PROPERTY MANAGEMENT<br />

Sectional Title Management / Home Owners Association / Share Block Scheme.<br />

ADMINISTRATION<br />

• Operation of a current and investment<br />

account on behalf of the Body Corporate<br />

in terms of Section 32 of the Estate<br />

Agents Act.<br />

• Arranging of insurance policies <strong>for</strong> all<br />

assets of the Body Corporate, including<br />

buildings and improvements on the<br />

common area, as requested by the<br />

board of trustees. This include<br />

assisting the trustees in the determination of<br />

replacement values of assets and arranging<br />

<strong>for</strong> valuations.<br />

• Handling of insurance claims on behalf of<br />

the Body Corporate in respect of these<br />

insurance policies.<br />

• Assisting and advising the Board of Trustees<br />

on the en<strong>for</strong>cement of the Sectional Title<br />

Act, CSOS Act, Management and Conduct<br />

Rules adopted by the Body Corporate.<br />

• Assisting and advising the Board of Trustees<br />

on the maintenance of the<br />

common property.<br />

• Negotiating on behalf of the Board of<br />

Trustees with :<br />

- professionals, firms or organizations <strong>for</strong><br />

the drafting of specifications in respect of<br />

any work or function to be undertaken on<br />

behalf of the Body Corporate; and<br />

- outside contractors to per<strong>for</strong>m work <strong>for</strong> or<br />

provide services, excluding work on capital<br />

improvements.<br />

- Verification and payment of all amounts<br />

payable by the Body Corporate.<br />

• Calculation, submission and payment of all<br />

salaries and wages on behalf of the Body<br />

Corporate, including the relevant taxes such as<br />

PAYE and UIF as determined from time to time by<br />

the relevant authorities.<br />

• Issuing, distribution and explanation of monthly<br />

Levy Invoice and Statements.<br />

• The collection/receipt of levies and/or other<br />

income due (CSOS Levies) to the Body Corporate.<br />

• The collection/receipt of special levies.<br />

• Attending to the collection of arrears as per Debt<br />

collection procedure.<br />

• Preparation of monthly debtor arrear reports,<br />

including distribution to the board of trustees.<br />

• Recovery of utility charges as provided from 3rd<br />

party service provider/owner/trustees.<br />

• Submit the relevant documentation to the<br />

Ombud as requested by the Community Schemes<br />

Ombud Service Act of 2011.<br />

• When matters are referred to the Ombud <strong>for</strong><br />

dispute resolution the Managing Agent will act as<br />

representative of the Body Corporate.<br />

• Arranging the Annual General Meeting, meetings<br />

of Trustees and any other meeting of members.<br />

• Attending to agendas, proxies, voting slips,<br />

nominations, drafting and typing of<br />

• Compilation, typing and distribution of circulars<br />

and/or newsletters.<br />

• In<strong>for</strong>ming trustees of latest developments in<br />

legislation and other matters that may concern<br />

the Body Corporate.<br />

• Providing welcome letters and relevant<br />

documents to new members.<br />

• Preparation of the annual estimate of income<br />

and expenditure <strong>for</strong> submission to the Board of<br />

Trustees and members <strong>for</strong> approval of the<br />

budget and determination of the levies <strong>for</strong><br />

the ensuing year.<br />

• Keeping detailed records of the<br />

administrative matters of the Body Corporate,<br />

including proper accounting records as per<br />

normal accounting practice and principles.<br />

• Preparation of monthly unaudited income and<br />

expenditure accounts (invoice basis).<br />

• Preparation of financial records to Trail Balance.<br />

• Arranging the annual audit with the independent<br />

auditor of the Body Corporate and on completion<br />

arranging <strong>for</strong> distribution of the audited<br />

statements to members of the Body Corporate.<br />

• Calculation and submission of VAT returns on<br />

behalf of the Body Corporate.<br />
