15-17 May 2017 • Los Angeles, CA / USA HOSPITALITY AREA Hospitality Area Over the years we have received feedback from sponsors that exhibition areas were not necessary as part of their participation on WLNC. Therefore WLNC 2017 will have a beautiful ballroom setting that will be divided in multiple lounge like spaces. This will be our hospitality area. These area will have no booths but an excellent interactive space. The sponsors will have also the option to have a learning lab for a more private educational interaction. Hospitality Area layout and floor plan will be sent to the sponsors as soon as the company confirm the sponsorship of WLNC 2017. The space requirements will be confirmed on first come first served basis after the space allocation of Double Diamond, Diamond, Gold and Silver sponsors. Participation at the hospitality area includes: • A standard hospitality area design including power & WiFi. • Daily cleaning of the general area, excluding the company’s hospitality lounge, which is under the company’s own responsibility. • Surveillance of the public areas excluding the company’s hospitality lounge, which are under the company’s own responsibility. • 3 sponsor registrations. For extra sponsor registrations, the fee is 250 $. • The sponsor badges will be issued for the sponsor company members only • The sponsor badges entitle sponsors to attend the hospitality area. • Sponsor badges do not give access to the scientific sessions. The space rental does not include Rental fee for furniture, carpets, telephone and data lines, sponsors insurance, food & beverage services etc... (Except the standard concept which will be offered to all sponsors) Hospitality Area Technical Manual A hospitality area technical manual outlining all technical aspects of sponsorship will be circulated 3 months before the conference. It will include the following • Technical details about the Venue • Final hospitality lounge details and information • Contractor details • Services available to sponsors and order forms www.wlnc.org
15-17 May 2017 • Los Angeles, CA / USA Rules of Participation • A Hospitality Manual will be send to all sponsor companies. This hospitality manual will include all necessary information such as extra furniture, A/V, catering options, customs, storage, set up & dismantling etc. • Each sponsor is, and will be, obliged to adhere to all of the rules and regulations outlined in the Hospitality Manual which will be valid throughout the course of the sponsorship and govern the ways and means of the use of the Venue, as well as all facilities and equipment related to the event. Each sponsor is responsible for making his/her representatives and employees familiar with the content of these conditions. The sponsor will be liable for any damages resulting from the sponsor‘s failure to acquaint his/her representatives and employees with the rules. If any confusion concerning the application of these rules arises, the <strong>Sponsorship</strong> Management is entitled to make the final decision.
