Beyond direct economic impact: analysing<br />
the true value of <strong>international</strong> <strong>association</strong><br />
<strong>meetings</strong>.<br />
<strong>ICCA</strong>’s annual 10 year report on the<br />
<strong>international</strong> <strong>association</strong> <strong>meetings</strong> <strong>market</strong><br />
is an eagerly awaited document, generating<br />
hundreds of media stories around the world,<br />
and helping <strong>ICCA</strong> members to demonstrate to<br />
their local politicians and other power-brokers<br />
the value of their <strong>market</strong>ing and sales efforts<br />
and of the the frequently massive investments<br />
that have been made in <strong>meetings</strong> related<br />
infrastructure by both public and private<br />
sectors.<br />
This year’s report will show that 2007<br />
was another year of robust growth for the<br />
<strong>international</strong> <strong>association</strong> sector, in terms of<br />
number of events and overall delegate spend,<br />
and will highlight, as it does each year, that<br />
some cities, countries and regions are doing<br />
better and some are performing worse in<br />
relative terms compared to their major rivals.<br />
And as always, we counsel all destinations<br />
and commentators not to interpret the <strong>ICCA</strong><br />
statistics in isolation, because we only record<br />
events run by <strong>association</strong>s that are relevant to<br />
the <strong>market</strong>ing and sales needs of our members<br />
(ie those events that take place regularly and<br />
rotate between at least three countries), and<br />
totally ignore the vast and important corporate<br />
and inter-governmental sectors. Destinations<br />
need to develop their own comprehensive<br />
statistical records which cover all the events<br />
which they host, and these will be the true<br />
measure of how successful they are in terms<br />
of the direct economic impact of the <strong>meetings</strong><br />
they host.<br />
But there is another aspect related to the<br />
impact of the <strong>international</strong> <strong>association</strong> events<br />
in this statistics report, but which the statistics<br />
themselves utterly fail to illustrate. This is the<br />
non-economic impact of such <strong>meetings</strong>, which<br />
is never accounted for in any tables of direct<br />
expenditure by delegates and organisers.<br />
Most <strong>international</strong> <strong>association</strong>s run their events<br />
in order to achieve a non-financial end result.<br />
Of course they may have an operational target<br />
to break-even or hit a particular surplus, but<br />
this in itself is almost never the end objective.<br />
<strong>The</strong>ir <strong>meetings</strong> are held to find cures for or<br />
raise awareness of diseases, to<br />
advance scientific understanding, to raise<br />
professional standards, to transfer knowledge<br />
to developing countries, to find solutions<br />
to social and environmental problems, to<br />
educate new generations of experts, to foster<br />
trade and development, to improve cultural<br />
understanding, to create new business<br />
networks and relationships, to build new<br />
communities of interest between researchers<br />
and investors and entrepreneurs, and to<br />
forge lasting friendships within peer groups<br />
from around the world who share a love for<br />
the same thing, whether it be biomechanical<br />
engineering or origami, whether fine wines or<br />
gastroenterology.<br />
When speaking to an Australian professor who<br />
had successfully attracted a world congress<br />
on Genetics to take place in his home city,<br />
I was struck by how proud he was of the<br />
achievement. But this was not because of<br />
the millions of dollars that were going to be<br />
spent by his delegates in hotels, restaurants<br />
and shops, but because of the hundreds of<br />
additional Australian postgraduate students<br />
who now had an opportunity to learn from the<br />
greatest minds in this field from all around<br />
the world, and because of the tens of millions<br />
of dollars of new investment that was sure<br />
to be attracted into Australia’s cutting-edge<br />
research institutions. A similar thing happened<br />
when talking recently to a prominent medical<br />
<strong>association</strong> meeting planner: he was thrilled to<br />
be going to a particular future destination, not<br />
because of the wonderful hotels, scenery and<br />
culture on offer, but because this city was in<br />
the middle of a region with the world’s fastest<br />
growth of the disease his <strong>association</strong> was<br />

dedicated to eradicating, so this was in his view<br />
a wonderful opportunity to raise awareness and<br />
encourage new prevention programmes.<br />
When destinations really evaluate the full<br />
potential impact of <strong>international</strong> <strong>association</strong><br />
<strong>meetings</strong>, they should be asking questions<br />
such as: how will this meeting support our<br />
strategy for university education, or aid our<br />
long-term economic development or healthcare<br />
goals; could the experts who visit our city<br />
help to educate our schoolchildren about<br />
employment opportunities in their industry<br />
or scientific endeavour, or hold open days<br />
to raise awareness amongst our general<br />
population? Will hosting this event enable our<br />
local businesses or research institutions to<br />
raise investment or build strategic relationships<br />
that will help them to grow and employ more<br />
high value workers? All of these can produce<br />
multi-million dollar positive impacts for a<br />
country or city; occasionally they are vaguely<br />
acknowledged in passing, almost never is the<br />
value actually calculated.<br />
International <strong>association</strong> <strong>meetings</strong> are a force<br />
for good in the world, dramatically greater than<br />
a simplistic reading of their direct economic<br />
impact would imply. Hopefully all readers of<br />
this statistics report will bear this fact in mind<br />
when evaluating their value to the local host<br />
destinations and to society in general.<br />

850 members in 83 countries, it is the most<br />
global <strong>association</strong> within the <strong>meetings</strong> industry<br />
and one of the most prominent organisations<br />
in the world of <strong>international</strong> events. <strong>ICCA</strong><br />
membership comprises leading companies<br />
and organisations specialising in handling,<br />
transporting and accommodating events.<br />
<strong>ICCA</strong> Data is the research department of <strong>ICCA</strong>,<br />
which collects information on <strong>international</strong><br />
<strong>association</strong> <strong>meetings</strong>. This information is<br />
available to <strong>ICCA</strong> members only, through an<br />
online database (www.iccaworld.com). <strong>ICCA</strong><br />
also functions as a platform for <strong>ICCA</strong> Members<br />
to share their expertise and <strong>market</strong>ing<br />

Since 1972, the research department has<br />
assembled information on <strong>international</strong><br />

Segmentation<br />

event types and categories: medical <strong>meetings</strong><br />
(the largest segment); scientific; other<br />
academic; trade organisations; professional<br />
bodies; social groupings. In terms of size,<br />
budget, duration and complexity there are<br />
massive variations between and also within<br />
categories. However, some similarities can be<br />

<strong>association</strong> <strong>meetings</strong> <strong>market</strong>, but it also assists<br />
<strong>ICCA</strong> members to share knowledge on the<br />
other segments.<br />
• <strong>The</strong> initiative to host a meeting often<br />
comes from the local counterpart, e.g. the<br />
national <strong>association</strong>. If that body is difficult<br />
to motivate to organise the meeting, the<br />
chances are high that the meeting will be<br />
scheduled elsewhere.<br />
• Association <strong>meetings</strong> have a very long leadtime;<br />
it is not unusual to find lead times of<br />
5 years or more.<br />
• It is estimated that a growing minority<br />
of about 25-30% of the decision-making<br />
processes no longer include an official<br />
bidding procedure, but have a “central<br />
initiator” who selects the location and<br />
venues based on pre-determined and strict<br />
criteria.

It is estimated that there are approximately<br />
15,000 different <strong>association</strong> <strong>meetings</strong><br />
organised on a regular basis. <strong>The</strong> <strong>ICCA</strong><br />
Association Database has collected information<br />
on approximately 87% of them.<br />
Other sources of information on<br />
<strong>international</strong> <strong>meetings</strong><br />
<strong>The</strong> <strong>international</strong> <strong>meetings</strong> <strong>market</strong> is also<br />
analysed by the UIA (Union of International<br />
Associations). However, the criteria of the UIA<br />
<strong>meetings</strong> differ from the criteria <strong>ICCA</strong> uses.<br />
UIA<br />
For the purpose of its annual statistics,<br />
“<strong>international</strong> <strong>meetings</strong>” are defined by the UIA<br />
to include either one or both of the following<br />
criteria:<br />
1. Meetings organised or sponsored by<br />
“<strong>international</strong> organisations”, i.e.nongovernmental<br />
organisations (NGOs) and<br />
intergovernmental organisations (IGOs) that<br />
appear in the UIA’s Yearbook of International<br />
Organisations* and in its International<br />
Congress Calendar and whose details are<br />
subject to systematic collection on an annual<br />
basis by the UIA.<br />
Excluded from the UIA figures are:<br />
• purely national <strong>meetings</strong> as well as those<br />
of an essential religious, didactic, political,<br />
commercial or sporting nature.<br />
• <strong>meetings</strong> with strictly limited participation<br />
such as those of subsidiary (internal)<br />
statutory bodies, committees, group<br />
of experts, etc., of which the greatest<br />
proportion are held at an intergovernmental<br />
level and take place at the headquarters<br />
of the large <strong>international</strong> governmental<br />
organisations headquartered in New York,<br />
Geneva, Rome, Brussels, Vienna and so on.<br />
• corporate and incentive <strong>meetings</strong> which are<br />
not included in the UIA’s meeting dataset.<br />
Whilst there is a considerable overlap between<br />
the events considered by <strong>ICCA</strong> and UIA for<br />
their statistics, the most important difference<br />
from a <strong>market</strong>ing point of view is that UIA’s<br />
events include those which are held in a fixed<br />
location, whereas all of <strong>ICCA</strong>’s events must<br />
rotate between at least three countries.<br />

This Statistics Report, covering the International<br />
Association Meetings Market from 1998<br />
until 2007 is the second report published in<br />
2008. <strong>The</strong> statistics report covering 2007 was<br />
published early June. <strong>The</strong>se reports are your<br />
guide for any future decisions and a must-have<br />
if you are a supplier or client in the <strong>meetings</strong><br />

<strong>The</strong> <strong>ICCA</strong> Statistics Reports are based on the<br />
<strong>ICCA</strong> Association Database, which means the<br />
figures cover <strong>meetings</strong> organised by <strong>international</strong><br />
<strong>association</strong>s which take place on a regular<br />
basis and which rotate between a minimum<br />
of three countries. <strong>ICCA</strong>’s Association Database<br />
is designed as a sales and <strong>market</strong>ing resource<br />
for its members to target future <strong>international</strong><br />
<strong>association</strong> <strong>meetings</strong>, which is why it does not<br />
include one-off events or those which do not<br />
move between locations.<br />

All data on <strong>meetings</strong> in 2007 sent in by <strong>ICCA</strong><br />
Members before the deadline of 1 February<br />
2008 are included in this report.<br />
All data presented in the tables in this report<br />
is sorted by the ranking of 2007. In this report<br />
the “standard competition ranking method” is<br />
used, which is the most commonly used ranking<br />
method.<br />
This report can be downloaded for free by <strong>ICCA</strong><br />
members from the My <strong>ICCA</strong> section on<br />
www.iccaworld.com. “<strong>The</strong> International Association<br />
Meetings Market 2007” is also sent<br />
to over 2,500 <strong>association</strong> meeting planners all<br />
over the world. <strong>ICCA</strong> encourages <strong>association</strong>s<br />
to use the statistics as a practical way to identify<br />
potential new destinations for their events.<br />
Number of <strong>meetings</strong> analysed<br />
<strong>The</strong> number of events in the <strong>ICCA</strong> Association<br />
Database has grown with more than a third<br />
since 1998. Partly this reflects the strength of<br />
the <strong>market</strong>, partly it is thanks to the fact that<br />
more and more <strong>ICCA</strong> members are sending in<br />
their calendar information to help identify new<br />
events, and partly it is thanks to increased<br />
research investment.<br />

Rotation areas of <strong>meetings</strong><br />
Over the last 10 years the percentage of<br />
<strong>meetings</strong> in the Association Database rotating<br />
worldwide has dropped from almost 55% in<br />
1998 to less than 48% in 2007. <strong>The</strong> number of<br />
<strong>meetings</strong> with rotation area “Europe” climbed<br />
from 28.4% in 1998 to 31.7% in 2007. <strong>The</strong><br />
number of <strong>meetings</strong> which rotate within Asia<br />
and within Latin America have also increased<br />
significantly over the years.<br />
Headquarters of <strong>international</strong><br />
organisations<br />
58.1% of the headquarters of <strong>association</strong>s<br />
which organised <strong>international</strong> <strong>meetings</strong> in 2007<br />
are based in Europe.<br />
Number of <strong>meetings</strong> per continent<br />
<strong>The</strong> percentage of <strong>meetings</strong> organised in<br />
Europe dropped from 58.5%% in 2003 to<br />
55.7% in 2007. Asia’s <strong>market</strong> share was 15%<br />
in 2003 and grew to 18.8%, gaining almost<br />
one full percentage point in the last year. North<br />
America’s <strong>market</strong> share dropped from around<br />
14% at the end of the nineties to 11.5% in<br />
2007 and Latin America’s <strong>market</strong> share gained<br />
two percentage points in the last 10 years to<br />
8.3% in 2007.<br />

measured by the number of <strong>international</strong><br />
<strong>meetings</strong> organised per year. Spain, fifth in<br />
2006, climbs two places to third in 2007.<br />
Number of <strong>meetings</strong> per city<br />
As in 2005 and 2006, Vienna tops the charts as<br />
the most popular city; its first place has even<br />
become stronger compared to previous years.<br />
Berlin jumps four places to number two and<br />
Singapore remains third.<br />
Participant numbers<br />
In the year 2000 the average number of<br />
participants per meeting was the highest over<br />
the past 10 years with an average of 838<br />
participants per <strong>international</strong> meeting. Since<br />
2000 the average number of participants<br />
per meeting dropped, reaching the lowest<br />
average of the past 10 years in 2005 with<br />
629 participants per meeting. In 2006 the<br />
average number climbed to 689, but in 2007<br />
the average was 656 participants per meeting,<br />
which is a drop of 16 compared to last year.<br />
Most <strong>meetings</strong> in the Association Database<br />
have between 250 and 500 participants, and<br />
more than 15% of all the <strong>meetings</strong> have more<br />
than 1000 participants.<br />
<strong>The</strong> estimated total number of participants to<br />
all <strong>meetings</strong> in the <strong>ICCA</strong> Association Database<br />
is over 4.2 billion.<br />
As in the number of <strong>meetings</strong> per country<br />
ranking, the U.S.A. is the number one country<br />
measured by the estimated total number<br />
of participants per country, with 427,556<br />
participants in 2007. Italy is second and<br />
Germany is third.<br />
<strong>The</strong> city that hosted most events in 2007,<br />
Vienna, also is the number one city measured<br />
by estimated total number of participants in<br />
2007. Barcelona takes second place in this<br />
ranking and Berlin third.<br />
Frequency<br />
<strong>The</strong> number of annual <strong>meetings</strong> has relatively<br />
increased over the past 10 years from 47%<br />
in 1998 to 58% in 2007, which is the highest<br />
percentage of the last 10 years. <strong>The</strong> amount<br />
of biennial <strong>meetings</strong> (which means they take<br />
place every 2 years) is gradually dropping over<br />
the years from 30% of all <strong>meetings</strong> in 1998 to<br />
21% in 2007, which is the lowest percentage of<br />
the last 10 years.<br />
Favourite months and length<br />
September has been the most popular month<br />
for organising <strong>international</strong> <strong>meetings</strong> over<br />
the past 10 years. <strong>The</strong> period from May until<br />
October has always been the most popular<br />
time to organise <strong>meetings</strong> in the past 10 years.<br />
Over the last 10 years <strong>meetings</strong> became<br />
shorter; the average length of a meeting in<br />
1998 was 4.44 days, in 2007 the average of a<br />
meeting is 3.94 days, which is the exact same<br />
average as 2006.<br />
Venues used<br />
Since 2005, “Meeting facilities in Hotels” has<br />
taken over as most popular type of venue to<br />
organise an event from “Conference/Exhibition<br />
Centres”. In 2007 the usage of meeting<br />
facilities in hotels consolidated it’s first place<br />
with 41.4%. Usage of conference/exhibition<br />
centres lost more ground in 2007 and is now<br />
32.7%. <strong>The</strong> use of universities as a congress<br />
venue has risen one percentage point to<br />
16.4%. Usage of other venues, like castles,<br />
boats etc. was 9.5% in 2007.<br />
Subjects<br />
Medical Science has been the most occuring<br />
subject of <strong>international</strong> <strong>association</strong> <strong>meetings</strong><br />
in the last 10 years, even though the relative<br />
number of <strong>meetings</strong> with a medical science<br />
subject has dropped from 19.6% in 1998<br />
to 18.5% in 2007. Technology, Science and<br />
Industry have always been in the top 4 with<br />
Medical Sciences for the last 10 years.<br />
Registration fees and total expenditure<br />
<strong>The</strong> average registration fee per delegate per<br />
meeting in 2007 is USD 565. This is the highest<br />
average registration fee since 2004.<br />
<strong>The</strong> estimated total income on all <strong>meetings</strong> in<br />
the <strong>ICCA</strong> Association Database is over USD 11<br />
billion in 2007, which is an all-time record.<br />

<strong>The</strong> International Association Meetings Market 1998-2007<br />
58.1% of the headquarters of <strong>association</strong>s which organised <strong>international</strong> <strong>meetings</strong> in 2007 are<br />
based in Europe. This percentage was almost 60% in 2006 and over 61% in 1998 so it dropped<br />
more than 2% in the past 10 years. <strong>The</strong> percentage of headquarters in North America, Asia &<br />
Middle East and Latin America (respectively 2nd, 3rd and 4th in this ranking) has risen over the<br />
years. <strong>The</strong> number of headquarters in Australia and Africa remained relatively stable over the<br />
years.

As in 2005 and 2006, Vienna tops the charts as the most popular city; its first place has even<br />
become stronger compared to previous years. Berlin jumps four places to number two and<br />
Singapore remains third. Paris and Barcelona are fourth and fifth and Budapest remains sixth,<br />
but is now sharing sixth place with Lisbon. Beijing is a newcomer in the top 10 and climbs from<br />
thirteenth place in 2006 to eighth in 2007, followed by Amsterdam, which climbs three places to<br />
ninth. Madrid, nineteenth in 2006, completes the top 10. Taipei is a remarkable newcomer in the<br />
top 20 as it took fortieth place in 2006.<br />

included an estimated average number of participants where confirmed actual attendance data<br />
was lacking. This estimate was calculated for 1,595 annual events which took place from 1998 to<br />
2007.<br />
In the year 2000 the average number of participants per meeting was the highest over the past<br />
10 years with an average of 838 participants per <strong>international</strong> meeting. Since 2000 the average<br />
number of participants per meeting dropped, reaching the lowest average of the past 10 years in<br />
2005 with 629 participants per meeting. In 2006 the average number climbed to 689, but in 2007<br />
the average was 656 participants per meeting, which is a drop of 16 compared to last year.

by multiplying the total number of <strong>meetings</strong> in a specific country with the average number of<br />
participants per meeting in the same country. This formula enables events where no accurate<br />
figures are known to be included in the estimated total.<br />
As in the number of <strong>meetings</strong> per country ranking, the U.S.A. is the number one country<br />
measured by the estimated total number of participants per country, with 427,556 participants<br />
in 2007. Italy is second, with an estimated total number of participants in 2007 of 139,613, an<br />
increase of more than 100,000 compared to the 2006 figures. Germany is third with more than<br />
300.000 participants in 2007.<br />

10 years. <strong>The</strong> period from May until October has always been the most popular time to organise<br />

Since 2005, “Meeting facilities in Hotels” has taken over as most popular type of venue to organise<br />
an event from “Conference/Exhibition Centres”. In 2007 the usage of meeting facilities in hotels<br />
consolidated it’s first place with 41.4%. Usage of conference/exhibition centres lost more ground<br />
in 2007 and is now 32.7%. <strong>The</strong> use of universities as a congress venue has risen one percentage<br />
point to 16.4%. Usage of other venues, like castles, boats etc. was 9.5% in 2007.

Medical Science has been the most occuring subject of <strong>international</strong> <strong>association</strong> <strong>meetings</strong> in the<br />
last 10 years, even though the relative number of <strong>meetings</strong> with a medical science subject has<br />
dropped from 19.6% in 1998 to 18.5% in 2007. Technology, Science and Industry have always<br />
been in the top 4 with Medical Sciences for the last 10 years. Technology was third from 1998<br />
until 2003, and second as of 2004. Education was fifth in 2007.

fees are stored in the Association Database per year (which was the case for 810 <strong>meetings</strong> in<br />
2007: n=810. This is the biggest population ever used to calculate the average fees).<br />
<strong>The</strong> average total expenditures presented in these tables are calculated based on the assumption<br />
that 22% of the total delegate expenditure is spend on the registration fee. This assumption<br />
is based on two studies performed in 2004 by the Vienna Convention Bureau and the Finland<br />
Convention Bureau. Research among delegates of <strong>meetings</strong> in both destinations showed the same<br />
percentage of 22%. However, it should be noted that the structure of expenditure might vary per<br />
destination.<br />
