Tips for Keeping Equipment 

Fleet Productive and Profitable

Healthy equipment that runs efficiently and achieves top production is the hallmark 

of a profitable equipment fleet. To achieve this goal, equipment must be 

effectively maintained at the least possible cost. The following tips from John 

Deere Service Marketing Manager Diego Navarro will help equipment fleet managers 

accomplish maximum productivity and uptime while minimizing costs. 

CONDITION-BASED MAINTENANCE 

Condition-based maintenance is exactly what it sounds like—proactive maintenance 

procedures that are based on the condition of the machine. To provide maintenance, 

the technician reads the health of the machine and provides services based 

on that information. The most powerful technique used in condition-based maintenance 

is a complete oil analysis. 

“With many inferior oil analysis tests out there, it’s imperative to use one that will 

give you complete information,” Navarro said. 

Another technique commonly used in condition-based maintenance is root cause 

analysis, according to Navarro. “Any problem has three root causes,” he said. “One of 

them obviously is human error—for example, using the wrong kind of oil. Then 

there’s physical error—such as parts failure. Administrative error also can play a part, 

such as the lack of written procedures or failure to schedule inspections. In short, if 

you don’t find the reason the machine is failing, it will fail again. Root cause analysis 

helps us get to what is really causing the problem, so we can address it. It’s treating 

the disease instead of just relieving the symptoms.” 

PARTICLE COUNTS AND FILTRATION 

Filtration of the hydraulic system is important to extend the component life of any 

machine. The technician should initially determine the particle count by testing the 

fluid. Once that is done, a target particle count can be established, and then filtration 

can take place to reach that target. 

“An on-site filtration caddy can clean the hydraulics very fast while you’re performing 

other services,” Navarro said. “John Deere dealers offer a range of filtration methods, 

including an on-site caddy, to help machine owners keep their equipment’s systems 

healthy and clean. In some cases you may need to use bypass filtration, which is an aftermarket 

product. The bypass filter will take two or three weeks to reach that cleanliness.” 

Another technique, magnetic filtration, is effective for components such as axles. It 

is primarily used to capture iron particles. “Iron in big quantities damages bearings, 

oxidizes the oil and consumes the additive,” Navarro said. “When you change oils, not 

all the iron goes out, so it’s important to collect that iron using magnetic filtration.” 

PROPER LUBRICATION 

Lubricants are designed for a specific purpose, then are tested and developed with 

stringent quality control. During development, they are subject to a wide range of 

temperatures, pressures and more to determine how they will perform. As a result, 

mixing lubricants is a risk machine owners won‘t want to take. 

“When your machine needs more oil, and you simply add any product you find 

instead of sticking with what’s already being used in the machine, you are instantly 

changing the formulation,” Navarro said. “This produces a new product that has not 

been tested, and it can often affect the machine negatively and accelerate wear, as 

these two lubricants aren’t designed to work together.”

Kenworth Announces Winners 

In Medium Duty ‘Walk-Around’ 

Event 

Kenworth dealer salespeople in the 

United States and Canada recently participated 

in the Kenworth Medium 

Duty Walk-Around Competition to 

help enhance and expand their medium 

duty product knowledge. 

The contest focused on the affordable 

Kenworth T300 which offers low operating 

cost and is designed to perform well in 

each customer’s specific application. 

Robin Caron of Tandet Kenworth in 

Ottawa, Ont., captured the championship 

and the $5,000 first prize in the 

competition. Southeast region winner 

Will Bruser, Kenworth of Mobile in 

Alabama, was second while Central 

region winner Jim Hawkins of MHC 

Kenworth - Kansas City, Mo. finished 

third. Other region champions and walkaround 

finalists were Derek Tassler, 

Wisconsin Kenworth - Mosinee, Wis., 

(Great Lakes); Kevin White, Kenworth 

of Pennsylvania, Carlisle, Pa. (Northeast); 

and Rod Rimmer, Central California 

Kenworth, Fresno, Calif. (Western). 

“Participants in the competition 

gained increased knowledge about 

Kenworth’s 2008 T300 Class 6 and 


Class 7 models, which is especially 

important with the addition of the new 

PACCAR PX-6 and PX-8 engines,” 

said Gary Moore, Kenworth assistant 

general manager for marketing and 

sales. “This experience will help 

enhance the ability of Kenworth dealer 

salespeople to successfully spec the 

right, high-performing Kenworth T300 

for each customer.” 

During the competition, participants 

“walk around” the truck to discuss key 

features, advantages and benefits and 

are graded on their presentation. The 

six finalists won their district competition, 

and then their region title to 

advance to the North American championship 

held at the recent Kenworth 

Dealer Meeting in Tucson, Ariz. 

Trimble Announces Approval of 

the Merger by @Road 

Stockholders and the 

Completion of the Transaction 

Trimble announces that the stockholders 

of @Road, Inc. have approved and 

adopted the Agreement and Plan of 

Merger, dated December 10, 2006, by and 

among Trimble, @Road and Roadrunner 

Acquisition Corp., and approved the 

merger. Stockholders holding approximately 

72 percent of the total number of 

shares of @Road issued, outstanding and 

entitled to vote at the meeting voted in 

favor of the agreement and the merger. 

Following the approval of @Road 

stockholders, Trimble completed its 

acquisition of @Road for a total purchase 

price of approximately $493.1 million. 

Under the terms of the agreement and 

Trimble's previously announced determination 

of the merger consideration, 

@Road common stock holders will 

receive $5.00 in cash and 0.0447 shares 

of Trimble common stock for each outstanding 

share of @Road common stock. 

Effective with the closing of the 

transaction, trading in @Road common 

stock on the NASDAQ stock market 

will cease. Trimble will promptly arrange 

for a letter of transmittal to be sent to 

each registered @Road stockholder that 

will inform such stockholder where to 

deliver @Road stock certificates in order

Snow and Ice Management 

Association to Unveil New 

Certification Test 

SIMA, the Snow & Ice 

Management Association, announced 

that it will unveil its new Certified Snow 

Professional test on April 20, 2007. 

The test has been completely overhauled 

to match a newly written study 

guide for the program. SIMA plans to 

grow the program in the next year by 

offering more test dates and consolidating 

study materials into the study 

guide. The first new test will be offered 

in conjunction with a training seminar 

coordinated by SIMA in Cherry Hill, 

N.J. in April. 

“Becoming a CSP is about more than 

just plowing snow,” said Julie Seggi, 

training coordinator at SIMA. “It’s 

about running a professional, safe and 

successful snow removal service. CSPs 

take pride in the work that they do.” 

The benefits of becoming a CSP 

include added recognition, marketing 

value, and increased knowledge of best 

practices and risk management.

Preparation for the test includes meeting 

eligibility requirements and studying 

for the exam using the study guide 

created specifically for the CSP program 

by SIMA.

in Charleroi, Pa., has been signed as 

the newest Michelin Retread 

Technologies (MRT) franchisee. Luc 

Minguet, COO of Michelin Americas 

Truck Tires, and Jim Stankiewicz,

(EUFMC) in Williamsburg, 

Virginia, the theme “Putting

In addition, a focus on preventive 

maintenance, including labor, 

parts and fuel management was 

advised as well as financial training for 

supervisors. 

“Continue to work on culture 

changes,” Meisel concluded. “It’s a 

slow process but change for the right 

reason is good. Continue to challenge 

the process. Outside influences are 

also good so benchmark against everyone, 

not just the best, and learn from 

your peers inside and outside your 

company.”

“To manage that growth and ensure that 

safe, well maintained vehicles and equipment 

are ready for our work crews, we 

rely on maintenance management software 

throughout the operation.” 

Two years ago, CJ Miller adopted 

ShopFax, the maintenance management 

solution from World Information 

Systems. “One thing we especially like 

about this system,” Warner says, “is that 

it’s an equipment management program, 

not an accounting program. It 

has accounting functions that we 

require but it’s driven by equipment 

management needs. 

“We use ShopFax every day to manage 

the entire fleet,” Warner continues, 

“including all on- and off-road equipment 

and even light-duty vehicles. We 

have 1,020 units in the fleet and we 

service them at our main shop and three 

satellite facilities. With this system we 

can intelligently plan, manage and control 

our equipment and maintenance 

operation, and in turn streamline efficiency 

and productivity.” 

The bar code-based ShopFax software, 

Warner reports, enables more effective 

management of the CJ Miller operation in 

several ways. For example, scanning bar 

codes for labor and parts data entry eliminates 

errors and leads to a virtually paperless 

shop environment. In addition, the 

system is set up to track the number of 

gallons of fuel used by each vehicle or 

piece of equipment— whether fueled in 

the yard for on-road use or onsite. Backed 

by mileages and hours of operation, that 

data is used to establish preventive maintenance 

schedules for the fleet. 

ShopFax is also used for parts management, 

Warner points out. “The bar 

codes enable the system to be very part 

specific,” he says. “It knows which original 

equipment and replacement parts are 

on each unit in the fleet, and the cost, 

length of service and technicians that 

worked on every item. That information 

is very helpful in automatic ordering 

based on utilization and inventory levels, 

on warranty recovery including replacement 

parts and on helping determine 

when to replace parts before they fail. 

Lower costs stem from prevention, not 

unscheduled repair and replacement.” 

The ShopFax system at CJ Miller is 

also driven by ATAVMRS codes for 

both on- and off-road equipment, 

which Warner says leads to savings in 

other areas as well. For example, the 

codes allow the fleet to track performance 

and identify repetitive problems 

with individual systems and components. 

“We can then make adjustments 

in specifications for new and replacement 

parts and reduce costs,” he adds. 

“ShopFax also serves us well by 

allowing for reporting on trends on 

costs and inconsistencies,” Warner 

notes. “For example, if we sort labor 

costs by VMRS code and look for the 

highest cost areas we can identify 

where we need to emphasize technician 

training. If we see an increase in labor 

in one area, it tells us what problems to 

focus on and gives us direction on how 

to train our staff.”

Overall, Warner reports that CJ 

Miller has seen significant savings since 

implementing the ShopFax management 

system. In particular, fleet utilization 

is up 12 percent due in part to a 

reduction in downtime. “Based on 

benchmarks we established,” he also 

relates, “we saved $886,000 in the first 

full year we had the system and $2.284 

million last year. ShopFax has proven 

that it’s efficient, reliable and effective 

because it gives us the knowledge to 

understand our needs.”

With a fleet of approximately 5,770 

vehicles that travels an estimated 46 

million miles annually providing electric 

and gas service to its customers, 

National Grid relies extensively on fleet 

management software to keep its vast 

operation in motion. For the utility’s 

Fleet Management Department, the 

most effective choice of software is the 

MAXIMUS FleetFocus solution. 

Today, the fleet department consists of 

240 employees, including 179 technicians 

and 22 supervisors working from 

36-staffed garages. 

Through acquisitions, National Grid 

has become the largest electricity transmission 

and distribution network in the 

New England/New York region and now 

provides electricity and natural gas services 

to a growing number of customers. The 

company’s experience with FleetFocus 

began at the New England Electric 

System (NEES) before it was acquired in 

2000, and following the acquisition of 

Niagara Mohawk Power Corporation in 

2003, FleetFocus was chosen as the system 

to run the combined fleet. 

“No two fleet departments implement 

software in quite the same way,” 

states Archie Bernardi, Manager of 

Fleet Performance and Contract 

Management for National Grid. 

“When faced with mergers and acquisitions, 

the challenge is to get everyone 

on the same page as quickly as possible 

while ensuring existing and new best 

practices are implemented. We avoid 

the headaches that come from costly 

custom configurations and ground up 

re-implementation by relying on the 

built-in scalability of FleetFocus. The 

software’s flexibility is critical to managing 

our fleet’s growth.” 

To address the challenges posed by 

mergers, National Grid has relied on 

MAXIMUS and a cross functional team 

that includes fleet supervisors to evaluate 

and develop company-wide policies, 

procedures and FleetFocus system software 

standards. Today, this core team 

has become an ongoing committee driving 

continuous improvement, expansion 

and support. In addition, National 

Grid’s IT Department seamlessly integrates 

the software into the corporate 

system building necessary interfaces 

with work management, time entry, 

financial and fuel management systems, 

and updates them automatically from 

multiple locations across multiple states. 

FleetFocus has also added functionality 

to National Grid’s utility fleet 

operations in several areas, including 

implementing fixed rate vehicle pricing 

to effectively charge back clients for 

vehicle use. Covering approximately 

160 maintenance classes, the system 

also adds actual fuel consumption and 

costs to the monthly charge on a vehicle-by-vehicle 

basis. This process is 

credited with helping National Grid 

operating departments manage fleet 

assets by providing them with detailed 

vehicle utilization information. 

Other benefits of FleetFocus at 

National Grid include capturing and 

more accurately tracking employee 

labor, as well as warranty claims to 

ensure covered repairs to vehicles are 

reimbursed. National Grid’s Fleet 

Department has also developed performance 

reports that shed light on key 

metrics down to the garage level. This 

information is used on an ongoing basis 

to reduce costs and monitor trends and 

identify areas for improvement. 

In the summer of 2006, National 

Grid completed an acquisition of New 

England Gas and based on work done 

during previous mergers, put the 

FleetFocus application in place to manage 

the company’s vehicle assets. In 

addition, National Grid Fleet supervisors 

quickly trained technicians and 

staff. In February 2006, National Grid

also announced plans to acquire 

KeySpan Energy, a gas and electric utility 

serving areas of New York City, 

Long Island, eastern Massachusetts and 

south central New Hampshire. The 

acquisition will create a combined fleet 

of almost 10,000 vehicles. 

“Whether experiencing an increase 

in our fleet due to mergers, or just 

evolving our existing operations, 

FleetFocus has become the backbone of 

how we operate our fleet,” says 

Bernardi. “We’ve explored other fleet 

management software, but none offer 

this level of flexibility, functionality and 

constant improvement.”

CyberLock electronic padlock that cannot 

be compromised by any conventional 

lock-picking methods, and the 

CyberKey® that cannot be duplicated. 

As with all CyberLocks, you can restrict 

access for authorized users to selected 

locks on specific days, and only during

the CyberKey opens a padlock, a record

Flow Regulator Stops Spinouts 

Tuthill Drive Systems, has been 

awarded a United States patent for its 

enhanced flow regulator. The exclusive 

innovation not only increases drive efficiency 

but also helps off-road vehicles 

recover from or avoid one-wheel spinouts. 

By limiting oil flow to a spinning 

wheel when traction is lost (as might 

happen when an off-highway vehicle 

encounters a muddy ditch), the new regulator 

helps maintain hydraulic flow and 

pressure to the other wheels, enabling 

the vehicle to keep moving with full 

torque available at the other wheels. 

The regulator’s unique feature, however, 

is its ability to permit hydraulic 

fluid to flow more freely in the reverse 

direction. Unlike typical regulators, the 

Tuthill Drive Systems’ flow regulator 

opens auxiliary ports so that oil returning 

from its loop through the hydraulic system 

flows more easily. 

The regulator’s improvements produce 

four times the positive effect on the 

drive system (considering each powered 

steer axle typically has four regulators) - 

all the while, the new flow regulator consumes 

about 25 percent less space than 

comparable products.

Watson Delivers Unique 17 Foot 

“Short Mast” ExcaDrill ® 

Watson, Inc. has recently delivered a 

“short mast” Model EDT-7 ExcaDrill® 

to Drilling Services Company, an 

ADSC contractor with headquarters in 

St. Louis, Missouri. 

The ExcaDrill® is designed to use 

the excavator attachment hydraulics to 

power the drill attachment and incorporates 

a hydraulic rotary with dual 

variable displacement motors The 

rotary is located at the bottom of the 

mast structure providing increased stability 

for drilling large diameter shafts 

in a wide range of site conditions. 

Typical drill diameters with the 

Model EDT-7 are from 42 to 54 inches 

(107 to 137cm) and drill depths to 86 

feet (26.2m). Drilling torque is 60,000 

lb.ft. (73,440Nm). The Model EDT-7 

can be mounted on a 40 – 45 Ton (36 to 

41t) excavator and has a unique geometry 

that allows a wide range of applications, 

working over casings, reaching 

over obstructions, and upslopes.

Bandit Model HB20 SideWinder 

Bandit Industries recently unveiled a 

new stump grinder at the American 

Rental Association (ARA) Show. The 


new Model HB20 SideWinder offers a 

unique pivot-action base, allowing the 

operator to keep the wheelbase stationary 

while using a smooth gliding 

motion back and forth to grind stumps. 

The user can position the HB20 in 

close proximity to the stump, release the 

pivot pin, and simply swing the handlebars 

from side-to-side. Traditional handlebar 

units require additional effort 

from the operator to reposition the 

entire machine, including the undercarriage, 

especially on uneven terrain. 

The HB20 SideWinder is available 

with a 20-horsepower Kohler gas engine 

and a 19” cutterhead with 24 teeth.

Typically, a dozer of this size is used 

by several different people on a job site 

or in the rental market. Dressta's Mseries 

dozers are designed to be easily 

controlled, no matter the skill level of 

the operator. The machines feature a 

left-hand joystick control, a right foot 

pedal for engine deceleration and a left 

pedal for braking. Little effort or training 

is needed to easily control the 

machine. 

Additionally, Dressta has designed 

its M-series dozers with a power train 

that combines a torque converter (or 

direct drive system, perfect for applications 

such as fire control) with clutchbrake 

steering. For many applications, 

this power train outperforms other 

competitors that use hydrostatic power 

trains, in addition to having lower 

repair and maintenance costs. It provides 

good shock absorption, minimizes 

engine lugging, and allows operators 

excellent control over machine power.

JLG Develops New Personnel 

Work Platform For Telehandlers 

JLG Industries, Inc. has introduced 

a new personnel work platform for use 

with its JLG®, Gradall®, Lull® and 

SkyTrak® telehandlers. This new 

attachment provides added versatility 

and safety to a job site and is compliant 

with the requirements of ANSI/ITSDF 

B56.6-2005. 

Unlike other more cumbersome 

platforms, the new fork-mounted unit 

can be quickly installed and securely 

locked in place. This attachment provides 

versatility on the job site and 

reduces the need for various types of 

equipment. In the absence of an aerial

work platform, the personnel work platform 

provides a safe approach to lift 

workers to difficult to reach areas. The 

use of the personnel work platform on 

JLG brands of telehandlers allows 

workers to be lifted as high as 55 feet on 

rough terrain sites where access with 

alternative equipment could be difficult. 

The thirty-two square foot platform 

features 1,000-lbs. capacity, which comfortably 

and safely holds two people. 

The platform features a swing gate entry 

with a unique removable front panel for

Bobcat Expands Skid-Steer 

Loader Line with New S330 

Contractors needing a larger skidsteer 

loader with more lift capacity, 

increased horsepower and an improved 

cooling system can now turn to the new 

S330 skid-steer loader from Bobcat 

Company, a business of Ingersoll Rand, 

a diversified industrial firm. 

The new Bobcat® S330 skid-steer 

loader builds upon the existing Bobcat 

skid-steer loader line, which also 

includes models 463 through S300. 

With a 3,300-pound rated operating 

capacity (ROC), the S330 becomes the 

company’s largest skid-steer loader. 

Bobcat representatives say the 

machine’s large ROC and high lift 

height will appeal to a variety of customers, 

especially in the construction, 

landscaping and agricultural markets. 

They say an increase in demand for larg-

er skid-steer loaders with a lift capacity 

of more than 3,000 pounds prompted

The skid-steer loader’s 3,300-pound

There are numerous advantages for 

fleet managers to work closely 

with manufacturers to ensure 

that bodies and equipment are properly 

designed and mounted to vehicle chassis. 

While those include proper and safe 

operation, low maintenance costs and 

long service life, the advent of 2007 

emissions compliant diesel engines has 

created an even greater need to address 

upfitting considerations. One reason, 

for example, is that exhaust system 

technology being incorporated to meet 

the new requirements mean fleets and 

upfitters will have much less flexibility 

in body application. 

ONLINE INFORMATION 

Truck, body and equipment manufacturers 

are well aware of this development, 

of course, and several have 

addressed the challenge in formal programs 

and by making information 

available to fleets, body and equipment 

builders and upfitters. International 

Trucks, a Navistar company, for 

instance, offers web access to its Body 

Builder Resource Center. 

Included on the International site at 

www.internationaltrucks.com is comprehensive 

parts and technical service 

information on topics such as diagnostic 

trouble codes, circuit diagrams and a 

complete body builder’s electrical guide. 

Another offering is a Body Integration 

Quick Reference chart detailing part 

names, descriptions and numbers for a

connectors, switches and harnesses, 

among other items.

the body installation 

for fleet customers. 

BODY BUILDERS MANUAL 

Another OEM offering aimed at 

helping ensure proper body installation 

is the Kenworth Medium Duty Body 

Builders Manual, a free online offering 

from Kenworth Truck Company for its 

T300 medium duty conventional chassis 

(see www.kenworth.com). 

Intended for companies that install 

bodies and associated equipment, and 

dealers who sell the OEM’s mediumduty 

vehicles, the manual can also be 

very useful when specifying a vehicle, 

particularly when the body builder is 

involved in the vehicle definition and 

ordering process. 

The Kenworth manual was created 

to provide body builders with appropriate 

information and guidelines useful in 

the body planning and installation 

process. This information can be helpful 

when installing bodies or other 

equipment. The manual, for example, 

contains information in several key categories, 

including safety signals and 

standards, and electrical circuits, wiring 

for liftgates and liftgate power sources, 

as well as engine connections for PTOs. 

Other areas covered in the manual 

from Kenworth are dimensions and 

locations for crossmembers and fuel 

tanks, details on component mounting 

and frame rail configurations for battery 

boxes and air tanks, fuel tanks and horizontal, 

vertical and transverse mufflers. 

Body mounting issues covered include 

clearances for rears wheels and cabs, 

chassis reinforcements, frame sill brackets, 

mounting holes and frame drilling, 

spacers, frame modifications and inserts 

and welding precautions. 

REDUCING COST 

This type of information, according 

to Jeff Sass, Kenworth marketing planning 

and research director, is particularly 

helpful when a body builder is 

involved in the vehicle definition and 

ordering process. “In addition,” he says, 

“the manual is useful when specifying a 

vehicle. Early in the process, professional 

body builders can often contribute 

valuable information that helps 

to reduce the cost of the body installation 

for fleet customers.” 

Sass also notes that it’s imperative 

for OEMs, dealers, body builders and 

fleets to work together so each body can 

be installed easily and efficiently when 

the builder takes delivery. In the end, 

that will also ensure that fleets receive a 

safe, reliable and durable vehicle to 

meet its operational needs.
