The Ultimate Package 

The Ultimate Wedding Package comprises everything you need for a spectacular wedding at Villa 

Botanica, with some additional “wow factors”. We begin with your pre-ceremony preparations, where 

your coordinator will greet you on arrival for the start of what will be a truly unforgettable day. 

Day Preparations 

Limousine Pickup 

Arrive at Villa Botanica in style. Our stretch limo will pick you and 6 

friends (7 passengers total) up from your accommodation and bring 

you to Villa Botanica for your morning preparations. 

Private Salon 

Located within the Villa is a private salon for your exclusive use 

from 9am onwards. Decorated with ornate mirrors and equipped 

with full salon facilities this is the perfect location for you and the 

girls to be primped and pampered. Includes: 

� Gourmet sandwich and fruit platters plus bottle of French 

champagne, coffee, tea and refreshments for up to 8 guests. 

Dress Steaming 

Most wedding gowns get wrinkled during transit, so professional 

dress steaming is included to ensure your dress is simply perfect. 

Hair & Makeup Styling 

While you sip champagne, our experienced hair and makeup stylists 

will weave their magic to make you and your bridesmaids look like 

you’ve stepped straight from the pages of Vogue. Includes: 

� Full hair and makeup trial for bride, prior to the wedding, at 

your place of accommodation. 

� Full hair and makeup styling for the bride, PLUS hair and 

makeup styling for up to 3 bridesmaids on the wedding day. 

* Please note that hair and makeup trials/styling can be arranged for additional 

bridesmaids and family members upon request. We can host a maximum of 8 

guests (incl. children) for preparations. 


Your Ceremony 

As the clock strikes 3:00pm your Wedding Coordinator will guide you to the stunning ceremonial 

gardens. As your chosen song begins to play, you will make your entrance through the bridal arch and 

walk down the Villa’s palm-lined, mosaic-tiled bridal aisle, before taking your vows within the 

beautiful waterfront pavilion. Included in your ceremony package: 

Decorations 

� Exclusive use of the seaside Pavilion and surrounding gardens. 

� Wireless microphones 

� State of the art (surround sound) outdoor music system. 

� Full bar set up and bar tenders for drinks service in the Sunken 

Garden. 

� Ring cushion & signing pen. 

� Hand carved signing table & chairs. 

� Brochure for each guest detailing the different gardens to explore 

and available facilities. 

Included in your wedding package are the following ceremony 

adornments: 

� 20 x chairs in white covers and sashes of your choice. Please 

note up to 40 decorated chairs can be hired in total, however 

20 is considered the optimum number for this space. 

� White chiffon draping throughout the seaside Pavilion 

(pictured right.) 

� 3 x white garden umbrellas, linen covered café tables and 

matching chairs to create a garden party atmosphere. 

� White altar cloth with gold tassels, if requested. 

� Gold cushions for bench seating. 

Welcome Mojito Mocktail 

As your guests walk into the ceremonial gardens they are met by our 

staff who offer refreshing mojito mocktails, made with Botanica’s 

special homemade lemonade, ice, fresh lime and mint. 


Celebrant 

Choose from 12 of the region’s most popular and experienced 

civil celebrants. Our celebrant service includes: 

� Consultation to discuss your vows and style of ceremony. 

� Ceremony rehearsal (if required) subject to availability. 

� All legal documents and marriage certificate. 

Champagne Toast 

Bridal Flowers 

We provide a spectacular range of tropical and traditional 

arrangements for you to choose from, including a detailed brochure 

to assist you in designing the shape, theme and colour of your 

arrangements. Your wedding package includes: 

� An exquisite bridal bouquet. 

� Matching buttonhole for the groom. 

� Rose petal shower. 

What better way to celebrate your union that with a champagne 

toast in our spectacular seaside gardens. Your wedding package 

includes:

� A cocktail of quality Australian sparkling wine infused with 

a dash of exotic tropical fruit liqueur. 

� Open bar in the Sunken Garden from 3:30pm onwards,

Fine Dining 

The Ultimate Menus showcase the best of modern Australian cuisine, utilising gourmet ingredients 

from the Whitsundays and around the world. Whether you seek an informal, traditional or lavish 

affair, we offer something for everyone: 

Canapé Menu 

Served from post ceremony onwards, includes your 

choice of four cold, three hot and two dessert canapés, 

plus one hot “mini dish” to ensure your guests are 

completely satisfied. Menu averages 15 pieces per 

person. 

Please Note: Canapé menus are only available for parties of 30+ guests. 

Three Course Menu 

Served as an alternate drop, includes your choice of two 

entreés, two main courses and a selection of three desserts 

offered on individual tasting plates. Dinner is finished with 

coffee, tea and homemade petits fours. 

Banquet Menu 

This sumptuous banquet is served at the table on centrally 

revolving turn-tables. Includes your choice of three entrées 

served on tasting plates, three main course platters, one side 

option, one salad option, followed by a selection of three 

desserts. Dinner is finished with coffee, tea and homemade 

petits fours.

Open Bar 

Available from cocktail hour onwards, your open bar is based 

on an allowance of 10 drinks per person. This includes 1 x 

light beer, 2 x full strength beers, 2 x international beers and 

a range of quality wines including: 1 x sparkling, 3 x white 

and 2 x red. Spirits and mixers are also offered, including 

Below 42 Vodka, Bacardi Rum, Bundaberg Rum, Jack Daniels 

Bourbon and Johnny Walker Scotch plus 2 x cocktails from 

our menu served over cocktail hour. 


Formal Dining 

Canapé & Cocktail 

If you have larger guest numbers or would like to your wedding to 

have a relaxed party vibe, you should consider a cocktail style 

reception. If you select this format your wedding package 

includes the following items, in addition to the aforementioned 

cushioned bench seating (for 40 guests.) 

� A bridal table with up to 8 chairs, white covers and sashes 

of your choice. 

� 5 x mini dining tables covered in white linen. 

For intimate groups (of 65 guests and under) we recommend a 

seated function featuring our banquet and three course menus. 

The reception set up for this format includes: 

� A bridal table (which can seat up to 12 guests, depending 

on your table configuration.) 

� Your choice of round or rectangular dining tables. 

� Formal dining setting with quality linen, cutlery, glassware 

and crockery. 

� Dining chairs with covers and sashes of your choice. 

The Aquarium Room 

� Up to 20 additional chairs in white covers and sashes of 

your choice. 

So called for its massive fish-tank (the largest in the region) this room is separated from the Seaside 

Verandah by large, glass sliding doors. Perfect for guest book signing, wishing well/gift table and 

cutting of the cake, as well as an aquatic wonderland, the Aquarium Room features an extensive rare 

shell collection and 13,000 year old mammoth tusk. 


Wedding Cake 

Choose from an array of styles, colours, flavours and decoration 

options when designing your wedding cake, or provide a photo of 

your dream cake for us to replicate. You may prefer a traditional 

tiered wedding cake, croque-en-bouche, cupcake tower, traditional 

or modern design; the choice is yours.

� Ornate carved timber stand (pictured) 

� Cake cut and served on platters for cocktail events and plated 

for banquet/three course events. 

* Allowance of $600 is based on the average requirement, however cakes 

with complex detail or fresh flowers etc may attract an additional fee. 

Wishing Well 

This exquisite Egyptian chest features intricate inlaid shell work 

and its colour palette of cream, gold and black means that it 

complements almost all wedding themes beautifully. Guests can 

place cards inside the chest before taking a moment to write a 

message in your guest book. 

Guest Book 

Your guest book is personalised with your names and wedding 

date which are featured in a cursive script on the first page. The 

book includes over 30 pages of plants, textures and images 

captured throughout Villa Botanica and will become a cherished 

keepsake and reminder of the day. 


Photo Booth 

Capture fun, crazy moments with your very own photo booth! Hire of 

the booth is from 6:00pm until 11:00pm and includes: 

� Unlimited photo prints & video messages. 

� Black guestbook plus everything your guests need to get creative. 

� DVD of high res images and video. 

� Professional slideshow of highlight images. 

� A friendly booth assistant. 

Time to Dance! 

As soon as the speeches end, the exotic ballroom transforms into an atmospheric dance space 

complete with lighting effects and fog machine, the perfect setting for your bridal waltz before the 

real dancing begins.

� Live Entertainment: Our very talented mix master DJ will 

play your choice of music throughout the night get your 

guests up and dancing.

The Garden Spectacular! 

Our pyro-technicians will treat your guests to a show* that is 

unlike anything in Australia. Introducing Villa Botanica’s Garden 

Spectacular: hundreds of fireworks hidden throughout the 

gardens and choreographed to ignite in time to beautiful 

classical music. A truly unforgettable way to celebrate your day.

Retreating to the opulent Bridal Villa is the perfect way to 

conclude a day that will stay with you forever. With its

Professional Childcare 

We actively encourage children to be part of every wedding. 

However, because of the scale of the property, with its numerous 

water features, rock walls and gardens to get lost in, all children 

(from infants to up to 10 years) are professionally supervised. 

Childcare also means young children can be included in the day 

without compromising the enjoyment of your guests. Our 

childcare service includes: 

� Full supervision for all guests aged 0 to 10 years. 

� Drinks and homemade children’s meals. 

� Use of air conditioned private cinema with extensive DVD range. 

� Provision of drawings, games and supervised walks through the enchanted forest and beach. 

* Please note all children are quoted at approximately half the adult rate. Villa Botanica can accommodate up 

to 10 children (aged 0-10 years.) We are happy to refer you to offsite child carers if required. 

Private Transfers 

The easiest way to ensure your guests arrive on time and 

don’t have to worry about parking or driving home at the 

end of the night. Your wedding package includes:

� Transfer back to their various accommodation houses at the end of the night.

Some of your guests may want to celebrate until the early hours and Airlie Beach is waiting to 

entertain them! We will give your guests special VIP cards that entitle them to free entry at Airlie’s 

hottest nightclub and our drivers will even drop them at the door.
