REPORTS
1. President’s Report
It has been a difficult time in the office for the last few weeks as we have had to advertise for a new
Administration/Finance Officer and our EO has been severely incapacitated by an injury. I would like to
thank Jacqui Moon and Trudi Hall for their dedication and the time and effort they have put into ensuring
our members are well serviced. As part time workers this has been a huge impost on them and their
families’ time and on your behalf I extend our sincere gratitude. Please be aware not to put added
pressure on those currently in the office while these circumstances remain. Day to day operations will
continue but please be patient if there are delays in dealing with any of your requests. The EO will return
with light duties shortly but until that time please direct queries elsewhere.
We have just offered and had accepted a three month trial contract to Mrs Margaret Porter in the role of
Administration/Finance Officer. She has a strong background in accounts and administration work and will
commence on the 12 th March. Please be aware that Margaret will be in training for the first few weeks and
will be busy with catching up with accounts and familiarising herself with PCAWA. She may not be able to

PCAWA COUNCIL MEETING AGENDA 9 th MARCH 2012 2
assist you with enquiries at this stage but will ensure that you are directed to the right person or location
to seek information. Again please be aware and welcome Margaret to our organisation with patience.
There have been a number of emails coming into the office which have been of concern to Executive as
email has been used to abuse some of the staff. This will not be tolerated any longer. If such emails arrive
they will be deleted and remain unanswered.
It must also be remembered that the office staff act under direction of our rules and regulations which
they are compelled to enforce by Council, the Executive, Associations Act and other legislation. If there is
non compliance in any matter be it trivial or otherwise then those people will be notified and asked
politely to comply, please respond in a positive manner to these requests as they are not personal attacks
or unimportant niggles they are a requirement of the rules that govern our Association from both within
and without. If there is offence taken with these requests to comply with governance protocols I apologise
on behalf of both staff and Executive as none is intended. However it is offensive to staff when these
requests are responded to by disrespect or continued non compliance. Please remember these people are
doing their job as required by this Council.
2011 was a very busy and exciting year for PCAWA with its 50 th anniversary celebrations and many
achievements by individuals and teams representing the State and Nation. Members have also had
another productive and fun filled year with their Pony Clubs, at both Rallies and competitions, with many
working their way through certificates and gaining skills as both riders and citizens of the equestrian
community. None of this could have been achieved without the untiring efforts of our volunteers whether
they are parents, coaches, officials or committee members.
On behalf of the PCAWA Executive and Council, I would like to thank all of you who have dedicated so
much time and energy to making sure our members continue to have fun and enjoy all that PCAWA and its
Pony Clubs has to offer.
We have started this year on the run as usual with club activities, competition and Championships already
up and running or in the process of organisation. Thank you to all those clubs who have helped us by
sending their strength returns early and electronically. It is one of our priorities to ensure that our data
bases are up to date and that we have the best possible opportunity to keep members current with
information and resources. We hope soon to be able to do all our competition entries online also making
life a lot easier for organisers, clubs and the office.
We have a great new team in the office which has been working hard to get a head start for the New Year.
They have also introduced a new dressage series for PCAWA which has got off to a fantastic start with
large entries and lots of enthusiasm from participants and participating clubs. The office guided by the EO
Ben Verning and Jacqui Moon have organised the Val Polich Bursary fundraiser to be held On April 6 th and
7 th . This Bursary will give new opportunities to those who might not otherwise have been able to
participate in Pony Club to the fullest extent so please encourage all your club members to attend. Thanks
to this enthusiastic team for their extra hours and involvement in the organisation of these events.
Coaching the Coaches has again been very successful and the rollout of coaching activities around the state
is well and truly underway. It is great to see so much engagement by clubs taking up the opportunities
offered to run clinics for coaches and members. We would encourage all of you to consider taking these
opportunities to learn more about coaching and officiating as without continual succession in these roles
we cannot continue to run this great organisation.
In the last two years we have had a considerable focus on governance, policy and compliance brought on
by a number of events within PCAWA and regulatory requirements from without the organisation. It has
not been an easy process and certainly continues to be challenging for all of us but much of the hard work
has now been done. Now we are an organisation which offers our experience, policy models and processes
to the National body and other Equestrian bodies faced with similar issues. You should be proud of the
work you have done as a member based organisation in supporting these massive changes and compliance
issues. We still have the hard work of constitutional reform ahead and working with clubs to ensure that
they are equipped to understand and ensure compliance but I believe the way is clearer. There is strength

PCAWA COUNCIL MEETING AGENDA 9 th MARCH 2012 3
in the knowledge that despite differing views and opinions we can listen well to each other and work
together as an organisation to ensure the best outcomes for all our members.
Sub Committees have worked hard throughout 2011 with new challenges and a need to be even more
mindful of budgets and their constraints. Thanks to all those who continue to play such an active role. We
had increased numbers participating at most Championships which were extremely well organised and
exciting for all who competed or watched. I encourage all of you to consider taking a sub committee role
as it is a really rewarding experience as well as a great place to learn new skills.
These Championship events are a display of the skills and training Pony Club provides to our riders. Each
year we see a new wave of talented young people who go from strength to strength, pushing their
boundaries in a safe and nurtured environment. No wonder, with the enthusiasm and coaching at club
level, Pony Club is the grassroots training grounds for some of the world’s best equestrians and coaches.
Go Pony Club!
On a personal note, I would like to thank the Executive of 2011 for the support and hard work in taking
PCAWA through these changes. Their thoughtfulness and consideration of all the day to day to issues that
continue to confront the organisation, over and above their club, Zone and sub committee commitments,
personal work and lives is extraordinary, particularly as they are volunteers. I can only think that it is an
indication of their great love of all that is Pony Club.
On that note let’s all go and have more fun in Pony Club!!
Executive Recommendation to Council
Rationale:
Subcommittees are made up of people from all over the State who have varying abilities to attend the
State Office. To this end teleconference facilities have been placed in the meeting room to allow maximum
contribution by all available members to meetings. We have found that the tyranny of distance and lack of
time in general has meant that in some cases subcommittees become reduced to a small core of people
who barely make a quorum or greatly modifies the ability for committees to have regular meetings. This is
of concern as it becomes the same people who carry the load, it reduces the number of voices heard and
does not allow for healthy succession to take place within disciplines. In order to maintain the enthusiasm
of sub committee nominees and encourage any member to participate easily it is felt that teleconferencing
can resolve many of these issues. Therefore the Executive recommends this addition to the current
subcommittee guidelines:
“All subcommittee and Taskforce meetings must take place at the State Office or at a venue where all
eligible available voting members can have access to teleconferencing to allow inclusion for all members in
any decisions made. Operational meetings at Championships and events should ensure all Sub committee
members are notified of the meeting, and ensure there is a quorum and be properly minuted.”
Recommendation ratified by Council
Executive Officer to amend the Guidelines for Subcommittees, replace on the PCAWA Website and also
send to all 2012 Subcommittee nominees.
Rose Pinter
President PCAWA
On behalf of the Executive
Jackie Early (Observer): Following on from the AGM where Neville Westlund stated that volunteers
should be respected, therefore can emails be sent by the Office during business hours only, with nothing
to be sent on the weekends. Metro Zone stated that reading emails is at your convenience, these can be
read during office hours if you prefer.
The President stated that whilst emails were usually sent out during office hours there may be times when
emails were needed to be sent out on the weekend to ensure members received required information.

PCAWA COUNCIL MEETING AGENDA 9 th MARCH 2012 4
President gave a further verbal report – Strategic plan has reviewed and worked on, covering several
issues such as urban encroachment that have been raised to be discussed in General Business. The
Executive is conscious of these issues and are planning at to work at a level within State Government to
address these. WWC Submission is available to be read at your leisure in the PCAWA Office, this document
cannot be removed from the PCAWA Office or emailed out to delegates. Council was also notified that
some or all of the PCAWA submission may become part of the WWC final submission.
2. Financial Report
Costs continue to rise. The grants from Healthways and Department of Sport and Recreation get more
competitive to obtain each year and are dependent on us complying with their ever increasing
requirements. Sponsorship is hard to obtain; sponsors, like everyone else, want value for money. So help
from clubs in displaying our corporate partners messages, providing requested paper work and supporting
our sponsors’ products is appreciated.
The planning and budgeting process ensures that our resources are used to the best advantage for all
members of the Association, current and future. This year will be challenging, and hopefully rewarding for
subcommittees, as they now take more responsibility for their individual budgets and must plan ahead for
the costs associated with participating in National and International events.
All invoices relating to sub-committees must be approved by them for payment. If an invoice needs to be
paid before the next scheduled meeting, the office will email the Chairperson for approval. Subcommittees
will also be provided a detailed financial report for their meetings and I would urge them to
peruse these documents and adjust their budgets accordingly throughout the year. The Association’s
budget will be reviewed quarterly.
The quotation “As per PCAWA Council Resolution made in 1995, clubs or individuals with accounts two
months or more overdue, will not be permitted to enter PCAWA events, including State Championships”
appears on all invoices and statements. I would like to take this opportunity to remind member and clubs
that this will be enforced.
The Association’s audited financial report for 2011 is attached. On page 3 of the report the figure quoted
for Eventing comprises $2675 from the Eventing Championships and $2780 in the Steward’s Levy account.
The deficit for the International PPMG is the result of the invoices for the participants processed by
PCAWA having a GST component when they should have been GST free. This will be adjusted when Ron
Pursey returns from Adelaide and the account will return to a nil balance.
The attached Income Statement reports a loss of $8703, which considering the larger expenses
incurred during 2011 (i.e. Nationals - $20,000.00, International Tetrathlon - $6338.00, Dryandra Equestrian
Centre - $5000.00 and a increase in wages and superannuation of $29538.00), and income from
membership down $13,475.00 from 2010, this was considerably less than I had anticipated.
Total membership for 2011 was 3556, of which 1854 were riding members.
Many thanks to Ben and the office staff who have been very proactive in both reducing operating expenses
and ‘thinking outside the box’ with their initiatives for increasing our sources of income for 2012.
I expect 2012 to be a challenging year as we plan for the Nationals to be held here in 2013
MATTERS ARISING FROM THE CORRESPONDENCE:
Nil
VAL POLICH BURSARY UPDATE
Two of the Polich family have been meeting with Elaine Greene, Michele Wilkie and Ben Verning with the
aim to establish a direction and protocols for the bursary to become a Charitable Trust. The family would
like the Trust to be directed towards Pony Club members in a fashion that will support their development
as active healthy citizens in the workforce. The funds will be made accessible to Pony Club Riders to
support study, work experience and other career orientated endeavours on application and
recommendation, a review panel will be established and applications/recommendations will be assessed
on an individual basis. As further development takes place we will advise you by e-blast and on the
website. Program please take these back to their Zones and Clubs, and will be available on the PCAWA
website.
3. PANEL, SUB-COMMITTEE & DELEGATES’ REPORTS
3.1 Coaching Panel
The State Coaching Panel recently hosted the State Coaching Clinic at Brookleigh, please see Appendix A.
Healthway-funded Coaching Clinics have been allocated until the end of June when the new round
commences. The Panel commends Clubs and Zones for sending in their requirements promptly. The Panel
will do its best to allocate the funding fairly between the regions whilst following the set guidelines. This is
a pleasing result for the effort of continued advertising on the e-blast.
The NCAS Preliminary Coaching qualification is really starting to move now with a steady stream of
requests for Assessment. We plan to hold a general NCAS Pony Club Training and Assessment Day at the
SEC on the Saturday 8 th December following the Council meeting if there is requirement for it. The
Preliminary Coaching sample lesson plans are now up on the website to help guide new coaches.
There will be a Pony Club C & C* Examiners update on the evening of May 9 th 7pm – 9pm in the Indoor
Arena at the SEC. This will cover the basic flatwork requirements for examining levels, some discussion
time and demonstration.
The first copy of the 2012 Coaches’ Newsletter was printed just in time for the State Coaching Clinic and is
much appreciated by Coaches. Many thanks to those whose hours of hard work go in to putting this
together and printing it. This is available on the Coaching page of the PCAWA website for those of you who
wish to view it.
The State Coaching Panel supports the joint Working Rallies to be held by Peel and Kelmscott for 2012 and
will be able to supply Visiting Commissioners to observe this new venture. We feel that it would be unfair
in this situation not to allow riders to continue in their clubs which have suffered due to urban
encroachment. The situation can be revisited at the end of the year.

PCAWA COUNCIL MEETING AGENDA 9 th MARCH 2012 9
The State Coaching Panel wishes to recommend that Barefoot Boots be allowed at Pony Club rallies and
activities, but not for competitions, on a “Case by Case” basis by asking that Clubs with members wishing
to use the boots contact the State Coaching Panel. The Panel acknowledges the need to keep up to date
with useful, popular modern thinking and equipment and also the decline in the availability of farriers in
the “bush”.
Stirrup Treads - clarification that removable stirrup treads be made of rubber or plastic or the same
material as the stirrup.
The State Coaching Panel would also like to notify Council of the following;
STATE COACHING PANEL RECCOMMENDATIONS TO COUNCIL
“Peel and Kelmscott Pony Clubs are allowed to carry out the trial of joint working rallies for the 2012
season, on the condition that the Club/s invite Visiting Commissioners and advise the Office of the dates of
their Working Rallies”
The President stated that Council approved Kelmscott to move to Peel grounds but remain in their Zone,
this has now occurred. Rose Pinter, Simon Ozanne and Executive Officer attended their enrolment day, a
joint rally. Prior to the first rally, a Memorandum Of Understanding was signed between both Clubs to run
rallies together with immediate effect. A meeting took place with both club committees present, pointing
out that this is a constitutional breach. Kelmscott felt they did not have another ground where they could
function. Kelmscott had a Chief Coach, Peel didn’t. Both clubs saw it as an opportunity to benefit. When
questioned about the reasoning behind this decision they stated that there are numerous benefits
including, Peel now has a Chief Coach, cost sharing, access to better coaches with more income, shared
equipment for use by members. There was no desire at this particular time to become one Club as several
Kelmscott members feel a strong allegiance to their Club’s identity and do not want to lose the history.
However the President of Kelmscott did agree that there was a possibility in 12 months to amalgamate
with Peel.
Metro Zone President stated that they are in support of this trial.
West Coastal Zone stated that this had not been brought to their attention and therefore discussed at a
Zone level.
The PCAWA President stated that she felt that West Coastal Zone needed to be engaged and the Clubs
could function on a Visiting Rally basis for the next 4 rallies. This will cover the period until the June Council
meeting.
3.2 Dressage
ORGANISATION AND PEOPLE
The 2011 Dressage Sub-Committee was made up of seven members with meetings held on a monthly
basis. Each year this Sub-Committee is responsible for the running of the PCAWA State Dressage
Championships.
RESOURCES
Our main resource is the Dressage page on the PCAWA website which lists all relevant dressage tests, rules
and regulations specific to pony club Dressage.
OPPORTUNITY TO PARTICIPATE
To allow the opportunity to participate in pony club dressage other than the PCAWA State Dressage
Championships the Dressage Sub-Committee will be introducing a pony club dressage series which will
commence next year at the beginning of 2012.
COMPETITION:
BIO JOHN ‘GO FOR 2&5’ PCAWA STATE DRESSAGE CHAMPIONSHIPS
The Championships were held over 2 days on the weekend of August 13/14 at the State Equestrian Centre.
A staggering 562 tests were ridden over the weekend and it is a huge weekend for our 29 judges, 9
costume judges, ground staff and parents and a large undertaking for our small sub-committee but we
always manage to have fun amongst the chaos.
A breakdown of the tests is as follows:
2 teams entered in the Oakover Terena Musical Ride - Formation Ride (8-16 riders per team)
11 teams entered in the Oakover Terena Musical Ride - Costume Ride (8-16 riders per team).
23 elementary entries.
9 medium entries.
23 elementary freestyle entries.
79 Preliminary/Novice freestyle entries.
11 Pas De Deux pony entries (pairs – 22 riders).
14 Pas De Deux horses entries (pairs – 28 riders).
10 teams in Kanandah and Gingamurrah events (teams of 4 – 40 riders).
38 teams entered Prix Caprilli event (pairs – 76 riders).
13 teams entered for Zone Teams Challenge (teams of 4 – 52 riders)

PCAWA COUNCIL MEETING AGENDA 9 th MARCH 2012 11
21 teams entered the Wanda Nelson pony pair’s event (pairs – 42 riders).
20 teams entered the Stuart Harkness horse pair’s event (pairs – 40 riders).
To run the Championship weekend the sub-committee had to secure approximately 40 judges of varying
levels, scorers, Ambulance, Vet and source sponsorship to help pay for this event.
All the freestyle events are in costume and the quality of the costumes fitted to horses, ponies and riders
were amazing and a great credit to parents and helpers. All teams were turned out to perfection in their
pony club and zone uniforms and were a credit to their respective clubs and zones.
The Dressage Sub-Committee would like to thank the sponsors, without their support this event could not
be held. The sponsors for the 2011 Championships were as follows:
Bio John, Healthway, Petwan, Spooks Riding Wear, Skye Park Rugs, Brookleigh Health & Spa, Kings Town
Welsh Cobs, Aesthetics Projects, Oriel Park Equestrian Centre and RedFoto Event Photographers.
The Sub-Committee would also like to thank the judges for their time and expertise, Richard Spencer and
his team for their scoring skills and thanks to Tania, Christine and Heather from PCAWA for their assistance
in the lead up to this weekend. We would also like to thank Marcia and Simon from the SEC for their help
over the weekend and to the clubs and parents who carried out their helper duties extremely well and to
the spectators for coming along and making it a great atmosphere. Last but not least a big thank you to the
competitors for making the 2011 Championships a great event.
We received some lovely comments from parents, riders and judges who all thoroughly enjoyed their
weekend and a few of these are posted on the Dressage page of the PCAWA website.
I would personally like to thank the hardworking committee members Deb Spencer, Judy Bevan, Jane
Simonetti, Kerry Mercer, Graham Knott and Wanda Longley who made it a pleasure to be on the Dressage
Sub-Committee.
PROGRESSION
The Dressage Sub-Committee is looking at holding a freestyle seminar in 2012 to encourage and educate
members to ride the freestyle tests at their appropriate level.
3.4 Active Riding
1. Preliminaries, Qualifiers and Championships
The sub-committee would like to notify member clubs of the format for qualifying for Championships, this
overrides the December advice.
A. Novelties including Pony Club Mount – Zones conduct a run-off at which teams are selected and
when entry forms are available are sent in to PCAWA office.
B. Mounted Games
a. Each rider/team is to attend at least one preliminary event,
b. All teams and composite teams (approved by sub-committee) may enter the qualifying
event that will take place at the Active Riding championships on the Saturday of the
event. On the Sunday of the event a semi-final will be run and the top six teams in each
age group will progress to the Championships, being held at the RAS.
This format has been organised in an effort to keep travel to a minimum, to allow every rider the
opportunity to qualify and the sub-committee has committed to run five preliminary events to allow riders
to participate in the qualifier.
The current Preliminary events booked are:
Eastern Zone 20 th April at Kalgoorlie
Avon Zone 10 th June 2012 at South Midlands
Swan Zone ( Marsden Cup)16 th June 2012 at Horsemen’s
South West Zone 23 rd June at Margaret River
Metro zone - 22 nd July at Orange Grove
Any club or zone who wishes to run a preliminary event please contact the sub-committee through the
activeriding@pcawa.com email address.
There needs to be a $5 per rider levy at each preliminary event, this levy assists with the costs of
ribbons (supplied by sub-committee),
Assists with replacing and maintaining the equipment, and
Assists with licensing and maintaining of the trailer.
2. Coach and team manager
Congratulations s to Sean Corbin as coach and Sean Fraser as team member for the Pony Club Australia
team who will compete in NSW latter this year.
Junior Coach and Chaperone expressions of interest were called for, the sub-committee recommends the
appointment of Dan Foster as coach and Jaq Dahlstrom as Chaperone for the 2012 team.
3. RAS
Dan Foster and Trudi Hall are negotiating with RAS regarding holding the Championships of the games
there again this year and as news is available we will share it. Currently we are anticipating Saturday 6 th of
October in the main arena.
4. POLO CROSS

PCAWA COUNCIL MEETING AGENDA 9 th MARCH 2012 13
Active riding sub-committee have had an expression of interest sent out regarding holding a Polo Cross
event latter in 2012, we have at this stage received one response for mid to late October and will share
information as plans are confirmed.
5. Val Polich Memorial
The sub-committee would like to remind all members about this event in April 2012.
6. National Competitions
The subcommittee wishes to advise that unfortunately PCA voted to reduce national senior mounted
games competitions to bi-annual to fall in line with other disciplines. Discussion is still ongoing regarding
games riders taking their horses to National competitions instead of riding borrowed horses.
Judy Rose recently organized a Tetrathlon Training camp for members interested in representing PCAWA
at the Nationals in 2013 and at the International Tetrathlon to be held in Western Australia in 2014.
Participants received expert pistol shooting coaching from Dan White at Whiteman Park, swimming
coaching by Travis Carey at Ellenbrook State swim School and a running session by Ryan Kukura from Edge
fitness. The Tetrathlon sub committee would like to thank Judy Rose, Ben Verning and all the staff at
PCAWA for organizing this event.
Narrogin Pony and Riding Club hosted a very successful Tetrathlon with 128 competitors taking part. All
participants enjoyed the weekend. A big thank you to Bernard Arrantash, Richard and Debra Spencer and
Graham Scott whose experience and dedication allows events to run successfully.
Bernard Arrantash has been busy travelling around the State helping clubs prepare for the shooting phase.
I am sure we will see some scores of 1000 at the State Tetrathlon. Thank you to Bernard for all the time he
3.7 Show Jumping
As another year closes it is only fitting that I thank the hard working committee members. These people
give their time and effort to run the championship, like other disciplines, for very little thanks and
sometimes even receive criticism for their efforts. With this said thank you for making my job easy and I do
hope that everyone plus some new members return for 2012 year to continue with the championships and
additional show jumping events which are being held during the year.
Another thank you must go the Judges and Course Builders who also work at the championships, these
people are invaluable as without them there would not be any championships. A special thank you to
Derrick Dobson who is our TD for the event and works all weekend overseeing the courses and helping me
in handling any technical problems.
We must not forget the office staff who are always there is we require things done and are more than
helpful. Lastly, to the Executive who for the past few years have had less than an easy job of guiding the
Pony Club movement. I sometimes feel that members forget that the Executive are also volunteers and do
the very best that they can. Thank you for the 2011 and hopefully the next Executive can do as well for
2012.
Our 2012 championships are all coming together with sponsors, judges and course builders. There is one
thing I would like all Zones to take back to the Clubs; if they are attending the championships, which we
hope you all will, if you have any queries concerning the show jumping rings that you do not ask the
Course Builders or Judges but direct your questions to the committee who will be working in the SEC side
office during the weekend.
We hope this year to have a member of the committee to be allotted to each ring so any problems can be
directed to them also.
Thank you to all the riders who compete at the Showjumping championships or compete in your Pony Club
uniform at other competitions. You represent not only yourself and your Club but also the PCAWA
movement and by doing this you are making other riders aware that Pony Club riders are not only great
riders but also belong to a great movement.
I hope you all come to the Showjumping Championships and the Showjumping days which will be held
later in the year.
SHOWJUMPING RECCOMENDATIONS TO COUNCIL
PCAWA has already adopted PCA National Eventing and Dressage rules, this further cements the alignment
to the National body

“That PCAWA adopt PCA National Showjumping Rules and all subsequent annual updates.”
Rationale:
Statistically the majority of rotational falls in showjumping activities occur at heights less than 1.00m the
Showjumping Subcommittee feels that this recommendation serves to further strengthen the controllable
safety aspects of our sport.
“That for any PC activities where the participants are jumping 80cm and above that breakaway cups are
used on back stands.”
The Senior Vice President queried if this would not be covered by the adoption of the PCA Nationals SJ
Rules. The Executive Officer was asked to investigate this further as no copy of the PCA SJ Rules was
present. This Recommendation is to be brought back to the June Council.
Rationale:
As 2012 is the first year that each discipline is responsible for 100% of its own costs and with PCAWA
holding the PCA Nationals Championships in 2013, the Showjumping Subcommittee would like to raise
further funds to ensure that it is capable of supporting both a Senior and Junior Teams.
EXECUTIVE OFFICERS REPORT
It is unfortunate that we have said goodbye to Heather Martin, the PCAWA Accounts/Administrative
Officer since 2010. However, we wish Heather well in her new role as bookkeeper for Europa Saddlery, so
if you see her out and about please make sure you say hello. Until such time as a replacement Accounts &
Administrative Officer is engaged, please direct all account enquiries to myself. I would like to also
recognise the huge efforts that Jacqui Moon and Trudi Hall have undertaken over the last 2 weeks whilst I
have been incapacitated. They have gone over and above their contracted duties to ensure that the Office
has been able to serve the members to the standards they expect.
Over the Xmas closure we took the opportunity to have a “good sort out” in the Office. We have now
boxed up most paperwork pre 2009 and it is securely stored. Trudy Simms has offered to sort out all the
historical items for placing in the Battye Library. It really is amazing some of the items you come across
when tidying up!
During early January I assisted Judy Rose with the organisation of the first International Tetrathlon Training
Clinic which was a resounding success. Every PCAWA member that took part was a credit to the
Association and I received many comments on their professionalism and overall sporting abilities.
Please take the opportunity to now follow PonyClub Wa on Facebook, although I would also like to remind
you that we do not allow posts directly onto the PCAWA Wall, all posts will be deleted. We are also only
allowing PCAWA Members to join this page. Following PCAWA on Facebook is an ideal way of keeping up
to date with latest news and events on a realtime basis. Please ensure that in your use of Social Media
both personally and at a Club level you are compliant with the PCAWA Social Media Policies.

PCAWA COUNCIL MEETING AGENDA 9 th MARCH 2012 17
Dan Foster, as Active Riding Subcommittee representative, has accepted the invitation to work with
PCAWA MDO Trudi Hall in relation to RAS negotiations. Trudi and Dan have managed to negotiate
extremely effectively with the RAS Horse committee and have met the terms as defined by the Active
Riding Committee at the December Council. I am delighted to announce that PCAWA will be returning to
the 2012 Perth Royal Show to conduct some evening displays. I have also been invited to join the RAS
Horse Group Working Party and look forward to promoting PCAWA where possible here also.
Expressions of Interest have been coming in from PCAWA Associate members to join our Riders
Consortium. Working in co-operation with our MDO we are planning to hold our first meeting in late
March. As I am sure that you all are aware, our Associate members are crucial to the sustainability of the
Association, and this Riders Consortium represents an opportunity to have their voices heard about the
future of the Association. I would kindly request that you all encourage your older members to participate.
Meetings will be held both in person and also using Skype or teleconference for those in more remote
areas, so there is no need to travel to PCAWA headquarters monthly for meetings.
In late 2011 I proposed the introduction and active promotion of a line of PCAWA Branded Merchandise, a
selection of which is able to be viewed and purchased this evening. Following the State Coaching School,
the PCAWA Dressage Day on the 18 th February and general website activity, the sale of this merchandise
has netted over $1000 profit already. Thanks must go to MDO, Trudi Hall, for manning the stand on a
volunteer basis at these different events. Please encourage your Clubs and members to have a look at this
new range of merchandise on the website, it is the must have gear for 2012!!
The Office staff, with the assistance of Rose Pinter and Vicki Griffin also ran the bookshop at the State
Coaching School, which saw an increase in sales of over 100% on the 2011 sales. This netted the
Association a $2235 profit. An updated pricelist is now available on the PCAWA website. It is important to
note that Clubs should be recommending the purchase of some of these books and information sheets to
the “non-horsey” parents. This is an ideal way for them to ensure that whilst not at PC, their children
remain safe.
On my recommendation to the Executive, we are now utilising our new high quality colour photocopier,
and it is estimated that this will save PCAWA in the region of $2800 in printing costs for 2012. We have also
engaged the services of Karin Drummond, our new cleaner and gardener which represents a saving of
$2000 on the 2011 expenditure.
The Executive also endorsed my recommendation to introduce an Annual Open Insurance Policy. This $100
cover provides riders over the age of 25 Public Liability and Personal Accident Cover whilst travelling to and
from and during any Open PCAWA Competition or Training day. The uptake on this policy alone has
already covered the Premium cost to provide cover for the PCAWA Day, Annual Day and Open Competition
policies. The remainder of the income generated from the sale of these insurance policies in 2012 will
become profit for the Association. Based on 2011 figures this should be in the vicinity of $ 20,000.
I have also negotiated with Telstra to reduce our monthly phone line rental and also the cost of all
outgoing calls by 40%, which will represent an annual saving of approximately $3000.
Further negotiations took place with Neverfail water and we have received a discount on the rental of the
cooler and the price of each bottle. This is of course available for all Subcommittees at meetings.
A new coffee machine is now in the Office kitchen, please feel free to help yourself, there is an honour
system in place and we are asking for a contribution of $1 per cup.
I have also met with Martin Shaw, CEO of EWA and have negotiated a fixed price charge of $5000 per
weekend, inclusive of all equipment used for 2011, for the 2012 PCAWA State Show Jumping and Dressage
Champs. Ground fees are still to be paid. This represents a saving of over $3500 on 2011 expenses.
Furthermore, for all Training days organised by PCAWA at the SEC, there will be no ground fees payable.
The C-Quest arena and Swan Valley PC grounds will be free of any venue hire costs for the Val Polich
Bursary Show, saving $2800, and there will be no ground fees payable. For all other competitions

organised by the PCAWA Office staff, I have negotiated a greatly reduced fee for the use of the Swan Valley
Grounds, C Quest arena and the Indoor School.
The first of these events, organised by Jacqui Moon and myself was a Dressage Day on the 18 th February,
raising over $2200. Thanks also to the Weir Family of Lynwyn Park Stud for their sponsorship of this day.
Other events that we are planning include:
April 6/7 th Val Polich Bursary Day – with the assistance of Michele Wilkie
Plus a Tetrathlon to be held in conjunction with Horseman’s Pony Club – Date to be confirmed.
Please note that Jacqui and I organise these events outside PCAWA Office hours on a volunteer basis and
they do not detract in any way from our paid employment. The Office is also in the process of currently
investigating utilising an online entry system for all PCAWA State and Office run events. We will endeavour
to have a final decision in place ready for introduction for the State Dressage Championships.
Sponsorship and Advertising
Following negotiations, Cavaletti.com.au have increased their PCAWA sponsorship package for
2012 to $2000
Europa Saddlery has confirmed the purchase of an advertising package worth $3000 plus signing as
major sponsors of the 2012 PCAWA Dressage and Eventing Series.
I am also pleased to announce that Milne Feeds are joining forces with PCAWA in 2012 as a
corporate partner.
EBM Insurance has agreed to donate 50% of the commission made on the PCAWA Open Annual
Insurance as well as re-visit their annual sponsorship contribution to PCAWA with a view to
becoming a Corporate Partner for 2012.
There are several other major sponsors with which we are in negotiations with for not only 2012
but also the 2013 National Championships, and numerous other companies with which I am
finalising advertising packages and I hope to make further announcements soon.
Office procedures
Please note that we are in the process of changing from using MYOB to Quickbooks with
immediate effect, so invoices and sales receipts may appear slightly different however please be
assured that these are still accurate. If you have any queries please do not hesitate to contact the
Office.
Membership cards are being sent out to Clubs upon receipt and payment of Annual or
Supplementary Strength Returns. It has been identified that there have been several small errors
made on these forms. Unfortunately, we cannot risk exposing the Association nor the Club
concerned to litigation due to these forms being completed inaccurately and as a result insurance
being voided. We are trying very hard to work with Club Office bearers, so if you have any queries
please do not hesitate to contact Trudi Hall, the PCAWA MDO.
It has proven very difficult to engage Zones to forward in Reports for Council. This has been for
several reasons including Zone Office Bearers Notifications not being forwarded to the Office,
confusion over who is responsible for writing the report, my time away from the Office etc. Please
can I ask that each Zone delegate this task to a specific member. The Council meeting dates are
set, and a reminder is sent 4 weeks prior to the Meeting. It is uncomfortable to chase volunteers
repetitively, when this can be easily avoided.
Key Performance Indicators’ for the Office members have been reviewed and have now been
implemented.

PCAWA COUNCIL MEETING AGENDA 9 th MARCH 2012 19
I recently designed a new E-newsletter to make the weekly publishing of this simpler and easier to
understand. There have been a few small teething problems and it would appear that it depends
on the Internet Service Provider that you use to the final layout of this, however please be assured
that I am working to resolve this as quickly as possible. It is now standard procedure for Clubs
News (not Club Events) to be listed for a maximum of 2 weeks on the e-newsletter. They will of
course be advertised fully until the date of the event on the PCAWA website. Any feedback is
welcome. Club Secretary’s, please may I suggest that there is a folder kept with weekly Enewsletters
which is then available at each Rally to allow those that don’t receive the E-news to
be kept up to date. Alternatively, actively encourage all your members to sign up to the E-news.
Registration can be done via the PCAWA website.
If your Club has a logo please forward this to office@pcawa.com so when a notice is placed on the
new look E-news the logo can be included.
Following the December Council meeting I was fortunate enough to attend the End of Year Rallies for
several Clubs and have assisted with running several other Club events and I delighted to say that I am
thrilled to be part of such an important phase of development and personal growth for the members
As I am sure that you all are aware 2012 is the first year in the Association’s history when any profit over
and above the first $1000 raised by a Subcommittee is able to “rolled over “to the following year. This is a
great initiative of PCAWA, however with this comes greater responsibility for Subcommittee’s meeting ALL
of their expenses for the year. Subsequently this may require a closer working relationship with the
Subcommittee Treasurers to assist with keeping on top of budgetary and cash flow issues. Please do not
however misinterpret my offers of assistance as claims of incompetence. The simple fact of the matter is
that as a Council approved directive, if there is no money in the Subcommittee accounts, no further
activities for that Subcommittee can take place until more funds are raised. Please also bear in mind the
difficulty this raises for myself. 2012 is the first year in which up to $25,000 is not provided for the PCAWA
Operational Budget from Subcommittee income. I have identified this as a huge challenge, particularly
when you consider the 2011 Association deficit; however this is a challenge that I readily accepted when
signing my permanent contract and I look forward to overcoming this.
It is with regret that I must also inform Council that there have been several very personal attacks, both
verbal and written on PCAWA Office Staff members. Those who initiated the attacks know who they are
and I would like to formally request that this ceases as a matter of urgency. Failure to cease and desist
immediately with this behaviour will result in the PCAWA Office seeking the endorsement of Executive to
request that Council publicly identifies and sanctions these individuals.
PCAWA in 2012 is entering a brand new highly exciting era in, with a team of staff who are not only
passionate about Pony Club, but also possess an incredibly strong desire to develop the Association and to
put in place new procedures and processes to allow for the long term sustainability in some of the most
challenging times PCAWA has faced. We have many new initiatives and cost saving introductions
originating from the Office. The PCAWA Office staff members, several of them Pony Club Parents
themselves, are all positive about the future and we look forward to playing our part. Having said that, we
are all constantly evaluating both our own individual and Office performances to update procedures to
raise standards for PCAWA members. If anyone has any constructive feedback please feel free to forward
me an email office@pcawa.com. This feedback can remain confidential.
Remember, Pony Club is not only about our members enjoying themselves. It has to be fun for everyone! It
does at times feel that working in the PCAWA Office is akin to playing a daily game “Dodgeball”. Whist we
manage to avoid most issues, and even manage to catch some as they are flying towards us, every so often
one smacks you hard in the side of the head, knocking you over and taking your breath away!!
One further point if I may; the PCAWA Office Staff are governed, as are the PCAWA Clubs and members, by
Council directives and current relevant statute requirements. As people, we too may not agree with all
Council decisions or legislative guidelines, however in order to remain gainfully employed we are simply
following instructions by implementing them and ensuring that they are adhered to.

Annual Key Results Schedule AKRS has been returned and are available for viewing this evening or in the
PCAWA Office at your leisure.
Healthways have very generously provided PCAWA with a “Go for 2 & 5” marquee for use at all state and
major events. If you would like to use this marquee please contact the Office.
Healthways also donated additional prize bags for all demonstration riders at the 2012 State Coaching
3.11 Pony Club Australia (PCA)
The PCA budget has been established for 2012 but has a shortfall of $18,200. There is a current request
from the PCA Treasurer and President to levy an additional Capitation Fee to cover the shortfall due to
PCA’s expanding role in the administration of Pony Club’s activities. PCA has no immediate source of
funding other than from its members which are the associated States’ members. The Treasurer Stephen
Coffee and President Greg Bailey are suggesting an increased decapitation fee of $1.00 per Member under
25 years (it should be noted that some states have over 25yrs memberships). This would raise about
$23,000.00.
As delegate I have looked at the budget and made some suggestions to rectify the shortfall as have some
of the other state delegates. It should also be noted that PCA are looking at seeking specific activity grant
funds but this does not deal with the expected shortfall in the short term. This will be discussed at length
at the next PCA meeting in May 2012.
“Ponies to Podium” role out has seen more than 40 PCAWA members take up the $50 rebate so far. I am
awaiting further information from other States and also the breakdown of new versus old members. The
International PPMG exchange is due to start just after Easter with Sean Corbin as Australian Coach and
Sean Fraser WA’s nominee for the team. It is a very full programme of activity that I am sure they will all
enjoy, including climbing the Sydney Harbour Bridge!
at the May meeting in Adelaide. The PCA Budgets are available if requested.
3.12 Nationals Development Taskforce – final report
Planning for the first camp is ongoing with the dates set for 20 th and 21 st April at the Swan Valley grounds
and invitations to participate have been sent out. Other dates are June 23 rd , 18 th August and 13 th October
at venues to be confirmed. A number of coaches have been approached to work with this squad with good
response so far.

PCAWA COUNCIL MEETING AGENDA 9 th MARCH 2012 21
We have had more than 20 nominations for Development Squad, 17 of which are new. This takes the
squad to 51 currently. This is an open squad so more come in over time. This does not include the PPMG
training squad or the International Tet training numbers. The junior PPMG will be joining in at the
development training days where appropriate. Development covers all disciplines so please encourage
your riders to take up this opportunity.
Squad forms have been updated and the website updated. Criteria and selection processes for the
Nationals Training Squad and Nationals Team selection will be ready to go onto the web before the AGM
with the next meeting to be teleconference on the 5 th March.
The current committee hopes to hand over at the April camp to the new subcommittee.
Nominations from Subcommittees to National/Development Subcommittee – as per the AGM.
Nationals Organisational Taskforce – Rose Pinter, Judy Rose, Lynette Winteringham and Lou Collins have all
expressed a desire to go onto the Nationals Organisational Taskforce. Lynette has a particular interest in
“PCAWA Office will be unable to accept any 2012 Club Annual or Supplementary Strength Returns for Club
Coaches if Working with Children Card details and expiry dates are not provided excluding those parents
who are volunteer coaches and are also recorded as the person responsible for an ordinary riding
4.2 CENTRAL ZONE
All the clubs in the zone have been working hard over the break planning an amazing range of activities for
members in 2012.
Lake Grace is in full swing organizing the Lake Grace Riding School to be held on the 9th to the 13 th of April.
All riders in the Central Zone are looking forward to the week, especially the games night.
Wagin is running the Funorama at Wagin Woolarama on the 10 and 11 of March. This year the focus will
be on games and MGA, if you are in the region come along and join in the fun.
Narrogin is hosting the Dryandra Tetrathlon on the 24 and 25 of February, the zone Show Jumping run-off
12 March and the Dryandra Pony club event on the 14 and 15 April. It is a very busy start to the year. The
undercover arena is just waiting for the sand to be spread and will be operational by March.
A number of coaches attended the PCAWA State Coaching clinic and were impressed by the standard of
presentations. It was a fantastic opportunity for all who attended to develop a better understanding of the
stages involved in learning how to ride. Thank you, to the Coaching panel for organizing the weekend.
Central Zone Delegate
4.3 EASTERN ZONE
We started the year with change by making our Zone meeting in the daytime , so those that have to travel
long distances do not have to do battle with night-time kangaroos and babysitters. It has worked well as
there was time for shopping, sociable lunch and back to meet the school bus.
The calendar is now full, and we are all organized….sort of. A few older ones have departed for school in
the metro area but there seem to be a huge number of little ones taking their place. Congratulations to
Alix Garner on achieving C star certificate over the holidays.
First Zone Camp is at Bonnie Rock, where the camping and the evening skits are legendary.
The local adult riding group is becoming stronger and many PC parents are re-discovering their horses, a
recent Introduction to Cattle day had all the Pony Clubbers wanting to join in and it looks as if this might
have to be organized for the second Zone Camp!
Lots of recognition of Pony Club stalwarts….Debbie Alberti was made a Life Member of Kellerberrin Pony
Club at the wind –up and Janine Cosgrove (Bruce Rock) , Pam Yates (Bonnie Rock) and Anne Spark (Bonnie
Rock) were recognized with Service to Pony Club awards. Other Pony Club people who were recognized
within the wider communities were Lisa Arthur (Merredin Citizen of the Year) and Morgan Ware
(Kellerberrin Young Citizen of the Year).
Kellerberrin Club will be celebrating 50 years, Debbie Alberti will be collecting memories and stories
4.4 GREAT SOUTHERN ZONE
Albany
Albany’s first rally for 2012 was attended by 31 riders, the focus of the day being organizing groups and
catching up with fellow members and new ones.
Our membership is at 33 riding members with 2 or 3 more joining at our March rally.
6 instructors/ coaches plus our visiting coaches throughout the year.
It is great to see so many younger riders within our club and their parents taking on roles within the
Committee and helping out at our busy bee and rally.
Nellandra Henry will be attending our March rally and conducting outside lessons on the Saturday which
quickly filled. Also on the Saturday we are holding an introduction to Show jumping day for beginners and
younger horses/ ponies.
This is our only event until May 27 which unfortunately is State Show Jumping .
We were not successful for our 26th August ODE and it has been scheduled for August 12 which is State
Dressage. We are not sure of holding the event on this weekend as large contingent of our competitors
over the last few years have come from the Metro Area. Should we not be able to perhaps reschedule with
one of our other dates and secure a steward it may well be cancelled.
Kim Ovens
Verbal Report: Date of the ODE will be 8 July.

PCAWA COUNCIL MEETING AGENDA 9 th MARCH 2012 24
Denmark
(Copy of official letter to sent to Zone Committee)
Dear Great Southern Zone Committee,
It is with deep regret that I have to inform you that ‘Denmark Riding & Pony Club Inc’ has had to go into
voluntary recess for the next 12 months at this stage. At our AGM in January we didn’t get the support that
the club needed to exist. We therefore reluctantly agreed to have a break for the next 12 months and see
where we go from there.
We have notified PCAWA Head Office and are following the Pony Club Handbook as to what we have to
do. I will be overseeing all incidentals that need to be attended to for the next 12 months. The Denmark
Riding & Pony Club Inc is still an organization (just that the PCAWA part is in recess) and therefore all our
equipment will remain the property of the Denmark Riding & Pony Club Inc and not be shared around
amongst other clubs at this stage. I have organized storage of equipment so when the club reopens it will
be there for the Denmark Youth to use.
Thanking you all for the help and support that you have showed Denmark in the past and wish Great
Southern Zone all the best for the future. No doubt I will be seeing you all around. If you could still forward
all correspondence to me please that would be good.
Kind regards
Linda Whitlock
DRPC
Katanning
During 2011, we discovered that in days gone by, the highlight of the Katanning Pony Club calendar was
the annual summer camp. Ponies would be transported to the sea-side by cattle truck. Children would
camp on the beach, enjoying long trail rides and teaching their mounts to traverse a very large water
complex – the Bremer Bay. To celebrate this aspect of our Club’s rich heritage, our December Presentation
rally featured a ‘Down by the Seaside’ dress up competition. Members embraced their task, with ponies
transformed into jet ski's, combi vans, sea horses, and marine palfrey’s.
It was, however, great to start a new year. We have a very full calendar this year, and hope to combine a
number of rallies with various events and neighboring clubs. Our website has become a pivotal tool with
which to communicate with each other and the wider equestrian public. Increased exposure online has
proven to be a bit of a mixed blessing for us.
Our sign up twilight ride attracted 13 riders, with a few more planning to join in the fun during the March
rally. Our first few months will be dominated by preparing to host the Zone Show Jumping Trials, and the
Zone One Day Event. We then plan to support our neighboring club by attending both the official Kojonup
ODE in May, and the ‘Have a Go’ day planned for the weekend following the ODE. In June we have
scheduled an Endurance Ride, with distances from Lead Line to 80km. We get to have a break in July, with
August seeing us host the Dressage Day. Then it is a gallop finish, what with supporting our sister club, the
KEA, by co-hosting the Dressage Extravaganza, and galvanizing as many riders as possible to attend the
back-to-back Kojonup and Katanning Ag Shows. By co-hosting events with the KEA, we hope to encourage
as many Pony Club riders to compete as possible, as their club membership will cover them for insurance
purposes.
We hope to have a wonderful year, and thank the Zone, in particular its President, sincerely for the
support that is continuously offered to us.
King River
Welcome to another year and the calendar seems no less empty this year!
We have had our registration day and welcome old and new faces at KRPC, totaling 57 riders. Despite
having our AGM in December and returning our previous office bearers, we have been unable to secure
the services of anyone prepared to our Chief Instructor/ Club Co-ordinator. We are currently looking into a
shared position and will notify the appropriate people when the situation is resolved. Our Rally organizers
have been busy and have the initial programme organized.
Our Hunter Trials were held in Jan prior to the registration evening and those who entered appeared to
have a good time! The Show Jumping day has been changed to Feb 26th and unfortunately clashes with

PCAWA COUNCIL MEETING AGENDA 9 th MARCH 2012 25
WPPC'S Dressage Day for which we apologize but I am aware some of our riders are coming to WPPC. The
organizers are busy preparing for the ODE and Show Day both to be held in March.
We would expect to have a good turn out at the Zone S/J tryouts and ODE in April.
Good Luck to everyone this year.
Debbie Bell
Kojonup
On a beautiful summer’s day in February we held our registration day and first rally of the year. We had a
good turnout with 19 riders enjoying the day. We had two new members join and I expect to have another
seven join us at the March rally. Unfortunately we have lost a family to Polo Crosse, and another to
swimming and netball but foresee our rallies being well attended with about 25 – 30 riders.
Our February rally was all about active riding and having fun, as some ponies had also had a holiday over
Dec/Jan, and so were not fit enough to do anything too strenuous. We warmed up with some trouping
and then practiced two of this year’s MGA games. We finished up with a game of cushion polo which
showed up the competitive streaks in some riders – and ponies! I can see that game becoming a regular
fixture at rallies. I’m sure I wasn’t the only adult that was itching to join in! After lunch we had a ride
around our cross country course.
We are lucky to have Dawn Norrish agree to be our main instructor for the ‘Stars’ this year. We have five
up and coming champions riding with Dawn, and another two joining in March. Dawn has been teaching
children to ride forever, and we are extremely fortunate to have her.
We have an action packed year organized for the Kojonup Pony Club. I have Lana Chircop coming from
Capel to teach our riders the finer points of show jumping and cross country, Tegan Lush has agreed to find
time in her busy schedule to instruct at a rally, and Dan Foster (President of MGA) has also agreed to drive
to Kojonup to show us how to ride and play this year’s games and novelties.
We should have about ten riders competing at events in the Great Southern and further afield,
representing the Kojonup Pony Club. It is shaping up to be a very busy year!
Ros Trezise
Mt Manypeaks
Mt Manypeaks Horse and Pony Club finished off the year with a day at the beach. Our members went to
Cheynes beach, where we were able to drive the cars and floats right onto the beach the kids then had an
enjoyable day learning how to get their ponies and horses into the water, riding bareback for the older
riders and playing games. We followed this with a BBQ lunch and trophy presentation. 22 January saw us
hold our first event, a show jumping day with classes from 30cm to 115cm. We were wonderfully
supported with riders traveling from as far as Kojanup. We were very happy with how the day ran and look
forward to holding another at a later date. Our 1st rally was on the 28th January, and we have 10 members
enrolled this year, unfortunately it reached about 40 degrees by 10am so we only had a half day.
Rebecca Blyth
West Plantagenet
Welcome back everyone. We had a quiet start to our year with our first rally only having three riding
members but we did have 15 riding members join our Pony Club, which hopefully will be the start of a
brighter future for our club.
As a club, we are very busy planning our Unofficial Dressage day on the 26th February at Frost oval in
Mount Barker. We are very disappointed to see another local club schedule an event on the same day in
Albany, which has caused our numbers to be down from last year.
Julieann has just spent the weekend at the Coaching clinic held by PCAWA in Perth so we look forward to
any ideas she may bring to our club.
As you would all be aware we have cancelled our ODE in March, which is unfortunate but a lack of
workers has made it inevitable. We look forward to traveling to the other clubs in the Zone to attend their
Ode’s.
We will also have four riders attending this years State Tetrathlon in Northam at the end of March. We
wish the girls good luck.
The committee at WPPC would like to offer our support to Denmark Pony Club who has I believe taken a
year of leave from PCAWA, let’s hope they will be back stronger than ever in 2013.
PCAWA COUNCIL MEETING AGENDA 9 th MARCH 2012 26
6 coaches from the GSZ attended the State Coaching School and gained a tremendous amount
from the weekend.
Securing stewards for our preferred dates for ODE's has been a bit hit and miss, underlying the
shortage of stewards across the State. For our Zone ODE we have been obligated to hire 21 twoway
radios as part of the risk management process for the cross-country phase. KRPC has surprised
most clubs by holding a compulsory rider briefing the day before their March ODE. Both
requirements (radios and ride briefings) seem to be new; appreciate any comments from the
Eventing Sub Committee.
The status of Denmark Pony Club, now in recess, was disappointing but not really surprising.
Denmark does have a thriving equine community so hopefully the club will be re-activated in the
next couple of years. My thanks to the MDO for advice and support to Denmark Pony Club prior to
their AGM. 2 members have joined KRPC and 4 members have joined APC.
There was general dismay as the proposal to cap travel payments for Zone delegates to attend
Council meetings as this could make the association even more metro-centric. Whilst it is never
easy to identify and implement overhead reductions, if there is such a cap on travel then what
about holding 2 of the Council meetings in Regional areas?
4.5 HILLS ZONE
The Hills Zone has had its first zone meeting for 2012 and the sub-committees for each discipline have
been formed. An informal get together of the committees, prior to our zone meeting, was held to work
out dates for each discipline for the coming year. Plans are afoot for the Zone run-offs for the
Showjumping Championships and tentative arrangements have also been made for a C* school in the April
school holidays as well as a showjumping clinic in the July school holidays. Our annual Hazel Pither Shield
encouragement jumping competition will once again be held in November. Training at clubs within the
zone for this year’s Tet is well under way, with most of the clubs sending riders.
Balkuling at this stage have not had a rally but are looking forward to a great year at their new grounds at
Mt Bakewell Equine Centre in York.
Darlington has held their enrolment day and first rally for the year and report starting the year with 53
members and has closed their books for the year. They will be having 2 rallies in March, on the first and
last Sunday’s of the month, due to the State Tet falling on their rally day this year for which they have a
number of members in training. At the end of last year they had riders pass their C exam so will now have
a number of riders ready for C* in 2012.
Eastern Hills has already held a cross country clinic at Brookleigh, with 26 riders attending, in preparation
for the State Tet. An enrolment rally was held in February with 20 members riding which was a mixture of
new members and existing members on new mounts. At this stage the club has 62 members all of whom
will be placed into 9 riding groups according to their age and riding ability. Of the 63 members 18 are male
riders. Tet training is well under way and the club will also be running a Tet training day at Avon H&PC.
The club anticipates having over 20 riders at the Tet, and as a preparation for the Tet there were 16
members of the clubs competing at the Narrogin Tet. The club also had 4 riders attend the International
Tet Training Day. A number of the club’s parent coaches, as well as 5 of their senior riders, attended the
State Coaching Panel annual coaching seminar.
Walliston reports having 32 members enrolled for the 2012 season at this stage. They will have up to 6
riders competing at the Tet. The club has held one rally at this stage and are hoping to have at least 3 of
their riders sit their C* certificate this year. The club is planning a Hickstead series for 2012 and will once
again be hosting the Hills Zone Hazel Pither Shield in November this year.
Gidgegannup reports having 65 members, 13 of who will be new to the club and has already had an
enrolment day and first rally. They will have 10 members competing at the Tet. One rider from the club
attended International Tet Training clinic. The club had coaches and riders attending the State Coaching
Panel Annual Seminar. There is a camp organized for the April school holidays. The club will have new
coaches available to them for the 2012 season. Two cross country and showjumping training days have

PCAWA COUNCIL MEETING AGENDA 9 th MARCH 2012 27
been organized – one on the March and another on the first Sunday in May. The club will be running an
EWA and PCAWA ODE this year, on consecutive weekends in late July and early August to accommodate
the large number of competitors that want to compete at their annual ODE.
At his stage Wooroloo has not held a rally, but did run a series of well attended Twilight Jumping Training
Rounds days over the summer recess.
Overall, despite the hot weather, it has been a busy start to the new Pony Club year for the Hills zone.
4.6 METROPOLITAN ZONE
2012 looks like it is going to be another busy one for the Metro Zone.
Coaches from several clubs attended the State Coaching School and found it valuable for their own
coaching.
Safety of the Horse and Rider School is being held on the 17th March.
A C* exam is being held on the 24th March
CLUB REPORTS
KELMSCOTT
Our first rally was held on the 5thFeb. It was held as a joint rally between Peel and Kelmscott. All coaches
indicated a fabulous level of involvement and interest. The feedback from both clubs members was that
they enjoyed the format immensely and that the blended groups worked well. All lessons started on time
with each instructor doing a gear check of riders and reports were filled out. They reflected that everyone
had done a good job preparing their horse properly. Next rally is on the 4th March.
Kelmscott has a team of riders entered in the Tetrathlon, the first team in years and their preparation is
moving along well.
We experienced an attempted theft of our jump wings that left the clubs unable to open the sea container
to access the jump wings and it required an angle grinder to remove the padlock that had been tampered
with.
Kelmscott PC shed should be erected at the Peel grounds within a fortnight and we are hoping that the
concrete will be poured soon after. This allows for the remainder of our gear to be moved to the Peel
grounds in March.
ORANGE GROVE
2011 was another successful year for Orange Grove Horse and Pony Club.
In 2011 we have had many of our members sit their certificates during the year with
9 members passing their D certificate.
14 passing their D*certificate
2 passing their C certificate
A big thankyou to all our instructors who taught our members at rallies throughout the year as their efforts
are appreciated by all
Our club was again very well represented at all PCAWA Championships events and Metro Zone events in
2011 with a general increase in numbers across the board who represented our club for the first time.
Well done to all who represented the club for displaying excellent presentation, good sportsmanship and
passion for our club. Thankyou to all the parents and volunteers who make up the coaches, support crews
and for getting the kids to training when required. We have had many successful team and individual
results at these events.
Congratulations to two of our senior members- Elizabeth Warton and Michelle Brown who were selected
to represent Western Australia in PPMG at the recent Pony Club Nationals event held in Victoria in
October 2011. Congratulations also to two of our life members who were also selected in official roles as
part of the WA team - Noelene Brown who was the PPMG senior team chaperone and to Dan Foster who
was the coach of the junior PPMG team.
One thing that that happened in 2011 was the passing of a new constitution for the club. This has been a
work in progress for nearly two years and this constitution was accepted by Dept of Commence and 23rd
August 2011

PCAWA COUNCIL MEETING AGENDA 9 th MARCH 2012 28
The committee tried something different for our end of year celebrations in 2011 by holding a fun day
without horses prior to our trophy night on Saturday night. This was followed with a fun day with horses
on the Sunday. Unfortunately the weather did not cooperate on the Saturday afternoon but the bucking
bull and face painting prior to the trophy night was a success.
We have had our 2012 joining day and at this stage have a total of 41 riding members with only 5
associates.
Orange Grove Horse and Pony Club is looking forward to 2012 and is confident we will have more of our
members representing the club in all disciplines.
WALLANGARRA
Our first rally for the year was on 29th January was an assessment rally. Of our 73 enrolled riders, 51
mounted and 2 unmounted attended the rally. Our 2nd rally was held on 11th Feb this was a smaller rally
with only 17 riders being able to attend. The next scheduled rally is on the 19th Feb.
Riders competencies were assessed at the rally and class structures will be determined on skill levels.
A number of our riders are ready to complete their C certificate examination and the second week of the
school holidays has been targeted to arrange for examinations to take place
These riders are keen to move straight into their C* work on successful completion of their C certificate.
A small team of riders from the club are intending to compete in the Tetrathlon and training is underway
for these riders.
The club is still experiencing serious issues with vandalism and robbery, with a large number of jump wings
being stolen from the equipment shed. Security measures are being investigated to try and circumvent
further losses.
Our ODE is full. The steward has requested upgrades to the grounds/course for the future ODEs.
GOSNELLS
4 went to the State Coaching School.
Member numbers hopefully will be 20 and 25 at our pony club.
Our summer breed show was held on the 5th Feb. We had 200 horses attend
A beach rally is being held soon.
RIVERSIDE PARK
We have 31 riding members. We have held our first rally at the beach it was well attended and enjoyed by
all. A sausage sizzle was held after the rally.
Our next rally is being held in March at Wallangarra due to the significant work and upgrading of the
grounds at Riverside. Hopefully we will be able to use the grounds in April.
Linda Balchin
Zone President & Delegate
4.7 MIDLAND ZONE
Clubs have had their first rallies & joining days, but more members are expected at the March Rallies.
February rallies are generally rather hot and we start early and finish with lunch and a short
lecture/discussion.
There was a good turnout at Bindoon on 5th February with 11 riders, 10 plus a visitor from CMs and three
Coaches. Certificates achieved at the end of last year were presented, and photos taken. It was a nice cool
but windy morning.
March 4th was a very successful rally but not many attended and it was a hot day. Things are looking very
positive with a very keen group of riders from D to C* level.
Central Midlands has had two rallies, both with a theme, the Tetrathlon rally was a great success, with
participants from led riders up. The B riders did an early7.a.m. flatwork lesson and then helped build the
Show jump course and then walked the course with the younger riders teaching them how to do the gate
and the slip rail and then assisted them all if they needed it, this ended up quite a long session for them!
They did get to do some jumping afterwards though. The younger riders did an early run, rode, had great

PCAWA COUNCIL MEETING AGENDA 9 th MARCH 2012 29
fun with the Nerf gun and we finished the day at the pool as it was quite hot by then. It was a great way to
teach the young riders about Tetrathlon so they are ready to have a go at the real thing!!
The second rally was the Bio-John Bursary overnight camp again a huge success and held over an
afternoon, followed by what ended up a long morning as the weather was very kind. The evening was
spent covering the Course Design element of the B syllabus all 3, B candidates got to design their own
course and jump-off on computer. The parents excelled with a wonderful casserole tea and desert. Judy
Rose and Fred Freeman, were both present to ensure all riders made the most of the time there. A full
Show Jumping course was built with various different line options, riders learnt to ride an accurate track
and use their eye contact on the jumps far more than they were. Everyone got to jump both days with
courses from 30cm to 110cm everyone was catered for and parents have commented" what a fantastic
start to the year". Such great improvement was shown and confidence built particularly in the new
pony/rider combinations.
The Moora Horse Trials is fast approaching and this is largely run by the Pony Club who have already been
spraying summer weeds, and spreading gypsum in their own time . This is when the grounds gets an
annual facelift so everyone chips in to help. There are plans afoot to double the size of the water jump. It
is bound to be a great Event and does have Pony Club classes.
With only one competitor in the Tetrathlon, Midlands hopes that their participation will improve in the
future.
With such a good start to the year everyone is very positive.
4.10 SOUTH EASTERN ZONE
Judging by the reports each club has submitted for their yearly plan it will be a busy year for all those
involved in their clubs. Coaching weekends, certificate preparation and competitions at all levels are
planned for the year.
All clubs have held their registration day and have had new members sign up.
Esperance members have been riding over the holidays with a school run by Steve Johnson. In March they
will host a Phillipa Collier school for showjumping.
Esperance is planning to enter several teams for the State Tetrathlon owing to a good level of interest.
Goldfields are focusing on achieving certificates for their members. They have a comprehensively planned
year with schools and rally dates blending together. They also are going to host the Dressage qualifier for
the Zone this year.
Kalgoorlie has 2 schools with Sharon Jarvis planned and are hosting the annual Zone Camp. This is always a
large undertaking with around 50 horses for the 3 days and requires an enormous amount of planning and
organization. From the participants point of view it always an extremely enjoyable 3 days.
Munglinup also has a busy program planned with the Grand Prix on the March weekend.
4.11 SOUTH WEST ZONE
The southwest Zone had a lovely year last year with many happy riders, and very friendly meetings every
two months.

PCAWA COUNCIL MEETING AGENDA 9 th MARCH 2012 30
The zone assisted Dardanup when required with helpers in their running of the State Eventing champs and
we are very proud to be associated with them and what a beautiful course and venue they provided for
the championships, the lovely large floral display depicting the 50 th year for pony club was a major
highlight of some wonderfully decorated jumps.
As a zone we have entered riders in dressage, active riding and showjumping and had rider’s representing
their clubs in all other disciplines at state championships, with many of our riders bringing home sashes
and rugs and all riders having a great time.
We had 7 riders complete their C* and plans for more to complete this year. And some of the riders
embarking on their B certificates.
BUNBURY HORSE AND PONY CLUB
REPORT MARCH 2012
We are a small club dedicated to improving our riders and having
fun at rally days. Last year saw Isabel Fry, Beth Keedwell and Acacia
Chen complete their C* exams and we had many riders do their D
and D* tests successfully.
We had riders represent our club or zone at all of the State
Championships with one highlight being the winners of the
Oakover Terena Musical Ride and Highpoints for 17 and over in
Active riding. Our riders were also pleased with having the
opportunity to ride these
displays at the Royal show, but was a major logistics nightmare
which we overcame, with riders being present for two different displays and the Championships for the
Active Riding.
Rallies are held 4 th Sunday of the month and sees many happy riders and mounts at each rally, many
wishing to learn more and some wishing to go on and compete. We have had a great start for this year
and have some new members all keen for first
rally at the end of February.
We are lucky to have a young enthusiastic chief
coach and she has been nominated for a vet
search award. Each rally sees a variety of
disciplines covered with dressage, jump, horse
mastership, polox and ground work.
Bunbury capped off an excellent year by winning
both the highpoints and handicap shields at our
Zone gymkhana this year.
We wish to thank the organizers and sub
committees for all the hard work they put into

PCAWA COUNCIL MEETING AGENDA 9 th MARCH 2012 31
each championship to make it run as smooth as possible with so many riders there and look forward to
more rallies, events and Championships in the coming year.
The zone has had enrolments now at most clubs, with old and new riders enrolling for the start of a
promising year.
We have clubs running events for the new Dressage series and the Eventing series. We would love
everyone to come and support these events.
We have three great clubs with cross country courses and to start the year we have two Agricultural shows
in the area at Warren and Bunbury offering some excellent classes.
We have plans underway to hold a Preliminary event for PPMG at Margaret River posted on the active
riding page on the web and we hope to see quite a few riders there .
Enjoy your year to come.
Jaq Dahlstrom
4.12 SWAN ZONE
All clubs within the Zone have been busy over the last couple of months getting ready for the start of the
new season. Clubs have already started preparing for the upcoming State Tet in Northam in March.
The Zone is putting together a “Viva Las Vegas” evening in May to raise funds to help riders in our Clubs to
travel to International and National events. Also we will be holding the Marsden Cup in June as a qualifier
for Novelties.
Wanneroo HP&C held a Beginners Day on the 4 th March which was a huge success. Wanneroo will be
sporting a new uniform this year. They are also looking to upgrade their cross country course. Kelly
Stevens has been chosen for Junior Jumping Equestrian Talent Squad – EWA program. This program is also
affiliated with WA Institute of Sport. Sammy Bain has been selected along with 2 riders from the Eastern
States to compete in Mounted Games at the New Zealand Horse of the Year Event in March – this selection
in through MGA.
Horseman PC is implementing a charter to the club called “Team Horseman” (have a look at their website
for details) Also 2012 is Horseman’s 50 th Anniversary – congrats. They will also be welcoming 4 riders
nominated by their peers to make up the Junior Committee. – Congrats to those riders. The club also has
been improving the wash bays and would like to thank BGC Concrete for the donation of the concrete.
Swan Valley has started the new season with approximately 75 riders with 3 groups of Lead-line. They will
be holding Hunter Trails on the 23 rd March and also in November. They are looking at a few big projects
for 2012 – upgrading the electrical system in conjunction with the Polocrosse Club, also upgrading their
clubrooms and working more closely with the State Equestrian Centre in helping their club and its
members enjoy the experience of Pony Club.
Wanda Longley
Zone President and Delegate
4.13 WEST COASTAL ZONE
With all our clubs having their first rally sometime in February we are all busy getting grounds and
members ready for the 2012 Pony Club Season.
We have a couple of Clubs running “qualifying rallies” in order for members who wish to compete in the
early championships, namely the Tetrathlon, to get the required number of rallies marked off. This seems to
come about each year and maybe time frames need to be looked at when setting the closing dates so early
in the new season.
Baldivis has had some upgrades to its grounds in the way of new yards through a grant and assistance from
RDA. They have their first big event for the year set for the 10 th and 11 th of March. A Show Jumping Day and
Interschool qualifier is being run in conjunction with a course building/judging seminar.
Peel Metropolitan has a big year ahead with the Council and the Club working towards a formal license
being drawn up for the future use of the grounds and the arrival of Kelmscott Pony Club on its grounds. So
far the two memberships have been able to work together getting the grounds in order for the upcoming

PCAWA COUNCIL MEETING AGENDA 9 th MARCH 2012 32
year and Kelmscott have already held one show on Peel’s grounds and the event raised $2000 for the MS
society. Our members are busy training for the upcoming Tetrathlon and we have our first show the week
after our first rally.
Murray have their first rally in early Feb and have already organised two clinics for the 2 nd June ( gear
checking ) and 17 th June ( lunging ) and hope they will be well attended. The C exam booked for the 18 th
April is full at this stage but they will let the zone know if any places become available. Their members are
training twice weekly for the Tetrathlon and have organised a shooting practice day for the 18 th Feb. With a
new chief coach working hard to get the rallies organised they are set for a big year ahead.
Wandi have not yet had their AGM and haven’t appointed their new committee for the 2012 year so we
will look forward to hearing from them at our next meeting.
Pinjarra have a busy year ahead with rallies and two Show horse championships which are RAS qualifier in
April and August. They have a dressage day on the 15 th May and a Show jumping day planned for the 30 th
October. Pinjarra have members completing in the state Tetrathlon this year for the first time and are
looking forward to the event. With the future of their grounds uncertain Pinjarra are having to search for
alternatives and are rallying support through zone for PCAWA to help the Club negotiate with the Council.
Serpentine have a full calendar as per usual with their ODE series kicking off in Feb. Serpentine are hosting
the Zones SJ run off and combining them with their own Clubs team selection. They also have members
training for the Tetrathlon. With Showman and Dressage events in between the club is still mindful of the
amount of use the grounds can take with the council hiring out the grass areas for other uses.
Log fence had a busy year last year with new club rooms and busy bees. This year they are hoping to focus
more on the fun of riding. With ODE’s, Training days and Adult Gymkhanas planned it is shaping up to be a
great year. They will host the state endurance champs in September then have the Log Fence endurance
ride. The club this year will have their first entries in the State Dressage Champs and are really looking
forward to participating.
The weather has been kinder this year with the start of the pony club season noticeably cooler than last
year and we hope all other zones are geared up and ready for as busy year ahead as West Coastal Zone
APPENDIX A
State Coaching Clinic - February 2012
The annual Coaching Clinic hosted by the PCAWA State Coaching Panel was held on 11 th and 12 th February,
a surprisingly mild weekend, at Brookleigh. This year’s theme was ‘Balance from the Beginning’.
The attendance was the largest recorded for many years, the total present on Saturday being 165.
The three key presenters were Ann Montgomery who captivated the audience with her explanation and
work on ‘position’ both with and without her demonstration riders; Philippa Collier who gave us a most
enjoyable and comprehensive session on jumping; and Dan Foster who could have entertained us all for a
lot longer with his insight into methods to engage all riders in Active Riding.
Participants also appreciated a short demonstration of Correct Mounting and Dismounting techniques as
expected in Pony Club Efficiency Certificates and at competitions.
Diane Bennit from the WA Horse Council informed the attendees of the work engaged in by the Horse
Council and new initiatives such as EADRA and the WA Emergency Equine Accommodation list. She also
described some of the undesirable equine diseases which are close to our borders.
Strategies to Deal with the Heat for both Equine and Human were covered by Anushka Chakka from
Bullsbrook/Midland Veterinary Services and Mrs Kerrie Robbins, an emergency nurse and former Pony
Clubber herself and now a Pony Club ‘Grandma’ and FEI Eventing Technical Delegate. Informative
PowerPoint presentations left us more aware on the subject of heat and its effect on us and our equine
partners and how to deal with too much heat which we are frequently experiencing these days.
On Sunday, following the jumping session with Philippa, the final session was on Equitation Jumping. This
was viewed with some interest among the participants but highlighted how easy it is to become negative
in attitude during subjective assessment/competition and the importance of a ‘positive’ balance in the
assessment sheets for those reading and receiving judgements.
The Office Staff were present all weekend with the entire bookshop including the new merchandise. They
sold over $6,700 which made it well worthwhile and we thank them for giving up their weekend to make
this facility available to the participants.
Once again, Roseanne Coldbeck kept us sustained with delicious healthy fruit platters and salad wraps, and
for those who indulged, delicious muffins and slices.
Brookleigh is a delightful and popular venue, however numbers at this State Coaching Clinic were such that
seating had to be brought into the arena as the grandstand overflowed and it was very difficult to

accommodate everyone to watch the PowerPoint displays, therefore careful consideration needs to be
given when organising the 2013 State Coaching Clinic.
Thank you to everyone who put so much time and effort into making the weekend a success. It is a great
team effort to organise and those who presented a topic put much time and thought into their
presentations.
