Case Study:

PROCESS
Over the life of our company we’ve seen time and time again that one of the most important parts of managing
events is building the right process. Certain parts of a process will occur in every circumstance, others will only be used
occasionaly. There is true importance in using a robust enough process to handle every contingency but to maintaina
fluid and efficient workflow. Orchestate has implimented a three step process to executing events that we call plan.
design.produce.
plan de
THE DETAILS: This phase is
when we move from nacient
dreams that inspired our client
to envision an event into the
structural, procedural skeleton
upon which the event is built.
Things like budgets, timelines,
milestones, staffing are a few of
these elements. Here we’ll detail
everything needed to generate
a clear and concise operating
framework.

EXPERIENTIAL: ENVIRONMENTAL &
CONTENT DESIGN: With a firm plan in place
designers can begin to wrap the skeleton
with excercisable musculature. Design does
the heavy lifting on content imperative,
pushing and pulling where needed to
ensure each attendee leaves your event
thinking about your message. This is when
we’ll draw up layouts for spaces, generate
previsualizations, calculate loads, create
spaces, color pallettes, and production
designs. The beauty with Orchestrate is
that you’ll see everything - and won’t be
left waiting until onsite to understand what
we’ve dreamed up together.
produce
ON-SITE EVENT IMPLAMENTATION AND MANAGEMENT:
The final moment: all of the preparation is arcing towards
this intersection of message and attendee. It’s Orchestrate
and Client partnered onsite to execute on a completed plan.
Our logistics, hotel and hospitality, production management,
onsite designers, project managers, special vendors and crew
are out in force - bringing our signature positive and helpful
attitude into every interaction, and making something
beautiful happen.

In every event there are thousands of details that
demand attention. Some of them require experience,
or wisdom, others require creativity, perhaps a keen
eye for design - but no matter what the details are, and
whether one has the skills to handle them - without
a comprehensive plan built by a seasoned project
manager none of the details come together into the
seamless experience that your event deserves.
On the Orchestrate Experience team we have a veteran
staff of project managers with over forty years of
collective experience superintending events of all scale.
With an expert PM on your side you can confidently
move toward your event date knowing that every
deadline will be met, every fabrication piece will arrive
exceptional, budgets are in the black, and all of it
plan
transforms your event into an experience.OE

design
Design is an inherently creative process. It takes a unique
intersection of historical knowledge, modern sensibility, color
awareness, product familiarity, space planning, and an innate
understanding of how to fuse all of these elements together to
create something beautiful. We take spaces that range from drab
arena concourses to aquarium ballrooms and transform them
into inviting and engaging environments. One of the Orchestrate
Design advantages is our detailing process. We take what could
be a nebulous creative process and task our detail team with
communicating and translating creative ideas into concrete
representation. It’s the best of both worlds: endless creativity -
quantified into a comprehensible and comprehensive design.

p r o d
When it comes to production, there are quite literally thousands of vendors to choose from nationwide. It can be a
daunting process to sift through the sheer quantity of options - hoping to find a vendor that can offer a significant
advantage over another. With Orchestrate Experience’s Production Team some of the things that make us stand out are our
process, our people, and our philosophy.
Our team is comprised of people with vast production talent overlap. Essentially what this means is that every person
on our production management team (as well as the contractors and vendors we use) is of highly proficient to master
level ability in all areas of production. It enables accelerated collaboration, superior quality of work, and tightly controlled
budgets. Additionally each team member possesses their own specialized skills to help bolster Orchestrate’s “skill offering”
greatly - whether it’s previsualization, custom electronics, innovative fabrication, warm hospitality or clear/concise on-site
documents, our team has what it takes to execute on a grand scale - while nailing the details.
The process is simple, we take our talent offering, our skills, our expertise, and our systems - and put them all on hold. We
take the time to listen to the high level vision of the client - everything from how attendees should feel when they leave,
to the anticipation building towards the next event - we want to get a sense of everything you’re dreaming up - so we can
then craft a bespoke solution for your unique vision.

u c e
It’s our firm philosophy that people are more important than the task. If it’s hired labor assisting with load in, or a speaker flying in from Chicago
- everyone deserves to be treated with warm hospitality, gracious and responsive communication, and in general as a valued contributor to the
event. You won’t see a comparable value placed on people at any other management company and as a result Orchestrate enjoys exceptional
relationships with our subcontractors and a reputation that helps reinforce our client’s values.

PRODUCTION
overview
We believe that in every event we do, we have an opportunity to partner with our clients
in projecting and reinforcing their vision. We don’t take any opportunity lightly - and treat
every creative idea, budget number, timeline, program element, artist, speaker, and leader
as crucial points of consideration in creating an event that speaks its message from every
point of influence.
We work tirelessly to be the best at what we do, and believe that at its core,
being the best reduces to: a tight focus on technical excellence, relationship
building, keen attention to detail, and targeted creativity. It doesn’t take much
observation to realize that you have many potential service providers at your
disposal for event production, yet our motivation for our ideals isn’t just to
outperform other companies; it stems from the belief that what we offer is the
best process and lasting relationship for a client that results in the best product.
We employ a wide-range of innovative technology and industry professionals to make
creative ideas become reality. With our expertise in all areas of production, we can assure
you a one of a kind experience from a company that is well prepared to handle the
impossible. From a small gathering to a large arena event, we come to the table prepared
to dream and execute with you.
Every single detail must work together in harmony and if they don’t, what was once a
unified message becomes a place where confusion can set in or questions of authenticity
can be raised. Our core values dictate that we treat every crew member, and client with
gracious kindness, all while striving to give great care to each aspect of the event. If
everyone from the venue staff to the attendees in the last row experience excellence in
every way - we have done our job by sending the client’s message - with complete clarity.

Event Design
overview
We believe that intentional design must occur in all aspects of every event, but
certain elements demand more focus, and inherently require a smooth and
thoughtful design process. At Orchestrate we separate the design phase into two
specificly targeted categories: Environmental, and Content Design.
EXPERIENTIAL: ENVIRONMENTAL
Vases, furniture, wall coverings, draperies, textiles, fabricated
metal, video displays, lighting, plants and flowers, space
planning, interactive instalations, commisioned art pieces,
printed material, and sculpture - fused together into a
transformative space. Not only is the venue transformed, but
the attendee is transported away from drab and sterile and
into an inviting and engaging feeling, ebbing and flowing
effortlessly into what we call - an environment.

NAMB l SEND Conference
The NAMB l SEND 2015 Conference was held in Nashville, Tennessee at the Bridgestone
Arena and Music City Center. This two day gathering of 13,000 consisted of main arena
sessions and an additional 31 breakout sessions focused on delving deeper into targeted
topics. Orchestrate proposed a custom partnership with NAMB carried out over a year long
relationship- molding, conceptualizing, planning, and dreaming to bring the #Send2015
conference to fruition. Our role was vast, detailed, and all hands on deck.
