LAWNLINES
LRMC & HI EMPLOYEE NEWSLETTER
SEPTEMBER2011
From Rodney’s Desk
I look forward to my time communicating with you every month in
LawnLines. And I enjoy even more the meetings, both formal and informal,
I have with the Lawnwood Team and its individual members.
Those encounters are important to me because I need to hear your
thoughts, ideas and experiences in order to keep us pointed in the
direction of continual improvement. Improvement that will make
things better for our patients and our team.
That’s why I want to emphasize that our management team is always
ready to hear what you have to say. We have an open door policy
and that means that any one of the management team including the
administrators are available to meet with you and talk about what’s on
your mind. If you want to meet anyone in the administrative offices -
Brenda, Kevin, Robbin or me - just call or stop by to make an appoint-
Rodney Smith, CEO
ment.
We also have a monthly birthday celebration - Birthday With The Boss - and I’ve had a chance to
meet many of you at that event. If you haven’t attended one of these celebrations, please take the
time to come to the one held during your birth month or come to any other one as a makeup if you
missed your month. The celebration consists of a free meal, a gift and cake. But the best part is
we get to know more about one another as we share stories about ourselves. Please watch your
e-mail for announcements about Birthday With The Boss.
I’m also at the Employee Advisory Group (V.O.I.C.E.) meetings each month and I welcome you to
come and share your opinions and suggestion. The meetings are open to everyone and it’s another
way we seek to communicate with the team. Check your e-mail for an announcement about
the date and time of the next V.O.I.C.E. meeting.
It takes a lot of hard work to provide the highest level of quality care to the patients who come to
Lawnwood Regional Medical Center & Heart Institute for their healthcare needs. I appreciate how
difficult your jobs may be at times and I thank you for all of the effort you put into your job on a
daily basis. Please let me know if there is anything that I can do for you.
The Actions You Take NOW Will Affect Your 2012 Medical Plan Options!
HCA continues its commitment to a healthy work environment by making some major changes to the wellness
program.
Annual health screenings and the PHA are now be a part of what you must do each year to get the
most from your benefits. Your participation in a qualified employee health screening will affect the medical
plan options you have available for 2012.
And remember that you can earn up to $500.00 in a 2012 Health Reimbursement Account for your
participation.
What to Know:
The remaining Lawnwood on-site employee health screenings are on the following dates:
September 20, September 26, September 27
October 4, October 12, October 13
(from 7:00 a.m. to 1:00 p.m. each screening )
To register for a screening appointment, log on to HCArewards.com, click on “Schedule a Health Screening”
and choose “Step 1: Schedule a Health Screening.”
If you complete a qualified health screening, you will have more medical plan options during the annual
benefits enrollment period this fall.
If you also take the Personal Health Assessment after completing your screening, you can earn up to $500
in Wellness Credits in a Health Reimbursement Account (HRA) for 2012.
Take action now:
If you complete a qualified health screening between now and October 21, 2011:
You will have more than one medical plan option during the annual enrollment period this fall. For example,
your options may include Well Care Level 1, Level 2, Level 3 and/or a local HMO/POS plan.
If you ALSO take the PHA by November 30, 2011:
After you complete a qualified health screening and your results are available, you will have the opportunity
to take the PHA. When you complete the PHA, you will earn $250 in Wellness Credits in an
HRA.
If your screening results show you have low-risk scores and/or less than three moderate-risk scores,
you will automatically earn an additional $250 in Wellness Credits in an HRA for 2012.
If your screening results show you have three or more moderate-risk scores and/or one or more highrisk
scores, go to the doctor and submit a completed Physician Referral Notice to H2U. It must be
signed by your physician by the deadline listed on the form in order to receive an additional $250 in
Wellness Credits for 2012.
If you do not complete a qualified health screening between July 1 and October 21, 2011:
You will have limited medical plan options during the annual enrollment period this fall. For example,
your only option for 2012 coverage may be the Well Care Level 1 Plan, which has the lowest premiums
but also the highest deductible and more out-of-pocket costs.
If you complete a qualified health screening but do not ALSO take the PHA by November 30, 2011:
You will not qualify for or receive Wellness Credits in an HRA for 2012.
For more information, log on to HCArewards.com or contact H2U at (800) 771-0428 or feedback@h2u.com.

A Message for all MEDITECH Users:
MEDITECH Logon Screen Changes -
Go Live for Lawnwood is Wednesday September 20th
MEDITECH Screen Changes on September 20th.
A new logon screen will appear on the afternoon of
September 20th (prior to the end of day shift to enable
users to experience new screens after peak volume
and before shift change).
Press “F11” Twice to Escape New Screen if
You Do NOT Know Your Network Password.
Pressing the “F11” key twice will allow
you to escape from the new screen and use
the “old” screen to enter your current
MEDITECH logon ID and password.
What if I Do NOT Know My 3-4 User ID
or Network Password?
IT&S staff will contact you when it’s time
to transition your MEDITECH account to a
3-4 User ID and/or help set up a new Network
account.
Another key step in our journey towards
simplification and Meaningful Use!
FAQ
Why is this happening?
As our facility prepares for Meaningful
Use and other important
initiatives that increase our dependency
on technology as a critical
part of patient care delivery,
we want to make it easier for clinicians
by using the same 3-4 user
ID and same password across all
systems.
I like my MEDITECH password,
why do I have to change it?
Unfortunately, MEDITECH passwords
have been determined to
be “weak” and not in the best interests
of our patients’ who expect
us to protect their electronic Protected
Health Information (ePHI).
So, it’s a good time for everyone
to transition to “stronger” passwords
– the same passwords
we’re using for the HCA Network
and many other clinical applications.
Who do I contact if I have more
questions?
New Security Procedure
Due to the excessive amount of visitations taking place in all the Intensive Care Units at our facility,
we will be implementing a new procedure in an attempt to control the flow of traffic to these
units. This is for the safety of our patients, visitor and staff. Recently we have had an influx of
visitors going to these units which caused a nightmare for our staff to do their jobs in the professional
manner they are used to. Additionally, it causes serious security risks for our patients and
the staff caring for them.
Many of you will recall this process was
done in the past but was stopped trying to
allow for a more open facility for visitation.
However with Lawnwood being a
Trauma Center receiving all kinds of traumatic
injuries, the need for tighter control
is necessary. Therefore all visitors going
to the Trauma ICU (TICU, 2 nd Floor) will
be given a visitor’s pass, the same as all
visitors. They will also be given an ICU
pass which will be white with a red stripe
indicating what room they are to visit (see
example at right). They will be required to
wear the ICU badge in addition to the normal
visitation badge. Anyone not wearing
the ICU badge will not be admitted to the
TICU. Any deviation from the room they are supposed to visit could result in their being asked to
leave. However, this will be done on a case by case basis.
If, on rare occasions, visitors come to the facility after visitation hours, (8PM) and request admission
to the ICU, the officer on duty in the ER will call the Charge Nurse or Nursing Supervisor for
permission. Again, this should only be done in rare cases and ONLY with the permission of the
Charge Nurse or Nursing Supervisor. During all normal business hours, ALL visitors going to an
ICU or the Pediatric/Labor and Delivery floor will be required to enter through the main lobby only.
The new ICU badge procedure is only being done on the Trauma ICU (TICU ) initially. This is a
trial period to work out all the bugs and issues. If this project is successful, it will be expanded to
ALL the ICU within the entire hospital. Our hope is that it will provide a safer environment for the
patients, visitors and our staff. If a staff member observes a visitor in the TICU area with a ICU
badge, they are asked to notify security so an officer can respond and investigate why they are on
the floor without a required badge. While we are not attempting to stop visitation of our patients,
we must maintain some control over the amount of people allowed on the floor at any one
time. The additional visitors will be asked to remain in the main lobby waiting room where they
have access to the cafeteria and a large waiting room.
If there are any questions or comments, please do not hesitate to call me or email me with any
suggestions.
Thank you for all your help while we implement this new procedure to enhance security for our
patients, visitors and staff.
Take Note of Important Upcoming Changes to Your FSA and/or HRA Account
Introducing WageWorks
WageWorks, the leading provider of consumer-directed benefits, recently acquired PBS (Planned Benefit
Systems). As a result, WageWorks will serve as the new administrator for HCA’s Flexible Spending Account
(FSA) and Health Reimbursement Account (HRA) plans starting Monday, Oct. 17. HCA’s partnership
with WageWorks will provide new website features, new debit cards, a more streamlined claims process
and a convenient provider payment option.
FSA and HRA Accounts Unavailable During Blackout Period: Oct. 11-14
In preparation for the transition, there will be a blackout period from Tuesday, Oct. 11, through Friday, Oct.
14. The blackout is necessary to ensure all account information is successfully migrated to WageWorks.
During the blackout, you will not have access to your FSA or HRA funds. This means that you cannot use
your HCA Well Care Benefits Card, file claims online or submit paper claims during the blackout. If you incur
expenses during the blackout, you will need to wait to submit the claims to WageWorks on or after
Monday, Oct. 17. If you have claims that are already in progress as of Monday, Oct. 10, they will be completed
by WageWorks after Monday, Oct. 17.
What Does This Mean?
Once the transition is complete on Monday, Oct. 17, all FSA and HRA accounts will be administered by
WageWorks. If you still have a 2011 account balance as of Oct. 10, please take note of the following:
There is a new way to access your online FSA and HRA accounts: Starting Oct. 17, online account access
will be transferred from PBS to WageWorks. In addition, we are pleased to announce that HCArewards.com
will feature single sign on to the WageWorks website. This means that once you log in to
HCArewards.com, you can get to your FSA and HRA accounts without entering another login. The first
time you visit the WageWorks site through HCArewards.com, you will follow a one-time registration process
to activate your account. You can then use the site to access up-to-date account information and
statements, take action on any requests to verify card transactions, provide banking information for direct
deposit reimbursements and more.
New mobile features are available for certain smart phones: You can use the WageWorks mobile site to
view account balance and card status and submit claims. Also available is the EZ Receipts app that allows
participants to capture pictures of receipts and upload them for card transactions.
You will receive a new WageWorks Health Care Card and your old HCA Well Care Benefits Card will no
longer work: All 2011 FSA and HRA participants will receive a new WageWorks Health Care Card. HCA
Well Care Benefits Cards will no longer work starting Monday, Oct. 10, at 11 p.m. (Central time), and
should be destroyed. The new card will be mailed to your home address the week of October 10. It will be
valid for up to three years if you continue to participate in an HCA FSA or HRA. Additional cards can also
be ordered for eligible dependents by accessing the WageWorks website through HCArewards.com or by
calling WageWorks.
There is a new claims process: Claims can be filed online by accessing the WageWorks website through
HCArewards.com or by mail or fax to WageWorks. Claims by email are not permitted due to privacy concerns.
There is a new online provider payment tool: You will have the option to use the Pay My Provider feature
that allows you to automatically pay eligible healthcare and dependent care expenses directly from your
online account to the provider.
Contact information will remain the same: WageWorks will use the same customer service number that
was used by PBS. If you have questions about your FSA and HRA account, call 1-877-888-FLEX (3539).
What to Do Now:
If you have a change of address, please contact your facility’s Human Resources office as soon as possible
so you don’t miss out on important benefits and account information, including your new WageWorks
Health Care Card.
Watch your email box for more details coming soon from WageWorks.

I’d like to take time to have Amanda (RN 7a-7p) recognized for
the compassionate, professional , prompt and courteous care she
gave to me during my stay. Amanda is an asset to your organization.
Please take a moment to take her aside and thank
Angel Slider Alert
If you have a patient being transferred to another facility via ambulance, please try to make
sure the Angel Sliders do not go with the patient. We believe a lot of the loss of Angel Sliders
are occurring in this manner.
Remember, each one that goes out the door is one less Angel Slider in circulation for our facility.
They are not automatically replaced and they cost money each time one is misplaced.
With school starting back and students on rotation through our facility, please make sure they
know these go in the dirty linen hamper when removed from the patients bed and that they are
NOT disposable. Thanks for your help.
