MS Teams – Training Module

Training Overview

The purpose of this training about MS Teams is to introduce this learning management

system to the participants. Moreover, MS teams can be one of our assistive tools in

conducting online classes. The training will be conducted in three days by a facilitator

accompanied by three modules. These modules are the following:

Module 1: Overview of the MS Teams

Module 2: MS Insights, MS Teams Applications, MS Team Grades

Module 3: Office 365 Applications, Third-Party Applications

MS Teams Overview

Microsoft Teams is a hub for teamwork in Office 365. It is a collaboration application

that can be used for conversations, files, meetings, and apps live together in a single shared

workspace, and you can take it with you on your favorite device.

Collaboration software includes creating teams and channels, chat functions,

document storage, online meetings, online video calling, and screen sharing. Teachers can

also add announcements, assignments, quizzes, projects, and even add different learning

materials.

Module 1: Overview of MS Teams

Module Objectives:

At the end of the module the participants can:

• Sign in to Teams

• Pick a Team and a Channel

• Create a Team

• Add People to the Team

• Create a Channel for the Team

• Schedule a Meeting

• Start a Meeting

• Join a Meeting

• Start a New Conversation with the Entire Team

• Start a Conversation with a Person or a Select Group

• Reply to a Conversation

• Mention students in the conversation.

• Notify students in the class.

• Search for Messages, People, or File


• Create a quiz using MS Forms.

• Create and mark student assignments.

A. Signing in to teams

1. If you already installed the MS Teams start it.

2. If you will be using web application so directly to

Note:

• In Windows, click the Start Windows (icon) > Microsoft Corporation >

Microsoft Teams

• For Mac users, navigate to the Applications folder and then click on Microsoft

Teams

• For mobile users, tap on the Teams icon

3. Sign in with your Office 365 username and password.


B. Teams and Channels

1. Click on Teams to the left side of the app and choose a team.

2. If you don’t have a team yet you may create first by hitting join or create a team.

You may create your own team or join a team via code.

3. Once, you have a team you may now add people to the team.

4. The team is already set up. It is now time to create a channel. Select your team and

click it.

Once click, you will see figure 5. Make sure to click the row of dots as shown in the

figure to add a channel.

5. Make sure to put a channel name and set the privacy. Then click Add.

6. Once, you have the channel interface you can do a lot of collaboration work.

C. MEETING IN TEAMS

1. You can create a meeting schedule in teams by opening the calendar. And click

the new meeting icon.

2. Once the new meeting icon is click, you need to enter details about the meeting.

3. Make sure to save the meeting details.

4. Just click the details if you want to start the meeting.

5. Allow the audio and video

6. After setting up the audio and video click join now.

7. After joining the meeting, see figure 14 for the meeting controls.

Starting a Meeting

1. Select the video icon in a new conversation, or select the video icon in an existing

conversation to keep all the context. See meeting controls in figure 15.

STARTING A NEW CONVERSATION WITH THE ENTIRE TEAM

1. Click on Teams, then select your team and channel

2. In the compose box, type out your message and then click Send.

START A CONVERSATION WITH A PERSON OR A SELECT GROUP

1. Click New Chat at the top of the application.

2. In the To prompt, type the name of the person or the people you want to begin

chatting with.

3. In the compose box, type your message and then click Send.

REPLYING TO A CONVERSATION

1. Locate the conversation you want to reply to

2. Click Reply, add your message and click Send.

SHARE FILES AND CHAT

USING EMOJIS, MEMES, AND GIFS

1. Click on Teams, choose a team and a channel

2. Click Sticker underneath you compose box

3. Select a sticker, meme, or whatever you choose, enter a caption and click Done


SHARING A FILE

1. In the channel conversation, click on Choose file, under the message compose box

2. Select a file, click Open, and then click Send

All the files you post in a channel are viewable in the Files tab.

COLLABORATE IN MICROSOFT TEAMS

MENTION @ SOMEONE

1. In the compose box, type the @ symbol, then type the first letter of the member’s name.

- You can also @mention entire teams and channels

2. Select the person, then repeat for as many people as you want to include

NOTIFICATIONS

1. Click Activity

2. The Feed shows you a summary of everything happening on the channels you follow

- Click Filter to show only certain types of notifications, like @mentions or likes

- Select Feed > My Activity to see a list of everything you’ve been doing lately in Team

SEARCH FOR MESSAGES, PEOPLE, OR FILES

1. Type a phrase or keyword into the box at the top of the app and press enter

2. Select the Messages, People, or Files tab

3. Select an item in the search results

- Or, you can click on Filter to refine your search

Assessment:

1. Create one class and rename it as INITIALS – Teams.(e.g., JLP – Teams)

2. Invite three students. (You can add your co-trainees as a student)

3. Create a meeting, set your meeting schedule using the Calendar with the following

details:

Title: Meeting

Date: July , 15, 2020

Time: 3:00 – 5:00pm

Channel: General

4. Create your first topic and add your materials (e.g., Powerpoint Presentation,

Modules etc.)

5. Take screenshots of your work on Microsoft word and upload it on Ms Teams

(JLP – O365 – B1) under Files Tab.
