Chartwells <strong>Catering</strong> requires a $100 bar fee for a<br />

bar serving only beer and wine. Bars that offer a<br />

full bar service require a bar fee of $150. Events are<br />

billed for a minimum of 3 hours; 2 hours are utilized<br />

for setup and take down of the event and 1 hour is<br />

dedicated for the event. All cash bars require the use<br />

of a bartender for $23 per hour and cashier for $21<br />

per hour. Every additional 100 guests will require an<br />

additional bartender for $23 per hour and bar back<br />

for $21 per hour. Cash Bar sales must exceed $250 or<br />

the client will be subject to a $150 service charge.<br />

Welcome to the <strong>Gathering</strong> by Chartwells! Our mission is to provide you with exceptional quality, exceptional service, and a<br />

creative cutting-edge culinary experience. Our professional staff is available to assist in planning your special event Monday-<br />

Friday 8:00AM - 5:00PM. Please contact our catering administrator at (512)-245-9942 for help and guidance with placing<br />

your order.<br />

Policies & Procedures<br />

To ensure optimal selection and the best possible<br />

service, we kindly ask that events be booked 7 business<br />

days or more in advance. We understand events arise<br />

unexpectedly and we will do our best to accommodate<br />

your needs. Events booked with less than 5 business days<br />

may have a limited selection. Orders placed 3 business<br />

days or less prior to the event date will be subject to a<br />

$50.00 pop-up fee.<br />

Guest Counts<br />

We kindly request a confirmed number of guests be<br />

specified 7 business days prior to the event. This number<br />

will be considered the guaranteed guest count. Counts<br />

may not decrease after they have been confirmed. Any<br />

increase in guest counts after your 7 day guarantee, may<br />

potentially not be accommodated.<br />

Event Time<br />

Events are billed for a minimum of 3 hours, being that 2<br />

hours are dedicated for setup and take down for event.<br />

Events exceeding the 1 hour limit will be subject to<br />

additional service fees. Orders scheduled on weekends or<br />

holidays under $500 will be subject to a $100 service fee.<br />

Cancellation<br />

All cancellations must be sent in writing 5 business<br />

days prior to the contracted event date. If event is not<br />

cancelled, order will be fully charged. If Texas State<br />

University is closed due to inclement weather, all events<br />

will be automatically canceled at no charge to the client.<br />

Serviceware and China<br />

All disposable serviceware will be furnished as<br />

accompaniment to all items purchased. Some exceptions<br />

apply for orders being picked up. We provide high<br />

quality disposable plastic ware. China and glassware are<br />

available for an additional charge of $1.25 per person<br />

and cloth napkins $1.00 per person.<br />

Linen<br />

Tablecloths are supplied for all food and beverages<br />

service tables at events. Tablecloths for non-food tables<br />

are available for an additional $6.00 for an 85”x 85”<br />

standard tablecloth. Larger linen for 6’-8’ tables are<br />

available for $26.00 per drape. Specialty linen and colors<br />

are available for an additional fee and must be requested<br />

at least 7 business days in advanced.<br />

Tax Exempt<br />

We request tax-exempt forms be faxed to our office<br />

at (512)-245-9979 at least 3 business days prior to the<br />

event.<br />

Food Removal Policy<br />

Due to health regulations, it is the policy of Chartwells<br />

<strong>Catering</strong> that excess food items from events cannot be<br />

removed from the event site. Items purchased for pick<br />

up should be properly stored prior to the event and<br />

removed.<br />

Plan Your Event<br />

Billing and Payment<br />

A form of payment (purchase order or credit card) is<br />

required at least 3 business days prior to the event date.<br />

We ask that contracts be paid in full within 1 business<br />

day following the event. For non-university affiliated/ offcampus<br />

organizations, a deposit is required upon event<br />

confirmation and balance will need to be fully paid prior<br />

to the event date.<br />

Special Diets<br />

Special diets are accommodated upon request, we kindly<br />

request that your needs be submitted at least 5 business<br />

days in advanced.<br />

Delivery<br />

Chartwells <strong>Catering</strong> offers a complimentary on-campus<br />

drop-off service Monday - Friday from 8:00AM - 5:00PM<br />

for orders exceeding $100. After hour deliveries before<br />

8:00AM or after 5:00PM will be subject to a $25.00<br />

fee. Events held off campus are subject to a $50-$100<br />

delivery fee depending on milage. Please ensure access<br />

to event location is made available as Chartwells staff<br />

does not have access to facility areas that are locked.<br />

Meeting Room and Equipment<br />

Please ensure access to event location is made available<br />

90 minutes prior to event. It is the responsibility of the<br />

client to make proper arrangements for the setup of all<br />

tables and chairs for the event. For larger events over<br />

200 people, earlier access to location may be requested.<br />

Please ensure that facilities are left unlocked prior to your<br />

setup time.<br />
