Combined Groups
Dear Tour Director,
In order to keep the price of your trip at a minimum, smaller groups are often combined to make “full” groups. We consider
any group with less than thirty-five, full-paying participants per bus to be a “combinable group.” If your group combines,
please know combining with other schools is a very positive experience! Friendships are formed within these groups; and
some groups even request the same combinations year after year. Please be sure to read the article “Creating Combination
Contentment” in the School Tour Times, located in your MyTour Portal.
Your Tour Coordinator will discuss the following information with you before any changes are made.
Considerations for Combined Groups:
REGISTRATIONS
Review a current passenger status report. Verify that all participants, including free and prorated chaperones, are registered.
MATCHING GROUP TYPES
We make every effort to combine groups of the same age, grade level, and region; however, sometimes this is not always possible.
We ask that groups being combined remain flexible to accommodate the needs and requests of all groups involved.
Potential Changes for Combined Groups:
DATE CHANGES
It may be necessary for a group being combined to adjust the dates of their trip in order to accommodate groups. In most
cases, dates change by only a day or two.
MATCHING SIDE TRIPS
We try to combine groups with the same tour type (i.e., DC/WMS, DC/NYC, DC/PHL). In some cases, a side trip will need to
be adjusted or a different one added. We can only guarantee side trips for full groups.
EXTRA COST OPTIONS
Depending on the itinerary, you may be asked to potentially add or remove options. Final payments will reflect any reduction
or increase in price and you will be informed of all price changes ahead of time.
STANDARD ITINERARY
All combinable groups follow a standard itinerary. Appointments are honored if the entire combination is included. (Presenters
for Arlington wreath laying ceremonies are chosen from all groups in the combination. The wreath colors are red, white,
and blue.)
Price Change for Combined Groups:
SMALL GROUP PRICE INCREASE
Even though combined, there will be an additional charge for groups of 10 or less.
1 to 5 full-paying participants are charged an additional $100.00
6 to 10 full-paying participants are charged an additional $50.00
CHOOSING TO TOUR ALONE
You can always choose to not be combined with another group. If your group chooses to tour alone, your Tour Coordinator will
inform you about the associated costs.
