Please read through this service manual very carefully, as it contains important and detailed information about the 

BREAD & BUTTER event in winter 2010 in Berlin. 

In order to ensure a smooth-running setup, event and dismantling, please forward this service manual, together with the Technical 

Guidelines and the Stand Builder Guideline, to your stand builder. This way, you can already prevent setup delays caused by lack 

of information & guidelines in advance. 

Please be aware that we cannot accept orders after the deadlines set by us. 

If you should nevertheless intend to order services, you have the possibility to do so in our BBB Service Shop, subject to 

availability and at higher prices, due to logistical processing. 

If you should have any questions, please contact your respective BREAD & BUTTER contact person in the sales department

2.2. GETTING THERE 

There are only a limited number of public parking spaces near Tempelhof Airport. Therefore, we recommend that you use public 

transport. The “Platz der Luftbrücke” station is located directly in front of the exhibition centre and can be reached by all means 

of public transport.

3.1. B&B SUITE 

You have the possibility to rent a pre-built exhibition stand (suite) through your contact in the B&B Sales Department.

3.2. ADVERTISING SPACE RENTAL 

Please talk to your contact in the Sales Department about the option of booking advertising space on the BREAD & BUTTER 

premises.

3.3. SECURITY/STAND SECURITY 

The organiser is responsible for security services in the entrance areas and in the halls. The organiser does not assume any 

guarantee for uninterrupted security and inspection. On the contrary, each exhibitor must ensure the security of his own stand 

and his exhibits. PLEASE LOOK AFTER YOUR PERSONAL PROPERTY! BREAD & BUTTER SHALL NOT ASSUME ANY 

LIABILITY FOR THEFTS! 

The exhibitors are explicitly informed that during the setup and dismantling periods, increased risks can occur for your exhibits. 

Valuable or easily movable exhibits should always be locked away at night. The costs for stand security are to be transferred to 

the security company or paid in cash directly on site to the responsible employee of the security company mentioned below, 

by the exhibitor, prior to the start of the service being provided. If the payment should not have been received by the security 

company by the start of service provision, it shall reserve the right not to provide the service until payment. Please note that 

with transfers, particularly with international transfers, a delayed booking receipt can occur. In order that no misunderstandings 

occur, we request prompt payment/sending of the transfer document to the specified fax number or e-mail address. 

The respective stand security can only be applied for with the security companies authorised by the organiser; the costs are to 

be transferred to the security company prior to the start of service provision or paid directly to the contact mentioned below on 

site. The stand security can be ordered using form A.

After the expiry of the above mentioned deadline, higher prices are incurred for the ordering of stand security. 

Exhibitors who order security on event during the tradeshow days must anticipate a notice period of approx. 24 hours and 

significantly higher costs.

3.4. STAND CLEANING 

The organiser ensures the cleaning of the premises and the passageways in the halls. The exhibitor is responsible for cleaning the 

stands, which must be carried out daily after the end of the event. If the exhibitor does not clean the stand with his own personnel, 

the exhibitor has to order the stand cleaning through BREAD & BUTTER. 

THE PRICES FOR STAND CLEANING ARE CALCULATED AS FOLLOWS: 

EUR 1.90 per sq.m per day 

All prices are stated without statutory VAT. For ordering stand cleaning, please use form B. 


3.5. WASTE DISPOSAL 

Please ask your stand builder to dispose of his own waste/ to order waste containers on site through our hall inspectors, so that 

there are no discrepancies in the final invoice. 

Larger quantities of stand building material must be properly removed from the premises by the respective stand building company 

itself during setup/dismantling. If necessary, containers can be ordered through our hall inspectors for disposing of larger 

quantities of waste, especially during dismantling. Depending on the content, approx. EUR 165.– will be charged for one waste 

container with a capacity of 1.1 m 3 (excl. special waste, paint, etc.). If stand construction materials and waste are left behind on 

the premises/the trade fair stand, the number of required waste containers will be calculated and charged to the exhibitor at 

EUR 330.– per container. Please note that after the dismantling period and before you are leaving the BREAD & BUTTER 

grounds, our hall inspectors have to approve the residue-free return of your rented booth area! 

3.6. B&B FURNITURE 

BREAD & BUTTER has a limited number of furniture items. You can rent these clothes rails, shelves, etc. for your stand.

3.9. CUSTOMER INVITATION SERVICE 

Let your customers, distributors and press partners be invited to the BREAD & BUTTER BERLIN through our B&B Active 

Guest Management (AGM)! Our international team will support you with ticket ordering and organisation of the visit. The earlier 

you send us the details, the faster we can invite your customers and partners. They will be contacted by us and receive a ticket 

order after replying. 

Please note that we cannot accept any customer lists during the event on site in Berlin. 

For a handling of your customer lists betimes, please mind our deadline:

3.10. EXHIBITOR TICKET SERVICE 

Order your B&B exhibitor tickets online! 

B&B exhibitor tickets are exclusively provided to internal company employees, external sales partners/agents or service personnel, 

who are working on your stand during the BBB. 

ADVANTAGES 

– Timely delivery of the B&B tickets by courier 

– No registration and collection required on site 

– Faster and more direct access to the BBBerlin 

PROCEDURE 

– Via e-mail, we provide you with your access data to our online portal B&B EXHIBITOR TICKET SERVICE –Exhibitor Tickets 

– Employees and sales partners who are already registered are listed there. 

– Non-registered companies and employees can be newly set up by you. 

Stand builder passes cannot be ordered using the online portal, but are only available directly on site! 

You can obtain more information from the “Stand Builder Guideline”. 

IMPORTANT 

– Tickets with dispatch must be ordered by 4th December 2009. 

– After this, “Pick-up tickets” can be ordered for collection on site until 15th January 2009. 


3.11. SCANNER SERVICE 

You have the opportunity to receive a scanner free of charge, with which you can scan the tickets of your stand visitors. 

The scanned contact data and statistical evaluations will be sent you by e-mail after the event. The AGM will send additional 

information and the scanner contract, to be concluded separately, including the instructions for use, to the email address specified 

in your registration. If we have not received the scanner contract by the deadline stated below, we cannot guarantee that you will 

receive a scanner on site. An entitlement exists to one scanner, we can only confirm additional scanners if they are available.

3.16. BBB SERVICE SHOP

4.3. CUSTOMS DOCUMENTS AND CUSTOMS CLEARANCE 

For the handling of imports or exports, we will need a commercial invoice and a packing list in German or English language 

(standard forms are available if required). 

The following information must be specified in the invoice/packing list: 

– precise description of goods (devices: also serial numbers, model number) 

– individual goods values for each group of goods, as well as total value per position 

– please specify country of origin 

– number of packages, number of units per goods group, gross and net weight 

– statistical code of goods if possible 

Please also mention your designated kind of costumes clearance (temporary import with export after the show or definitive import). 

In case of temporary import, no customs duties and taxes fall due – only a customs security fee needs to be paid. In case of 

definitive import (for example consumer goods, promotional gifts and printed matters), import fees, such as import customs and 

import taxes, need to be paid. 

For all kinds of customs clearance we essentially need – IN ADVANCE – a written order of yours. A customs clearing is only 

possible at our central warehouse in Berlin and will be charged according to the official trade fair tariff. 

4.4. SHIPMENT ADVICE 

Please note that DB Schenker Deutschland AG, branch office Berlin Messe, has to be informed in time about all shipment and 

loading informations, in case that you are not sending your goods with DB SCHENKER. Please understand that we are not able 

to assure deadlines for the delivery of goods to your booth if the shipment is incorrectly addressed or arrives in Berlin behind 

schedule. These complications can create additional handling costs on the fairground. 

Sea freight 

Please send us by post, and latest five days before the ship arrives, the original B/L – with quantity of packaging units and weight 

as well as a copy of all attached documents (invoice/packing list). 

Air freight 

Please send us a copy of the AWB by fax – including flight number and the quantity of packaging units and weight as well as a 

copy of all attached documents (invoice/packing list). 

Ground transport 

Please fax us a copy of the way bill including date of departure and approximate date of arrival in Berlin, quantity of packaging 

units and weight as well as a copy of all attached documents (invoice/packing list). In case of courier shipping, please use our 

attached form sheet “COURIER NOTIFICATION FORM” 

4.5. STAND DELIVERY 

Schenker will not deliver any courier shipments to the trade fair stand without authorisation. If you should require this, please 

provide us with authorisation in advance. Fees will be charged in accordance with the trade fair tariff for stand deliveries. You can 

collect your shipment from our trade fair storeroom (not possible for goods subject to customs handling). 

4.6. RETURN TRANSPORTS/HANDLING ON THE TRADE FAIR PREMISES AIRPORT-TEMPELHOF 

Please notify us/provide us with your orders for return transport/acceptance from the trade fair stand by 21st January 2010. 

We can only offer to store your goods on the trade fair premises until 25th January 2010, after this, chargeable transport to 

our central warehouse will take place (end of dismantling and clearing of the trade fair premises). 

Please contact us so that we can prepare a transport order (you can also provide the transport order by e-mail or fax).

In case the transport is not handled by a partner of Schenker, our logistics services have to be paid for at goods in: before delivery 

to the booth/at goods out: before shipping.
