From the Chairman by Mike Love AGM Probably the single biggest challenge faced by the homeowners association of any estate is the definition and establishment of strong management and operational structures. These structures must ensure that the estate is able to effectively operate within the constraints of a Board of Trustees constituted from members, offering their services on a parttime basis, where such tenure is typically a period of two to three years. The current Board of Trustees of the Fourways Gardens Homeowners Association has for the greater majority been able to maintain a core membership of five years. The dedicated efforts of all members have ensured that Fourways Gardens continues to enjoy a premier positioning and being a sought-after residential estate. The past year has presented a significant set of challenges with the resignation of the previous Estate Manager (Ms Carol Katz) in August 2009. Robert Howes, a Resident, kindly agreed to fill the void as the temporary Estate Manager. This afforded the Board of Trustees the opportunity to recruit for the position without the pressures that would have been created had the position been vacant for an extended period. Further, the Estate staff needs to be commended for attending to the running of the estate during these turbulent times, where many took on significant additional responsibilities to ensure that as few balls were dropped as possible. I would like to welcome Mr Dave Thomas as the Estate Manager, who joined us on 1 August 2010. Dave has broad experience, and most recently held the position of Estate Manager at Kyalami Estates. Fourways Gardens prides itself on being ‘a secure, family-oriented residential Estate’. Security and the lifestyle privileges that a secure estate provide must rank as a major, if not the number one priority, in managing our Estate. Even a single security breach is one too many, it will always remain the aim to achieve and maintain zero incidents. The general environment within the Estate, as defined and created through the parks and public spaces, facilities available to Residents and the maintenance of the ‘character of Fourways Gardens’ is an additional key factor that contributes to our Estate maintaining a secure and family oriented lifestyle. In this context, the following aspects have been focus areas, and will require ongoing attention: • Parks and Nature Reserve • Architectural Rules • Access Control to and from the Estate • Clubhouse Facilities and Operations The importance of a well balanced board of trustees and portfolio sub-committees can not be over emphasised. Additionally the transitioning of individuals between successive terms is vitally important to maintaining historical knowledge transfer, introduction of new ideas and thinking, challenging of the status quo and maintaining the energy levels required. It is on this note that all members of the HOA are requested to seriously consider offering to serve either as a board member or as a member of a sub-committee. You are encouraged to not only consider serving around the time of an AGM, but to consider early participation prior to becoming a full member, even if this is in an observation/ assisting capacity. Please be in contact through the Estate Office should you wish to offer your services at any time. Succession planning has been a topic of concern within board discussions for many years now. As a first step to formalising succession planning, a decision was taken to transition the role of Chairman during the current term. Dr Tony Gardner has held the position of Chairman since 2003. I would like to thank Tony for his dedication to the Fourways Gardens community in serving as Chairman. Security Responsibilities • Service delivery to the Residents. • Making sure that all FWG suppliers are delivering good service. • Communicating with the Residents concerning all the issues of FWG. of the HOA, RSS and FWG Residents: HOA RSS RESIDENTS • Controlling the access control. • Patrolling the streets. • Monitoring the perimeter fence/wall. • Responding to alarms activations. • Reporting everything that needs attention to the HOA. • Good customer service. Fourways Gardens | Eleventh Issue 2010 • 9 • Need to respect and follow the security rules. • Make sure that their visitors visiting FWG obey the rules. • Need to be vigilant about their security. • Report all the suspicious movement to the security. • Teach their children about FWG rules. Here are important things that the Residents must take into consideration before they go on holiday this year: • Test your alarm by phoning the control room. If your alarm is faulty you must contact the technician to fix your alarm before you leave. • Test your alarm at least one week before you leave on your holiday. • Make sure that the person staying at your house knows how to operate the alarm. • Ensure that your premises, including outbuildings are securely locked up and that no external door keys are left hanging in the doors. • If you have pets make sure that you arrange with someone to take care of them. • No firearms are to be left on the property. • Make sure that you fill in the HOLIDAY INSTRUCTION FORM available at the control room so that your house will be checked by security every day until your come back from your holidays.
