighting used on the <strong>Supanova</strong>event site (ie: anything that is plugged in to thevenue power supply) must be tested and tagged inaccordance with state Workplace Health and SafetyRegulations and Australian Standard 3760-2000. Allpower extension leads and power boards must alsohold current tagging. The use of double adaptors orpower connections other than Australian standardare prohibited at the event at all times, includingbump in/out and show days. Arrangements must bemade prior to the event with your nominatedelectrician for the purpose of testing and tagging allelectrical items and leads. <strong>Supanova</strong> pop <strong>Culture</strong><strong>Expo</strong> cannot guarantee that Test & Tag services willbe available on site. AFTER THIS POINT, ANYELECTRICAL EQUIPMENT FOUND TO BEUNTAGGED MUST BE TESTED AND TAGGEDOR REMOVED FROM THE SUPANOVA EVENTSITE IMMEDIATELY.Public Liability Insurance: All exhibitors, coexhibitors,vendors, Artist Alley occupants andcontractors are required to provide proof of Publicand Products Liability Insurance. This refers todamage or injury caused to third parties/visitors onor in the vicinity of your exhibition stand or hiredspace, or by the fault of your products. This isdelivered in the form of a “Certificate of Currency”,a copy of which is to be sent to <strong>Supanova</strong> <strong>Pop</strong><strong>Culture</strong> Industries at least one week prior to arrivalon site. It is advisable for a copy to be held by theexhibitor throughout the duration of the show,including bump in/out times.Where applicable, copies of WorkersCompensation and Professional Indemnity Insurancedocuments (including those of subcontractors)need to be available upon request.<strong>Supanova</strong> cannot recommend an insurancepolicy suitable for your exhibitor booth or artistalley space. Please contact your insurance brokerto enquire about the most appropriate cover forthe event.Safety Vests and closed shoes: It is mandatory for allexhibitors and personnel to wear approved safetyvests and closed shoes during bump in and bumpout periods. Those not wearing the appropriateattire will not be granted entry to the hall or theloading dock. If you do not have vests, you can preorderthem via the <strong>Supanova</strong> <strong>Exhibitor</strong> registrationPortal.We cannot guarantee there will be any safetyvests available on site.Delivery/Collection of goods: Neither <strong>Supanova</strong>,nor the Event Venue will accept responsibility for thesafety or security of any display or product itemdelivered to the site. It is very important that allitems are clearly marked with your company nameand contact details, stand name, collection anddelivery details, and the name of your freightcompany. It is advisable to clearly mark theconsignment number on the items to reduceconfusion during collection, or to track goods intransit. <strong>Supanova</strong> will not take delivery of items onbehalf of an exhibitor unless prior arrangementshave been made, but which no responsibility isaccepted in doing so.Please note that all goods/property must beremoved from the premises Sunday evening orhave freight forwarding pick-up confirmationsprior to midday, 12 noon, the relevant Mondaymorning. Interstate and International <strong>Exhibitor</strong>splease contact <strong>Supanova</strong> for freight forwardinginstructions and details. More information will beavailable in the <strong>Exhibitor</strong> Manual prior to the event/s.Literature: The distribution of leaflets and otherpromotional materials is confined to the stand areaand is not permitted in the hallways or elsewhere inthe exhibition grounds. The Organisers reserve theright to prohibit the display or distribution ofadvertising matter that could give rise to offenceand to confiscate the supplies thereof for theduration of the event.Restricted material: Pornography is strictlyforbidden for sale or giveaway at <strong>Supanova</strong> <strong>Expo</strong>s;so too are items that would be classified as illegalunder any or all state or territory law withinAustralia, including but not limited to extremerestricted or explicit materials or those that containspaedophilia in any form.All other adult material mustnot be visibly displayed or within reach of any minors,and carry appropriate or comparative classification.Bootleg or unlicensed materials: <strong>Supanova</strong>enforces a zero tolerance for the ownership or saleof bootleg or pirated goods. Inspections of stock willbe randomly conducted throughout the event. If anyrestricted, illegal or contraband materials are found,action will be taken to confiscate or remove thesematerials from the event. This may include thecessation of your trading and expulsion from<strong>Supanova</strong>. Please be aware that under thesecircumstances, you will not be eligible for anycompensation as noted in point (1) of the Generalsection of these Terms and Conditions. It is yourresponsibility to bring and provide all relevantdocumentation, that prove your materials are notsuspect, on the days of the event to be shownif required.Classification Restrictions: Any visual displays (film,video, games or other multimedia) that are ratedMA15+ or above, or the equivalent as determinedby the National Classification Scheme, are requiredby law to be within a closed or monitored space andnot to be seen by those who do not have theexpress desire to do so.
