Some programs are exempt from the subsidy policy(e.g. pottery & woodworking programs, private music lessons, birthday parties). To be eligible fora daycamp subsidy, you must be a resident living within the catchment area boundaries of the<strong>Roundhouse</strong> <strong>Community</strong> Arts & Recreation <strong>Centre</strong>. Please inquire at the front desk for more information.If you require an additional subsidy beyond what is available upon registration, you mustmake an appointment with the supervising programmer. For more information on how to obtainan LAC, please see page 60.WAIT-LISTS, REFUNDS, CANCELLATIONS, PROGRAM CHANGES• Refunds and transfers must be requested prior to the day of the third class class unless specialarrangements are made with the supervising Programmer (some exceptions may apply—seebelow). Eligible refund requests for programs are pro-rated for any classes that have passed.Programs that cost $20 or more are subject to a $10 administration fee (HST included).• Birthday Party refunds must be requested ten days before the party date to receive a refund.• Refunds for special events and workshops must be requested 72 hours in advance of the startdate.• Refund requests for all woodworking courses and cooking classes must be requested 72 hoursprior to the start date. There will be no refunds issued if you miss the first class.• Refunds for Daycamp programs must be requested 7 days prior to the week in which your childis registered in order to receive any refund. Requests made after that point will be subject toprogrammer approval and forfeit of any admission costs for outtrips.• Refunds for Tennis lessons must be requested 7 days prior to the start of the lesson set.• Our Wait-list Policy is First-Come, First-Served. The entire wait-list will be called if a spot opensup. The first person on the wait-list to respond gets to register (some exceptions may apply).• Membership fees are non-refundable.• Programs are subject to change or cancellation on short notice. Full refunds will be issued forall programs cancelled prior to the start date of a program. Pro-rated refunds, based on thenumber of classes that have passed, will be provided for classes cancelled after the start date,and where instruction has been provided. Anyone who is unable to attend a program due to achange of date or time will be provided with a full refund for the value of that class.ROUNDHOUSE ROOM USE POLICY<strong>Roundhouse</strong> members can drop in and use the following rooms for up to a maximum of two hours.Note the first hour is FREE, the second hour or portion thereof is $5. Each use is limited.Rooms available for member use are Rooms A, B, C, Arts & Crafts Studio, Dance Studio, Board Room,Multimedia Room, and Large Music Room.The following conditions apply for each person:• Room(s) cannot be reserved in advance. Use is granted on a first-come, first-served basis.• To utilize a room you must have a valid membership card— to be turned in to and picked upfrom the front desk after each use. A current <strong>Roundhouse</strong> membership card is required for eachperson using the room.• No direct financial gain to the member may result from the members’ use of the space.• Use of rooms is not a means of establishing and promoting the members’ own activity orprogramming on an ongoing basis.• The number of people using the space may not exceed the maximum occupant capacity stipulatedby the City of Vancouver.• The room is to be used during hours of operation and vacated at least 15 minutes before buildingclosure or another scheduled use.• The room will be cleaned and restored to the original condition that it was found.• Attachments or adjustments to walls, lighting, or floor, may only be made in consultation with theBuilding Supervisor or their delegate.• The activities of the members in the space conform to the Universal Declaration of Human Rights.• The use of the space does not disturb or conflict with other members’ or renters’ use.• Members are responsible for the replacement or repair of any <strong>Roundhouse</strong> equipment lost ordamaged during and/or due to their use of the equipment.• The <strong>Roundhouse</strong> only provides the room space and tables and chairs that are in the room at the timeof use. Members must bring any additional equipment they require.• Members cannot leave or store their materials or art work in the <strong>Roundhouse</strong>.• <strong>Roundhouse</strong> staff reserves the right to ask members to vacate the space if the above regulations arenot met, or if the staff has any unforeseen or emergency needs for programming space.• Failure to comply with this policy or follow the directions given by <strong>Roundhouse</strong> staff will result inimmediate loss of access to <strong>Roundhouse</strong> rooms, and may lead to cancellation of room use in thefuture.RENT THE ROUNDHOUSELocated in downtown Vancouver, close to hotels, parks, the Seawall, shopping, theatres, restaurantsand more, the <strong>Roundhouse</strong> offers an exciting and unique venue for hosting a variety of events.From casual and private, to formal and public events, we are likely to have the right space for yourparticular needs.The refurbished 1886 <strong>Roundhouse</strong> is located in one of Vancouver’s newest neighbourhoods, andprovides some beautiful spaces which may be rented when not in use for one of our many excitingprograms. Our experienced staff offers professional expertise, allowing us the flexibility to host awide range of events, from small meetings and birthday parties, to large weddings, private parties,conferences, festivals and professional theatre, dance and music. Notable recent events at the<strong>Roundhouse</strong> include performances by the Broadway Chorus, the Vancouver International ImprovFestival, and the Urban Wedding Gala trade show.The <strong>Roundhouse</strong> Production team has the experience and resources to meet a variety of differentexpectations.
