Venue Director 

A lover of music, yoga, and Netflix, Ian is an internationally trained opera 

singer and has sung across the globe from Portland, Oregon to Stuttgart, 

Germany. He is thrilled to be leading the family business, as well as 

bringing his creative talents to the team! 

Stacie Nale 

Director of Sales 

The most senior member of the Madera Estates team, Stacie has been 

helping couples bring their dreams come true for over five years now! 

Nicknamed our "Director of Happiness," her guilty pleasures include 

crawfish, massages, and Game of Thrones. 

Brittany Peters Wedding Coordinator 

Momma to Poppy, her baby girl, and her three Boxers, Brittany has 

coordinated over 100 weddings at Madera Estates! When she's not serving 

her brides and grooms, you can find her serving it up on the tennis court or 

indulging her sweet tooth. Her favorite candy? SweeTart Chewy Sours. 

Kourtney Ruth Wedding Coordinator 

A recent graduate from Texas State University, Kourtney brings her eye for 

fashion and design to her wedding planning process. Our resident 

Margarita aficionado, she loves Mexican food and spending time with her

Payments & Planning Pod 

After booking your wedding at Madera Estates, you will receive an email 

from Greg Moffitt at Madera Hospitality, LLC with an invitation to set up 

your Planning Pod account. Through this system, we have access to your 

invoice, remaining balance, etc. Payment reminders are sent out via 

Planning Pod two weeks before each payment is due. Payments can be 

made by credit card, check, or cash. Please make all checks out to Madera 

Hospitality, LLC. 

Payment Tip #1: To make a payment online, simply reference any invoice 

payment reminder email titled “A friendly payment reminder” and click 

the blue “Make Your Payment Online” button. Your payment profile page 

will then appear, giving you the ability to use a stored or new credit card 

to make a payment; view your invoice total; and view any remaining 

balance.

payment over the phone? Give us a call at the office at (936)441-9337 and a 

Madera Estates representative can connect you with our account specialist, 

Tama Schiller. 

Wedding Coordinator Assignment 

Your Madera Estates wedding coordinator will be assigned approximately 

six months prior to your wedding day and will contact you to schedule your 

two 90-minute planning sessions: 6 months and 1 month prior to your 

wedding day. Before then, we encourage our couples to work on details and 

secure vendors not included in your customized package. 

Should you need any assistance prior to your wedding coordinator 

assignment, please don't hesitate to reach us at the office at (936)441-9337.

Wedding Rehearsal 

As a part of your package, you are guaranteed a ceremony rehearsal the 

same day as your wedding date, or a "day-of" rehearsal. Madera Estates 

encourages day-of rehearsals as it is more convenient for you and your 

wedding party. However, pending Madera's wedding and event schedule, 

you may request to have your rehearsal prior to your wedding date, where 

we will make every effort to accommodate your request. Please note that 

Madera Estates frequently hosts events Thursday-Sunday and cannot 

guarantee a ceremony rehearsal the evening before your wedding. All 

ceremony rehearsals are confirmed 30 days prior to your wedding day. 

Bridals & Engagement Photos 

As a Madera bride or groom, you have access to the property prior to your 

wedding day for photo sessions, including bridals and/or engagements. 

Photo sessions can be scheduled Tuesday - Saturday 10:00am - 6:00pm 

pending Madera's wedding and event schedule. 

To schedule photo sessions, please contact your wedding coordinator or 

call the Madera Estates office. 

Wedding Insurance 

Madera Estates strongly recommends and encourages clients to purchase 

Event Cancellation Insurance should you need to cancel or postpone your 

wedding due to unforeseen circumstances. One such company is Markel

At your first planning session, you will discuss your overall 

vision, select your ceremony start time, create a draft floor plan 

and timeline, visit the Madera LUXE showroom, and receive 

vendor recommendations.

How many hours are included in 

my venue rental? 

Your venue rental includes the

Yes. You may purchase additional time 

at $200 per hour with 9:00am being the 

earliest arrival time. Please keep in 

mind that we may show the suites up 

until 11:00am, even on wedding days. 

We want to extend our 

reception. Can we add time 

onto our reception? 

Yes. If you would like to extend your 

reception, additional hours may be 

purchased at $1,000 per hour. This fee 

covers the rental extension, wedding 

coordinator, and event staff. All food 

and beverage service, as well as music, 

must end by 2:00am. 

How much does it cost to 

extend our open bar? 

Your package includes an open bar for 

4 hours to begin immediately following 

the ceremony. If you would like to 

extend the open bar, a fee of 20% of the 

purchased bar package will be added to 

your invoice. Please note that the open 

bar, including the additional hours 

purchased, must be consecutive and 

cannot be segmented. Madera Estates 

does not allow open bar time to exceed 

6 hours of service.

When do I need to make the 

decision to add time onto my 

reception/open bar? 

Your wedding coordinator will need at 

least a 21-day notice prior to the event 

to make sure all accommodations are 

set. We cannot add on additional time 

the day of the event. 

Is Madera Estates wheelchair 

accessible? 

Yes. Madera Estates is wheelchair 

accessible and ADA compliant. Should 

one of your guests need assistance, 

please inform your wedding 

coordinator. 

How many guests can Madera 

Estates accommodate? 

The official seated max capacity inside 

the Hacienda is 330 guests. Madera 

Estates utilizes a combination of 

indoor/outdoor areas and can 

accommodate more guests with the use 

of the outdoor areas for seating. 

What if it rains the day of my 

wedding? 

Rain or shine, Madera Estates is 

capable of executing your dream 

wedding flawlessly! If you have 

selected an outdoor ceremony in front 

of our Grand Fireplace or in the Woods 

and there is inclement weather, we 

then move the ceremony inside the 

Hacienda. While your guests are 

enjoying cocktail hour under the 

covered Bar and Arcade, the Madera 

Estates staff and your wedding 

coordinator will perform a full roomflip, 

transitioning from the ceremony 

into the reception. 

NOTE: Larger guest counts (200+) may 

require cabaret style seating.

All alcoholic beverages served or consumed during your wedding must be supplied and served by 

Madera Estates, LLC. A detailed description of the different bar packages offered at Madera Estates 

is listed below. All bar packages are priced per person and are an open bar for a 4-hour reception.

Procedures 

Below, you will find a list of the current policies 

and procedures at Madera Estates. 

A full list of Rules and Regulations can be found 

in your Madera Hospitality Agreement. 


Liquor and Beverages 

All beverage services must go through 

Madera Estates, LLC. Our liquor license 

prohibits outside alcohol to be brought 

onto the premises. 

NOTICE! It is against the law to bring 

any outside alcoholic beverage onto the 

property for any reason. Fines are 

accessed by the Texas Alcohol Beverage 

Commission (TABC) starting at 

$2500.00 

Animals and Pets 

On a case by case basis, Madera Estates 

does allow animals or pets at the 

venue. All animals must be 

accompanied or kenneled for the 

duration of the event. 

Vendors 

Madera Estates offers an open vendor 

policy. All vendors must be licensed 

and insured and are subject to the 

approval of Madera Estates. 

Guest Count Changes and 

Bar Minimums 

You are able to make changes to your 

guest count up until 30 days prior to 

your wedding date. After this point, 

your guest count cannot be reduced, 

however, additional guests can be 

added upon approval of Madera Estates 

until approximately 14 days prior to 

your wedding date. 

NOTE: Madera Estates has a bar 

minimum of $3750 on Saturday nights 

and $2400 on all other nights. 

Other Modifications 

Modifications to in-house vendors, 

specifically the caterer, cake baker, DJ, 

and beverage vendor, may be 

requested as long as notice is given no 

less than 90 days before your wedding 

date. Please note that any and all 

changes are subject to the approval of 

Madera Estates.

Decorations 

All decorations are subject to the 

approval of Madera Estates and must 

be approved 30 days prior to your 

wedding date. 

Any items not provided by Madera 

Estates or Madera LUXE, such as florals 

or other rentals, must be set up by the 

person, or vendor, offering the service. 

Storage of Personal Items 

Personal items, such as clothing, 

wedding cake, and wedding day decor, 

cannot be stored at Madera Estates 

prior to your wedding date. Madera 

does not have adequate space and 

cannot be responsible for such items. 

Cleaning 

Madera Estates is responsible for all 

cleaning and removal of trash from the 

entire property. 

All personal belongings, or items 

brought in on your behalf, must be 

removed after the event. Madera 

Estates is not responsible for items left 

or lost at the venue. 

Children 

Portions of the Madera Estates property 

are not suitable for children. All 

children in attendance must be 

supervised by an adult at all times. 

We recommend leaving any valuable 

items at home on your wedding day.
