<strong>JOB</strong> <strong>POSTING</strong><strong>Clinical</strong> <strong>and</strong> <strong>Administrative</strong> <strong>Support</strong> <strong>Team</strong> <strong>Member</strong> (1.0 FTE); 3 PositionsSouth East Toronto Family Health <strong>Team</strong>South East Toronto Family Health <strong>Team</strong> (SETFHT) is an Interprofessional Family Health <strong>Team</strong> (FHT)undergoing exciting development <strong>and</strong> transformation in ensuring access to quality primary health care to ourpatients. It currently operates out of 840 Coxwell Avenue <strong>and</strong> will be opening a second site in the spring of2012 at 1871 Danforth Avenue. This academic FHT is affiliated with the University of Toronto <strong>and</strong> iscomprised of a team that includes physicians, medical residents, nurse practitioners, registered nurses,dietitians, social workers, mental health/addictions counsellor, care navigator, physician assistant <strong>and</strong>chiropodist, all supported by an exceptional administrative <strong>and</strong> clinical support team.Position ProfileThe <strong>Clinical</strong> <strong>and</strong> <strong>Administrative</strong> <strong>Support</strong> position performs clinical <strong>and</strong> administrative tasks, on a priority basis,that support the daily operations of the South East Toronto Family Health <strong>Team</strong> (SETFHT), 1871 DanforthAvenue site. This full‐time, permanent position provides front‐line clerical support to the physicians <strong>and</strong>Interprofessional health care providers (IHPs) <strong>and</strong> may also include additional administrative support asdetermined by the Lead Physician, Executive Director <strong>and</strong>/or Site Administrator of SETFHT.Please note that the successful c<strong>and</strong>idate should be available to work occasionally on Saturdays <strong>and</strong> be ableto work evenings on weeknights.Roles <strong>and</strong> Responsibilities1. Reception / Patient Visit Coordination Greets patients upon arrival, assesses <strong>and</strong> directs to appropriate areas in SETFHT. Answers phone during peak times <strong>and</strong> sets up appointments for patients with appropriate physicians<strong>and</strong>/or Interprofessional health care providers (IHPs). Answers patient related questions or inquires <strong>and</strong> refers to appropriate individual if beyond scope, usingthe SETFHT Triage Policy as guidance.2. General Office Duties Performs clerical duties (e.g. photocopies, faxes, e‐mails, picks up/delivers mail) for the team membersof SETFHT. Helps with referrals <strong>and</strong> ongoing scanning. Assists with information technology problem‐solving including support of the electronic medical recordsystem (Practice Solutions), the server <strong>and</strong> be able to conduct searches using Practice Solutions. Billing support for health care providers. Assists with patient communications (e.g. writing or organizing letter mail outs, phone calls etc.) as itpertains to quality improvement strategies. Types/transcribes letters, referrals, meeting minutes <strong>and</strong>/or other correspondence as determined byLead Physician, Executive Director <strong>and</strong>/or Site Administrator. Maintains administrative manuals (e.g. administrative manual, equipment/warranty filing), filing systems<strong>and</strong> an inventory of supplies/equipment (including drug sample room, procedure room, team mobilecarts, immunization).


Ensures general cleanliness of clinic including waiting room <strong>and</strong> exam rooms. <strong>Support</strong>s operations ofclinic by proactively problem solving <strong>and</strong> following up when items need to be fixed or cleaned up).3. Clinic Assistance Sets up <strong>and</strong> maintains examination room (e.g., medical equipment, supplies) <strong>and</strong> ensures itscleanliness. Cleans, sterilizes <strong>and</strong> maintains medical instruments/equipment. Assists physician (e.g., PAP smears, suturing, ear syringing, liquid nitrogen, blood pressure, height,weight) as needed. Porters patients.4. Quality Improvement To identify best/appropriate sources of data. Assist with data improvement suggestions <strong>and</strong> corrective solutions. Collaborate with stakeholders <strong>and</strong> facilitate team activities as changes are implemented. Assist with patient communications (e.g. writing or organizing letter mailouts, phone calls etc) as itpertains to QI strategies.The above responsibilities are not to be considered all inclusive; the individual may be assigned other relatedduties in the interest of efficient operations of SETFHT.Skills, Knowledge Requirement Exceptional organizational skills; Excellent interpersonal <strong>and</strong> oral/written communication skills; Strong problem solving skills; Ability to maintain confidentiality <strong>and</strong> impartiality; Capacity to adapt quickly to a fast paced, dynamic work environment; High degree of accuracy <strong>and</strong> attention to detail; Proven participatory work style; Ability to work independently <strong>and</strong> with a team (e.g. ability to work effectively with all members of thehealth care team); Ability to prioritize, manage time effectively <strong>and</strong> be flexible in a very active work environment; High level of accuracy <strong>and</strong> attention to detail; <strong>and</strong> Exercises good judgment.Computer Skills Competence with Microsoft Office suite of software; <strong>and</strong> Experience with clinical management system (CMS), preferably Practice Solutions’ Suite.Qualifications Completion of Medical Secretary Course (medical terminology, pharmacology). Proficiency in computer applications: Windows, Microsoft Office programs, Email <strong>and</strong> Internet Research. Demonstrated planning, organization, problem solving, research <strong>and</strong> analysis, written <strong>and</strong> oralcommunication, <strong>and</strong> conflict resolution skills. Medical office experience a must. Experience in administrative office environment including demonstrated competence in wordprocessing, minute taking, public liaison, telephone message intake.


Compensation is based on experience <strong>and</strong> will range from $18.00 to $19.50 an hour.
