A lover of music, yoga, and Netflix, Ian is an internationally trained opera<br />
singer and has sung across the globe from Portland, Oregon <strong>to</strong> Stuttgart,<br />
Germany. He is thrilled <strong>to</strong> be leading the family business, as well as<br />
bringing his creative talents <strong>to</strong> the team!<br />

The most senior member of the <strong>Madera</strong> <strong>Estates</strong> team, Stacie has been<br />
helping couples bring their dreams come true for over five years now!<br />
Nicknamed our "Direc<strong>to</strong>r of Happiness," her guilty pleasures include<br />
crawfish, massages, and Game of Thrones.<br />

Payments & Planning Pod<br />
After booking your wedding at <strong>Madera</strong> <strong>Estates</strong>, you will receive an email<br />
from Greg Moffitt at <strong>Madera</strong> Hospitality, LLC with an invitation <strong>to</strong> set up<br />
your Planning Pod account. Through this system, we have access <strong>to</strong> your<br />
invoice, remaining balance, etc. Payment re<strong>min</strong>ders are sent out via<br />
Planning Pod two weeks before each payment is due. Payments can be<br />
made by credit card, check, or cash. Please make all checks out <strong>to</strong> <strong>Madera</strong><br />
Hospitality, LLC.<br />
Payment Tip #1: To make a payment online, simply reference any invoice<br />
payment re<strong>min</strong>der email titled “A friendly payment re<strong>min</strong>der” and click<br />
the blue “Make Your Payment Online” but<strong>to</strong>n. Your payment profile page<br />
will then appear, giving you the ability <strong>to</strong> use a s<strong>to</strong>red or new credit card<br />
<strong>to</strong> make a payment; view your invoice <strong>to</strong>tal; and view any remaining<br />

Wedding Coordina<strong>to</strong>r Assignment<br />
Your <strong>Madera</strong> <strong>Estates</strong> wedding coordina<strong>to</strong>r will be assigned approximately<br />
six months prior <strong>to</strong> your wedding day and will contact you <strong>to</strong> schedule your<br />
two 90-<strong>min</strong>ute planning sessions: 6 months and 1 month prior <strong>to</strong> your<br />
wedding day. Before then, we encourage our couples <strong>to</strong> work on details and<br />
secure vendors not included in your cus<strong>to</strong>mized package.<br />

Wedding Rehearsal<br />
As a part of your package, you are guaranteed a ceremony rehearsal the<br />
same day as your wedding date, or a "day-of" rehearsal. <strong>Madera</strong> <strong>Estates</strong><br />
encourages day-of rehearsals as it is more convenient for you and your<br />
wedding party. However, pending <strong>Madera</strong>'s wedding and event schedule,<br />
you may request <strong>to</strong> have your rehearsal prior <strong>to</strong> your wedding date, where<br />
we will make every effort <strong>to</strong> accommodate your request. Please note that<br />
<strong>Madera</strong> <strong>Estates</strong> frequently hosts events Thursday-Sunday and cannot<br />
guarantee a ceremony rehearsal the evening before your wedding. All<br />
ceremony rehearsals are confirmed 30 days prior <strong>to</strong> your wedding day.<br />
Bridals & Engagement Pho<strong>to</strong>s<br />
As a <strong>Madera</strong> bride or groom, you have access <strong>to</strong> the property prior <strong>to</strong> your<br />
wedding day for pho<strong>to</strong> sessions, including bridals and/or engagements.<br />
Pho<strong>to</strong> sessions can be scheduled Tuesday - Saturday 10:00am - 6:00pm<br />
pending <strong>Madera</strong>'s wedding and event schedule.<br />

purchased at $1,000 per hour. This fee<br />
covers the rental extension, wedding<br />
coordina<strong>to</strong>r, and event staff. All food<br />
and beverage service, as well as music,<br />
must end by 2:00am.<br />
How much does it cost <strong>to</strong><br />
extend our open bar?<br />
Your package includes an open bar for<br />
4 hours <strong>to</strong> begin immediately following<br />
the ceremony. If you would like <strong>to</strong><br />
extend the open bar, a fee of 20% of the<br />
purchased bar package will be added <strong>to</strong><br />
your invoice. Please note that the open<br />
bar, including the additional hours<br />
purchased, must be consecutive and<br />
cannot be segmented. <strong>Madera</strong> <strong>Estates</strong><br />
does not allow open bar time <strong>to</strong> exceed<br />
6 hours of service.<br />

When do I need <strong>to</strong> make the<br />
decision <strong>to</strong> add time on<strong>to</strong> my<br />
reception/open bar?<br />
Your wedding coordina<strong>to</strong>r will need at<br />
least a 21-day notice prior <strong>to</strong> the event<br />
<strong>to</strong> make sure all accommodations are<br />
set. We cannot add on additional time<br />
the day of the event.<br />
Is <strong>Madera</strong> <strong>Estates</strong> wheelchair<br />
accessible?<br />
Yes. <strong>Madera</strong> <strong>Estates</strong> is wheelchair<br />
accessible and ADA compliant. Should<br />
one of your guests need assistance,<br />
please inform your wedding<br />
coordina<strong>to</strong>r.<br />
How many guests can <strong>Madera</strong><br />
<strong>Estates</strong> accommodate?<br />
The official seated max capacity inside<br />
the Hacienda is 330 guests. <strong>Madera</strong><br />
<strong>Estates</strong> utilizes a combination of<br />
indoor/outdoor areas and can<br />
accommodate more guests with the use<br />
of the outdoor areas for seating.<br />

wedding flawlessly! If you have<br />
selected an outdoor ceremony in front<br />
of our Grand Fireplace or in the Woods<br />
and there is inclement weather, we<br />
then move the ceremony inside the<br />
Hacienda. While your guests are<br />
enjoying cocktail hour under the<br />
covered Bar and Arcade, the <strong>Madera</strong><br />
<strong>Estates</strong> staff and your wedding<br />
coordina<strong>to</strong>r will perform a full roomflip,<br />
transitioning from the ceremony<br />
in<strong>to</strong> the reception.<br />
NOTE: Larger guest counts (200+) may<br />
require cabaret style seating.<br />

specializes in luxury event rentals, offering a seamless wedding planning experience incorporating<br />
cus<strong>to</strong>mized, yet affordable, luxury details. <strong>Madera</strong>'s signature style of sophistication, craftsmanship,<br />
and attention <strong>to</strong> detail is emulated in our collections of linens, decor, and services. During your first<br />

Liquor and Beverages<br />
All beverage services must go through<br />
<strong>Madera</strong> <strong>Estates</strong>, LLC. Our liquor license<br />
prohibits outside alcohol <strong>to</strong> be brought<br />
on<strong>to</strong> the premises.<br />
NOTICE! It is against the law <strong>to</strong> bring<br />
any outside alcoholic beverage on<strong>to</strong> the<br />
property for any reason. Fines are<br />
accessed by the Texas Alcohol Beverage<br />
Commission (TABC) starting at<br />
$2500.00<br />
Animals and Pets<br />
On a case by case basis, <strong>Madera</strong> <strong>Estates</strong><br />
does allow animals or pets at the<br />
venue. All animals must be<br />
accompanied or kenneled for the<br />
duration of the event.<br />
Vendors<br />
<strong>Madera</strong> <strong>Estates</strong> offers an open vendor<br />
policy. All vendors must be licensed<br />
and insured and are subject <strong>to</strong> the<br />
approval of <strong>Madera</strong> <strong>Estates</strong>.<br />
Guest Count Changes and<br />
Bar Minimums<br />
You are able <strong>to</strong> make changes <strong>to</strong> your<br />
guest count up until 30 days prior <strong>to</strong><br />
your wedding date. After this point,<br />
your guest count cannot be reduced,<br />
however, additional guests can be<br />
added upon approval of <strong>Madera</strong> <strong>Estates</strong><br />
until approximately 14 days prior <strong>to</strong><br />
your wedding date.<br />
NOTE: <strong>Madera</strong> <strong>Estates</strong> has a bar<br />
<strong>min</strong>imum of $3750 on Saturday nights<br />
and $2400 on all other nights.<br />
Other Modifications<br />
Modifications <strong>to</strong> in-house vendors,<br />
specifically the caterer, cake baker, DJ,<br />
and beverage vendor, may be<br />
requested as long as notice is given no<br />
less than 90 days before your wedding<br />
date. Please note that any and all<br />
changes are subject <strong>to</strong> the approval of<br />
<strong>Madera</strong> <strong>Estates</strong>.<br />

Decorations<br />
All decorations are subject <strong>to</strong> the<br />
approval of <strong>Madera</strong> <strong>Estates</strong> and must<br />
be approved 30 days prior <strong>to</strong> your<br />
wedding date.<br />
Any items not provided by <strong>Madera</strong><br />
<strong>Estates</strong> or <strong>Madera</strong> LUXE, such as florals<br />
or other rentals, must be set up by the<br />
person, or vendor, offering the service.<br />
S<strong>to</strong>rage of Personal Items<br />
Personal items, such as clothing,<br />
wedding cake, and wedding day decor,<br />
cannot be s<strong>to</strong>red at <strong>Madera</strong> <strong>Estates</strong><br />
prior <strong>to</strong> your wedding date. <strong>Madera</strong><br />
does not have adequate space and<br />
cannot be responsible for such items.<br />
Cleaning<br />
<strong>Madera</strong> <strong>Estates</strong> is responsible for all<br />
cleaning and removal of trash from the<br />
entire property.<br />
All personal belongings, or items<br />
brought in on your behalf, must be<br />
removed after the event. <strong>Madera</strong><br />
<strong>Estates</strong> is not responsible for items left<br />
or lost at the venue.<br />
Children<br />
Portions of the <strong>Madera</strong> <strong>Estates</strong> property<br />
are not suitable for children. All<br />
children in attendance must be<br />
supervised by an adult at all times.<br />
We recommend leaving any valuable<br />
items at home on your wedding day.<br />
