Ipsen Relies on Egencia for Their Successful Travel Management
Program
Ipsen is an innovative international pharmaceutical company with more than 4,400 employees
worldwide. The company has a dual focus on therapeutic core services as well as traditional
pharmaceutical products.
As a company with global operations, Ipsen Pharma GmbH faced challenges in the area
of travel management. The straightforward, intuitive booking procedure was one of the
main reasons Egencia was chosen as the preferred travel management provider.
“The Egencia booking engine is self-explanatory and user-friendly, making it easy to
book business travel of any type,” says Sabine Jarosch, Ipsen Pharma GmbH’s Travel
Manager in Germany.
Travel policies play a significant part in Ipsen’s business travel program. These policies
have been specified at a global level. At Ipsen, trips both outside and within the travel
policy must be approved. For flights, the policy also specifies local exceptions, meaning
that flights to certain areas are automatically flagged as travel policy violations.
Adopting a Travel Policy Leads to
Cost Savings
Adopting a travel policy provides the
company with cost savings and efficiency.
The visualization of out-of-policy trips in the
Egencia booking tool provides business
travelers with a kind of warning function.
For example, Ipsen Pharma’s travel policy
specifies that travel must always be booked
14 days prior to departure. If this is not the
case, the trip will automatically be flagged
on the HR website. This encourages
business travelers at the company to book
their trips as early as possible in order to
save the company money.
Simplified Approval Procedure
Egencia’s systematic approval procedure
features a simple application and an easyto-understand
process flow.
“The straightforward transmission of
approval emails for flight and hotel
bookings to the responsible individuals
in real time make the travel booking and
approval process rapid and seamless,” said
Jarosch.
Optimized Process In Travel
Management
When organizing their business trips,
employees in the company are encouraged
to use Egencia’s travel services to select
and purchase their travel, including
accommodations. A careful review of
whether business travel is necessary
and the integrated display of all business
travel undertaken – all on an extensive
reporting platform – permit cost savings to
be analyzed and unnecessary costs to be
quickly identified.
