These reports are a means <strong>of</strong> track<strong>in</strong>g student progress through <strong>the</strong>program and identify<strong>in</strong>g problems that may be imped<strong>in</strong>g timely completion <strong>of</strong>requirements. Rem<strong>in</strong>ders <strong>to</strong> complete <strong>the</strong>se reports are sent annually on EDST-net, but itis <strong>the</strong> student’s responsibility <strong>to</strong> download and complete Part A <strong>of</strong> this form by May 31each year <strong>the</strong>y are enrolled <strong>in</strong> <strong>the</strong> program. The Annual Progress Report form for <strong>the</strong> <strong>Ph</strong>Dprogram can be found on <strong>the</strong> EDST website (http://edst.educ.ubc.ca/current/currentstudents) under “Policies and Forms.” Completed forms should be submittedelectronically <strong>to</strong> <strong>the</strong> department’s Graduate <strong>Program</strong> Assistant (grad.edst@ubc.ca), whowill log <strong>the</strong>m <strong>in</strong> and forward <strong>the</strong>m <strong>to</strong> <strong>the</strong> student’s advisor or supervisor who willcomplete Part B. Students who f<strong>in</strong>d <strong>the</strong>y cannot make any progress on <strong>the</strong>ir programs forfour or more months due <strong>to</strong> unexpected work, family or health changes should request aleave <strong>of</strong> absence through <strong>the</strong>ir Pro Tem advisor, supervisor or <strong>the</strong> EDST GraduateCoord<strong>in</strong>a<strong>to</strong>r. Students can request up <strong>to</strong> 12 months <strong>of</strong> leave dur<strong>in</strong>g <strong>the</strong>ir program.1. AdmissionApplicant submits required materials <strong>to</strong> <strong>the</strong> <strong>Department</strong>. Transcripts are evaluated and itis determ<strong>in</strong>ed if <strong>the</strong> applicant meets m<strong>in</strong>imum admission requirements. Once thisdeterm<strong>in</strong>ation is made, <strong>the</strong> <strong>Department</strong> reviews <strong>the</strong> application and makes an admissiondecision based on all available evidence. The applicant is notified by mail and, ifadmitted, must accept or decl<strong>in</strong>e <strong>the</strong> <strong>of</strong>fer <strong>in</strong> writ<strong>in</strong>g. An <strong>of</strong>fer <strong>of</strong> admission is good onlyfor <strong>the</strong> academic year <strong>in</strong> which it is made.2. Appo<strong>in</strong>tment <strong>of</strong> SupervisorA Supervisor is designated at <strong>the</strong> time <strong>of</strong> admission and is responsible for assist<strong>in</strong>g <strong>the</strong>student <strong>in</strong> <strong>the</strong> selection <strong>of</strong> courses and answer<strong>in</strong>g questions about <strong>the</strong> program. Unless aqualified faculty member agrees at <strong>the</strong> time <strong>the</strong> application is reviewed <strong>to</strong> serve asSupervisor, admission is unlikely. Once admitted, <strong>the</strong> student is responsible forcontact<strong>in</strong>g his or her Supervisor and arrang<strong>in</strong>g an appo<strong>in</strong>tment <strong>to</strong> discuss course selectionprior <strong>to</strong> <strong>in</strong>itial registration.Sequence <strong>of</strong> Events, <strong>Ph</strong>.D.1


A student may, through <strong>the</strong> Graduate Advisor, request a change <strong>in</strong> Supervisor at any timeas long as ano<strong>the</strong>r qualified faculty member has agreed <strong>to</strong> serve <strong>in</strong> this capacity. When achange <strong>of</strong> supervisor occurs, <strong>the</strong> student, as a courtesy, usually <strong>in</strong>forms <strong>the</strong> orig<strong>in</strong>alsupervisor <strong>of</strong> <strong>the</strong> change and <strong>the</strong> new supervisor or Graduate Advisor notifies <strong>the</strong>Graduate <strong>Program</strong> Assistant.Supervisors and students should be aware <strong>of</strong> <strong>the</strong> policies and practices related <strong>to</strong> graduatesupervision at UBC that are summarized well <strong>in</strong> <strong>the</strong> “Handbook <strong>of</strong> Graduate Supervision”available on <strong>the</strong> Faculty <strong>of</strong> Graduate Studies website (www.grad.ubc.ca ).3. Formation <strong>of</strong> <strong>Program</strong> Advisory CommitteeIn some cases, a <strong>Program</strong> Advisory Committee (PAC) will be formed by <strong>the</strong> Supervisor<strong>to</strong> provide advice <strong>to</strong> <strong>the</strong> student about coursework and preparation for <strong>the</strong> comprehensiveexam<strong>in</strong>ation. The committee usually consists <strong>of</strong> <strong>the</strong> Supervisor and two o<strong>the</strong>r facultymembers. The Supervisor chairs <strong>the</strong> committee and is responsible for call<strong>in</strong>g meet<strong>in</strong>gs.The PAC meets at least once a year <strong>to</strong> assess <strong>the</strong> progress <strong>of</strong> <strong>the</strong> student.4. <strong>Completion</strong> <strong>of</strong> <strong>Program</strong> <strong>of</strong> Studies WorksheetThe <strong>Program</strong> <strong>of</strong> Studies worksheet is completed by <strong>the</strong> Supervisor or, if <strong>the</strong>re is one, <strong>the</strong><strong>Program</strong> Advisory Committee (PAC), <strong>in</strong> consultation with <strong>the</strong> student, prior <strong>to</strong> orimmediately follow<strong>in</strong>g <strong>the</strong> student’s <strong>in</strong>itial registration. Changes can be made <strong>to</strong> <strong>the</strong> PoSfrom time <strong>to</strong> time, but all changes must be approved by <strong>the</strong> Supervisor. In practice,decisions about which courses will be taken are <strong>of</strong>ten made session-by-session or year-byyear.What is important at this stage is that <strong>the</strong> student receives good advice about whatcourses <strong>to</strong> complete <strong>in</strong> order <strong>to</strong> prepare for both <strong>the</strong> comprehensive exam<strong>in</strong>ation and <strong>the</strong><strong>the</strong>sis research project. A completed program <strong>of</strong> studies worksheet should be submittedby <strong>the</strong> Supervisor <strong>to</strong> <strong>the</strong> Graduate <strong>Program</strong> Assistant who will place <strong>the</strong> orig<strong>in</strong>alworksheet <strong>in</strong> <strong>the</strong> student’s file. The student receives a pho<strong>to</strong>copy <strong>of</strong> <strong>the</strong> completedworksheet from <strong>the</strong> advisor.5. Supervision Pr<strong>in</strong>ciplesThis document provides def<strong>in</strong>itions and sets out <strong>the</strong> roles and responsibilities for protemadvisors and research supervisors. These def<strong>in</strong>itions, pr<strong>in</strong>ciples and procedures have beenagreed upon by <strong>the</strong> faculty members <strong>of</strong> <strong>the</strong> <strong>Department</strong> <strong>of</strong> Educational Studies. Thisstatement will be sent <strong>to</strong> all students as part <strong>of</strong> <strong>the</strong>ir admission materials or can be foundon our Policy and Forms page on our Web site. At <strong>the</strong>ir first meet<strong>in</strong>g, <strong>the</strong> document mustbe reviewed and discussed by <strong>the</strong> student and her/his advisor. Once <strong>the</strong>se guidel<strong>in</strong>es havebeen reviewed, student and advisor should write or type <strong>in</strong> <strong>the</strong>ir names on <strong>the</strong> last pageand submit this page along with <strong>the</strong> student’s program worksheet <strong>to</strong> <strong>the</strong> graduatesecretary (students should keep copies <strong>of</strong> <strong>the</strong> pr<strong>in</strong>ciples for <strong>the</strong>ir own files). Thepr<strong>in</strong>ciples should be reviewed when <strong>the</strong> student’s research committees is formed (for MAand doc<strong>to</strong>ral students), and also reviewed and co-signed if <strong>the</strong>re is a change <strong>in</strong>supervisors.6. Coursework—Required, Elective, Research MethodsIt is <strong>the</strong> student’s responsibility <strong>to</strong> ma<strong>in</strong>ta<strong>in</strong> registration throughout <strong>the</strong> program and <strong>to</strong>enrol <strong>in</strong> and complete all courses <strong>in</strong>cluded <strong>in</strong> <strong>the</strong> PoS. If for any reason (family, health,f<strong>in</strong>ancial, etc.) <strong>the</strong> student must temporarily <strong>in</strong>terrupt studies, an immediate requestshould be made through <strong>the</strong> Supervisor for a leave <strong>of</strong> absence. Information about types <strong>of</strong>leave and policies govern<strong>in</strong>g each can be found <strong>in</strong> <strong>the</strong> FoGS Policies and Procedures<strong>Steps</strong> <strong>to</strong> <strong>Completion</strong>, <strong>Ph</strong>.D.2

Comprehensive Exam<strong>in</strong>ationAll doc<strong>to</strong>ral students take a comprehensive exam<strong>in</strong>ation. Written procedures for <strong>the</strong>exam<strong>in</strong>ation are available on <strong>the</strong> EDST website. Generally, <strong>the</strong> comprehensiveexam<strong>in</strong>ation is taken once <strong>the</strong> student has completed all or most <strong>of</strong> <strong>the</strong> courses <strong>in</strong>cluded<strong>in</strong> <strong>the</strong> PoS. Students consult <strong>the</strong>ir Supervisors when <strong>the</strong>y believe <strong>the</strong>y are ready <strong>to</strong> take <strong>the</strong>exam and this person makes <strong>the</strong> necessary arrangements for <strong>the</strong> development and mark<strong>in</strong>g<strong>of</strong> <strong>the</strong> exam<strong>in</strong>ation.8. Formation <strong>of</strong> Research Supervisory CommitteeThe Research Supervisory Committee (RSC) consists <strong>of</strong> <strong>the</strong> student’s ResearchSupervisor (who usually chairs <strong>the</strong> committee and most <strong>of</strong>ten holds <strong>the</strong> rank <strong>of</strong> AssociatePr<strong>of</strong>essor or Pr<strong>of</strong>essor) and at least two o<strong>the</strong>r faculty members who are members <strong>of</strong> <strong>the</strong>Faculty <strong>of</strong> Graduate Studies. As <strong>the</strong> title suggests, <strong>the</strong> role <strong>of</strong> this committee is <strong>to</strong>supervise <strong>the</strong> student’s research and preparation <strong>of</strong> <strong>the</strong> <strong>the</strong>sis. In most <strong>in</strong>stances, <strong>the</strong>student approaches a qualified faculty member <strong>to</strong> serve as Research Supervisor. TheResearch Supervisor and student <strong>the</strong>n jo<strong>in</strong>tly identify o<strong>the</strong>r faculty members who mayhave <strong>in</strong>terests and skills compatible with <strong>the</strong> proposed research. Normally <strong>the</strong> student isexpected <strong>to</strong> <strong>in</strong>itiate discussions with prospective Research Supervisors and <strong>to</strong> extend<strong>in</strong>vitations <strong>to</strong> o<strong>the</strong>r faculty who might serve on <strong>the</strong> committee. The specific approachused <strong>to</strong> constitute <strong>the</strong> committee is worked out between <strong>the</strong> student and ResearchSupervisor. Once <strong>the</strong> membership <strong>of</strong> <strong>the</strong> committee is confirmed, <strong>the</strong> ResearchSupervisor notifies <strong>the</strong> Graduate <strong>Program</strong> Assistant <strong>of</strong> <strong>the</strong> composition <strong>of</strong> <strong>the</strong> committee.Students should obta<strong>in</strong> a copy <strong>of</strong> <strong>the</strong> “Handbook <strong>of</strong> Graduate Supervision,” available on<strong>the</strong> Faculty <strong>of</strong> Graduate Studies website (www.grad.ubc.ca, “Current Students,”“Supervision”), that <strong>of</strong>fers advice <strong>to</strong> faculty and students on <strong>the</strong> roles and responsibilities<strong>of</strong> all those <strong>in</strong>volved <strong>in</strong> <strong>the</strong>sis research.9. Development and Approval <strong>of</strong> Research ProposalIn consultation with <strong>the</strong> Research Supervisor and o<strong>the</strong>r members <strong>of</strong> <strong>the</strong> RSC, <strong>the</strong> studentdrafts and revises <strong>the</strong> research proposal until <strong>the</strong> committee is ready <strong>to</strong> approve <strong>the</strong>project. The Committee determ<strong>in</strong>es <strong>the</strong> requirements <strong>of</strong> <strong>the</strong> proposal, but most <strong>of</strong>ten it<strong>in</strong>cludes a clear and complete presentation and justification <strong>of</strong> <strong>the</strong> research problem,questions, and/or hypo<strong>the</strong>ses; a critical review <strong>of</strong> relevant literature and a presentation <strong>of</strong><strong>the</strong> study’s conceptual or <strong>the</strong>oretical framework; and a complete presentation <strong>of</strong> <strong>the</strong>research methodology. The Research Supervisor is responsible for plac<strong>in</strong>g a copy <strong>of</strong> <strong>the</strong>approved research proposal—with <strong>the</strong> signatures <strong>of</strong> all committee members on anapproved cover page—<strong>in</strong> <strong>the</strong> student’s file and for notify<strong>in</strong>g <strong>the</strong> Graduate <strong>Program</strong>Assistant that <strong>the</strong> proposal has been approved.10. Admission <strong>to</strong> Doc<strong>to</strong>ral CandidacyPlease note that UBC policy is that all PHD students should have achieved candidacywith<strong>in</strong> 24 months <strong>of</strong> beg<strong>in</strong>n<strong>in</strong>g <strong>the</strong>ir program and must be admitted <strong>to</strong> Candidacy by 36-months. Candidacy is achieved when a student completes required coursework, passes <strong>the</strong>comprehensive exam<strong>in</strong>ation, and produces an approved research proposal. At this stage,<strong>the</strong> chair <strong>of</strong> <strong>the</strong> Research Supervisory Committee (most <strong>of</strong>ten <strong>the</strong> research supervisor)completes an “Advancement <strong>to</strong> Candidacy” form. Once this form is filed with FoGS, <strong>the</strong>student is considered admitted <strong>to</strong> candidacy. Doc<strong>to</strong>ral candidates are eligible for certa<strong>in</strong><strong>Steps</strong> <strong>to</strong> <strong>Completion</strong>, <strong>Ph</strong>.D.3


teach<strong>in</strong>g assignments that are not o<strong>the</strong>rwise available <strong>to</strong> graduate students. Achiev<strong>in</strong>gcandidacy is also an important miles<strong>to</strong>ne because it <strong>in</strong>dicates that <strong>the</strong> only rema<strong>in</strong><strong>in</strong>grequirement for completion is <strong>the</strong> <strong>the</strong>sis.11. Approval <strong>of</strong> Research Pro<strong>to</strong>col by Behavioural Research Ethics BoardIf <strong>the</strong> student’s research <strong>in</strong>volves collect<strong>in</strong>g data from humans, <strong>the</strong> research pro<strong>to</strong>col mustbe approved by <strong>the</strong> UBC Behavioural Research Ethics Board (BREB). The student isresponsible for complet<strong>in</strong>g <strong>the</strong> necessary forms (forms are completed onl<strong>in</strong>e athttp://www.ors.ubc.ca/ ) and submitt<strong>in</strong>g <strong>the</strong>m—with required attachments (e.g. letter <strong>of</strong><strong>in</strong>formation, consent form, <strong>in</strong>terview questions, observation pro<strong>to</strong>col)—<strong>to</strong> <strong>the</strong> researchsupervisor for approval. The Research Supervisor and <strong>Department</strong> Head must approveBREB applications. Once submitted <strong>to</strong> <strong>the</strong> Ethics Board, <strong>the</strong> review process normallytakes 4-6 weeks (see <strong>the</strong> BREB website for submission deadl<strong>in</strong>es and turnaround times).No data are <strong>to</strong> be collected or pilot studies begun until an approval certificate is issued by<strong>the</strong> Board.12. Complete ResearchIt is <strong>the</strong> student’s responsibility <strong>to</strong> carry out <strong>the</strong> research as planned, consult<strong>in</strong>g with <strong>the</strong>RSC as needed. Any deviations from <strong>the</strong> research proposal should be approved by <strong>the</strong>members <strong>of</strong> <strong>the</strong> RSC. If <strong>the</strong>re are major changes <strong>to</strong> <strong>the</strong> methodology <strong>the</strong> student mustsubmit an addendum <strong>to</strong> BREB. The student is expected <strong>to</strong> keep all members <strong>of</strong> <strong>the</strong>committee <strong>in</strong>formed <strong>of</strong> progress or problems <strong>in</strong> complet<strong>in</strong>g <strong>the</strong> research. It is <strong>the</strong>responsibility <strong>of</strong> <strong>the</strong> RSC <strong>to</strong> actively follow <strong>the</strong> student’s progress with his/her researchand <strong>to</strong> provide advice and support.13. Write and Revise ThesisAgreement should be reached between <strong>the</strong> student and RSC members regard<strong>in</strong>g <strong>the</strong> waydrafts are written and reviewed. In some cases <strong>the</strong> research supervisor will want <strong>to</strong> seesome or all <strong>of</strong> <strong>the</strong>se drafts before <strong>the</strong>y are circulated <strong>to</strong> committee members. The studentconsults with and receives feedback from members <strong>of</strong> <strong>the</strong> committee as drafts areproduced. Generally, faculty members expect <strong>to</strong> have two weeks (10 work<strong>in</strong>g days) <strong>to</strong>read material submitted by students. Students can reasonably expect faculty <strong>to</strong> providewritten and/or oral feedback shortly after <strong>the</strong> two weeks has passed, unless <strong>the</strong> facultymember <strong>in</strong>dicates—when <strong>the</strong> draft is received—that more time is needed.Students are encouraged <strong>to</strong> read <strong>the</strong> guidel<strong>in</strong>es for “Masters and Doc<strong>to</strong>ral ThesisSubmission” which can be found on <strong>the</strong> FoGS website at www.grad.ubc.ca . Theseguidel<strong>in</strong>es cover many technical aspects <strong>of</strong> <strong>the</strong>sis preparation that are important <strong>to</strong> knowabout early <strong>in</strong> <strong>the</strong> process.14. Nom<strong>in</strong>ation <strong>of</strong> External Exam<strong>in</strong>ersWhen <strong>the</strong> RSC members believe <strong>the</strong> <strong>the</strong>sis is near<strong>in</strong>g completion, <strong>the</strong>y discuss who isbest qualified <strong>to</strong> serve as External Exam<strong>in</strong>er. Students can suggest some exam<strong>in</strong>ers butcannot be party <strong>to</strong> <strong>the</strong> f<strong>in</strong>al deliberations <strong>of</strong> which exam<strong>in</strong>ers are nom<strong>in</strong>ated by <strong>the</strong> RSC.The names, contact <strong>in</strong>formation, and qualifications <strong>of</strong> two or three nom<strong>in</strong>ees for ExternalExam<strong>in</strong>er are submitted on <strong>the</strong> proper form <strong>to</strong> <strong>the</strong> Faculty <strong>of</strong> Graduate Studies. ExternalExam<strong>in</strong>ers must be nom<strong>in</strong>ated at least four <strong>to</strong> five months before <strong>the</strong> <strong>the</strong>sis is ready <strong>to</strong> beexam<strong>in</strong>ed; nom<strong>in</strong>ations must be received three months before <strong>the</strong> <strong>the</strong>sis is submitted <strong>to</strong>FoGS who <strong>the</strong>n send it <strong>to</strong> <strong>the</strong> External Exam<strong>in</strong>er. The Dean <strong>of</strong> Graduate Studies (ordesignate) contacts <strong>the</strong> nom<strong>in</strong>ees and determ<strong>in</strong>es if one <strong>of</strong> <strong>the</strong>m is will<strong>in</strong>g <strong>to</strong> serve. when <strong>the</strong> <strong>the</strong>sis is submitted <strong>to</strong> FoGS for exam<strong>in</strong>ation is <strong>the</strong> name <strong>of</strong> <strong>the</strong> ExternalExam<strong>in</strong>er made known <strong>to</strong> <strong>the</strong> students and RSC. If students will not be submitt<strong>in</strong>g <strong>the</strong>ir<strong>the</strong>sis <strong>to</strong> FoGS for exam<strong>in</strong>ation by <strong>the</strong> date on <strong>the</strong> External Exam<strong>in</strong>er form, <strong>the</strong>irsupervisors must notify FoGS and <strong>in</strong>dicate a revised date. The policies <strong>of</strong> <strong>the</strong> Faculty <strong>of</strong>Graduate Studies regard<strong>in</strong>g nom<strong>in</strong>ation <strong>of</strong> External Exam<strong>in</strong>ers and communication withnom<strong>in</strong>ees are strictly enforced. See <strong>the</strong> FoGS website and “Oral Exam<strong>in</strong>ation Guide” fordetailed <strong>in</strong>formation on <strong>the</strong> role <strong>of</strong> <strong>the</strong> External Exam<strong>in</strong>er and <strong>the</strong> “arms length”requirement.15. GraduationOnce <strong>the</strong> student anticipates when <strong>the</strong>y will complete <strong>the</strong>ir program, <strong>the</strong>y should apply <strong>to</strong>graduate and must complete by <strong>the</strong> published deadl<strong>in</strong>e an Application for Graduationwhich can be done onl<strong>in</strong>e at http://www.students.ubc.ca/coursesreg/graduation/ Thisapplication, along with <strong>the</strong> <strong>in</strong>formation conta<strong>in</strong>ed <strong>in</strong> <strong>the</strong> graduation checklist, confirmsyour eligibility for graduation. If students do not complete <strong>in</strong> <strong>the</strong> term for which <strong>the</strong>yapplied <strong>to</strong> graduate, <strong>the</strong>y must reapply for <strong>the</strong> next term.16. Thesis Ready <strong>to</strong> be Exam<strong>in</strong>edWhen <strong>the</strong> supervisory committee believes <strong>the</strong> <strong>the</strong>sis is ready <strong>to</strong> be exam<strong>in</strong>ed, <strong>the</strong>Research Supervisor notifies <strong>the</strong> Head <strong>of</strong> EDST that <strong>the</strong> committee has approved <strong>the</strong><strong>the</strong>sis for release <strong>to</strong> <strong>the</strong> External Exam<strong>in</strong>er. Two copies <strong>of</strong> <strong>the</strong> <strong>the</strong>sis must be delivered <strong>to</strong><strong>the</strong> Faculty <strong>of</strong> Graduate Studies a m<strong>in</strong>imum <strong>of</strong> six weeks before <strong>the</strong> proposed date <strong>of</strong> <strong>the</strong>F<strong>in</strong>al Oral Exam<strong>in</strong>ation along with a memo <strong>of</strong> transmittal signed by <strong>the</strong> Graduate Advisoror <strong>Department</strong> Head. Some negotiationwith FoGS may occur, but eventually <strong>the</strong> date, time, and location <strong>of</strong> <strong>the</strong> exam<strong>in</strong>ation areconfirmed.18. Nom<strong>in</strong>ation <strong>of</strong> University Exam<strong>in</strong>ersThe Research Supervisory Committee, with or without consult<strong>in</strong>g <strong>the</strong> student, willidentify two faculty members (usually one from with<strong>in</strong> <strong>the</strong> <strong>Department</strong> and ano<strong>the</strong>r fromoutside <strong>the</strong> <strong>Department</strong>) who are qualified and will<strong>in</strong>g <strong>to</strong> serve as University Exam<strong>in</strong>ers.These faculty members are nom<strong>in</strong>ated by <strong>the</strong> Research Supervisor who sends <strong>the</strong>ir namesand qualifications <strong>to</strong> FoGS on <strong>the</strong> correct form. The Research Supervisor is responsiblefor contact<strong>in</strong>g <strong>the</strong> University Exam<strong>in</strong>ers <strong>to</strong> determ<strong>in</strong>e if <strong>the</strong>y are will<strong>in</strong>g <strong>to</strong> serve,supply<strong>in</strong>g <strong>the</strong>m with copies <strong>of</strong> <strong>the</strong> <strong>the</strong>sis, and ensur<strong>in</strong>g that <strong>the</strong>y have all details about <strong>the</strong>F<strong>in</strong>al Oral Exam<strong>in</strong>ation.19. 20. <strong>Department</strong>al Sem<strong>in</strong>ar or “Dry Run”Doc<strong>to</strong>ral students are encouraged <strong>to</strong> schedule a departmental sem<strong>in</strong>ar <strong>in</strong> advance <strong>of</strong> <strong>the</strong>F<strong>in</strong>al Oral Exam<strong>in</strong>ation. This sem<strong>in</strong>ar provides a good opportunity <strong>to</strong> practice <strong>the</strong>presentation that will be made at <strong>the</strong> Oral Exam<strong>in</strong>ation and <strong>to</strong> answer questions similar <strong>to</strong>those that will be asked at <strong>the</strong> F<strong>in</strong>al Oral. If a sem<strong>in</strong>ar is not scheduled, an alternative is <strong>to</strong>arrange a “dry run” at which <strong>the</strong> student performs and receives feedback from one ormore members <strong>of</strong> <strong>the</strong> RSC on <strong>the</strong> 20-30 m<strong>in</strong>ute presentation that will be made at <strong>the</strong>beg<strong>in</strong>n<strong>in</strong>g <strong>of</strong> <strong>the</strong> Oral Exam<strong>in</strong>ation.21. Chair <strong>of</strong> Exam<strong>in</strong>ation Committee Appo<strong>in</strong>ted by FoGSThe Dean <strong>of</strong> FoGS appo<strong>in</strong>ts <strong>the</strong> Chair <strong>of</strong> <strong>the</strong> Exam<strong>in</strong>ation Committee. The duties <strong>of</strong> <strong>the</strong>Chair <strong>in</strong>clude <strong>in</strong>troduc<strong>in</strong>g <strong>the</strong> candidate, moni<strong>to</strong>r<strong>in</strong>g <strong>the</strong> time, call<strong>in</strong>g on committeemembers for comments and questions, lead<strong>in</strong>g a discussion <strong>of</strong> <strong>the</strong> candidate’sperformance, and prepar<strong>in</strong>g a report <strong>of</strong> <strong>the</strong> exam<strong>in</strong>ation for <strong>the</strong> Dean.22. Report <strong>of</strong> External Exam<strong>in</strong>er Received by FoGS and Distributed <strong>to</strong> <strong>the</strong>Exam<strong>in</strong>ation CommitteeThe written report <strong>of</strong> <strong>the</strong> External Exam<strong>in</strong>er is distributed by FoGS <strong>to</strong> members <strong>of</strong> <strong>the</strong>Exam<strong>in</strong>ation Committee a few days prior <strong>to</strong> <strong>the</strong> exam. The report is consideredconfidential at this po<strong>in</strong>t and is not <strong>to</strong> be shown <strong>to</strong> <strong>the</strong> student.23. F<strong>in</strong>al Oral Exam<strong>in</strong>ationThe pro<strong>to</strong>col followed <strong>in</strong> <strong>the</strong> exam<strong>in</strong>ation is spelled out <strong>in</strong> great detail <strong>in</strong> “OralExam<strong>in</strong>ation Guide” available on <strong>the</strong> Faculty <strong>of</strong> Graduate Studies website(www.grad.ubc.ca ). All exam<strong>in</strong>ations are public and students are encouraged <strong>to</strong> attendseveral—<strong>in</strong> advance <strong>of</strong> <strong>the</strong>ir own—<strong>in</strong> order <strong>to</strong> become familiar with <strong>the</strong> process. At <strong>the</strong>conclusion <strong>of</strong> <strong>the</strong> exam<strong>in</strong>ation <strong>the</strong> student leaves <strong>the</strong> room while <strong>the</strong> committeedeliberates. Once agreement is reached by <strong>the</strong> exam<strong>in</strong>ation committee, <strong>the</strong> student isbrought back <strong>in</strong><strong>to</strong> <strong>the</strong> exam<strong>in</strong>ation room and notified <strong>of</strong> <strong>the</strong> outcome by <strong>the</strong> Chair <strong>of</strong> <strong>the</strong>Exam<strong>in</strong>ation Committee. Often, edi<strong>to</strong>rial or more substantive changes <strong>to</strong> <strong>the</strong> <strong>the</strong>sis arerequired by <strong>the</strong> Exam<strong>in</strong>ation Committee before <strong>the</strong> <strong>the</strong>sis is submitted <strong>to</strong> FoGS.24. Approved Thesis Submitted <strong>to</strong> FoGSStudents are expected <strong>to</strong> submit all f<strong>in</strong>al <strong>the</strong>ses/dissertations electronically.It is your responsibility <strong>to</strong> submit a <strong>the</strong>sis <strong>in</strong> <strong>the</strong> correct format and allow time forrevisions <strong>to</strong> be complete <strong>in</strong> order <strong>to</strong> meet deadl<strong>in</strong>es.All EDST students upload <strong>the</strong>ir own work directly <strong>in</strong><strong>to</strong> <strong>the</strong> GSS Award collection(https://circle.ubc.ca/handle/2429/42591) - faculty members no longer need <strong>to</strong> sendapproval forms. The title <strong>of</strong> <strong>the</strong> student’s <strong>the</strong>sis is added <strong>to</strong> <strong>the</strong> checklist. Attached<strong>to</strong> this checklist is a pr<strong>in</strong><strong>to</strong>ut <strong>of</strong> courses completed and marks received as well as a copy<strong>of</strong> <strong>the</strong> FoGS receipt.26.
