2013 OTA SANCTION AGREEMENTOrganizing an <strong>Ontario</strong> <strong>Tennis</strong> <strong>Association</strong> (OTA) sanctioned tournament is a great opportunityto promote your facility, attract new members to your club, stimulate community involvementand generate revenue.It is essential that <strong>Tournament</strong> Directors and the host facility/Academy comply with thesanction guidelines when hosting an event. Failure to comply will jeopardize the sanction statusof any future tournaments.All tournament directors must agree to the following conditions to ensure that theirevents/tournaments are sanctioned by the OTA:• Initial Requests and Communication for <strong>Sanction</strong>ed <strong>Tournament</strong>s & Events must be addressedto and approved by the Interim Events Manager- Andrew Chappell:achappell@tennisontario.com• Entry lists must be received in the OTA office within a reasonable amount of time (i.e. for aweekend tournament beginning on Friday, entry lists should be received by Tuesday before5pm of that same week).**Please allow a minimum of 24 hours for turnaround from the time the OTA receives afinalized entry list.• Players names that are forwarded to the OTA office after draws have been generated may besubject to a late fee of $5.00/entry (which may be passed onto the player). Late registrants arenot guaranteed entry the tournament and may still be denied.• <strong>Tournament</strong> Directors must update their draws online by the end of each day for the durationof the tournament (Password and User ID provided by the OTA).** Rookie Tour and Future Stars Circuit results are exempt from being updated online.• Original working copies of results must still be faxed into the OTA office by 12 noon thefollowing business day after the tournament is completed (typically by Monday 12 noon).• Any withdrawals, walkovers, defaults or other code violations are to be faxed back along withresults by filling out the official OTA CODE VIOLATION REPORTS and/or INCIDENT REPORTS.


• ALL OUTSTANDING CLUB DUES MUST BE PAID PRIOR TO SANCTIONS BEING GRANTED.• ALL OTA SANCTIONED TOURNAMENTS MUST USE THE OFFCIAL BALL OF THE OTA-WILSON US OPEN.• PROPER SUPERVISION AND KNOWLEDGEABLE TOURNAMENT STAFF MUST BEPROVIDED DURING THE EVENT (must have proper working knowledge and can enforceOTA’s Code of Conduct).• Awards and Trophies must be provided to Finalists and Champions for each category run.• Any exceptions to the aforementioned due to extenuating circumstances must be approvedby the Interim Events Manager prior to the tournament. Otherwise, failure to adhere mayresult in foregoing any and/or all privileges in operating OTA sanctioned events.Fee Structure for OTA <strong>Sanction</strong>ed <strong>Tournament</strong>s<strong>Sanction</strong> FeesClubs that update results online:• $105.00 for 1 category• $160.00 for 2 or more categoriesClubs that do not update online:• $115.00 for 1 category• $175.00 for 2 or more categoriesOTA Official Ball: Non-compliance Penalty• Any Club that does not use the Wilson US Open tennis ball will be subject to a non-compliancepenalty fee.• Penalty fee is $150 for each event in violation of this condition.• Subsequent/repeat offenders will be subject to having their privileges revoked for runningand operating all OTA sanctioned events.__________________________Applicant’s Name__________________________Club / Associate / Organization____________________________________________________
