What role does collaboration play

Deloitte works with a number of large

How much of a cultural shift is required when
introducing a new collaboration tool?
Having a strong and open corporate culture
is more than just a competitive advantage.
Boards of directors in Switzerland see it as a
major driver for business success.
This is what we found when we asked
around 500 boards of directors in
Switzerland in our most recent survey, the
swissVR Monitor. After compliance and
risk management, it is culture that
determines how we work. In order to
evaluate the corporate culture – without
being involved in the day-to-day
activities – we are helped mainly by
employee surveys and personal interviews.

What is one of the biggest obstacles
to a modern, digital workspace?
A lack of acceptance on the part of
employees. Employees will not use a software
solution in their hectic day-to-day routine
if it is counter-intuitive. A good user
experience, a detailed roll-out strategy and
training are all key factors for successful
implementation.
Who influences a company’s culture most?
According to the survey, the biggest factors
influencing the culture is how managers
conduct themselves and communicate – for
better or for worse – and use of the
right workspace solutions such as <strong>Swisscom</strong>
<strong>Sharespace</strong>. An intuitive tool makes the
transition much easier.
How will the collaboration platform continue
to develop?
The onboarding of Deloitte employees
outside Switzerland as well is certainly a
big topic. Another way is to expand
the applications to create a true ECM so
that all employees can process and manage
all business-relevant content using the
same work methods and tools.
Lastly, what advice can you give your
colleagues along the way?
(laughs) Well, giving advice is what we
do. One must always keep in mind
that every company has its own history,
meaning that each needs customisable
and flexible solutions. When it comes to
modern workspaces, I think it’s particularly
important to have a long-term data
management system that works in
the background and which supports further
development. The future is digital,
and the pace is always accelerating. It’s
good if you have agile systems and
partners that are always able to respond
to new requirements.

what’s different about your corporate
communications?
First, the standardised communications we
want across all countries and divisions is
guaranteed now. Second, we have been able
to greatly reduce the number of emails,
including attachments.

in three countries and in the hotel business.
What impressed you most about the
solution?
The new intranet is a highly efficient
communication and management tool
that helps us work faster and more
precisely. It also helps us to communicate.
That’s a big advantage for a company
with almost 600 locations in Switzerland,
Germany and Austria, which is why the
project was of such strategic importance.
How did <strong>Swisscom</strong> go about introducing
<strong>Swisscom</strong> <strong>Sharespace</strong>? How would you say
the cooperation went during this project?
For roll-out and training, we made five
videos tutorials together with <strong>Swisscom</strong>
and put them online. <strong>Swisscom</strong> also carried
out three key user trainings and wrote
comprehensive user documentation. We
found the cooperation to be very productive
and enjoyable.
When evaluating intranet and collaboration
solutions, what is most important to
communications experts?
We believe it is important for the platform to
be simple and intuitive. That’s an important
success factor, particularly for employees who
do not spend much time at a computer
but are instead working in the restaurants.
Other key factors include universal
communications on a shared platform and
the ability to edit the same document
simultaneously.
The SV Group, with headquarters in Dübendorf
(CH) is an innovative gastronomy and hotel
management group. It includes the three
business segments common catering, public
catering and hotel. The company employs
around 8200 people and is based in
Switzerland, in Germany and Austria.

Better together: why <strong>Swisscom</strong> <strong>Sharespace</strong>
and Microsoft Teams make a good couple
Teams is becoming more and more popular
Microsoft Teams is increasing in popularity.
More and more users want to use chat and post
features in their daily work, just as they use
them on social media such as Facebook and
WhatsApp in their free time. Yet the roll-out of
Teams in enterprise landscapes presents
several challenges.
On its own, Teams can lead to chaos
If Teams is to be used in the context of projects,
contracts and products, from the IT management
perspective the same data security, data
governance, safeguarding of information,
lifecycle planning, archival and GDPR must be
met when working with documents. The
features in Teams meet these requirements,
albeit only at a basic level; for example, if
the out-of-the-box features are used to create
a team, it will be difficult to clearly identify
the actual business context from the few
details provided (name, description, privacy).
Teams lacks the division-specific metadata that
makes it possible to unambiguously classify
the team and documents shared within it. If
hundreds or even thousands of teams have
been created in a company, it is nearly impossible
to keep track of all information stored in the
different groups. As a result, employees may be
unable to locate documents again even with
the search function, and valuable knowledge is
‘lost’.
Add missing metadata from the start
For the reasons mentioned above, we recommend
setting up Teams from the start with
the provisioning functions in <strong>Swisscom</strong>
<strong>Sharespace</strong>. Depending on the business context,
our software solution offers the team
various templates that prompt them to enter
the relevant business data. This combination
ensures you never lose track of the data, even
with many different teams.

Mr Hirsch, what do you think makes a
«modern» workplace?
In my view, modern workspaces support the
three main aspects of the modern working
world: transparency, cooperation, flexibility.
These three aspects are balanced by creating
the right mix of flexible, digital tools for
communication and collaboration. At the
same time, a modern workplace is accessible
from anywhere and can be operated from
any device.
