WHAT'S AN SOP?
a set of step-by-step instructions compiled by an organization to help workers carry out complex routine operations. SOPs aim to
achieve efficiency, quality output and uniformity of performance, while reducing miscommunication and failure to comply
with industry regulations.
HERE DO YOU START?
with the Big Picture
You have to start with the big picture in mind by looking at your entire process from beginning to end.
with the Big Picture
You have to start with the big picture in mind by looking at your entire process from beginning to end.
Start
Think about someone asking you to draw a map of a forest .....
And you only have access to a few trees...
How can you map out the entire forest without having the Ariel view from the top seeing how exact layout.
In exploring Standard Operating Procedures (SOP's), you will first look at your forest to give you a high-level
view and then you will focus on the trees

Process flows!!!!
WHAT'S YOUR FOREST?
Process flows show inputs or information
requests, followed by each of the steps
required to create deliverable outputs such as
products or services from the inputs.
Process flow shows someone where a process begins and where it
ends.
The process flow will tell answer what while the sop will answer for us how!

TIME
Let's take a look at the one of my process flows. Below is an example of how I onboard a new member.
each step in the process has its own set of instructions ( aka SOP) in order for me to complete one step and move on to the next.
EXAMPLE
New Member Signs Up automated Email Member access 1:1 Call
WHY IS A FLOW IMPORTANT?
sustainable
consistent
Understanding your flow allows you to be able create efficiency with your business, consistent experiences for
your customers, and develop best practices that become your standard.
FLOW TEMPLATE
In the diagram below, begin mapping out your process flow. Choose only 1 process with your business for this
exercise. Try to
Now , take the first step of the process and break it down! Remember my first step? My
first step requires a potential member to actually sign up. So now the question is how
does this happen. Remember your flow indicates what happens while your SOP will
break down how it happens.

Below see the steps that help to break down the first step in my process flow.
DOWN IT BREAK
New Member Signs Up
here is an example of how the first step would be broken down:
1. Enduser goes to paypal or is sent a link to the paypal recurring payments
2. Enduser will verify if the package they requested is the package they are interested in starting for membership
3. enduser makes a payment via paypal
4. Paypal will generate a new recurring customer profile
5. PayPal sends Prestige society an email about new profile created
Now to document the process, I would transfer my steps to my SOP document
so now it's your turn to use the template to break down the steps in your process.
Y
This is a big effort but one that should be done and revisited every two years just in
case something in your process changes.
I have included for you an attachment for our SOP template. You can use the one I
created for you or find one online that suits your business needs! Have fun! You got
this!
