Tips for Keeping Equipment<br />
Fleet Productive <strong>and</strong> Profitable<br />

Healthy equipment that runs efficiently <strong>and</strong> achieves top production is the hallmark<br />
of a profitable equipment fleet. To achieve this goal, equipment must be<br />
effectively maintained at the least possible cost. The following tips from John<br />
Deere Service Marketing Manager Diego Navarro will help equipment fleet managers<br />
accomplish maximum productivity <strong>and</strong> uptime while minimizing costs.<br />
CONDITION-BASED MAINTENANCE<br />
Condition-based maintenance is exactly what it sounds like<strong>—</strong>proactive maintenance<br />
procedures that are based on the condition of the machine. To provide maintenance,<br />
the technician reads the health of the machine <strong>and</strong> provides services based<br />
on that information. The most powerful technique used in condition-based maintenance<br />
is a complete oil analysis.<br />
“With many inferior oil analysis tests out there, it’s imperative to use one that will<br />
give you complete information,” Navarro said.<br />
Another technique commonly used in condition-based maintenance is root cause<br />
analysis, according to Navarro. “Any problem has three root causes,” he said. “One of<br />
them obviously is human error<strong>—</strong>for example, using the wrong kind of oil. Then<br />
there’s physical error<strong>—</strong>such as parts failure. Administrative error also can play a part,<br />
such as the lack of written procedures or failure to schedule inspections. In short, if<br />
you don’t find the reason the machine is failing, it will fail again. Root cause analysis<br />
helps us get to what is really causing the problem, so we can address it. It’s treating<br />
the disease instead of just relieving the symptoms.”<br />
PARTICLE COUNTS AND FILTRATION<br />
Filtration of the hydraulic system is important to extend the component life of any<br />
machine. The technician should initially determine the particle count by testing the<br />
fluid. Once that is done, a target particle count can be established, <strong>and</strong> then filtration<br />
can take place to reach that target.<br />
“An on-site filtration caddy can clean the hydraulics very fast while you’re performing<br />
other services,” Navarro said. “John Deere dealers offer a range of filtration methods,<br />
including an on-site caddy, to help machine owners keep their equipment’s systems<br />
healthy <strong>and</strong> clean. In some cases you may need to use bypass filtration, which is an aftermarket<br />
product. The bypass filter will take two or three weeks to reach that cleanliness.”<br />
Another technique, magnetic filtration, is effective for components such as axles. It<br />
is primarily used to capture iron particles. “Iron in big quantities damages bearings,<br />
oxidizes the oil <strong>and</strong> consumes the additive,” Navarro said. “When you change oils, not<br />
all the iron goes out, so it’s important to collect that iron using magnetic filtration.”<br />
PROPER LUBRICATION<br />
Lubricants are designed for a specific purpose, then are tested <strong>and</strong> developed with<br />
stringent quality control. During development, they are subject to a wide range of<br />
temperatures, pressures <strong>and</strong> more to determine how they will perform. As a result,<br />
mixing lubricants is a risk machine owners won‘t want to take.<br />
“When your machine needs more oil, <strong>and</strong> you simply add any product you find<br />
instead of sticking with what’s already being used in the machine, you are instantly<br />
changing the formulation,” Navarro said. “This produces a new product that has not<br />
been tested, <strong>and</strong> it can often affect the machine negatively <strong>and</strong> accelerate wear, as<br />
these two lubricants aren’t designed to work together.”<br />

Duty Walk-Around Competition to<br />
help enhance <strong>and</strong> exp<strong>and</strong> their medium<br />

The contest focused on the affordable<br />
Kenworth T300 which offers low operating<br />
cost <strong>and</strong> is designed to perform well in<br />
each customer’s specific application.<br />

<strong>and</strong> the $5,000 first prize in the<br />

Trimble Announces Approval of<br />
the Merger by @Road<br />
Stockholders <strong>and</strong> the<br />
Completion of the Transaction<br />
Trimble announces that the stockholders<br />
of @Road, Inc. have approved <strong>and</strong><br />
adopted the Agreement <strong>and</strong> Plan of<br />
Merger, dated December 10, 2006, by <strong>and</strong><br />
among Trimble, @Road <strong>and</strong> Roadrunner<br />
Acquisition Corp., <strong>and</strong> approved the<br />
merger. Stockholders holding approximately<br />
72 percent of the total number of<br />
shares of @Road issued, outst<strong>and</strong>ing <strong>and</strong><br />
entitled to vote at the meeting voted in<br />
favor of the agreement <strong>and</strong> the merger.<br />
Following the approval of @Road<br />
stockholders, Trimble completed its<br />
acquisition of @Road for a total purchase<br />

to match a newly written study<br />
guide for the program. SIMA plans to<br />
grow the program in the next year by<br />
offering more test dates <strong>and</strong> consolidating<br />
study materials into the study<br />
guide. The first new test will be offered<br />
in conjunction with a training seminar<br />
coordinated by SIMA in Cherry Hill,<br />
N.J. in April.<br />
“Becoming a CSP is about more than<br />
just plowing snow,” said Julie Seggi,<br />
training coordinator at SIMA. “It’s<br />
about running a professional, safe <strong>and</strong><br />
successful snow removal service. CSPs<br />

The benefits of maintenance management<br />

the productivity of technicians, <strong>and</strong><br />
parts, supervisory <strong>and</strong> management staff.<br />
By addressing the productivity <strong>and</strong><br />
efficiency of everyone involved in the<br />
purchasing <strong>and</strong> maintenance of fleet<br />
assets<strong>—</strong>from the writing of specifications<br />
to service <strong>and</strong> operation, <strong>and</strong> disposition<br />
of used vehicles <strong>and</strong> equipment<strong>—</strong>software<br />
solutions are help reduce labor costs<br />
<strong>and</strong> improve workloads. In addition,<br />
these systems optimize preventive maintenance<br />
intervals <strong>and</strong> lower the cost of<br />

work, is a keen proponent of using<br />
maintenance management software.<br />
“The company has been in business since<br />
1959 <strong>and</strong> has grown to be one of the<br />
largest <strong>and</strong> most complete site development<br />
companies in the region,” he states.<br />
“To manage that growth <strong>and</strong> ensure that<br />
safe, well maintained vehicles <strong>and</strong> equipment<br />
are ready for our work crews, we<br />
rely on maintenance management software<br />
throughout the operation.”<br />
Two years ago, CJ Miller adopted<br />
ShopFax, the maintenance management<br />
solution from World Information<br />
Systems. “One thing we especially like<br />
about this system,” Warner says, “is that<br />
it’s an equipment management program,<br />
not an accounting program. It<br />
has accounting functions that we<br />
require but it’s driven by equipment<br />
management needs.<br />
“We use ShopFax every day to manage<br />
the entire fleet,” Warner continues,<br />
“including all on- <strong>and</strong> off-road equipment<br />
<strong>and</strong> even light-duty vehicles. We<br />
have 1,020 units in the fleet <strong>and</strong> we<br />
service them at our main shop <strong>and</strong> three<br />
satellite facilities. With this system we<br />
can intelligently plan, manage <strong>and</strong> control<br />
our equipment <strong>and</strong> maintenance<br />
operation, <strong>and</strong> in turn streamline efficiency<br />
<strong>and</strong> productivity.”<br />
The bar code-based ShopFax software,<br />
Warner reports, enables more effective<br />
management of the CJ Miller operation in<br />
several ways. For example, scanning bar<br />
codes for labor <strong>and</strong> parts data entry eliminates<br />
errors <strong>and</strong> leads to a virtually paperless<br />
shop environment. In addition, the<br />
system is set up to track the number of<br />
gallons of fuel used by each vehicle or<br />
piece of equipment<strong>—</strong> whether fueled in<br />
the yard for on-road use or onsite. Backed<br />
by mileages <strong>and</strong> hours of operation, that<br />
data is used to establish preventive maintenance<br />
schedules for the fleet.<br />
ShopFax is also used for parts management,<br />
Warner points out. “The bar<br />
codes enable the system to be very part<br />
specific,” he says. “It knows which original<br />
equipment <strong>and</strong> replacement parts are<br />
on each unit in the fleet, <strong>and</strong> the cost,<br />
length of service <strong>and</strong> technicians that<br />
worked on every item. That information<br />
is very helpful in automatic ordering<br />
based on utilization <strong>and</strong> inventory levels,<br />
on warranty recovery including replacement<br />
parts <strong>and</strong> on helping determine<br />
when to replace parts before they fail.<br />
Lower costs stem from prevention, not<br />
unscheduled repair <strong>and</strong> replacement.”<br />
The ShopFax system at CJ Miller is<br />
also driven by ATAVMRS codes for<br />
both on- <strong>and</strong> off-road equipment,<br />
which Warner says leads to savings in<br />
other areas as well. For example, the<br />
codes allow the fleet to track performance<br />
<strong>and</strong> identify repetitive problems<br />
with individual systems <strong>and</strong> components.<br />
“We can then make adjustments<br />
in specifications for new <strong>and</strong> replacement<br />
parts <strong>and</strong> reduce costs,” he adds.<br />
“ShopFax also serves us well by<br />
allowing for reporting on trends on<br />
costs <strong>and</strong> inconsistencies,” Warner<br />
notes. “For example, if we sort labor<br />
costs by VMRS code <strong>and</strong> look for the<br />
highest cost areas we can identify<br />
where we need to emphasize technician<br />
training. If we see an increase in labor<br />
in one area, it tells us what problems to<br />
focus on <strong>and</strong> gives us direction on how<br />
to train our staff.”<br />

Overall, Warner reports that CJ<br />
Miller has seen significant savings since<br />
implementing the ShopFax management<br />
system. In particular, fleet utilization<br />
is up 12 percent due in part to a<br />
reduction in downtime. “Based on<br />
benchmarks we established,” he also<br />
relates, “we saved $886,000 in the first<br />
full year we had the system <strong>and</strong> $2.284<br />
million last year. ShopFax has proven<br />
that it’s efficient, reliable <strong>and</strong> effective<br />
because it gives us the knowledge to<br />
underst<strong>and</strong> our needs.”<br />

With a fleet of approximately 5,770<br />
vehicles that travels an estimated 46<br />
million miles annually providing electric<br />

Fleet Management Department, the<br />

operating departments manage fleet<br />
assets by providing them with detailed<br />
vehicle utilization information.<br />
Other benefits of FleetFocus at<br />
<strong>National</strong> <strong>Grid</strong> include capturing <strong>and</strong><br />
more accurately tracking employee<br />
labor, as well as warranty claims to<br />
ensure covered repairs to vehicles are<br />

Department has also developed performance<br />
reports that shed light on key<br />
metrics down to the garage level. This<br />
information is used on an ongoing basis<br />

In the summer of 2006, <strong>National</strong><br />
<strong>Grid</strong> completed an acquisition of New<br />
Engl<strong>and</strong> Gas <strong>and</strong> based on work done<br />
during previous mergers, put the<br />
FleetFocus application in place to manage<br />
the company’s vehicle assets. In<br />
addition, <strong>National</strong> <strong>Grid</strong> Fleet supervisors<br />
quickly trained technicians <strong>and</strong><br />
staff. In February 2006, <strong>National</strong> <strong>Grid</strong>
also announced plans to acquire<br />
KeySpan Energy, a gas <strong>and</strong> electric utility<br />
serving areas of New York City,<br />
Long Isl<strong>and</strong>, eastern Massachusetts <strong>and</strong><br />
south central New Hampshire. The<br />
acquisition will create a combined fleet<br />
of almost 10,000 vehicles.<br />
“Whether experiencing an increase<br />
in our fleet due to mergers, or just<br />
evolving our existing operations,<br />
FleetFocus has become the backbone of<br />
how we operate our fleet,” says<br />
Bernardi. “We’ve explored other fleet<br />
management software, but none offer<br />
this level of flexibility, functionality <strong>and</strong><br />
constant improvement.”<br />

Tuthill Drive Systems, has been<br />
awarded a United States patent for its<br />
enhanced flow regulator. The exclusive<br />
innovation not only increases drive efficiency<br />
but also helps off-road vehicles<br />
recover from or avoid one-wheel spinouts.<br />
By limiting oil flow to a spinning<br />
wheel when traction is lost (as might<br />
happen when an off-highway vehicle<br />
encounters a muddy ditch), the new regulator<br />
helps maintain hydraulic flow <strong>and</strong><br />
pressure to the other wheels, enabling<br />
the vehicle to keep moving with full<br />
torque available at the other wheels.<br />
The regulator’s unique feature, however,<br />

Typically, a dozer of this size is used<br />
by several different people on a job site<br />
or in the rental market. Dressta's Mseries<br />

left-h<strong>and</strong> joystick control, a right foot<br />
pedal for engine deceleration <strong>and</strong> a left<br />

JLG Develops New Personnel<br />
Work Platform For Teleh<strong>and</strong>lers<br />
JLG Industries, Inc. has introduced<br />
a new personnel work platform for use<br />
with its JLG®, Gradall®, Lull® <strong>and</strong><br />
SkyTrak® teleh<strong>and</strong>lers. This new<br />
attachment provides added versatility<br />
<strong>and</strong> safety to a job site <strong>and</strong> is compliant<br />
with the requirements of ANSI/ITSDF<br />

Unlike other more cumbersome<br />
platforms, the new fork-mounted unit<br />
can be quickly installed <strong>and</strong> securely<br />
locked in place. This attachment provides<br />
versatility on the job site <strong>and</strong><br />
reduces the need for various types of<br />
equipment. In the absence of an aerial
work platform, the personnel work platform<br />
provides a safe approach to lift<br />

Bobcat Exp<strong>and</strong>s Skid-Steer<br />
Loader Line with New S330<br />
Contractors needing a larger skidsteer<br />
loader with more lift capacity,<br />
increased horsepower <strong>and</strong> an improved<br />
cooling system can now turn to the new<br />
S330 skid-steer loader from Bobcat<br />
Company, a business of Ingersoll R<strong>and</strong>,<br />

The new Bobcat® S330 skid-steer<br />
loader builds upon the existing Bobcat<br />
skid-steer loader line, which also<br />
includes models 463 through S300.<br />

There are numerous advantages for<br />
fleet managers to work closely<br />
with manufacturers to ensure<br />
that bodies <strong>and</strong> equipment are properly<br />
designed <strong>and</strong> mounted to vehicle chassis.<br />
While those include proper <strong>and</strong> safe<br />
operation, low maintenance costs <strong>and</strong><br />
long service life, the advent of 2007<br />
emissions compliant diesel engines has<br />
created an even greater need to address<br />
upfitting considerations. One reason,<br />
for example, is that exhaust system<br />
technology being incorporated to meet<br />
the new requirements mean fleets <strong>and</strong><br />
upfitters will have much less flexibility<br />
in body application.<br />
ONLINE INFORMATION<br />
Truck, body <strong>and</strong> equipment manufacturers<br />
are well aware of this development,<br />
of course, <strong>and</strong> several have<br />
addressed the challenge in formal programs<br />
<strong>and</strong> by making information<br />
available to fleets, body <strong>and</strong> equipment<br />
builders <strong>and</strong> upfitters. International<br />
Trucks, a Navistar company, for<br />
instance, offers web access to its Body<br />
Builder Resource Center.<br />

BODY BUILDERS MANUAL<br />
Another OEM offering aimed at<br />
helping ensure proper body installation<br />
is the Kenworth Medium Duty Body<br />
Builders Manual, a free online offering<br />
from Kenworth Truck Company for its<br />
T300 medium duty conventional chassis<br />
(see www.kenworth.com).<br />
Intended for companies that install<br />
bodies <strong>and</strong> associated equipment, <strong>and</strong><br />
dealers who sell the OEM’s mediumduty<br />
vehicles, the manual can also be<br />
very useful when specifying a vehicle,<br />
particularly when the body builder is<br />
involved in the vehicle definition <strong>and</strong><br />
ordering process.<br />
The Kenworth manual was created<br />
to provide body builders with appropriate<br />
information <strong>and</strong> guidelines useful in<br />
the body planning <strong>and</strong> installation<br />
process. This information can be helpful<br />
when installing bodies or other<br />
equipment. The manual, for example,<br />
contains information in several key categories,<br />
including safety signals <strong>and</strong><br />
st<strong>and</strong>ards, <strong>and</strong> electrical circuits, wiring<br />
for liftgates <strong>and</strong> liftgate power sources,<br />
as well as engine connections for PTOs.<br />
Other areas covered in the manual<br />
from Kenworth are dimensions <strong>and</strong><br />
locations for crossmembers <strong>and</strong> fuel<br />
tanks, details on component mounting<br />
<strong>and</strong> frame rail configurations for battery<br />
boxes <strong>and</strong> air tanks, fuel tanks <strong>and</strong> horizontal,<br />
vertical <strong>and</strong> transverse mufflers.<br />
Body mounting issues covered include<br />
clearances for rears wheels <strong>and</strong> cabs,<br />
chassis reinforcements, frame sill brackets,<br />
mounting holes <strong>and</strong> frame drilling,<br />
spacers, frame modifications <strong>and</strong> inserts<br />
<strong>and</strong> welding precautions.<br />
REDUCING COST<br />
This type of information, according<br />
to Jeff Sass, Kenworth marketing planning<br />
<strong>and</strong> research director, is particularly<br />
helpful when a body builder is<br />
involved in the vehicle definition <strong>and</strong><br />
ordering process. “In addition,” he says,<br />
“the manual is useful when specifying a<br />
vehicle. Early in the process, professional<br />
body builders can often contribute<br />
valuable information that helps<br />
to reduce the cost of the body installation<br />
for fleet customers.”<br />
Sass also notes that it’s imperative<br />
for OEMs, dealers, body builders <strong>and</strong><br />
fleets to work together so each body can<br />
be installed easily <strong>and</strong> efficiently when<br />
the builder takes delivery. In the end,<br />
that will also ensure that fleets receive a<br />
safe, reliable <strong>and</strong> durable vehicle to<br />
meet its operational needs.
