questions & answers 28 QUESTIONS & ANSWERS RESIDENT CAMP AND TRAVEL PROGRAMS: When does registration for camp open? Camp registration officially opens on February 1, 2013; however, you can send in your registration anytime in January. Registrations received prior to this date will be held until February 1 and then processed randomly. No preference will be given to registrations received prior to February 1. After February 1, registrations will be processed as they are received. When will my deposit be processed? Deposits will be processed when registration forms are received. If they are received prior to February 1, the deposit will be processed and the form will be held until placement occurs on February 1. When is my camper considered confirmed? Campers are considered confirmed as soon as their registration is placed in their first or second choice camp program. You will be notified if the camp session you requested is full. If a second choice program is listed, you will be placed in that program. When do I pay for camp? Your camp bill will arrive with your confirmation packet. Payment of the camp fees is due no later than four weeks prior to the start of the session for which you have registered. Note: The council will accept VISA, MasterCard, and Discover credit cards. Can I use Cookie Credits to pay for camp? Due to the volume of registrations we process, we CANNOT accept Cookie Credits for the $75 deposit. However, once you have received your bill, you may use your Cookie Credits to pay for the balance of your camp fees. Is financial assistance available? If you are within the Girl Scouts Heart of Central California jurisdiction and are a registered Girl Scout or want to become a Girl Scout, you are eligible to apply for financial help to attend Girl Scout resident camps. Please see the forms section of the brochure for the requirements and Financial Assistance Form. If you live outside of the council’s jurisdiction, contact your local Girl Scout council for financial assistance information. If I’m not a Girl Scout are there any special fees? An additional $12 fee will apply for any girl not registered as a Girl Scout by February 1, 2013. Are campers covered by insurance? All campers are covered by sickness and accident insurance. The cost is included in the camp fee. Will my daughter need a physical examination to attend camp? No. However, a current Health History Form completed by the parents must be received by the program center four weeks prior to their camp session. Camp can be physically demanding—although a physical examination is no longer required to attend camp, we recommend that you discuss camp with your health care provider and be clear about any restrictions to your camper’s activities on the Health History Form. The Health History Form is available online. What is included in the camp fees? All camp fees include: supervision and instruction from trained staff, program activities, transportation, sickness/accident insurance, camp T-shirt, patch, daily meals, snacks, and a one-hour horseback riding session. Please Note: Travel Programs that do not spend time at Menzies will not include horseback riding.
Is transportation available to and from camp? For most of our resident camp programs, bus transportation is available from Sacramento, Salida, Stockton and Angels Camp. Unless otherwise noted, travel camps use seven-, eight- or 12-passenger vehicles and depart from Sacramento, Stockton and Salida. Travel to and from pickup points is the family’s responsibility. Transportation to and from camp is not provided for our Two of Us programs and our troop and family camp programs. What health and safety standards are maintained at Camp Menzies? Camps must meet established standards for health and safety, site, program and personnel, which are set by state and local governments and Girl Scouts of the USA. The camp staff is also trained in safety and emergency procedures. What is ACA? Camp Menzies is a member of the American Camp Association (ACA). Every three years, a team of ACA officials, who are camping professionals, visit the camp to evaluate compliance with the high standards set by a national ACA standards board. ACA standards address the camp’s practices, policies and procedures as they relate to personnel, program, administration, and site and facilities. Camp Menzies was visited in the summer of 2010 and our accreditation was renewed. Only camps that are accredited may bear the American Camp Association accredited seal. What are the counselors like? Camp staff members are enthusiastic, talented and caring adults, who are selected on the basis of their experience, ability to serve as role models and their genuine desire to work with children. The ratio of counselors to girls varies with the age of the campers. Camp units with younger girls have the greatest ratio of counselors to campers. What training do camp staff receive? Camp staff receive extensive on-site training prior to the arrival of all campers. Training includes activity programming and outdoor skills, songs, games, first aid and safety, team building, age level characteristics, how to deal with homesickness, and more. Staff who supervise high adventure activities are required to have additional training and qualifications. Where do girls sleep? Sleeping arrangements vary, depending on the camp program you choose. Campers sleep on metal beds with mattresses either in a tent or in a sleeping cabin with solid walls, roof and screened windows. Campers in programs that sleep in tents can bring a tent from home or borrow one from the camp. We will partner girls up so that they are not sleeping in a tent alone. Can my daughter be in the same unit as her friends? Prior to camp placement, your daughter may request to be with one special friend in the same unit and program (if her friend is about the same age and ability). To be considered for the same unit, both girls must request each other and the registration forms need to be mailed in the same envelope. Girls requesting a buddy must mail or fax in their forms together. You cannot request buddies when you register online. If your friend is not a currently registered Girl Scout, she can still join you at camp if she completes a registration form and pays an additional $12 fee. After placement, if two or more friends are attending the same session and program together, parents can request that they be placed in the same tent or cabin using the Parent Letter to the Counselors Form which is included in the camp information packet. Can I visit the camp? We invite you to attend our Open House on Sunday, June 9, 2013, when both campers and their parents can visit the camp, tour the facility, and meet staff who will be working there. The Camp Director will be available to answer any questions you may have. 29
