Welcome to Bio UK Ltd.<br />

We are delighted that you are working with us and hope that you will find your job both challenging<br />

and enjoyable.<br />

This book will tell you how things work at Bio, it provides all the information you will need, or tells<br />

you where you can find it and sets out the expectations for and of everyone at Bio.<br />

If there are any changes to any of the information in this book you will be notified by email and an<br />

up to date copy is always available on PEOPLE HR.<br />

The information in this book is not contractual and your Employment Contract will contain all the<br />

contractual details that are personal to you and your employment.<br />

INDUCTION<br />

Everyone joining Bio will have an induction period at the start of their employment. During this<br />

period the new employee will have an opportunity to meet the rest of the staff and become<br />

familiar with the role and the rest of the business.<br />

It is important that all staff understand the induction process, do whatever is necessary to help<br />

colleagues settle into their new role and always make new colleagues feel welcome.<br />

On day one everyone will be given access to PEOPLE HR where you will find lots of<br />

interesting stuff. PEOPLE HR is the place where you update your personal details book your<br />

holidays and much more.<br />

CHANGES IN PERSONAL CIRCUMSTANCES<br />

When you started work you were asked to provide personal<br />

information to help us to assist you, especially in cases of emergency,<br />

it is essential that all information on your personnel records is<br />

complete, correct and up to date.<br />

Please go on to the PEOPLE HR portal and update your information<br />

whenever necessary, including change of:<br />

• address<br />

• telephone number<br />

• name<br />

• next of kin<br />

You need to let HMRC know too.<br />

EQUAL TREATMENT<br />

It is the company’s intention that all employees should have an<br />

equal chance of advancement, access to opportunity, and training<br />

irrespective of the employee’s:<br />

• Sex or becoming a transsexual person<br />

• Race, colour, nationality, ethnic origin<br />

• Sexual orientation<br />

• Religion or belief<br />

• Age<br />

• Marital or civil partnership status<br />

• Pregnancy or parenthood<br />

We will provide all reasonable facilities for employees with disabilities<br />

to pursue their careers without difficulty or disadvantage. It is the<br />

responsibility of everyone at Bio to make sure this happens. If you feel<br />

that this is not happening please let your line manager or one of the<br />

Senior Team know. We will endeavour to deal with any issues as soon<br />

as possible, but if we fail to satisfy your concerns you can make use of<br />

our grievance procedure.<br />

ANTI-BULLYING AND HARASSMENT<br />

The Company provides an environment in which all employees<br />

are treated with respect and dignity and we hope that none of our<br />

employees would ever bully or harass anyone, however we do have<br />

an Anti-Bullying and Harassment policy which can be found on the<br />

PEOPLE HR portal.<br />

The Company will not condone or tolerate any form of harassment<br />

or bullying, whether engaged in by employees or by outside third<br />

parties, such as clients, customers, contractors and suppliers. So if<br />

you feel bullied or harassed or you think anyone else is being bullied,<br />

please have a look at the policy and most importantly tell someone. Be<br />

assured that Bio will take appropriate action against any third parties<br />

who are found to have committed an act of improper or unlawful<br />

harassment against you or any of its employees.<br />

HEALTH AND SAFETY<br />

As a responsible company Bio will take all reasonable steps to ensure<br />

the health, safety and welfare of its employees. Our Health and Safety<br />

Statement can be found on PEOPLE HR and it is important that you<br />

read it.<br />

As you may be working on customer sites it is equally important that<br />

you make yourself aware of and act in accordance with the health and<br />

safety policy and procedure applicable to the site.<br />

TIME KEEPING<br />

We trust that you will make every effort to always arrive on time,<br />

however we understand that there are sometimes unavoidable<br />

circumstances that lead to your late arrival at work, or to meetings. In<br />

these instances please be courteous and contact your line manager<br />

and the customer at which you should be attending, by phone as soon<br />

as possible, to notify them of the time you expect to arrive. Similarly<br />

if you need to leave early or take time out of the day for any reason<br />

please let your line manager and the customer know.<br />

HOLIDAYS<br />

Your paid annual leave entitlement is set out in your Contract of Employment. You can find a copy of<br />

your contract and our Annual Leave policy on PEOPLE HR. For quick reference here are some of the<br />

main points.<br />

We want you to take a well deserved break, so please use all of your holiday each year.<br />

Submit your holiday requests via PEOPLE HR and let your customer contact know. We will confirm<br />

your request as soon as possible so you can get on with arranging your holiday. You can see how<br />

much holiday you have taken or booked and what you have left every time you log on to PEOPLE HR.<br />

Please give us as much notice of your intention to take holiday as possible, 4 weeks would be great.<br />

There may be times when the company need you to take a holiday such as Christmas or New Year,<br />

we will let you know all the mandatory holiday dates for the current year by the end of January.<br />

SICKNESS ABSENCE AND PAY<br />

In the unfortunate event that you cannot come to work because you are ill or injured, please let us<br />

know as soon as possible by calling your line manager, before you are due to start work.<br />

You need to call to tell us why you are off and when you expect to be back. If you are unable to return<br />

within 7 days we will need a note from your doctor confirming your condition. If you are suffering from<br />

an infectious or contagious disease, such as measles or chicken pox, please let us know as soon as<br />

you are diagnosed.<br />

While off sick you may be entitled to Statutory Sick Pay (SSP) or Company sick pay depending on<br />

your length of service. Full details of rules and procedures relating to Sickness Absence and Sick Pay<br />

can be found on PEOPLE HR.<br />

TAKING TIME OFF WORK<br />

There are many reasons why you may need to take time off work. All of these are covered by our<br />

Time Off Work policies, which tell you about the leave and the associated pay, they can be found<br />

on PEOPLE HR and include:<br />

• Maternity and Paternity Leave<br />

• Adoption Leave<br />

• Emergency Leave – Short period of leave to deal with a family or dependants emergency<br />

• Parental Leave – Take time to spend with your children<br />

• Jury Service and other public duties<br />

• Membership of the reserved armed forces<br />

• Medical Appointments<br />

• Compassionate Leave<br />

• Study Leave<br />

If it’s not on the above list and you’re not sick, then your leave would be taken as a holiday.<br />

FLEXIBLE WORKING<br />

You may ask us to reduce or change the hours you work<br />

and we will properly consider your request. Just send it to<br />

your line manager.<br />

There are other Company polices that you may need to<br />

refer to from time to time including:<br />

• The use of Company Equipment<br />

• Data Protection<br />

• IT Security<br />

• Bribery<br />

• Contracts for goods and services.<br />

• Performance Management.<br />

• Alcohol and drugs.<br />

• Smoking<br />
