POSITION SUMMARY<br />

Under general supervision, performs a wide variety of routine <strong>and</strong> moderately complex clerical duties<br />

using st<strong>and</strong>ard office procedures; may lead <strong>and</strong>/or train subordinate employees <strong>and</strong>/or volunteers; <strong>and</strong><br />

performs related work as required.<br />

DISTINGUISHING CHARACTERISTICS<br />

This is a journey-level class that can also have some basic lead worker duties. Incumbents perform<br />

routine <strong>and</strong> moderately complex clerical duties related to office reception, data entry, mail processing,<br />

cashiering, filing, document preparation/processing, <strong>and</strong> clerical accounting. This class can be<br />

distinguished from the subordinate class of <strong>Office</strong> <strong>Assistant</strong> I because this class describes journey-level<br />

clerical positions that are responsible for work that is more complex <strong>and</strong> may include training <strong>and</strong>/or<br />

leading subordinate employees or volunteers.<br />

ESSENTIAL DUTIES AND RESPONSIBILITIES:<br />

Incumbents may not perform all duties. Duties include but are not limited to the following:<br />

• Prepares <strong>and</strong> processes a variety of documents including correspondence, reports, <strong>and</strong> forms<br />

using word processing, database spreadsheet <strong>and</strong> other st<strong>and</strong>ard software.<br />

• Monitors <strong>and</strong> maintains office inventory; orders files, forms <strong>and</strong> other supplies.<br />

• May lead <strong>and</strong> train the work of subordinate employees <strong>and</strong>/or volunteers; organizes <strong>and</strong> monitors<br />

work for accuracy <strong>and</strong> completeness; sets priorities.<br />

• Performs moderately complex office transactions; identifies errors <strong>and</strong> makes corrections.<br />

• Receives monetary payments <strong>and</strong> issues receipts; reconciles cash <strong>and</strong> receipts daily or as<br />

required; verifies <strong>and</strong> reconciles other employees’ daily close outs.<br />

• Performs <strong>and</strong> coordinates special clerical projects as assigned.<br />

• Provides office reception by greeting <strong>and</strong> directing the public in a professional manner; performs<br />

other public counter work involving program registration, ticket sales, facility reservations <strong>and</strong><br />

other services.<br />

• Receives <strong>and</strong> routes incoming telephone calls; disseminates information <strong>and</strong> refers callers<br />

appropriately.<br />

• Receives <strong>and</strong> distributes incoming deliveries <strong>and</strong> mail.<br />

• Prepares outgoing material for mailing.<br />

• Processes Instructor Payment Forms <strong>and</strong> verifies waivers.<br />

• Operates office equipment such as postage meters, calculators, photocopiers, computers, printers,<br />

<strong>and</strong> fax machines.<br />

• At all times, demonstrates cooperative behavior with colleagues, supervisors <strong>and</strong> the public.<br />

• Performs other duties as assigned.<br />

WORK ENVIRONMENT<br />

The work environment characteristics described here are representative of those an employee encounters<br />

while performing the essential duties <strong>and</strong> responsibilities of this position. The functions of this position<br />

are generally performed in an indoor location consistent with an office reception environment. The<br />

environment may include moderate noise levels, tight quarters <strong>and</strong> proximity to office equipment with<br />

moving parts. Incumbents may be assigned an irregular working schedule.


PHYSICAL DEMANDS<br />

The physical dem<strong>and</strong>s described here are representative of those that must be met by an employee to<br />

successfully perform the essential duties <strong>and</strong> responsibilities of this position. While performing the duties<br />

of this job, the employee is regularly required to have: hearing <strong>and</strong> speech adequate to communicate in<br />

person, by telephone, PA system <strong>and</strong> radio; vision adequate to read fine print as well as a computer<br />

screen; bodily movement adequate to sit, st<strong>and</strong> walk, bend <strong>and</strong> reach frequently; manual dexterity<br />

adequate to write <strong>and</strong> operate a computer <strong>and</strong> other office machines <strong>and</strong> equipment; <strong>and</strong> strength to safely<br />

perform lifting <strong>and</strong> carrying of items up to 10 pounds.<br />

MINIMUM QUALIFICATION REQUIREMENTS<br />

Ability <strong>and</strong> Skill to:<br />

• Demonstrate a typing speed of at least 45 words per minute.<br />

• Demonstrate general proficiency with Microsoft Word <strong>and</strong> Excel, or comparable office software<br />

programs.<br />

• Perform assigned clerical duties with accuracy <strong>and</strong> efficiency; resolve unexpected problems that<br />

arise.<br />

• Lead, monitor, organize <strong>and</strong> train the work of subordinate employees <strong>and</strong>/or volunteers.<br />

• Effectively perform or coordinate special projects.<br />

• Underst<strong>and</strong> <strong>and</strong> carry out written <strong>and</strong> oral instructions.<br />

• Learn <strong>and</strong> implement customer service principles; use patience <strong>and</strong> tact when dealing with the<br />

public.<br />

• Perform basic mathematical calculations.<br />

• Communicate effectively, orally <strong>and</strong> in writing; demonstrate proficiency in using correct<br />

grammar, spelling <strong>and</strong> punctuation.<br />

• Adapt <strong>and</strong> learn quickly in new <strong>and</strong> changing work environments/situations; multi-task in a noisy<br />

environment.<br />

• Work with others in a team environment.<br />

• Operate modern office equipment, including computers; maintain electronic <strong>and</strong>/or physical files<br />

<strong>and</strong> databases.<br />

• Organize <strong>and</strong> prioritize work; be flexible in work scheduling.<br />

• Maintain cooperative relationships with those contacted in the course of the work.<br />

• Maintain the confidentiality of all information encountered in the course of work.<br />

Knowledge of:<br />

• Practices, methods, <strong>and</strong> equipment used in a modern office environment.<br />

• Principles <strong>and</strong> practices of employee leadership <strong>and</strong> training.<br />

• Proper English usage, including spelling, grammar <strong>and</strong> punctuation.<br />

• St<strong>and</strong>ard document formats for letter <strong>and</strong> report writing.<br />

• Practices <strong>and</strong> techniques of effective reception, both in person <strong>and</strong> on the telephone.<br />

• Operations, procedures <strong>and</strong> rules of the particular department to which position is assigned.<br />

Education/Experience/Training:<br />

• A high school diploma or GED.<br />

• Two years of progressively responsible <strong>and</strong> recent full time paid clerical experience (or the part<br />

time equivalent), preferably including public contact.<br />

• Any equivalent combination of experience, training <strong>and</strong>/or education that provides the required<br />

knowledge, skills <strong>and</strong> abilities of the class is also acceptable.<br />

• Must pass a fingerprint <strong>and</strong>/or background clearance prior to employment.
